Food for Families Reimbursement Program There is a new incentive for council participation in the Knights of Columbus Food for Families program – cash back! Retroactive to July 1, 2012, (the first day of the fra- ternal year), the Supreme Council will refund $100 for every $500 or for every 500 pounds of food that a council contributes to a parish food pantry, community food bank or a soup kitchen up to a maximum refund of $500 per council per fraternal year. There is no need to send in a refund request every time a contri- bution is made, nor does every contribution have to be at least $500 or 500 pounds of food. Simply report each contribution on the Food for Families form found at kofc.org/forms. Food for Families remains a featured program. By successfully meeting the requirements, a council earns full credit for the Family section on the Columbian award Application Form (SP7). To qualify a council must collect a minimum of 1,000 pounds of food to be donated to a parish or community food bank as well as provide at least 100 volunteer-hours of service collecting and distributing food or preparing or serving meals to needy people. Pro- viding kids with warm coats is the goal of Coats for Kids, a Knights of Columbus featured program. Coun- cils fulfilling all the requirements for the Coats for Kids program — purchasing and distributing at least eight cases of coats (12 coats per case) — meet all require- ments for the Youth Activities Category of the Columbian Award. State councils, districts and local councils may pur- chase new, high-quality winter coats for boys (sizes 8- 18) and girls (sizes 7-16) through the Supreme Council for $16.25 per coat ($195 per case) plus ship- ping by completing the Coats for Kids order form which may be found on kofc.org/coats. The Supreme Council will pay 50 percent of shipping costs. Requests for particular quantities of coats in spe- cific sizes cannot be accommodated. Each shipment will contain a variety of coats in various sizes and styles. Semi-Annual Council Audit

An important part of a district deputy’s duties ismaking sure his councils file the Semiannual CouncilAudit (Form # 1295) of the books and records of thefinancial secretary and treasurer. The audit for theperiod between July 1 and Dec. 31, 2012, is due byFeb. 15, 2013.

The Supreme Council provides each council with a$5,000 bond for the treasurer and financial secretary provided the council has its last two consecutiveaudits on file. Councils who fail this requirementlose their bonding until such time as the audits are upto date and filed.

District Deputy Report (Form # 944A and B)

DDs are obligated to inspect and certify councilrecords twice a year on the District Deputy Semian-nual Report on Council Status (Form # 944A and944B). Make certain the accounts of the councils inyour district are kept according to the Order’s laws.The next the District Deputy Report (#944A) is due

Dec. 31, 2012.

The District Deputy Semi-Annual Report onCouncil Status Forms (944A and 944B) have beenrevised and may be found at kofc.org underForms (State and District). Please use these newforms for making your report. The report can befilled out online, printed and then mailed. Tips forfilling it out follow.

Filling out the District Deputy Semiannual Report on Council Status (Form #944 A & B)

Knowing the health and status of the councils of the Order is vital for the state deputies and theSupreme Council office. No one knows the councils better than the district deputies. That is why DDsare required to file the Council Status Form #944 twice year for each council in his district. Form#944 A – covering the period from July 1 to Dec. 31, is to be filed with the state deputy and theSupreme Council Office on Dec. 31. Form #944 B – covering the period from Jan. 1 to June 30, is tobe filed with the state deputy and the Supreme Council Office on June 30. Following are some “do’s”and “don’ts” for filling out the forms. Note: Both forms may found at kofc.org/forms (State and District),filled out and printed out. The Supreme Office and the state deputy should each get a copy and theDD is to keep a copy for his files.

Do: At the top of the form make sure the state/province, the district number, the council number andlocation and the date of the report are reported.

Council Deadline

1. Do: Be sure that your councils have filed for 2012-13 fraternal year (and you have copies of)Election of Officers (#185) due July 1, the Service Program Personnel Report (#365 due Aug.1), and the Semiannual Council Audit (#1295). Boxes one, two and three in Council Deadlinesection should all be checked. (If they are not, then “officers knowledgeable of” and are“performing their duties” in the next section, Organization, should be checked “no.”

2. Do: Be sure your councils have paid their Supreme Council Per Capita assessments (billedJan. 1, due April 10). If not, remind them failure to pay deadline results in suspension of thecouncil and that suspended councils may not be seated at the State Convention or SupremeConvention.

3. Do: Remind councils that they are required to file IRS Form 990 (Return of Organization Ex-empt from Income Tax) due the fifteenth day of the fifth month following the council’s reportingperiod (for most USA councils this will be May 15).
