KKEYBOARDEYBOARD FUNCTIONFUNCTION KEYSKEYS

Let’s start by looking at the keyboard function keys on your computer. You will generally have access to two types of keyboards. However, there are basic elements common to all keyboard models.

Each keyboard can be divided into five major sections; standard typewriter section, directional keys, ten-key pad, function keys, and special sequence keys.

Standard Typewriter SectionThe standard typewriter section of the keyboard is the main area where you do most of your typing. We will focus on the other four keyboard sections discussing their functionality in EMCO’s TREND program.

Directional Keys The directional keys allow you to move the cursor from:• right or left within fields• field to field• page to page on the window

In addition to moving the cursor, some directional keys will also delete characters and spaces as you press them.

Ten-Key PadThe ten-key pad is the number pad located on the right side of the keyboard. You will use this to enter data such as prices, quantities or SKU numbers (Stock Keeping Units).

There are four function keys located along the top of the standard ten-key pad that provide additional EMCO TREND functionality:

the NumLock key• the back slash (/)• the asterisk (*)• the minus sign (-)

If you are using a PC keyboard with these function keys -- the minus sign (-), asterisk (*), back slash (/), and NumLock keys – they do not perform the same operation in TREND as they do in a PC-based environment. Their functionality in Trend is explained below in the section entitled “Function Keys.”

Function Keys The function key section of the keyboard is that row of keys at the top of your keyboard.

• Static function keys are the function keys that perform only one function no matter where you are in TREND.

• Variable function keys perform different functions, listed at the bottom of the window, depending on which module and specific function you are using.

Function keys are usually labeled F1 - F12.

Function keys greater than F12 are accessed by simultaneously pressing the Ctrl key with a function key. For example, F14 would be accessed by pressing the Ctrl key and the F4 key at the same time. Think of the Ctrl key as adding a value of 10 to the existing function key.

The function keys are made up of static and variable keys, as shown in the following table:

Fixed Function KeysF1, NumLock (GO)

The F1 function key in its various forms saves recently entered information. We commonly call the PF1, F1, or NumLock key the ‘GO’ key when we are operating in TREND. It is the most commonly used key when working in TREND.

When you press the <GO> key, the information you have just entered is processed and the database is up-dated. For example, if you have changed some information in a record, pressing <GO> saves the new information and then returns the cursor to the original starting point on that window.

You must press <GO> to save information before ‘jumping’ to the next function using the F11 key, which is commonly referred to as the <JUMP> key. If you press the <JUMP> key before pressing <GO>, records will not be updated and that new information will be lost.

F2 (HELP)

The F2 key accesses the “Help” window. This window displays the various Help topics available. To access each of the topics, press the letter corresponding to that topic. For example, if you want to access the help for inquiries, press <i>.

F3 (INSERT)

F3 inserts new characters into a field without typing over the existing information. This key is commonly known as the “Insert key.” When you press the <INSERT> key, the word ‘INSERT’ displays in the lower right corner of the window. When you use the <INSERT> key, all characters to the right of the cursor are moved to the right each time you enter a character or space in the field.

Be careful when using this key! If you exceed the size of the field, the characters are truncated (dropped) and cannot be recovered without retyping them. The size of the fields vary and the amount of characters that fit varies too – they are as many characters as you are able to put in that space. The fields are static, not dynamic, so if there is enough room for 4 characters and you insert one more than four, the last one falls away. To stop inserting data, press <INSERT> again, and the word INSERT will disappear.

Many keyboards have a key labeled ‘Insert.’ This key will not function, while you are working in TREND.

F4 (CANCEL)

F4 immediately cancels all work just entered on the window. The “PF4” and “F4” keys are usually referred to as <CANCEL>, and they are in some respects considered the opposite of <GO>.

After pressing F4, the cursor will return to its original starting point in the window without having saved the changes. For example, if you press <CANCEL> within an entry function, the transaction you are currently entering is canceled, but you remain on the entry window. <CANCEL> can also return you to a previous window. You can back up through a series of windows by continually pressing <CANCEL>. If you press <CANCEL> from a menu, the previous menu displays.

F11 (JUMP)

F11 displays the “Selection Box.” We refer to the F11 key as the <JUMP> key because it enables you to move rapidly to modules or functions without having to use the menus. Below are some shortcut menu options that are built-in utilities in Trend:

F12 (LOOKUP)

F12 allows you to view and/or retrieve additional information about the field in which you are currently working. This option is available for a field, when an [L] displays in the lower right corner of your window.

When you press <F12>, the Lookup window is displayed with a list of available values for entry in that field. You can either press <CANCEL> to return to the window you were working on, or press <GO> or <ENTER> after selecting one of the values (information) to place in the active field on the window.

F13 Return to last open journal or transaction entry window

F13 returns you to the open accounting journal function or order journal function. Whenever you enter into a transaction mode, you open up a journal. When you are in a journal and you jump out of that window to access an inquiry window, you can press <F13> to return to the last open journal or transaction entry window. For example, you may be entering an order and a customer calls you for inventory status. You jump out of order entry to inquire

about stock availability. When the inquiry is complete, you can press F13 to jump back to your original order screen.

This key will not take you back to the previous window, only to the last open journal or transaction entry window.

F14 Close a journal / Operator variables display

F14 can display the status of information or it can display operator variables. Because its capabilities are so diverse, use of the F14 key can be confusing.

See your supervisor for more details if you are to open or close journals.

For example, when you are working in an open journal (ex: receiving, posting cash etc…and you press F14, it gives you an option to close the journal. At the close option you can chose to enter a “y” to close your journal.

On the other hand, if you are not in an open journal scenario, pressing F14 gives you your operator settings which you may change (language, types of lookups, your default printer, your favorite start up screen etc..)

F17 “Returns” Window Access

This function key, “F17,” is applicable when you are in OEET (Order Entry Transaction Inquiry Screen). If you are entering an order and a particular line item is a customer return, pressing F17 will prompt you for an invoice number that the product you are returning was previously sold on.

In this example I entered F17 at a new line number and it prompted for an invoice#. It then shows me the items sold on that invoice which I can retrieve by selecting it with the cursor.

If you are entering a Return Merchandise (RM) 0rder type, press F17 to access the Returns window.

F18 Window Refresh

F18 refreshes the current window. This key is useful when your window becomes cluttered with extra information.

F19 “Comments”

F19 accesses the “Comments” window. The “Comments” window provides a method of adding brief comments to orders, purchase orders, and warehouse transfers.

Press <F19> from an order entry, purchase order, or warehouse transfer line item to pull up the “Comments” window. Type in your remarks on the entry screen. The comment typed is specific to that line item only.

F20 (View / Enter Notes)

The “Notes” window provides a method of adding more extensive comments to master records on customers, vendors, products, sales orders, or purchase orders. F20 allows you access to the window in which to enter these notes.

You must have the proper security to edit or add a note. You must press F20 twice to open up the “Notes” window.

Variable Function Keys

The function keys F6 – F10 use varies from screen to screen, view the banner, or highlighted section, on the bottom of the current screen, to find out what function is currently enabled.

Special Sequence Keys

Special Sequence keys are short cuts to a sequence of commands that can be entered (some depending on security) to perform a variety of functions. These are not used extensively by most people. Here are examples of those keys:

LLOGGINGOGGING ONON TOTO THETHE E EMCOMCO’’SS T TRENDREND S SYSTEMYSTEM

Now you are ready to execute your “initial” login to Trend. You may already have been given a login name. Generally, your login will be a combination of your first and last initials. In the case below, Martin Adams’ login name is “maa1”. The number “1” indicates that “maa1” is the first occurrence of someone with those particular initials. When someone with similar initials requests a login, they will be assigned the login name of “maa2”.

Steps to logging in for the first time:

1. Turn on your computer.2. At the prompt “remote login”, enter your login name.3. Press the “Enter/ Return” key. The system will then prompt you for a

password. 4. Enter your login name again. Your initial login password is always

your “login”. Therefore is the case above, the password would be “maa1”.

You will now be required to create your own password5. At the prompt “----‘s Old password:” Enter your login name for a third

time, followed by the Enter /Return key.

The system will now prompt you for your new Password. 6. At the prompt “----‘s New password:”, enter your unique password

(can be numbers or letters or a combination of both) followed by the Enter /Return key.

7. The system will then prompt you to enter your new password again in order to confirm that this is correct. Enter your new password followed by the Enter /Return key.

The system will now give a prompt for a Terminal type. Your login will automatically default to the type of computer that you are / have been assigned. 8. Press the Enter /Return key to complete your login. You will then

see the screen below. 9. Press your space bar to continue.

The screen above should appear. You should now be successfully logged onto the EMCO Trend System. Reading the comments on the bottom of your screen is a good practice. There are usually some tips or field help comments on every screen.

EEMCOMCO’’SS M MENUENU S SYSTEMYSTEM

Now that you are successfully logged onto the system, it is time to get familiar with the Menu System within TREND. TREND is menu-driven software. This means that you navigate in TREND by using menus. The standard menu displays a “Selection Box” in the upper right corner of the window. The Selection box is composed of two parts:• The Trend Module Code, e.g. OE = Order Entry; AR = Accounts Receivable• The desired function of the module, e.g. I = inquiry; E = entry; R = reports

In the first part, enter the two-character abbreviation that corresponds with the TREND module, for example, enter “OE” to access the Order Entry module. In the second part, enter the letter(s) corresponding to the desired function in that module. For example, enter “E” when you want to make an entry in a customer’s account.

When you access a TREND module’s options by entering the two-character abbreviation in the first field and pressing <GO>, a sub-menu similar to the following displays:

This menu is commonly known as the ‘SIERA’ menu; Setup, Inquiry, Entry, Reports, and Administrator. Note that not all modules have the entire SIERA menu. For example, the Order Entry module does not have “Setup” functions. All TREND menus, other than the main menu, are displayed according to operator security. If a function is not available, you do not have the proper security to use that function. On some menu windows there is an asterisk (*) after certain functions and ellipses (. . .) after others. The asterisk (*) signifies that this particular function has multiple windows that must be accessed using the function keys and must be completed before closing the record. The ellipse (. . .) indicates that there is a sub-menu within this function that contains other functions.

Standard EMCO TREND Menu

All EMCO TREND modules can be accessed from the Main Menu window by typing in the initials for that module, with the exception of those modules that you do not have security permission to access. For example, if you want to access Inventory Control:

1. Type “IC” in the first portion of the Selection Box and press <ENTER> or <GO>. This displays the standard SIERA menu for Inventory Control. The cursor is now in the second position of the Selection box.

2. Type the letter “P” to access the product function in Inventory Control and press <ENTER> or <GO>. You can now look up product we carry.

If you know the entire acronym of a particular function, you can enter the entire acronym in the Selection box and jump directly to that window. For example, if you want to access the Accounts Receivable Inquiry Customer (ARIC) window, type “aric” in the Selection Box and press <ENTER> or <GO>. This takes you directly to the desired window without having to go through all of the sub-menus. If you aren’t sure of the entire acronym, you can press <F12> while the cursor is in the Selection Box. A “Lookup” window opens, displaying the available function names and their acronyms.

Using the <UP/DOWN ARROW> keys, choose the desired acronym and press <GO>. The acronym displays in the Selection Box. Press <GO> to access that function. Note that every acronym in TREND is on the list in alphabetical order.

Window & Cursor MovementAs you move through the fields on most TREND windows, you might see a brief ‘pop-up’ help message displayed in the lower-left corner of the window. This message changes as you change fields and gives you specific key options at a glance. Also, the variable function keys available for the field you are in are listed in the banner in the lower portion of the window.

If a function key is not listed here, you can assume that it is not defined for this particular field and will perform as defined in the Keyboard Overview section in this Trend Orientation Manual.

TREND uses windows to allow you access to information without completely leaving a function or window. When you open a window, the cursor will automatically move into that window. When you close the window, the cursor will automatically move back to your original window. Using the Lookup feature is a good example of how windows work in TREND.

Window MovementsAs you are aware, there are many different windows in each TREND module. Moving between these windows can be a cumbersome task, if you do not know the short cuts provided in TREND. We describe two shortcuts below. These short cuts are two of the most often used keys in Trend.

F11 <JUMP>

The F11 key or <JUMP> key allows you to ‘Jump’ from window to window. When you press <F11>, the Selection Box will appear in the upper right corner of the window.

As mentioned earlier. the Selection box has two fields in it. The first field, the module name section, is where you enter the module abbreviation, such as “OE” for Order Entry or “AR” for Accounts Receivable. Once you have entered the two-character acronym of the module you want to access, press <GO> or <ENTER> to display the SIERA menu for that module. The cursor is now in the second position, the function name section, of the Selection box. Make your selection from the SIERA menu and press <GO> or <ENTER>.

To save time and keystrokes, and if you know the entire acronym of the function you want to access, enter the entire acronym in the Selection Box and press <ENTER> or <GO>. You are taken directly to the desired window.

You can also jump from function to function within the same module by entering just the letters associated with the function. For example, if you are already in any Order Entry menu, enter “et” in the second field of the Selection box to access OEET (Order Entry- Entry Transaction screen).

If the cursor is set on the second field in the Selection box and you need to access the first field to change from one main menu to another, you can either press the <UP ARROW> or <TAB> key, or press <F11>. At this point, the cursor is positioned in the first field of the Selection box, and you can type in the two-letter acronym of the main menu you wish to access and press <GO> or <ENTER>.

You can enter the complete four- or five-letter acronym for the function you wish to access without tabbing to the first field of the Selection Box. Note that pressing the <JUMP> key while working on a window will not save or update any of the information just entered. You must press <GO> or <ENTER> to save new or changed data.

F4 <CANCEL>

Pressing <F4> or <CANCEL> function key clears the window and sends you to the previous active window. You can continue moving backward by pressing <CANCEL> repeatedly. This will eventually take you all the way out of TREND.

Other Short CutsThere are other shortcuts you can use with the <JUMP> key that will save you key strokes. To use some of these keystrokes, you must have the proper security. With the cursor positioned in the first field of the Selection box, enter one of the following abbreviations and press <GO> or <ENTER> to jump to the corresponding window:

ENTRY ACTIONby ex, qu This takes you out of TREND.

ho This takes you to the module’s ‘home’ menu. For example, if you are in “Accounts Receivable” “Setup Customer” (ARSC), entering “ho” in the Selection Box takes you to the Accounts Receivable SIERA menu.

li Accesses the “Log In” window.

notes Takes you into the “Special Notes” function menu. Within this function, you can view, change, add, or delete any note.

pa This takes you to the ‘parent’ menu of the function in which you are currently working. For example, if you are currently in “ARIC” and you enter “pa” in the Selection Box, the Inquiry menu for Accounts Receivable displays.

pv This takes you to the previous window. This is useful when you have to jump out of a function to set up or change a record and then need to get back into the function you just left.

pw This takes you into the ‘Change Password’ window and allows you to change your password.

su This places you in super-user mode. The word ‘super’ is displayed under the Selection Box. This mode allows you (if you have the proper security) to log onto a terminal being used by another operator and switch the TREND user to yourself. System administrators often use this, when helping an operator who has become stuck, or for trouble-shooting from that operator’s terminal. Look Ups

The Lookup System is designed to make “Entry” and “Inquiry” functions easier and quicker to use. The most commonly used Lookup method is the F12-Lookup key. When your cursor is in a field and you see an [L] in the lower right-hand corner of the window, the F12 Lookup option is available for that particular field. There are generally three types of lookups that the F12 Lookup key will generate in Trend:

• The alphabetic look up: displays records in alphabetical order• The direct look-up key: finds phone numbers or addresses, etc• Keyword look-up: a word search for information

The variable function keys at the bottom of the Lookup window will determine the kind of Look-up you will be executing. The alphabetic lookup displays all records in alphabetical order based on the user defining a beginning starting character. The direct key lookup finds specific information such as a customer’s phone number. Finally a keyword lookup allows the user to enter one or many words ( or portions of words) and do a search based on the information sought in the requested record. The more information that you enter, results in a search that will produce a more selective retrieval of records. For example, entering “bat” in a field will result in retrieval of all records that contain letters “bat” in any word. (i.e. bathroom, battle, wombat etc..) .

Keyword Lookups screens may vary within different modules and screens. The “product keyword” lookup is a good example of this. As well as keywords, specific categories, vendors or warehouses can also be included in order to narrow the search through a large product file. For example, in the product lookup below, you may enter portions of descriptions in the keyword fields. You may narrow the search by specifying a vendor, a vendor part number etc… In some screens, keyword searches offer no narrowing down capabilities.

Quick CodesQuick codes or cross-referenced products can be entered into the system. These are commonly known as nicknames or quick codes.

Quick codes are usually specific to a branch or region. It is important that you familiarize yourself with the Quick Codes used in your Branch. The “on-hand,” “available,” “on order” or “back-ordered” quantities are values that are constantly changing as we process transactions in the system.

In Trend, the three types of transactions that affect inventory are the ORDER, PURCHASE ORDER & WAREHOUSE TRANSFER processes. The three types of transactions are cited below. We can see their effects on inventory quantities on inquiry screens. Familiarize yourself with the following four terms:

Quantity on hand = Total Quantity presently in stock (received) of a product

Quantity Reserved = Quantity Reserved for a customer or branch. (unprinted shipping

OORDERRDER E ENTRYNTRYNow that you have learned some basic navigation, let’s learn how to enter a basic order in Trend. This section provides an overview of the order entry process, a more complete discussion is contained in our Order Entry Module.

Customer Orders processing through OEETCustomer Orders are entered using the ‘OEET’ screen. You access this screen by entering <OEET> in the selection box and pressing the <GO> or <F1> function key. Below is the Order Entry banner screen.

Order TypesThere are four main ORDER TYPES:

SO - STOCK ORDERDO - DIRECT ORDERRM - RETURN MATERIALCR - CORRECTION (PRICE ADJUSTMENT)

Here are descriptions of all order types:

SO - STOCK ORDER. Enter all regular orders through this type.

DO - DIRECT ORDER Use DO’s for direct shipment from supplier to customer (no stock is allocated)

FO - FUTURE ORDER Use for orders that have a ship date greater two weeks or more in the future from the order entry date.

ST - STANDING ORDER Use for orders that have the same items, quantities and price on each order; the stock is allocated on the day that the order is dropped. (NOT USED)

CS - COUNTER SALE Use to creates an order that automatically becomes a stage 3 – shipped (see page 21). (NOT USED)

QU – QUOTE Use to give the customer a printed quote, which if accepted will create an order. (NOT USED)

RM - RETURNED MATERIAL Use to return goods to inventory and credit the customer’s account.

CR – CORRECTION Use to correct prices, whether is a credit or debit adjustment. This type of order category does not effect inventory count, it only creates a credit/debit on the customer’s account.

BL - BLANKET ORDER Use to create an order that can be released against until the original quantity is depleted. (Does not reserve stock)

Entering a product code and an order quantity creates order lines. Pricing is usually already setup for our customers.

When entering special non-stock orders for our customers, take special care to include any additional costs associated with the purchase of the item ( freight, labor brokerage, duty, etc.). These costs, in turn, are included in the selling price that is given to the customer.

PRINTING AN ORDER

Become familiar with the printer names and locations in the building. When you have completed your order, a window will automatically pop up prompting you to print your order. 1. Select <YES> to print a PIK PAK2. Identify the correct printer to print to. This window automatically pops up

when you have entered your last line.

If you are not familiar with the printer names, request help.

Printer names generally begin with the branch number followed by a letter denoting the type of printer. Ex: branch 281 has a Counter printer designated 281c, a Report printer 281r and a warehouse Picker printer 281p. It also helps to get familiar with other branch printers because on some occasions you may want to print Orders or Warehouse Transfer to other branches.

PRINTING/FAXING OR SENDING A PURCHASE ORDER THROUGH EDI

Purchase orders are generally not printed in EMCO branches. There are exceptions to rule in some locations. Some may print in order to fax to a supplier due to some technical fax problems, or for supplier returns. Most purchase orders are faxed directly to the supplier from Trend when the print option is selected. Some orders are sent electronically through EDI (Electronic Data Interchange). You do not have to select the method by which the order will be placed. These are set up by default in the Vendor file and are automatically selected as the preferred sending method.

Here is an example of pop-up window when having finished entering a PO. In this example, this vendor is an EDI partner (electronic data interchange) and the EDI flag is set to “yes”. In general a vast majority of our orders are faxed.
