Chalo @ AMPS EDU EXPO 2016!

Recently Chalo Team participated in the grand Silver Jubileecelebrations (of spreading knowledge) - Educational Expo organised byAssociation of Managements of Private Schools at Suguna Auditorium,Coimbatore. This prestigious event was first of its kind, Education Expothat enriches and enlightens. At the expo many exhibitors participatedincluding our Chalo Team that displayed how our technology relatededucational services, benefitted the education industry. Decisionmakers such as Trustees, Management, Correspondents and Principalsof all CBSE schools in Tamil Nadu, participated including academician,librarians, researchers and parents as well.

Welcome back to another edition of our BAIT Series, which aims primarily toalign business with technology. This month we would discuss on Automationof Tasks utilising Technology for the benefit of business…

Earlier we had seen few topics on Automation of certain specific areas,whereas in this issue, we wish to cover the Automation topic as a wholecovering all areas on business operations wherever the technologicalpossibility exists.

As soon as we hear the word called ‘Automation’, most of us think that suchexercises belong to the big corporate and not the privilege of the lesserSMEs. But this is not so. We will break this myth now!

Basically what is meant by automation? Or task automation? Taskautomation is the process of utilising various other systems andtechnologies to minimize or reduce the amount of human intervention tocomplete certain tasks or procedures. We could ask, “What is theadvantage or use of such automation of tasks?” To begin with thenumber of hours of human effort can be drastically reduced and therebydivert the efforts to other tasks and productive areas. Secondly manyrepetitive or monotonous tasks can be automated, thus reducing thetime spent of such tasks to quite considerable extent.

To understand more on this and to make matters simple, let us take upfew realtime examples. Let us see a telephone call example. Supposethat we want to dial and speak to a customer. Scenario A; we dial theoperator, inform the number or customer contact to be called and waituntil the operator connects the call to us. Here there may be delay dueto human (operator) intervention. Scenario B; we dial a code (stored onthe phone equipment) and directly connect with the customer. This is asimple automation.

Similarly, let us suppose we need to withdraw some cash from the bank.Scenario A; we go to the bank, fill-in the withdrawal form, present it atthe designated counter, wait for the operator / cashier to review theaccount details and until the cash is provided to us. Scenario B: we go tothe ATM, type the account and amount details, get the cash. Here theprocess of checking the account details and disbursing the cash throughhuman intervention has been eliminated and the process automated.

Now let us see a practical example with business operations. Supposethat the Accounts department has to raise monthly contract basedinvoice and send it to the customers. Scenario A; every month theaccounts team will be instructed to raise the invoice based on thecontract information, accounts team generates the invoice and sends itthe concerned customers by mail. Scenario B; every month the invoice isautomatically generated based on the contract definition and on a pre-defined date, then email is sent to the customer by email. Here again, wesee that human intervention is eliminated and precious time is savedthrough automation. Such automation are possible, with accountingsoftware packages such as Tally. Hence other ERP software do havesimilar facilities to automate the tasks.

And did we mention about the cost? Thankfully, in today’s smartphoneand digital environment, the software industry is much matured and manyplayers have evolved and stabilised over a period of time. Thus the cost ofsuch customisation and automations are not sky-high and the process toois not a rocket science anymore.

Interested now… let us start investing our precious time to go forwardwith task automation. Instead of using a prehistoric technology costing amammoth of maintenance, let us look into new age technology solutionwhich are now more affordable than before.
