Volunteer Policies and Procedures

NLC KidsIf you were a parent of the children in the classroom, think about the way

you would want it to look. What kind of environment and atmosphere would you be comfortable leaving your children behind in? As we partner with parents, we want them to be confident that we are not only keeping their children safe, but also teaching them the word of God and helping them develop a relationship with their Creator.

We are extremely blessed to be a part of such an amazing move of God. What God has done through NLC is not normal. The heart of this church is and always will be Jesus. In that, we have core values that we should constantly be striving toward as a church, individual, and as a team that serves in NLC Kids.

NLC Kids Areas

Children are cared for in four areas of NLC Kids - Sprout, Quest, Motion and Loop.

Sprout (6 weeks-2yrs and potty-trained) - Just like seeds require special care to take root and grow into what God designed, so do our children. Sprout provides a warm environment with music, lots of hugs, and love where children learn three core values: God made me, God loves me, and Jesus is my friend forever.

Quest (3 years old through Kindergarten) - Quest is a place of adventure and discovery. Through play and hands on activities our preschoolers and kindergarteners will explore God’s world and navigate the bible to continue to build off of these three core values: God made me, God loves me, and Jesus is my friend forever.

Motion – (1st - 4th grade) – Movement. Change. Growth. Impact. Influence. These are all a part of what God is teaching our kids in motion. It’s all about learning God’s word and living it out. Motion is where children come together to build lasting relationships with one another in small group time. They advance in their relationship with God through energetic worship and solid Bible teaching. The three core values that we learn in Motion are: I need to make the wise choice. I can trust God no matter what. I should treat others the way I want to be treated.

The Loop (5th & 6th grade) - The Loop is designed to help kids discover who God is as well as find confidence in who they are in Him.

Wellness Policy

Children who are sick will not be allowed inside the classroom. This includes a rash, diarrhea, vomiting, a fever within 24 hours, or cold/virus symptoms such as a runny nose that is cloudy, yellow or green. Parents will be paged if a child has a fever of 99.8 or higher.

Any staff or volunteers will not administer any medication except in life threatening situations when there is not enough time for a parent to come to the room and give it. In a situation where a child has a potentially life-threatening condition and medication may need to be given, a Medication Authorization Form should be completed and signed by a parent. This form is to be turned in to your location NLC Kids Lead.

Positive Interactions With Children

Each volunteer should consider the appearance of his or her interaction with the kids. In other words, if a parent were to walk by and see you interacting with their child, what impression would they get? We want to teach children at a young age that we all need to be showing honor. We can show the children honor by letting them know they are valued and loved and making them feel that we are glad they have joined us. Children can be learning to show honor by following the expectations that have been put into place. It is important to make sure your expectations are clear. Provide feedback to both positive and negative behavior. Positive reinforcements work much better than negative! Try not to embarrass the child. Let them know what you would like them to do and why. We should be modeling mercy and grace, while holding the child to a standard of behavior. They need to know that the environment they are in is safe and one in which they can learn and grow. If a negative behavior continues, let an available adult or the location lead know to see if the problem can be resolved in the classroom by modeling appropriate behavior and guiding the child one-on-one. If the problem continues, parents will be paged.

• Tickling, poking, or massaging

• Hitting, spanking, or firmly grabbing

Positive Interactions With Parents

Our goal is to partner with parents. Parents have far more time with their kids than we do. Our goal is to tap into the time they have by partnering with them to teach kids the most important information they’ll ever learn!

Here are some ways we can partner with parents:

• Explain what the Family Activity and Challenge Cards are and how they are used.

• In Quest, there is a family challenge listed on the back of the Adventure Book that the children work on during class and there is a different family challenge listed each and every week. This book will help parents to know what their child has learned and how it can be implemented at home. Additionally, kids and their families can follow along with the curriculum in the Bible App for Kids app.

• In Motion, children are sent home with a Challenge Card every week and on most weeks a Family Activity card. These cards are meant so that children can implement what they learn during the experience each week at home. There are also reading plans kids can do with their families at home that are listed on the Challenge Cards and can be found in the adult YouVersion Bible App.

• In The Loop, kids are sent home with a Challenge Card that helps them implement at home, what they learned during the experience. There are also reading plans kids can do with their families at home that are listed on the Challenge Cards and can be found in the adult YouVersion Bible App.

Share positive feedback with parents about their child each week. If there is negative feedback that parents should hear about, talk with the location lead first about how to present the information to the parents and talk with the parents about how we can work together to set up their children for success. Remember that this is a place where we want kids and families to feel loved and always welcomed back.

• Answer any questions that parents might have. If you are unsure of the answer, pull in your location lead to help.

• Encourage parents to continue to check their kids into NLC Kids. We want kids to hear the message at a level that is understandable to them so they can get the most out of church each week!

Child Safety and Check-in

We will do everything in our power to keep every child safe. When bringing a child to the bathroom, make sure you have someone with you, that you are visible, and are never behind a closed door. Female adult workers only, are permitted to change a child’s diaper.

All adult visitors requesting to enter a classroom must be escorted the whole time by another volunteer, or be giving a “guest” badge to wear as well as sign their name on the Visitor Check-In sheet at the check-in desk. The adult visitor may only interact with his/her own child. Notify the location lead immediately if this procedure is not being followed. Our goal is to constantly be making sure the environment is 100% safe for the children.

If a parent picking up a child has lost their claim tag, they must show proof of ID (driver’s license, military ID). The name on the ID must match the names listed in Rock. A lost tag form must also be filled out. Forms can be found in the back of each lesson binder as well as in the check in folder. We do this to ensure the safety of every child. If we just let a child leave simply because we know the parent, someone coming for the first time might be turned off to the lack of security and not want to come back. We want to do everything we can for new families to want to return so we can continue to move families far from God into life in Christ.

As we strive to reach those far from God and move them into life in Christ, we must also keep in mind the way our area looks. Please keep outside food outside of the classrooms. Please finish and discard before entering the room. If bringing

in outside drinks other than water, please place on a high area outside of reach of children. The reason for this is because of the different kinds of allergies that children have. Also, if a drink spills, it could make for an unsafe environment.

In the event of an accident involving injury in the classroom, all witnesses to the accident must give their account on an incident report. Reports can be found in the back of your lesson binder.

If a parent requests a non-prescription diaper ointment to be applied, you are allowed to do so.

Please leave all personal medications at home or in your car. Always wash your hands before entering a classroom after taking any medication.

If an incident takes place, please let the location lead know and they will decide if the parents should be paged at that time. Additionally, always notify the parent of any incident involving any injury.

Volunteer Screening & Procedures

All persons must be screened who by virtue of their employment or volunteering are involved in activities with children (18 years or younger) at Next Level Church. Every person serving in NLC Kids over the age of 18 will have a Criminal Background Check run.

Please read the lessons ahead of time and come in with enough time to prepare. We want to do everything we can in order to teach and reach the children.

You will receive a volunteer request in your email through Planning Center. Please respond to all requests before the beginning of the month. If you would like time off or cannot serve on a certain Sunday, log into Planning Center and block out the dates or tell your location lead. In the event you are unable to serve at your committed time, please contact your location lead, even if it is after the time you were scheduled to serve.

Please do your best to arrive on time. We are here serving Jesus while obeying His call on our lives to use our gifts to serve the church. We will best benefit the children if we arrive on time. If for some reason you know you might be late, please contact the location lead.

We hope that you will stay with us! If there is anything we can do to help make your experience serving in NLC Kids continue to get better and more positive, please let us know. If you should decide to resign as a volunteer, please give a 14-day notice.

If you should change any of your contact information, please update your information in Planning Center.

We ask that lead teachers and assistant teachers who are serving in the first experience arrive 1 hour before the experience begins. All volunteers are required to attend team huddle, which begins 30-40 minutes before the first experience starts, depending on your location.

If your location has two experiences and you are serving in the second experience, please arrive 15-20 minutes before the second experience begins, depending on your location.

Phones should not be used once you enter the classroom unless it is to get in contact with the location lead, in case of an emergency, or unless your lesson plan encourages you to use it as a part of an activity.

Please be neat and clean in your appearance. Volunteers wear an NLC Kids volunteer lanyard or NLC Kids T-shirt.

Please keep the information you might learn about children, parents, and volunteers confidential. If you feel that information you heard should be shared, please do so with only the location lead.

Nursery Policies-Sprout

Positions

• Lead Teacher-The lead teacher is the lead caregiver and oversees the policies and procedures within the classroom. They are responsible for assigning duties to all the other caregivers such as:

1. Diaper changers for the day.

2. Who will help receive and dismiss children.

3. Who will present the lesson materials.

• Assistant Teachers-The assistant teacher attends to the basic needs of the children under the guidance of the lead teacher. The assistant will step in to lead if the lead-teacher in unavailable to teach that day. An assistant will pitch in wherever care is needed for a child such as:

1. Changing diapers.

2. Feeding babies.

3. Singing.

4. Playing.

5. Presenting the lesson.

6. Keeping up with Pacifiers and other belongings.

7. Maintaining cleanliness of the room.

Preparing Your Room for Service

As you enter your room, make sure all supplies are out and in their proper place and out of reach of children if need be.

1. Diaper Changing supplies (diapers, gloves, wipes, Clorox wipes, diaper sacks, etc).

2. If you are in a portable location, lay the padded flooring and baby gates.

3. Wash the padded floor with the Swiffer/Clorox wipes.

4. Place toys in the play area.

Opening Your Room

1. Check to make sure that the child has been checked in through the check in station as they arrive.

2. Label all items that come into the room and place their belongings in the designated area.

3. If you are serving any food write them on the “allergy alert” sign, and make sure sign is visible at Check In.

Class Time Procedure

1. Fifteen minutes after the experience has begun the adult female workers should do a gloved diaper check. Only changing those diapers that are wet or soiled. For kids who’s diapers do not need to be changed, draw a check mark on the child’s nametag. If the child’s diaper is changed, draw/place a smiley face sticker on the child’s nametag.

2. Once the diaper check has been completed engage the children with the lesson plan. We encourage workers to get on the floor and interact with the children by being vocal and using animated expressions. We encourage all workers to participate in this segment.

3. If you have fussy children, this is a good time to get their pacifier, bottles, or cups. If you have done everything you can do to console a child and they cry for more than 10 minutes without stopping, let the location lead know.

4. Toward the end of the experience have the adult female workers do a final gloved diaper check.

5. This is a good time to place the children’s belongings into their bags.

Diaper Checking & Changing

How to change a diaper (this process must be repeated for each child)

1. Put on a new pair of disposable gloves for each diaper change.

2. Place the child on a clean, dry changing table, do not change diapers on the floor.

3. Never leave a child unattended on the changing table. Keep one hand on the child at all times. Remove diaper and clean the body with a moist wipe.

4. Place all wet diapers in the trashcan. Place dirty diapers in a diaper sack before placing in the trashcan.

5. Remove dirty gloves and discard with the soiled diaper.

6. Put on a clean diaper and clothing.

7. Place/draw a smiley sticker on their nametag or bracelet if they had a diaper change.

8. Return the child to the play area.

9. Disinfect the changing area as well as the surrounding area that may have been contaminated during the diaper changing process. Wipe the area with a Clorox wipe.

10.Wash your hands.

11.Place a check mark on kids nametag or bracelet if they did not need their diaper changed.

Bottles, Cups and Pacifiers

1. Label bottles & cups by writing the child’s name on masking tape and placing it on the item.

2. Carefully watch any child that has a bottle or a cup. Once they are done with the cup/bottle remove it from the area so other children cannot drink from it.

Snacks/Food & Drinks

1. Meals or baby food should be fed to the child with the parents before or after class time.

2. Cheerios or goldfish are provided for a snack for all children. If a child has a special dietary need they may eat their own snack.

3. Water and bottles with formula or milk are permitted.

Closing Class Checklist

1. Disinfect all toys and changing area.

2. Dump the trashcan and disinfect the trash.

3. Turn off and take care of the music player.

4. Place all supplies and toys in the appropriate area.

5. Fill out postcards to invite new families back and give them to your Location Lead to send out.

6. Return all lesson plan material where it belongs.

7. If applicable vacuum or sweep your room, empty trash and turn out the lights.

Early Childhood Policies-Quest

Positions

• Large Group Leader-The large group leader is in charge of leading the large group activities. After large group is completed the large group leader leads a small group.

Checkout Procedure

1. Have an adult or student volunteer meet the parents at the door.

2. Collect the pick-up tag from the parent and ask them whom they are picking up.

3. Call the child’s name and check the three-digit code against the child’s code to make sure they match.

4. Hand the parent the Adventure Books (Quest), Challenge Cards and Family Activity Cards (Motion) and the Challenge Cards (The Loop).

5. Be sure to always note a positive thing their child did during that time.

Core Values

RELEVANCE - WE WILL SPEAK THE LANGUAGE OUR CULTURE UNDERSTANDS AND CREATE ENVIRONMENTS THAT ARE CURRENT. WE WILL ENCOURAGE AUTHENTICITY. ITS OKAY TO NOT BE OKAY.

EPHESIANS 3:20 - WE BELIEVE IN THE PROMISE OF EPHESIANS 3:20. WE WILL NOT PLAY IT SAFE. WE WILL HAVE A BET-THE-FARM, RISK TAKING FAITH. WE MAKE DECISIONS BASED ON THE KNOWLEDGE THAT OUR GOD CAN DO THE IMPOSSIBLE.

COMPLETE - WE WILL FOCUS ON ENCOURAGING, EQUIPPING AND INVESTING INTO THE BIG “C” (GOD’S ENTIRE CHURCH). NLC WILL COMPLETE OTHER BIBLE-BELIEVING CHURCHES, NOT COMPETE WITH THEM.
