An internal magazine well designed with respect to the contents as well as graph-ics is a foundation of good communication within the company. Employees can besure that they will be properly informed about everything taking place within thecompany, about changes in its structures, activities, about colleagues. They like toread about themselves. It is worth publishing even the smallest magazine – it paysback in every respect! An internal communication magazine lives and grows to-gether with the company and its employees. It documents all its successes, helpssolve interpersonal problems, truthfully and credibly passes on information. It inte-grates, educates, motivates.

A good internal magazine:+ creates and strengthens a professional image of the company among its employ-

ees,+ supports the development of corporate culture,+ builds relations with employees and between employees,+ integrates and shapes their loyalty,+ serves as a platform for exchanging experiences and opinions, offers good role

models, motivates to work, praises the best,+ fulfils business objectives as part of its organization.

Here are some hints what to look for while preparing an internal magazine:+ make sure that the texts are up-to-date, down to the point and exhausting,+ deal with a wide range of issues in which the staff is interested (research),+ use a vivid language characteristic to your industry, don’t be afraid to use jargon,+ the layout must be closely related to company’s identification,+ invite the employees to work on the magazine, which will make them feel as

“hosts”.

Finally, what constitutes the essence of the internal magazine, i.e. the texts that should be presented in it:+ current information about the company life (operations, structure, implementa-

tions, training courses, achievements, recruitment processes, sales and financialresults, competitions, social activities, etc.),

+ presentations of the company’s people (nominations, organizational and person-nel changes), interviews with employees (about their business achievements andhobbies),

+ industry-related news (new products, services, sales activities, marketing cam-paigns, competitors’ activities, latest news related to the industry),

+ entertainment section (presentations of hobbies and achievements of the em-ployees – unusual hobbies, sports achievements, hobbies, features and articlesabout literature, art, fashion and food, cross-word puzzle, jokes, competitionswith prizes, anecdotes from the company’s life).

A prestigious external magazine offers much more than even the best advertise-ment can do. In contrast to other forms of promotion, it has an unmatched character-istic – it is “immortal”. It does not disappear the next day like advertising spots and,which is just as important, it is much cheaper in reaching the target audience. Let’sreveal the purpose of a consumer magazine: + it provides information about the company, its products, people that create it,+ it creates an image and the position of the company or brand,+ it makes the company credible and wins the trust of the customers,+ it strengthens the existing and makes it possible to establish new relations with the

outside world,+ it freely presents the company’s business operations, promotes products or ideas,+ it has a positive impact on increase in sales, promoting stances and behaviours,

and an indirect impact on sales decisions.Texts in external magazines obviously differ from those published in publications ad-dressed to employees. The key to success is a different method of presenting themand the effect which we want to achieve. We concentrate less on communication andinforming and more on building the company’s image or inducing specific reactionsor behaviours among the readers. We persuasively present products which – simplyspeaking - we want to sell. Below you will find several hints how to do that effec-tively: + a good external magazine is a magazine which comes close to prestigious con-

sumer magazines; if the reader is prepared to spend a dozen of zlotys on our magazine and he knowsthat it will be beneficial to him, then we have succeeded!

+ focus on classical, various journalist forms – interviews, features, reports; attractiveand interesting form means good reception quality – this type of texts should con-stitute the essence of an external magazine,

+ don’t speak about the company only in direct form, avoid advertising slogans;present the offer in an unobtrusive manner, slightly distanced from the organiza-tion; focus on examples, opinions of independent experts and “regular” people,

+ avoid colloquialism, corporate newspeak – treat the reader in a prestigious manner,with respect and slight distance,

+ play with the form, integrate the readers, take them on an intellectual journey.

This was not a coincidence. Work with the largest and, at the same time, the most demanding companies doesnot leave room for mistakes or shortcomings. Tostart off the Client receives a precisely prepared outline of the given edition with apage by page breakdown, columns and suggested topics. We start our work after it isconsulted and supplemented by the Client.

We weigh every wordDepending on the nature of the publisher, we prepare texts concerning specific sub-jects wholly autonomously or edit materials provided by the Client. Verified wordsEvery article prepared by us is always approved by the Client. After being approved itis thoroughly proofread. Only after being corrected it is sent to the graphic designstudio. That is where the graphic designers transform “raw” files into attractive pagesof a magazine.

Images arouse imaginationCreating a magazine without attractive illustrations is like driving a car without fuel.No one would even think about that, which means that we are thinking about photosthe moment we prepare the outline. Photos are adapted to every material – eitherselected by the Client, chosen from the photo bank or taken by our photo reporters.In the latter case, before a photo reporter sets out on his mission, he receives a pre-cise brief from the editing department which describes, frame by frame, what kind ofimages are needed for the magazine. There is no room for fortuity here. The photo re-porters cooperating with us are professionals tested over the years and working forleading Polish publishers on a daily basis.

The pages of the magazine designed by ourgraphic studio are verified with respect to cor-rect setting by our editing department. If every-thing is OK and complies with the currentoutline, the pages are sent to the Client in PDFfile so that he can approve them or indicatewhere changes are to be made. All remarksmade by the Client are then made on-line – onthe basis of direct exchange of e-mail messagesor phone call. They go onto the next correctionstage after being approved.

We avoid errors like fireEvery page is first read by Novimedia CP proof-reader on a black and white printout. After thecorrections are made, the file in PDF format issent to one of the proofreaders cooperatingwith us on-line. Only after such verification thefile is reproduced on a colour printout – which isthen simultaneously proofread by a NovimediaCP proof-reader and the editor in charge of thegiven project. The last chance to catch errorswhich somehow got through the previousproofreading stages is a thorough check of theproofs and impositions. We give the printinghouse a go-ahead only if we are 100% sure thatthe magazine is perfect in terms of graphics andediting.

We never let the project out of sightOnce work on the project is transferred over tothe printing house, the Graphic Design Producerassumes supervision over it on behalf of Novi-media CP. He takes care of the quality of thepublication as well as its timely delivery. Our roleends the moment the Client confirms that themagazine has arrived at its destination and thatits meets all the expectations.

From words to a magazineEven the substantively best, most accurate ormost subtle text has no chance of succeeding ifit is not served in an attractive and catchy form. How is it actually done?There is no good magazine without a wellthought out and previously prepared layout, thatis a certain template, a permanent composition ofeach page, possessing specific characteristics thatrecur in each subsequent edition of the givenpublication. Layout has a practical meaning,above all. On one hand it makes easier for thereader to navigate and orientate himself amonghuge amounts of information presented in thepublication, while – on the other hand – it helpsthe graphic artist to prepare himself for the nextedition of the publication by creating a model ofeach page and then filling it with content.

A finished layout means half success. Next, after design and editorial work is com-pleted, texts are converted to Apple format and the proper typesetting and pagingare begun. What counts here are a good idea and a sense of good taste as well as theefficiency and DTP knowledge. After the pages are filled with content, appropriatephotos and other graphic elements are chosen, a finished page is sent to a Client inpdf format for approval. This the more so important that the Client is able all this timeto control the process of creating the magazine and may, at any stage, modify the so-lutions or correct them to his liking. Our company also works in the Ready-to-Read(R2R) system which greatly takes the strain off the Client – he receives a finished pub-lication with his involvement being reduced to a minimum.

Versatility and accountabilityWe control the project from its concept to the moment a finished product is deliv-ered to the Client and take full responsibility for what happens along the way. Afterthe Client accepts the magazine for printing, we make additional adjustments, pre-pare colour sample prints, digital and analogue proofs, oversee the printing, shippingand logistics processes. We cooperate with the best contractors at home and abroad– offset and roll printing houses, traditional prepress and CTP. For our Clients we care-fully select partners who best fit the given projects.

Technique hand in hand with skillsWe have an extensive, state-of-the-art equipment – DTP stations running on Appleplatform, editing and support stations on PC platform, a structural network, an inde-pendent on-line server and top class printing peripheral equipment. AdvertisingConsidering the growth of custom magazines, we opened up an Advertising Depart-ment. We prepare advertising offers for specific productions and then find advertis-ers.

We also offer advanced ad creation services. On one hand they are based on visualqualities while, on the other hand, they materialize the marketing message in theform of an appropriately elaborated text.

Such advertisement is much more effective, less invasive with respect to percep-tion and does not break off from the rest of the publication but integrates itself withthe whole. The reader gets the impression that just like everything else in the givenpublication, the advertisement in the form of a verbal and graphic material is worthpaying attention to!

In 2003 we organized help for the Tsunami victims. Together with World ClassHealth Academy in Katowice we raised funds and gathered clothing which we gaveto the local branch of Caritas Poland.

Since the company’s beginning we have been supporting local social assistancecentres. Our activities boil down to offering resources in the form of food, clothingand toys. We look after two centres in Katowice and Sopot.
