When a new file is uploaded, a dialog displays asking the user for additional input. After the file is uploaded and ingested the provided values are added to the relevant metadata fields.

ASSET USAGE HISTORY

With built-in status-based workflows you can ensure a predefined process is executed on each single file. You can define multiple independent workflows.

Workflows can be started automatically when a file is added or updated. Define upfront the status of a file and who is responsible for handling a file in a certain state. Define activities for transitioning files from one state to another.

BUILT-IN WORKFLOWS

Get notified when metadata changes are made or a new version is uploaded when you subscribe to a file.

Settings can be defined to make sure you don’t get notified for irrelevant changes. Notifications are delivered via email.

SUBSCRIBE TO A FILE

BOOKMARKS AND TABSEvery page you work with is assigned a unique URL that allows you to bookmark any page – search result, details of an interesting file, etc. and quickly return to this page using the web browser bookmark.

You can use multiple tabs simultaneously, e.g. to view or edit items from a search result while the search result page remains untouched on its original tab.

Collections are a great tool for collaboration. Assign files to a collection and share the collection with a colleague.

Create an upload collection and ask your freelance photographer to upload the latest product shots. You can group them by type: download collections, upload collections, shared collections and private collections. You can look up the collections a file is assigned to. You can add files to existing download, shared or private collections.

MANAGE COLLECTIONS

The new custom search provides improved search capabilities and efficiency. A search criterion is either based on a single metadata field, or on one or several queries.

Click the custom search icon in the header and all available search criteria are then displayed below the header. It searches in the entire catalogue, thus resetting any previously applied filters and selections. It can be refined using filters. The administrator will define the search criteria.

CUSTOM SEARCH

Comment on files and annotate. Mention other users to notify them. The mentioned user is notified via email about your comment. The email includes a direct link to the comment page.

Send download and upload links to externals. You will get notified via email when a file is uploaded to your upload collection. See who and when has accessed the collection. Ping other users to get notified about their changes and updates to assets.

SOCIAL DAM

Take your assets with you on your mobile phone or tablet. The responsive screen will rotate with you without losing any of the CWC features.
