Alert # 1 - Project Phase Mismatch


Priority High

Description Validates project phase against completed schedule milestone actual dates Project Phase Mismatch alert will show up if the project is past the move in date but does not have the phase updated as completed.

Notes 1. If either Feasibility Sign-Off or Schematic Design Sign-Off have been entered, the project should be in the Design phase

2. If Construction Documents Sign-Off or Bid Award have been entered, the project should be in the Bidding phase

3. If Bid Award has been entered, the project should be in the Construction phase4. If Move-In or First Patient/User has been entered, the project should be in the Punch list

phase5. If Project Close-Out has been entered, the project should be in the Completed phase

Alert # 2 - Expired Forecast Date


Priority MediumDescription

Forecast milestone date is in the past, and actual date for the same activity is null. Only applies during and after the design phase.

Alert # 3 - Missing Project Document


Priority High

Description Project document is missing and project phase is Design or later. This alert applies only to projects with budgets in fiscal year 2014 or later.

Sample Issue Phase is Design, and project doc has not been uploaded.

Alert # 4 - Cash Flow Budget Allocation


Priority High

Description If the project has passed the Schematic Design Sign-Off milestone, the budget fact sheet should be entered in FTS. (Which manifests on the PIM Cash Flow page)

Sample Issue Construction milestone has an actual date, but the budget is not spread in FTS.

Sample Output Project budget is not spread in FTS.

Notes If no budget, or under a certain dollar amount (500k), or if a subproject then no alert.

Alert # 5 Missing Milestone Date


Priority High

Description Start date is missing for baseline, forecast, or actual for important milestones.

Sample Issue Move-In milestone has no forecast date.

Alert # 6 and #7 Missing Architect or Contractor


Priority MediumDescription Project phase is Design or later, and no architect has been assigned in PIM.Sample Issue Phase is Construction, and a consultant that is flagged as a Design Consultant has not been

Notes Users can choose “No Architect” option if the project does not require an architect.

Alert # 8 and #9 Missing Location and Square Footage


Priority Low

Description If the project has passed the Project Document Sign-Off milestone, project location should be filled out.

Sample Issue Location is empty, and Project Document Sign-Off milestone has an actual date.

Sample Output Missing location.

Priority LowDescription If the project is in or past the construction phase, square footage should be filled out.

Sample Issue Square footage is empty, and project phase is construction.

Notes At least one, not necessarily all, SQFT box needs to be filled.

Alert # 10 Missing Anticipated Final Cost


Priority Medium

Description If project has an approved budget, anticipated final cost should be filled out.

Sample Issue Project has approved budget, but AFC is blank.

Sample Output

Project has approved budget, but no anticipated final cost.

Alert # 11 Empty Role Assignments


Priority MediumDescription Checks each role assignment to see that they have been filled

out. Missing EPIC Contact alerts will only trigger on clinical projects, and missing EH&S PM alerts will only trigger on construction projects.
