CNHI SmugMug Reference Guide This document provides an overview and reference guide for the CNHI SmugMug customized sites. It includes instructions on uploading photos, creating and arranging galleries and folders, administering the Featured Galleries and Photo Categories sections on the SmugMug home page, working with individual photos within galleries, sharing photos to Facebook and embedding slide shows. This document also provides instructions for working with Reader-‐Submitted photos.

Overview Your SmugMug site has been customized to provide home page features like Featured Galleries, Photo Categories, Photo Keywords, Recent Photos and two sponsor positions above the fold on all visitor pages. Your site is built in responsive design, including ecommerce capability. Two 300x250 ads are built into the template as content blocks, displaying on the right-‐hand side of the page. When you are logged in and working on your home page, you will see one of the ad spots under the Featured Galleries and another at the bottom of the page. This is where they must be to display properly on mobile devices. ***IMPORTANT!*** Do not delete content blocks from your home page, move the ad positions, or change custom display settings.

Log in: Click the “Log In” link at the bottom of the Photos Home Page and use your assigned email address and password to log in.

Navigation—Logged In View
On the left-‐hand side of the page you will see four links: Upload, Create, Organize and Customize. On the right-‐hand side you will see a drop down menu with links for “Home Page, Account Settings, Profile and Account Settings.
Uploading Photos Click on “Upload” in the top navigation when you are logged in. Select “To New Gallery” or “To Existing Gallery.”
Fill in the gallery name and description. Select “Public” if you want the gallery to be available your site visitors. ***IMPORTANT!*** Two custom “Quick Settings” have been set up for your galleries. You MUST select either “Newspaper Photos For Sale” or “NO SALES-‐Reader Photos Getty AP etc.” when you create a new gallery. This will ensure that newspaper and reader photos are protected and that visitors can buy newspaper photos but not reader photos.

Select the folder where you want the gallery to live. Hint: If you are going to upload to a new folder, it is helpful to create the folder first. (Covered under “Create” and “Organize.” ) You can always upload the gallery to a folder that’s already been created and then move it to a new folder later. (Covered under “Organizing”) Click Create.

Upload your photos. Click Done.
You can eliminate any duplicates during this process.

When all photos have uploaded, click “Done” to open the gallery.

Working in the gallery You can make changes to the photos in the gallery by using the tools in the lower right corner. You can also download the photo by clicking on the down arrow under the photo.

Add title, caption, and/or keywords by clicking on the link under the large photo in the gallery. If you have already added these in another program, they will import with your photos.

Create Button
You can use the “+Create” button to create a gallery, folder or page. You can also create a gallery by uploading to a new gallery, as noted in the “Upload” section. Additionally, you can create galleries, folders and pages on the “Organize Site” page. If you do create a gallery directly from this link, make sure you select the proper quick settings.

Organizing your site Click on “Organize” at the top of any page when you are logged into your site.
The Organizer is your central command for your SmugMug site. This is the place you can do all your creating, arranging, sorting, deleting, captioning, keywording and more. On the left side of the Organize page is a complete list of all your folders and galleries. Use drag and drop to rearrange galleries within folders, to move galleries and folders into other folders, etc. You can “select all” or select one or more items by clicking on them. You can create galleries, folders or pages by clicking on the “Create” button above the list of folders. Click “Done” in the upper right corner when you are finished.

Click through to a gallery to access tool icons. You can take the following actions: Settings Control the settings at each Folder, Gallery, or Page level by highlighting the page type title (or thumbnail) that you wish to work on. The Settings box opens as an overlay. If you selected either “Newspaper Photos For Sale” or “ NO SALES-‐Reader Photos Getty AP etc.” you should not have to change settings. You can access Quick Settings from here, or set up new settings if necessary.
Open your image Full Screen to see the photo and add title, caption and keywords.
Open your Image Tools Menu to rotate, crop, etc.
Download your image or gallery
Delete allows you to delete the Folder, some or all galleries within the folder, or individual images from a gallery. Highlight those you wish to delete, then click the trash can icon.
Click “Done” when you are finished.

Home Page: Customize Button Click “Customize”, then “Customize Site.” Make sure the “Homepage” bar on the right is highlighted in blue.
Featured Galleries
Mouse over the “Featured Galleries” header to bring up the blue tool bar.

Click on the “wrench” to bring up the Galleries menu.
Click on the “Select From” menu to select “Galleries I Choose.” Other options include: Recent Galleries, Folder, Current Location, and Top Level Galleries.

Click in Galleries to pick the galleries you want to feature. You are not limited on the number of galleries you can feature. Hint: Click the galleries in the order you want them to appear on your home page.
To “unfeature” a gallery use the same procedure and deselect the gallery.

Ad Positions
You will see two ads, one under the Featured Galleries and one at the bottom of the page. Our customization requires that they be here so that they work in responsive design on mobile devices. Do not delete or change the ads.

Photo Categories
Use the wrench on the blue tool bar to pull up the Folders menu. Use the “Select From” menu to choose where to find the folders you want to use.

Click on Folders to select the folders you want to use. Hint: Click the folders in the order you want them to appear on your homepage.
Photos Keywords The more keywords you add to your photos the easier it is for your visitors to find the photos they are looking for.
Recent Photos Use the wrench on the blue tool bar to pull up the Multiple Photos menu and choose from Recent Photos, Popular Photos, photos from a single gallery, or other options.

Publishing changes to your home page When you have finished customizing your home page, click “Done” in the upper right corner.
This will bring up a page for you to verify if you want to publisher your changes, save them for later or discard them. If you click on “Save For Later” no changes will display to your readers, but the next time you click on “customize” you will see the page with the saved changes. If you click on “Discard Changes” none of your changes will be saved and your home page will revert to the previous display.

Sharing to Facebook To share to Facebook, click the “Share” button under a photo in a gallery. #1 below. Then click “Share to Facebook.” #2 below.

Embedding a Slide Show To embed a slide show, click on the “Share” button under a photo in a gallery. #1 above. Then click on “Show Off.” #3 above. This will take you to a slide show page. You can cick on the “Copy Embed Code” button to generate the code to paste into Zope. Specific instructions are available here: http://cnhionline.com/?p=1051

Account Settings Click on the Profile icon at the top right of any page. Click on “Account Settings”
Under Account Settings you will see 3 Columns. Column 1 lists the categories of settings. Column 2 shows the subcategories available in each category. Column 3 shows the individual settings available within each subcategory. When you have finished working in Account Settings, either click “Cancel” to discard changes or click “Save and Exit” to save changes. ( Number 4)

Discovery There is no need to change anything in the “Discovery” category. You may add Homepage Meta Description and Homepage Meta Keywords under Discover > Settings.

Stats You can click “Details” under Photo Views to get information on galleries and individual photo views. Remember that Photo Views are NOT the same as Page Views. You will have many more photo views than pageviews.

Business Business > Branding The only things you need to do on this page are: Make sure you upload a logo under Business > Branding > Printing > Order Branding Enable and set up your Backprinting Business > Branding > Printing > Backprinting

Business > Selling Business > Selling > Sales History You can review your sales information and download information into a spreadsheet. Business > Selling > Pricelists You should not change pricelists. If you want to change something in your pricing, contact Candy Olson [email protected] Business > Selling > Coupons, Packages, Events You can create coupons, customized photo packages and create events.

Business > Getting Paid There is no need to change anything on this page. The CNHI Corporate Accounting Department has set up your tax and sales tax information. Do not change it. If you find anything you feel is inaccurate, contact the corporate accounting department.

Profile Click “Profile” in the upper right navigation.
Under Profile., you can click on “ABOUT ME.” Do NOT change the email address. If you have to change it for some reason, you must notify Candy Olson and provide the new email address. You can upload a small logo or other photo/icon to use as your profile picture.

Under “Profile” you can click on “SOCIAL” and add in your Social accounts.

Logging Out Log out by clicking “Log Out” in the drop down menu of the upper right navigation. You should always log out when you have finished working in SmugMug.

Reader-‐Submitted Photos
Reader Uploads Readers can click on the “Share Photos” link in the upper right. You can also link directly to the “Upload Photos” page.

The upload page lives in the “Upload” Gallery in one of your “Do Not Delete” folders.
When reader photos are uploaded, they go into the “Upload Gallery” in one of your “Do Not Delete” folders.
****IMPORTANT!!**** For your Reader-‐Submitted Photos to work correctly DO NOT DELETE OR REARRANGE THESE GALLERIES!!!

Working with Reader-‐Submitted Photos The Upload Gallery is unlisted. Only you can see the photos in the gallery and only when you are logged in. To move the the photos to a public gallery, open the Upload Gallery, then drag and drop the photos into the appropriate Reader-‐Submitted Gallery. You have several pre-‐populated folders. You can also create your own folders with different titles under the Reader-‐Submitted folder.
Commonly asked questions about Reader-‐Submitted Photos: Q. Are these photos automatically made public? Can people see these photos as soon as they are uploaded? A. No. Reader-‐Submitted photos are uploaded to a non-‐public gallery. No one can see them until you actually look at them and move them to a public folder. Q. Can someone upload something that crashes my site? A. No. Readers can only upload jpgs. If they try to upload anything else, they will receive an error message. Your photo site actually sits on SmugMug’s servers so it wouldn’t crash you newspaper site anyway. Q. What rights do we have to use the Reader-‐Submitted photos? A. You can use the photos online, in print, or any other format. You MAY NOT sell the photos.
