M.SecureTrade Entry Certificate is the central programme for the creation and management of Entry Certificates (ECs) or alternate forms of verification(Sec. 17a of German law UStDV, 22.03.2013)
M.SecureTrade Entry Certificate… takes care of all the communication with goods recipients or transport service
providers makes it possible to monitor the status of the EC and to dispatch reminders regarding
missing verifications
M.SecureTrade Entry Certificate is completely integrated into SAP. In technical terms, this application is an independent development within the
Mercoline namespace. This solution is available for systems starting from SAP ERP 6.0 and is compatible with
UNICODE.
Entry Certificate is a new M.SecureTrade module. It can be implemented to work together with or independently of the other
M.SecureTrade modules (Sanction List Check, VAT-ID Number Check).
Solution Overview
10
High flexibility Creation of entry certificates (SAP-GB documents) automatically during the process, as batch jobs or
manually from SAP documents (e.g. outbound delivery) Variable definition of the EC confirmor from a partner function (for example, GR, AG, SP, ...) of the SAP
standard document. Flexible sending and receiving of ECs via various types of communication, e.g. e-mail with PDF
(SmartForm or Adobe Interactive Forms*), e-mail with one-time link/web portal, IDoc/EDI, XML import program, fax or print output
Confirmation of data also possible at batch and handling unit level EC forms and e-mail text modules multilingual (DE, EN, FR)
Illustration of legal simplifications (according to UStDV) Several EC types possible: single EC or collective EC Fully automatic electronic feedback via one-time link/web portal or IDoc Access to track & trace data (XSI tables) from KEPs or forwarding agents that exists in the SAP
system. Integration of Generic Object Services (SAPGOS) for linking documents with the SAP document
* Nicht im Standard. Kundenind. Projekt notwendig.
Functions I (Excerpt)
11
Comprehensive monitoring and control options Status monitor for tracking ECs with traffic light function and processing options (e.g.
status change, dunning, cancellation) Billing monitor as a check of the EC status from the billing view. Multi-level, automatic dunning procedure configurable
Complete SAP integration Data Transfer from SAP Predefined Documents or Other SAP Master/Movement Data EC documents integrated in SAP document flow Software delivery as transports, no interfaces to third party systems necessary Adjustments to the processes simply via Customizing or BAdIs

Invoice Monitor
18
In the event that relevant documentation is overdue, reminders can be sent automatically or manually for the return of the EC.
Manual reminders: from the EC status monitor using the same communication channel as the original EC document reminder is logged (transmission channel, date, changed
from, dunning level, …).
Automatic reminders: When the dunning run function is activated, all EC
documents with the status “Sent" are checked. As soon as the maximum reminder period is reached, a
reminder is created using the same transmission channel as the EC document.
Reminder is logged (transmission channel, date, changed from, dunning level, …).

Every change to an EC document is logged.

Sending the e-mail with one one-time link per EC document from SAP The one-time link is uniquely coded and is stored in the SAP system together with the EC document
number and other data. SAP document is blocked as soon as it is transferred to the Web portal.
Transfer of EC data to the EC web portal Communication connection between the customer and Mercoline (e.g. VPN connection) Single EC or collective EC are possible.
Confirmation by EC Confirmator EC confirmor has the option of confirming the EC and, if necessary, changing quantities and storing
further data (acceptance date, acceptance name, ...).
E-mail feedback process can be fully automated After "completion" of the EC in the web portal, the feedback data is retrieved from the web portal by the
SAP system. EC documents can be closed automatically.
Reminders are sent from the Entry Certificate module, i.e. the original one-time link is sent again.
