INTERNATIONAL REMOVALS - THE SURVEY AT RESIDENCE

Index:

We understand that when it comes to an international relocation there is a lot for you to absorb. It is quite possible that by the time you have gathered all your quotes, you could be even more confused because of all the versions of information you have had to decipher.

It is the job of our experienced international sales sta to clarify the shipment process for you as much as they possibly can in the short time they have at your residence – however they may not always have the luxury of time to touch on all the things they would have liked and hence this booklet to assist you.

Information overload is a reality and at Execu-move our philosophy is to keep the process as simple as we can throughout – we couple this philosophy to a competitive price and of course exceptional service, door to door!

We hope this “23 Key Points” information pack, covering the most frequently asked questions, will assist you and avoid the need for you to take copious notes during the survey.

1) Who is Execu-move (and why should I move with Execu-move?)

With the choice of moving companies you may well ask “why should I move with Execu-move and what sets Execu-move apart”? A fair question indeed and one we will gladly answer.

In a nutshell – our competitive price coupled with exceptional service from door to door, utilising only the very best sta and service providers worldwide, may be reason enough…

However it may also be reassuring for you to know that at Execu-move our primary objective is to ensure that your move runs as smoothly for you and your family as is humanly possible. We understand that a stress free move, especially at destination, will translate through to you and your family settling in that much quicker. That is why from your first meeting with our senior consultant until your possessions are placed safely in your new home, you can count on us to look aer the finer details. See just some of our references at the back of this booklet.

Frans Fouche (Execu-move’s MD based at our head oice in Cape Town) has served the removal industry at senior level for nearly 40 years. Frans is past President of both the Professional Movers Association (P.M.A) and the South African International Movers Association (S.A.I.M.A) and he brings his wealth of experience, covering every sphere of the removals industry, directly to you. This experience is utilised by the Execu-move team in providing moving excellence to all our corporate and private clients worldwide.

Our national sta and management are highly experienced and passionate about what they do. Our Gauteng GM Peter Theron has 31 years of removal experience, the last 20 years being dedicated entirely to Internationalrelocations. He is one of only a few removal people in the country to hold the coveted MiM (Master International Mover) title obtained at the FIDI Academy in Brussels.

Our entrenched philosophy of “moving service to an executive level” is carried with pride through the ranks from our MD to our Export Packers. We all know only too well that the most important aspects of your removal will be the safety of your furniture and eects and the upholding of our good name.

2) Available methods to “ship” your eects.

• Ocean freight – by way of an Exclusive Use Container = “FCL”• Ocean freight – by way of a Shared Container – loose stowed = “Groupage”• Ocean freight – by way of a custom crated Limited Container Load = “LCL”• Air freight – by way of special pre manufactured airway boxes = “Airfreight”

3) Ocean freight container sizes

• There are only three standard container sizes. The industry has hankered aer a 3m container which would negate most groupage shipments but alas this is nowhere in the pipeline.

• A 20 (or 6m) steel shipping container. In real terms it is about the size of a narrow single garage 5.9m (L) x 2.3 (W) x 2.4 (H). It has an internal capacity of approx 30cu metre.

• A 40 (or 12m) steel shipping container – twice the length of the 20 but the same width and height. It has an internal capacity of approx 60 cu metres.

• A 40 (or 12m) HI CUBE. This container is taller than the standard 40 container and oers one approx. 9 cu metres more.

Page 4: MOVING OVERSEAS WITH EXECU-MOVE 23 KEY POINTSexecu-move.co.za/international-moving/execu-move-23-key-points.pdf · 3. Shipping container sizes 4. Exclusive use shipping containers

Page 3

• If you have a large shipment, the 40 oers the best economies of scale in terms of cost per cubic metre. It is twice the volume of the 20 but not twice the price. The Hi Cube is even more economical – assuming of course you have the volume to fill it.

4) Exclusive use “FCL” shipping containers (including - advantages / disadvantages)

• Here you would have the exclusive use of either a 20 or 40 shipping container.• The container does not have to be full but the fuller the container the better the value for your money as

container transport and shipping cost is “fixed”, whether full or empty.• Advantages – cost eectiveness, security, reduced handling, determinable (scheduled) delivery dates,

internet container tracking.• Disadvantages – none really – but unfortunately not having containers smaller than 20 (6m) it is not cost

eective for small shipments e.g. less anything less than 50% full.• Indeed there are countries where shared (groupage) shipments are not practical because of low traic

volumes and in such instances an exclusive FCL container is the only way• **Note: It is not possible for others to share any space le in an exclusive use FCL container withoutchanging the shipment configuration from “exclusive” to “groupage” i.e. the shipment changes

from “single consignee” to “multi consignee” which in turn increases the cost per cubic metre.

5) Shared “Groupage” containers (including - advantages / disadvantages) - **Please read carefully

• Flexinility: A useful and popular method for shipments of 50% or less than the capacity of a 20 (6m) shipping container. Especially to the UK, Europe, Australia and NZ and especially if you have some flexibility in your delivery date.• Pro-Rate: You pay “pro-rata” on container transport and shipping costs based on the percentage of space

your eects accommodate in the container.• Always subject to a quote – but in terms of economies of scale - the breakpoint for this type of shipment

is usually 50% or less than the capacity of a 20 Exclusive Container. Anything more would probably be worth considering your own container with all the advantages and low cost dierential.

• **NB: Groupage volumes are very oen “pushed” beyond what has been calculated and quoted on by customers hoping to ship the maximum for the lower quoted price. This unfortunately can lead to volume disputes because the final “cubed” (or “measured”) volume will always be the volume billed.

• In order to keep perspective on this universal groupage problem, it is essential that you the shipper understands that if the final packed and “cubed” volume is more than what was quoted on – you will have

two options (1) Pay the dierence on the greater volume (2) remove items to bring it in line with what was estimated on, quoted on and accepted.

• However on the flip side (as what happens regularly enough) if the volume is less than what was quoted on you also have two options (1) recalculate on the lower volume and refund the dierence (2) add items to bring it in line with what was quoted and maybe what you had budgeted to pay.

• We “hold” (store) your eects pending the next groupage shipment at our facility at no charge. This is provided you have not requested for us to hold your eects “until further notice” – which then constitutes rentable storage.

• Advantages – definitely cost eective i.e. volume vs price provided the shipment is not too big.• Disadvantages – (1) no determinable delivery date as the container must be full with other personal

eects shippers who will use the same Port of Entry. If the destination country is not “groupage friendly” in terms of reasonable groupage traic e.g. the USA, then your eects could take many months to deliver!

Page 5: MOVING OVERSEAS WITH EXECU-MOVE 23 KEY POINTSexecu-move.co.za/international-moving/execu-move-23-key-points.pdf · 3. Shipping container sizes 4. Exclusive use shipping containers

Page 4

(2) Volume issues as described above. (3) Increased handling – despite the greatest care taken the greater the handling the greater the risk of damage, in comparison that is, to your own exclusive container.• ** Note: No removal company worth their salt will charge to hold your eects “pending shipment” whilst

they consolidate their groupages to fill a container of like shippers to the same destination. Your eects are held in our secure facility entirely at our cost and we are therefore as keen to ship your eects as you are to receive them. This should be remembered when delivery of your eects is not moving as fast as you or we would have liked. Highly frustrating indeed for both parties but that is unfortunately the nature of

groupages globally i.e. price versus convenience.• Groupage shipments to the UK and Europe remain very popular, mainly because all these shipments are

handled through one port in the UK – namely Felixstowe. As opposed to Canada and the USA where the existence of so many ports and inland destinations make it unviable for you.

6) LCL – Crated “Commercial” Shipments

• Groupage Shipments: Geared for small shipments where “Groupage Shipments” are not possible or at least logistically diicult or impractical - e.g. the USA

• Packaging: Basically, your household and personal eects are export wrapped, custom crated and shipped on the next available commercial shipment – usually weekly. That is, as apposed to “Groupage Shipments” that are specialist household eects shipments shipped only when there is enough collective volume to fill (and ship) a full container of “like bound” ports.

• Advantages – much quicker than “Groupage Shipments” or virtually as quick as FCL shipments.• Disadvantages – price and hidden costs because of the many “consolidators” en-route as well as security

issues sometimes experienced at the ports where transhipments are necessary.

7) Air Freight (and advantages / disadvantages)

• Here speed and convenience versus cost must be considered.• A quick and eicient method for small personal eects shipments that do not include furniture e.g.

clothes, documents, computers, hi-fi’s, toys, trade tools etc .• Popular for sending small urgent personal eects that cannot wait for your ocean shipment to arrive.• Prices are based on “volumetric weight” - a calculation that takes space, rather than actual weight, into

consideration. However the air box/es will be weighed when finally packed and if the “actual weight” exceeds the “volumetric weight” then the airline will apply, which ever is the greater.

• Advantages – quick and eicient and cost eective where you are able to clear and collect the items yourself.• Disadvantages – relatively expensive especially if door to door option is taken.

We have three standard air crate sizes and you can choose the one (or combination) that best suits your personal eects and budget.

Page 6: MOVING OVERSEAS WITH EXECU-MOVE 23 KEY POINTSexecu-move.co.za/international-moving/execu-move-23-key-points.pdf · 3. Shipping container sizes 4. Exclusive use shipping containers

Page 5

ID – Internal Air Box Dimensions

Class 1 A – Length 68cm x Width 65cm x Height 43cm = Volumetric Weight – 43.7 kgClass 1 B – Length 110cm x Width 92cm x Height 75cm = Volumetric Weight – 161 kgClass 1 C – Length 155cm x Width 110cm x Height 120cm = Volumetric Weight – 398 kg

We can quote you either on a full “door to door” service, or from “door to airport” for your own customs clearance and collection. The second option, although a bit of a run around for you, will save you the cost the destination agent’s service.

8) “Volume” or cubic capacity of your Ocean Shipment

• Price: Your price will be based on the volume of eects to be moved and not the weight (unless of course it is an airfreight)

• Although the overseas agents do use a weight factor to arrive at their price it is initially based on the volume.

• Volume: Determining a volume is not an exact science - wish it was! The volume is calculated by the sales person based on measurements of the items they have viewed and recorded, and their experience. As a result you may well receive varying volume interpretations.

• Planning: Although it usually ends up being fairly accurate, in fairness to the sales person, we find the customer is oen unsure about what they are taking and what they are leaving at the time the survey is done and this exercise oen continues right up to the day we arrive to pack!

• Inventory: It is therefore incumbent upon you the shipper to be as clear as possible about what is going and what is staying so that there is no disappointment or stress (for you and our packers) when the items you had hoped to load, don’t fit. If you are uncertain please feel free to call on the sales person again to confirm the final inventory before the packers arrive.

9) How your quote is made up

• Quoting: On ocean shipments we will always quote on a “residence to residence” service that includes: export packing and wrapping at residence, loading of container, transport to port, SA customs clearances, ocean freight, destination customs clearances, delivery to new residence, unpacking and removal of all waste packing materials.

• Quoting Factors: The price quoted will be determined by a number of factors e.g. the country you are moving to, the volume, special packing requirements (e.g. crating of glass tops), transport costs, shipping rates, Rates of Exchange, and destination agents rates.

• Exchange Rate: The Rate of Exchange applied to the quote is the rate of exchange prevailing on that day – obtained once a day.

• When calculating your quote we take all the above factors into consideration and present it to you in what we hope is an easy to understand “single price” quote and not a “menu” of costs typical of commercial Freight Forwarders quotes.

• Quarantine charges (where applicable) and Marine All Risk insurance will usually be shown separately.• The quote is Subject to our standard T & C’s.

Page 7: MOVING OVERSEAS WITH EXECU-MOVE 23 KEY POINTSexecu-move.co.za/international-moving/execu-move-23-key-points.pdf · 3. Shipping container sizes 4. Exclusive use shipping containers

Page 6

10) Comparing Quotes

• When choosing a company to relocate your eects it is natural (and expected) that you will obtain comparative quotes.• As you will most likely be laymen when it comes to international relocations, one of the more frustrating

and diicult challenges you will face is to accurately and objectively compare one quote against the other. This is largely because quotes are presented so dierently by the various movers.

• In making a final decision however it is important to compare “apples with apples”.• Example, there are many movers in South Africa who are not members of PMA (Professional Movers Association) and SAIMA (South Africa International Movers Association with ailiation to FIDI the world

governing body) – these are governing bodies specifically geared to monitor and maintain standards for your own protection and peace of mind.

• Check also on the following:- date of your quotation (as prices move), volume of the shipment quoted on, type of shipment, rates of exchange applied, additional services included and excluded e.g. timber crating etc.

• If not supplied – ask for references.• Be cautious of the lowest price and “special discounts” that may seem attractive but could carry hidden

costs.• Always best to check with the sales person for full clarity if you are unsure.

11) PRICE versus SERVICE (Cost)

• We are challenged from time to time on price – not necessarily because of our price that compares favourably with “other” quotations from respected institutions - but because someone else has quoted

“very much lower”.• We appreciate any feedback and will indeed check our costings but without meaning to be ungrateful or

arrogant, we may rather step away from the job than be forced to compromise our good reputation and risk your consignment, just to “meet or beat a price” to secure the work.

• This is because over recent years, removal costs have escalated dramatically but industry margins have been driven down – and the only way that prices can be further lowered o that threshold base is to

compromise on standards somewhere - either quality of packers, packing materials, shipping services or destination agents or, all of the above.

• Remember the old adage about price versus cost – “the price is quickly forgotten when the cost has been tallied at the end” and we hear these tragic stories regularly enough.

• We have a “NO SURPRISES” philosophy and to achieve this tall order for you, we solicit only the best sta, the best materials and the best service providers with proven track records.

• We invite you to check out our happy customers “” on HELLOPETER – a forum designed to expose bad service yet we have achieved a 93% success from customers who wished to congratulate us on a job well done. And then compare that to other removal establishments.

12) When do we invoice and how do you pay

• We will normally invoice you for the full amount a week prior to the packing starting as this gives both parties the best advantage on the current Rates of Exchange.

• Unless of course the eects are to come into storage first in which case we will only invoice for the pertinent charges (including export packing) up to and including the first months storage.

Page 8: MOVING OVERSEAS WITH EXECU-MOVE 23 KEY POINTSexecu-move.co.za/international-moving/execu-move-23-key-points.pdf · 3. Shipping container sizes 4. Exclusive use shipping containers

Page 7

• Although “Groupage” shipments do come into storage first they are payable in full.• If the eects are not first coming into SA local storage then, as mentioned, the payment will be made in full

usually a few days before the packing starts. This will allow us to get release on the containers and start the packing and transhipment logistical process.

• EFMost people prefer to make use of EFT followed by a mailed or faxed proof of payment.• If you have a daily restriction on your EFT and wish to do it over several days – please advise our shipping

co-ordinator accordingly and she will arrange this with our management for you.

13) Booking your shipment with Execu-move

• In our attempt to keep the whole process as painless and uncomplicated as possible, we initially send only the base documents including a covering letter, the quotation itself, the terms & conditions, and the

liability cover.• This is to obviate being bombarded with superfluous paperwork and documentation that will probably

only confuse you rather than help you• Once you are happy with the quote and the basic service, all you need to do is call our international sales

oice where one of the shipping co-ordinators will assist you with the process “step by step”, starting with your required packing dates and booking.

• There are usually only two pertinent dates applicable to your shipment. That is, either the date you need to be out of your SA residence OR the date you require your eects overseas. If it is the latter, we will take the target delivery date overseas and calculate back to find a suitable packing start date in SA.

• From experience – please do not leave this booking process too late as it can never be booked too soon. Only once you have made the decision and done the booking will you be able to relax and leave the rest to Execu-move!

14) Export Packing, Wrapping and Crating

• This is a key function performed by our experienced and skilled packers and supervisors.• There are three reasons why we recommend that you do not attempt to do the packing yourself: 1) It is a

lot more diicult and costly than one imagines 2) Customs world wide and especially in the USA are obligated to check “PBO” (packed by owner) or “CU” (contents unknown) packages that can cause

unnecessary delays and customs costs 3) Marine All Risk Transit Insurance will unfortunately not cover owner packed items against damage.

• Supervision: Depending on how busy we are – we will usually have a supervisor plus two or three export packers at your residence. The supervisor will be present throughout the pack.

• Introductions: Aer arrival at your residence he will introduce himself and the crew to you and then run through the survey inventory with you to orientate the crew to special requirements and to clearly confirm what is going and what is not.

• Despite the quality of our packers and supervisors we understand that this part of the whole removal process is a huge invasion of your privacy but we are confident that you will soon relax when you meet our packing team. The teams have their names printed on their shirts so as to assist you to get to know and identify them.

• Only the very best packing materials are used. This includes new, strong and fully branded boxes as well as “Cushion Kra – tu wrap” (a laminate of very strong “kra” paper and tough high micron bubble plastic) that is used liberally for large items.

Page 9: MOVING OVERSEAS WITH EXECU-MOVE 23 KEY POINTSexecu-move.co.za/international-moving/execu-move-23-key-points.pdf · 3. Shipping container sizes 4. Exclusive use shipping containers

Page 8

• Every large item is wrapped and all smalls are wrapped and packed into cartons. Computer generated identity labels are used on every parcel packed and of course where necessary “fragile” labels.

• Where possible and practical we will use the “cavity space” (e.g. drawers, under dining chairs etc) to maximise space – especially for groupage shipments or containers that may potentially exceed estimated

volumes or capacity.• Where necessary we use “flat sheets” (large hard cardboard sheets) to custom build picture boxes and TV

boxes etc aer wrapping in Cushion kra.• Expensive stainless steel fridges, motorcycles, piano’s, large plate glass sheets, some large pictures, very

large plasma TV’s etc may need timber crating. This is done on site using quarantine certified timber.• The supervisor will draw up a full inventory of the items packed, making notes of any previous marks or

damages and numbering every parcel. This inventory is checked at several points throughout the process, e.g. on loading, when the items come into store (if applicable), on arrival and on delivery etc.

• *NB: Please set aside (preferably in a locked cupboard) items such as passports, visas and airline tickets etc. I am sure you can understand the ramifications for everyone if these items are inadvertently packed and only discovered when the container is halfway to the port. It has happened!!

• However - you will receive a full “Pre-move Guide” from our shipping co-ordinator to assist you in being ready on the 1st packing day.

• **NB: the cardinal rule (especially where the container is potentially full) is to always load the in order of priority. Here you play a critical role in assisting the supervisor to know which items are essential and which are simply “nice to have” or “space allowing” items.

15) Cars / Motorcycles / Trailers etc

• Depending on the country you are moving to and the particular vehicle in question – it may be viable to consider taking a car, motorcycle or trailer.

• Exporting the vehicle from the SA perspective is simple enough and we do provide a service that will take care of all of the formalities - but getting the vehicle cleared and on the road in the country of destination may not be as simple and you need to be well informed in this regard.

• ** NB: Please ask our sales sta for information pertinent to your specific vehicle and destination and for a duty / tax calculator (where applicable) to assist you with your decision.

16) Pets

• For many people moving overseas, understandably and unavoidably, the decision to take pets or not is “not negotiable” simply because their pets are deemed as “children” or “family members” and the thought of leaving them behind is overwhelming.

• With the positive change in quarantine laws the cost of moving pets overseas has changed dramatically as has the need for the long and somewhat draconian quarantine kennelling requirements.

• Allow 7 months planning to complete the rabies inoculations and new documentation process.• As this is a very personal and specialised service, Execu-move do not get involved other than to gladly refer

you to well-known Pet Travel specialists. We leave you to go where you feel the most comfortable in terms of services and price.

• If it is a corporate move we are happy to consider assisting with a single relocation billing through Execu-move provided the full extent of the Pet Travel service cost is clearly allocated within the company purchase order.

Page 10: MOVING OVERSEAS WITH EXECU-MOVE 23 KEY POINTSexecu-move.co.za/international-moving/execu-move-23-key-points.pdf · 3. Shipping container sizes 4. Exclusive use shipping containers

Page 9

17) Quarantine and packing of banned / restricted substances and products

• Please check with our sales person regarding what you may and may not take into your country of destination. This is particularly important for New Zealand and Australia where they have very strict Quarantine rules and inspections.• There is also strict regulation from the Shipping Lines in terms of what items may not be packed into

“household eects” general containers e.g. gas bottles (empty or full), corrosive or flammable liquids etc. If you are uncertain our sales sta will gladly assist with this.

• Wine and spirits can be moved but there are usually strict regulations at destination – including sometimes heavy duties applicable. Considering the temperatures reached inside the containers, the

process to obtain the necessary permits and possible overseas customs delays etc, it is discouraged.

18) Loading and sealing the container

• Assuming you are shipping in an exclusive container, the container will be loaded by a specialist “stacker” – a highly skilled and challenging function.• Although we use only “A” grade containers (assuming availability) – the supervisor will inspect the

container for cleanliness and check the seals and general condition. If he is unhappy with any of these areas he will reject the container and will arrange for another one to be sent.

• Loading: The items to be loaded will be ticked o by the supervisor against the packing inventory he has compiled.

• Estimated Volume: If the estimated volume of the eects to be moved will not fill the container – the eects will be snugly packed from the back of the container and once all the items are in, we will use a wooden bulkhead (or “block o”) to secure the eects in place.

• When completed the doors will be closed and sealed with a steel “bullet” or “barrel” (clip lock) type security seal that can only be removed with a bolt cutter and is approved by the major shipping lines• The supervisor will call on you to show that the load is secure, the doors are closed and to witness the

seal being placed and to ensure that the seal number is correctly recorded on the inventory.• Padlocking the container. With the advent of a new type of seal there has been a tendency to not padlock

the containers. However for “double protection” and for your peace of mind, in your presence, we will unseal a brand new blister packed padlock (resistant to bolt cutters) then lock the container and hand you all the keys that came in the pack. **We ask only that you will ensure that the destination agent receives the keys prior to the arrival of the container at the port of entry. Should SA customs, for whatever reason

wish to inspect the shipment (most certainly not customary) they will destroy the lock and will not replace it – there will however be notification by customs that they have breached the locks and replaced the seal.

20) Liability Loss Options. A word from our brokers - HW Brokers (PTY) LTD

1. All Risk Liability: Strongly recommended. We require a FULL VALUE DECLARATION (detailed inventory of your eects with their related replacement values in the country of destination). This liability loss option starts when Execu-moves supervisor first puts his foot in your door and ends 14 days aer delivery during which time any intention to claim must be reported to Execu-move.

2. Total Loss only: A cheaper form of Liability Loss Cover. We require a TOTAL VALUE DECLARATION (a detailed inventory of your eects with their related replacement values is not necessary – but the total replacement value must be recorded on the Value Declaration prior to starting the move). This cover starts as the container leaves your residence and ends when the container pulls up outside your new residence. Limited to Total Loss only of the entire shipment.

3. Execu-move Standard Liability: Should you not require any of the above options AND OR you have not completed the Value Declaration of eects being moved, prior to the move date, Execu-moves liability will be limited to R300 (Three Hundred Rand) per cubic metre of the volume of the item lost or damaged, per our Standard Trading Terms & Conditions. Please note – if you are shipping your eects by sea – the

19) Covering your precious cargo against loss or damage. A word from our brokers - HW Brokers (PTY) LTD

• Despite the very best packing service, materials, transporters, shipping lines and destination agents available, moving your household eects overseas remains the ultimate long distance move - a somewhat hazardous journey across country and oceans and it is our professional duty to strongly

recommend that you comprehensively cover your eects against loss or damage.• Proudly Execu-move have an exceptionally low claims rate but one must be prepared in the event of something going wrong because to replace your eects overseas, at current rates of exchange, could be

financially crippling at a critical time in your relocation journey.• Recent changes in the Short Term Insurance Act aecting the entire removal industry and strict compliance regulations thereto attached, has compelled Execu-move to accept and adapt to these changes. In line with the new legislation Execu-move has arranged a Bailee’s Liability Cover with various

levels of liability which you can enjoy.• Short Term Insurance: Just as with conventional short term insurance, this programme protects you

when your household goods or personal eects are damaged or lost whilst in storage or during transit, directly in line with our policy conditions.

• The cost for participation in this cover is more clearly set out in their “Covering Your Eects” attachment that accompanies your quotation and whatever your selection, the cost will be included in the cost of your move.

• Execu-moves quote will cover various liability loss options to fit your budget and we will assist you with clearly understanding these options. (see 20 below)

• In order to activate this protection, our insurers require a detailed Valued Inventory (included in you quotation package) that must be completed and returned to Execu-move no later than a week before the

move commences.• Your Value Declaration should clearly outline the description and replacement value (at destination) of

the eects being moved.• Execu-move are your first line of communication in the regrettable event of a claim.

Page 12: MOVING OVERSEAS WITH EXECU-MOVE 23 KEY POINTSexecu-move.co.za/international-moving/execu-move-23-key-points.pdf · 3. Shipping container sizes 4. Exclusive use shipping containers

Page 11

Execu-move Standard Liability will not cover you for marine “General Average” arising from an incident at sea. The law of general average is a legal principle of maritime law according to which all parties in a sea venture proportionally share any losses resulting from a voluntary sacrifice of part of the ship or cargo to save the whole in an emergency.

4. Cover whilst in Storage: should you select to participate in one of the liability cover options above and should your eects need to be deliberately stored (per your requirement) – in order to keep the

selected cover active (“alive”) it will be necessary to extend the storage contract and liability at an additional storage fee. However this fee only comes into eect aer 120days in storage. See your quote for

fee details.• Value Declaration: just to repeat the importance of this document – it is critical that you take the time and

eort to comprehensively list and value the items to be insured – this will be your key document in the event of a claim and so the more descriptive your inventory with related values, the better. We regularly experience shippers rushing their liability cover, just before packing commences and eectively wasting their money because the value declaration lacks detail and or, is “weak”.

• Values? This can be somewhat challenging Your eects are most likely all of South African origin and thereby not available overseas however you have to do your best to value the insured items for what you believe would be their equivalent replacement value overseas. Insured values are always based on “new for old” replacement value in the country of destination but do remember that the insurer has the right to repair, replace or pay out in cash. We understand this is a tall order to determine but again the more homework you do the less chance you have of a claim being repudiated or settled for less than its replacement value.

• If the above is “as clear as mud” we do understand and will avail ourselves to answer whatever questions we can. You can contact me - Craig Simpson (HW Brokers) [email protected]

21) Transit Times – door to door

• Every port in every country will have dierent transit times.• The transit time will take into consideration: 1. The transit days in SA - from residence to loading on the vessel in Durban or Cape Town 2. The ocean freight that will include any transhipments en route 3. Destination services, through quarantine etc to final delivery at the residence.• Shipping schedules are dynamic and can change at a moments notice. Once your shipment is booked our

shipping sta will do everything possible to keep you informed about any schedule changes.• It will be possible for you to track your container. This information however will only be loaded and available a few days aer the vessel has sailed, when the Bill of Lading have been cut.• **NB: If it is a “groupage” (shared) container shipment please remember the consolidation process that

can further eect delivery dates. Hence the reason that estimated groupage delivery dates cannot be quoted until the container is finally loaded and ready to ship.

22) Local documents required

• We understand that by this point of the overseas relocation process you will probably not wish to ever complete another form so please allow our export sta to assist you “step by step” with this simple enough process.

• To make it as easy for you as possible - it starts with a “tick box” summary of what we need and when we need it by our export co-ordinator will guide you to as and when they need specific documents.

• Customs Valuation - The only SA customs document that needs mentioning at this point is the sometimes confusing SA Customs Valuation Form. This form and the value requested is oen confused with the Liability Cover replacement value. However, whereas the Liability Cover is the replacement value at destination, the Customs Valuation is simply the DEPRECIATED South African value of eects leaving the country (i.e. its second hand ZAR value) and has no correlation with your All Risk or Total Loss Liability which is for REPLACEMENT value in the country of destination - based on their currency. Most customers declare a value under R50 000 which avoids the necessity and hassle of a bank attested NEP form.

23) Storage

• For what ever the reason you may require storage in either SA or your destination country.• We have clean, dry, secure and professional storage facilities as do our overseas agents.• To store in SA or in your country of destination is a decision only you can make. However please remember

that although storage is usually cheaper in SA there is an overriding advantage to having immediate access to any items you store in your country of destination.

• Warehouse Handling fee: Most facilities worldwide will charge a “warehouse handling fee” for movement in and out of store. We would include this in our quote should you request storage.

• Please also remember to allow for storage extension liability cover (see point 20 above) in your monthly budgeting for storage. This cover fee is simply a monthly levy to keep your eects covered during their “transit” phase whilst in storage. It only comes into eects aer 120 days. The amount may change but is presently 0.35% of the total insured value per month.
