New Way to Work Index Volume 2:

Teams and Technology

June 2014

Page 2: Nw2 w index 2 report v4 eng final

This survey, conducted in March and April, 2014, was designed to gain an understanding of which communication and collaboration tools team members have and use; and to understand if there is a correlation between team success and technology use.

There is.2

Put another way …

Struggling teams appear to be ill-equipped for today’s virtual business environment.

The majority of people on less successful teams say they don’t have these collaboration capabilities or have them but don’t use them.

Presence

Have it and use itSee colleague’s

availability 35%83%

The ability to see if colleagues are available for a call, IM or email – just as in the office – is key to solving challenges on the fly.

“Presence” was one of the first big features of unified comms, but it’s limited use is surprising – and strongly correlated with team success.

One Number Service

Have it and use itOne Number

Service

Being accessible outside the office is key in teaming.

One Number Services means you publish just one phone number, then tell an application which phone to ring when someone calls. It provides control, while maintaining the healthy give-and-take of successful teams.

Tell Me When

If you’re not in the office, it’s hard to just ‘catch’ someone when they’re open for a live conversation.

Applications that allow you to be notified when a colleague becomes available for a call keep people connected – especially around sensitive and complex topics.

See who’s on a conference call

Have it and use itIs it easier to be candid if you can see who’s on the call?

Our last survey showed that the most successful team members speak as candidly on virtual calls as in the office.

Perhaps the greater use of tools that show who else is on the call aids in candor that leads to quality collaboration.

Adding someone to a conference call

Have it and use it15 years after the advent of unified communications, 40% of all respondents still can’t click to add someone to a call.

The majority of collaboration on successful teams is spontaneous. So, it’s easy to see why ease of connecting correlates with team success.

(In fact, more of our respondents can click to add web collaboration than to add a person to a call.)

Adding video

Have it and use itIn an earlier survey, 75% said it’s easier to collaborate when they can see others on the call.

While the ability to click to add video to a call is fairly common among successful teams, nearly 80% of those on less successful teams either don’t have or don’t use it.

Screen sharing / Web collaboration

Have it and use itScreen sharing, or web collaboration, is used by two-thirds of all our respondents.

With such high availability, the gap in use by more and less successful teams is telling. 19% of those on less successful teams have it, but don’t use it; 42% don’t have it.

Enterprise Instant Messaging

Have it and use itBeing able to IM a colleague is a big part of being available to your team. IM’s can break through a meeting for quick approvals or direction.

No wonder it’s the most used tool for all respondents – though nearly half of those on struggling teams don’t have or use it.

Internal chat or social media

Have it and use itOpen, informal, asynchronous chat is more than a trend driven by Millennials.

It’s critical to engaging people with ideas, sustaining organizational learning when we’re not all in the office, and feeling like we’re part of something bigger than ourselves.

Mobile collaboration

Have it and use itOverall, just one-third (34%) of all responders have the same access to these collaboration functions from company-approved mobile devices as they do in the office.

Ironic, isn’t it, since so many of us need these tools specifically because we’re mobile.

About the Study

For each of 11 common unified communication and collaboration functions, we asked respondent to tell us if they:

• Have it and use it

• Have it but don’t use

• Don’t have it

Then we asked them to tell us if their virtual teams’ contributions to the business are:

Very successful (our benchmark cohort)

Reasonably successful

So-so

Not very successful

Not at all successful

N=137 people from 8 countries in North America and Europe

Study was conducted by Unify via email/online response

No compensation was offered for respondents
