    Work Requests: Displays Mandatory and Voluntary types

    Mandatory types are often date or time changes to shifts you are signed up for – so be sure to double check!

  • General Notices: Displays messages sent to you by other wait staff, usually asking for shift coverage. You

    will have received these via email as well.

    How to Send a Message to COTC Team

    1. Click on “Create a Message”

    2. Choose recipients (Step 2): Check off “Individual Recipients” as shown and click “Add Recipients”

    3. A window will popup – Choose Tier 1 Wait Staff in the “Attributes” section

    4. Fill out the message for accordingly

    5. Click “Send Message”

  • CALENDAR TAB

    There are 4 display options available. To edit your default calendar display, click the “Display Options” button.

    : Shift has open spots

    : You have a shift assignment that day

    : You have a work offer

    : You have a mandatory request (e.g. date/ time change) to confirm

    : Red Date – There are open shifts on this day

    : Blue Date – There are NO open shifts on this day

    How to Assign Yourself to a Shift

    1. Click on an open shift ( ) to see details/ to sign up

  • 2. Check “Event Times” to see your in and out times

    3. Check the tier level above the “Open” spot

    4. Click “Assign Yourself” to work the shift

    5. Check to make sure the assignment icon ( ) icon appears after it reloads

    ** NOTE: Remember that once you assign yourself to a shift, you are required to show up to the shift. If you can no longer make it, it is your responsibility to find someone to cover your shift. **

  • MY INFO TAB

    My Info tab has various functions. Use the blue navigation bar to select accordingly.

    “Contact Methods” section allows you to add your contact information.

    Add your email address and phone number in case COTC needs to contact you.

    “History” section allows you to calculate your hours and view your shift assignments.

    1. Enter Start Date and End Date of the time period you want to view and click “Display” (NOTE: Pay week is from Thursday to the following Wednesday)

    2. “Total” displays the amount of hours of work you’re assigned (NOTE: Students cannot work more than 40 hours per pay week – combined with any other on-campus jobs)

    (NOTE: International students cannot work more than 20 hours per pay week)

  • StaffEasy Trouble-Shooting:

    Assigning Yourself to Work:

    On StaffEasy, you will be “assigning yourself” to work shifts, you will NOT be using the “request” buttons, or the

    “signup” buttons. In addition, if there is no “assign yourself” button it is because the shift is filled or you are not qualified

    to work that event.

    The red heads on the shifts indicate that there are shifts still to be filled, if there is no red head, there are no shifts for

    you to work for that event.

    You must work the entire shift that you assign yourself to work, you cannot work partials unless you have received emails

    from the staffing manager about how we need people to work partials. Please do not send emails about being able to

    work partials until you receive an initial email from the staffing manager about accepting partials for shifts.

    When you assign yourself to a shift, you are 100% committed, this was explained in orientation. You will need to find a

    shift replacement no matter what the circumstances.

    Work offers that are sent out are generic emails sent to 300 waitstaff, please do not respond in emails to me about being

    able to work. If you can work, assign yourself on staffeasy, or confirm in the shift offer, but you do not need to email me

    about these.

    SMG Shifts vs. COTC Shifts:

    All events listed “SMG:” are for the School of Management that also uses this staffing system, double check the event

    address, 590 Comm is SMG and 775 Comm is the GSU for COTC. When working these events, go directly to 590 Comm Ave, go to 4th floor, take right and then another right, go through double doors marked “staff only” report to managers

    there. If you cannot access building/floor, call 617-353-1513. You can speak with SMG managers or kitchen staff to ask

    for help.

    When working “SMG:” shifts, report directly to 590 Comm Ave, you will clock-in and get your uniform there.

    If you are switching shifts for Catering on the Charles: you will need to email the COTC Staffing Manager: Katie Strelitz

    Payroll will be paid from each location. If you work at SMG, those hours will be paid from SMG (email Stephanie Gregoire

    [email protected] about payroll concerns from SMG). If you work at COTC, those hours will be paid from COTC (email

    Melissa Lowery [email protected] about payroll concerns from COTC).

    Other Buttons/Tabs/Links on StaffEasy:

    Any of the other buttons or tabs that are not explained in the user guide are not ones we use for our staffing needs, this

    is a nationwide used program, so we at COTC do not use every function of the program. Please do not try using other

    buttons as they won’t be correct for getting yourself on shifts.

    Work Schedule:

    Do not add your work schedule to the system, make sure it always reads “available unless specified”. By changing the

    work schedule around, the system will not allow you access to assign yourself to shifts. This is a button we don’t use. If

    you get an error message stating “unable to schedule due to work constraint” it is because you have scheduling conflicts,

    have reached the 38 hours maximum allowed to assign yourself, or you have a work schedule listed that needs to be

    cleared first.

  • Working the Shift:

    You need to arrive on time and be ready in full uniform, arriving 10 minutes before the shift time will allow you enough

    time to change and be ready 5 minutes prior to event time. You will always be meeting at the COTC office unless the shift

    states otherwise or if it is a “SMG:” event, in which case you report to 590 Comm Ave, 4th floor. You are only allowed to

    clock-in 5 minutes prior of shift time.
