IEP Amendments When amending an IEP (Special Review), always

begin with Add Action – IEP Amendment (cover page) Follow the directions on the BookShelf for amending

before and after the 1st AR After creating the IEP Amendment , make sure to

click Edit Details of current IEP DO NOT MAKE ANY CHANGES TO DATES Make changes only to the portions of the IEP Make sure to get signatures (if this is a meeting)

Go back to Programs tab and click Edit Draft of IEP Amendment (cover page) to complete the PWN and finalize this

Make sure the team is getting signatures for all IEP Amendments (SRs) with meetings

Annual Reviews Cheat sheet and video on the BookShelf Carefully check pdf of previous IEP to

make sure dates are correct so that you don’t miss an AR

Your school has the freedom to choose when you will have your ARs (as long as it’s before the AR date on the previous IEP); Options include on birthdays, placement

dates, all in the spring, on random dates, ….

Annual Reviews ARs are meant to close out the existing IEP;

In most situations, you will be reviewing the 4th progress report for that IEP (if you are reporting progress every 9 weeks)

Do not hold ARs then wait until school begins to implement the new IEP; if you are holding an AR, go ahead and implement the new IEP within a reasonable time (7 days) Do not put the implementation date weeks or

months out

PWNs This should be a record of what was

actually decided and why those decisions were made;

You should be able to look at the PWN and know what decisions were made – what is the team going to do or refusing to do?

Should not have “The team is going to discuss….”

Should have “The team decided ….”

Spring 2015 Assessments Remember if you started an IEP prior to

the Spring Assessment update in Enrich (2/16 or so), you will need to begin another IEP in order for the Spring assessments to show up Copy and paste from the draft IEP into the

new IEP, then ask your DSEC to delete the old one

Referrals There is no cut-off for referrals;

You could actually have a referral on the last day of school

There is no cut-off for evaluation planning meetings, gathering additional information, or eligibility determinations

If a student is referred on May 15, you have to schedule the evaluation planning meeting in a timely fashion (within a couple of weeks) and proceed from there This may mean you are testing during the summer

(not ideal, but required) and holding the eligibility determination meeting during the summer

You cannot delay holding the evaluation planning meeting until school starts

Referrals We are looking at the timelines between when

a referral is made (by the parent or by the RtI/SIT team) and when the evaluation planning meeting occurs

A “reasonable time” between referral and evaluation planning might be 15 school days

The more information you can gather through RtI/SIT, the less you’ll have to gather for the referral packet

If there is an undue gap between referral and evaluation planning, you will need to have a possible denial of FAPE discussion when eligibility is determined

IEP Compliance Make sure you have a compliance check

in place for IEPs Make sure you are uploading signature

pages for IEPs Make sure you are progress monitoring

per your IEPs
