Comm100 Newsletter

Step by Step Walkthrough

This is an operational demo. It walks you through the major processes of Comm100 Newsletter,

including signing up, verifying Email addresses, adding mailing lists, adding contacts, editing emails,

sending emails, viewing reports, setting up autoresponder and placing a subscribe form onto your site.

It is designed to give you the quick overall idea of Comm100 Newsletter.

Step 1 Signing up and Logging in

Log onto the website of Comm100, www.comm100.com, and go to the Newsletter product page to

sign up.

 Note:

1.  If you already have an account with Comm100, please click here to log in.

2.  All Comm100 applications can run either independently or with other applications. And you can have all

Comm100 products under one site account. Please click here for details.

Fill in the form and click OK to submit your registration. You will be guided to Registration

Succeeded page as shown in Figure 1-1.

2.  Your offline messages, Comm100 maintenance notifications and newsletters will be sent to your site

email. In order for you not to miss any important information from your visitors and us, please make sure

that your site email is a valid and currently-in-use address.

3.  You can always change your site email address. Please click here for details.

Click log in and enter your Site Id, Email and Password to log into your site account. A sample

Login page is shown in Figure 1-2.

 Now you are at the Admin portal. Click Newsletter to go to your Newsletter portal as shown in

Figure 1-3.

 Note: If there is no Newsletter tab showing on the tab bar, please click here for help. 

Step 2 Verifying Email Addresses (Administrators only)

To send your emails to contacts, you need to verify an email address first. The verified email address

is used as the “from” address for sending your newsletters. You can add multiple verified email

addresses.

Click Verified Email Addresses from Newsletter tab then click New Verified Email Address to

input your email address. After click Send Verification Email, a verification email will be sent to

you.

Open the verification email and click the link in the email to get your address verified. After your 

email passes the verification, the status of this email address will change to Verified.

 Note:

1. According to Comm100 anti-spam policy, we need to make sure that you actually own the sending email

address. That’s why it is a must that you verify at least one email address to be used as the sending email

address.

2. Only business email addresses can be used as Verified Email Addresses. For what a business email

address is like, please click here. 

Step 3 Adding Mailing Lists

A mailing list is a list of contacts and users. Your emails are sending to the mailing list(s) you have

with your Comm100 Newsletter account.

To create a new mailing list, please click Mailing Lists then New Mailing List and input the name

and description of this mailing list. After that, click Save.

 Note: If an email is sent to multiple mailing lists, a contact can only receive your email once even if this

contact exists in more than one of the selected mailing lists. Duplicated email addresses will be automatically

filtered by our newsletter system.

Step 4 Adding Contacts

A contact is a business or an individual that you want to communicate with and track with Comm100

applications. Each and every email address in your contact list is unique.

When you import or add a contact whose email address already exists in your contact list, you can

either preserve the original contact information or rewrite it.

Click Contacts from the Newsletter menu to bring up the Contacts page.

  Adding Individual Contact

Click New Contact from Contacts page, fill out the form and select the mailing list(s) in which you

want to add this contact and then click Save. The contact will be added into both contact list and

mailing list(s) at the same time. A sample New Contact page is shown in Figure 4-1.

With Comm100 Newsletter, you can import multiple email addresses into your mailing list(s). xls,

xlsx and csv formats are supported.

From Contacts page, click Import then Browse to locate your local file and check I certify that

the list being uploaded is opt-in. 

Click Next to configure the import settings as shown in Figure 4-2.

After mapping the fields and selecting the mailing list(s), click Import. The Import Succeeded page

comes up when the importing is completed.

Step 5 Editing Emails

An email in Comm100 Newsletter includes all the information of a regular email, plus email status,

scheduled send time, receiving email lists and so on.

  Create an email: Click Emails then New Email to create a new email.

  Choose email type: Click Select Email Type select HTML Editor or Text Only according to

your needs.

Select HTML Editor and click Next to create a new HTML email. A sample New Email page

is shown in Figure 5-1.

Input the Email Name, select Email Template (if you want to use a template) and click Save

& Next to go to the Edit Email page.

In this page, set the Subject and From (Name) for the email, select the From (Email Address) from one of your  Verified Email Addresses, edit the Message Body and customize the

Message Footer. Please refer to figure 5-2.and figure 5-3.

 Note: If you send a HTML email, a plain text message will be sent along so that your recipients can choose to

view your HTML message or plain text message.

b.  Plain Text Email Please select Text Only in the Select Email Type page and then click Next to create a new

 plain text email.

Step 6 Sending Emails

After you have completed the editing of your email, click Send Setting to go to the Send page. In

this page, you need to select the mailing list(s) to which you want to send your email. You have three

options on how to deal with your email:

  Save as Draft: Save your email as a draft and deal with it later;

  Send Now: Send it out now

  Schedule for: Schedule the send time for this email then your email will be sent out at the

scheduled time.

A sample Send page is shown in Figure 6-1.

1. To fight again spam, emails will be moderated (if your newsletter status is Moderation Needed) before

they are sent out. After clicking Send Now or Schedule For, you may see that the status of your email

changes to Awaiting Moderation. Usually waiting-for moderation emails will be moderated manually by our 

customer service team within one business day. More detailed information can be found in Comm100 Anti-

Spam Policy and Moderation Regulations. 

2. If you want to send a testing email, please click here to see how your can do it.

Step 7 Viewing Reports

Comm100 Newsletter supports real time email tracking. You can view the report of your sent emails.

  View by Email

View the reports of your newsletter campaign by email. Click View by Email from Newsletter 

tab to bring up the View by Email page to view the statistics of all sent emails. A sample View

by Email page is shown in Figure 7-1.

  Sent Counts

View the report about the monthly statistics of an Email after it is sent. Click Sent Counts view

the report. A sample Sent Counts page is shown in Figure 7-2.

You can also view the other statistics, including View by Autoresponder, View by Recipient and

Subscribe Trend.

Congratulations! You have completed the account sign-up, contacts and mailing lists management

and email sending steps.

If you want to collect email addresses from your website (Allow visitors to subscribe for information

on your website), please read on.

Step 8 Collecting Email Addresses (Administrators only)

A Subscribe Form is a form for your website visitors to sign up for your newsletters. Only

administrators have permission to set the subscribe form.

After deploying the Subscribe Form onto your website, all subscribers' email addresses are added

into your contact list and specified mailing list(s) directly.

Click Subscribe Form from the Newsletter tab to bring up the Subscribe Form page. You can

choose either the Link Form or the Embedded Form according to your needs.

  Link Form 

Click Choose Link Form from Subscribe Form page to bring up the Customize Link Form

 page as shown in Figure 8-1.

 b. Select the mailing list(s) into which you want to add subscribers and the relevant Fields you

want your visitors to fill out;

c. Click Save & Get Link Code to copy the code and paste it onto your website and then a

Subscribe Link Form appears.

  Embedded Form

Click Choose Embedded Form from Subscribe Form page to bring up the Customize

Embedded Form page as shown in Figure 8-2.

With embedded Form, besides that select the language, mailing list(s) and the relevant Fields,

you can also set the return URL which the subscribers will be directed to after they subscribe.

After completing the configurations, click Save & Get Code to copy the code and paste it onto

your website, a Subscribe Embedded Form appears.

Step 9 Autoresponder

An autoresponder is an auto follow-up email sent to a contact if this contact triggers a specific event,

like subscribe, unsubscribe and more. In Comm100 newsletter, there are 2 types of autoresponder:

Autoresponder to Subscribers and Autoresponder to Unsubscribers. 

  Autoresponder to subscribers

a. Select Mailing Lists

First, you need to select the mailing lists in which the members are to receive your 

autoresponder. Click Subscribe then New Autoresponder to select mailing lists in theSelect Mailing List(s) page.

 b. Select Autoresponder Type

Click Next to select your autoresponder type in the Select Autoresponder Type page and

then edit your autoresponder template.

c. Send Setting

Configure the settings on how to send your autoresponder. Click Send Setting and then you

can choose to Send Immediately, Send after or Inactive. If you choose Inactive, this

template becomes disabled.. Please refer to figure 9-1.

 Notes: Your auto responder also needs to be moderated by Comm100 Newsletter support team if your 

newsletter status is Moderation Needed. The process is the same as the moderation of your email. Once your 

auto responder has passed our moderation, the auto follow-up email will become effective and your 

subscribers will receive auto follow-up email.

  Autoresponder to unsubscribed contacts

Click Unsubscribe then Customize to go to the Edit Autoresponder page.

After editing auto responder template, you can choose to Send Immediately or Inactive. Please

refer to figure 9-2.
