Challenge—a changing print worldTraditionally, the Electronic Data Processing Department (EDP), CentralReprographic Department (CRD) and Office have had separate and distinct printing environments. But company-wide networks that handle data from mixedenvironments are changing all that. And printers should be able to cope with thesenew requirements.

Solution—the Océ Power Print ControllerOcé has developed the Océ Power Print Controller to meet these increasingly complexneeds. The Océ Power Print Controller, the heart of the Océ Power Print Series, is fastand intelligent. It can be configured in a modular and scaleable way, thus creating apowerful, highly productive and tailor-made solution for your requirements.

Print from host and network simultaneouslyThe Océ Power Print Controller serves as the bridge between electronic informationand the printer via multiple connection possibilities. It is, therefore, able to deal in a fully automatic way with diverse print jobs coming from host and networkenvironments. This intelligent host- and application-independent device allows:• Centralized and decentralized printing for the EDP and CRD• Group printing at the departmental level

Modular solutions provide only what customers need todayBy incorporating it into a range of printers, Océ has made the Océ Power PrintController modular and scaleable. This means that customers can customize theirprinter configurations as their needs change. No unnecessary investment in the futurebefore it arrives.

Océ Power Print Controller accepts differentinput simultaneouslyThe Océ Power Print Controller accepts and spools datafrom multiple sources simultaneously. This allows the printerto handle a continuous supply of diverse print files whilecurrent jobs are printing. That means less waiting time forusers. The Océ Power Print Controller also features multipleprint queues. It can be configured to process job queues on a first-in, first-out basis or to the customer’s requirements.

Multiple-PDL processing The Océ Power Print Controller lets you have more thanone PDL active at the same time, without sacrificing printspeed. That’s especially crucial with mixed-environmentprinting. The Océ Power Print Controller can, furthermore,base resolution on the PDL used or the individual print job.You can print at resolutions of 240, 300 or 600 dpi.

The Océ Power Print Controller supports PostScript Level 2,PCL 5e, IPDS, TIFF, line-data emulations and Océ’s Formand Overlay Language (FOL). FOL is a powerful, easy-to-use tool for formatting line-printer and ASCII datastreamsto produce high-quality output, including graphics andbarcodes.

Intelligent printing with Océ Job AutomationControlMany IT managers dream of being able to process host andnetwork jobs automatically. With the Océ Power PrintController’s Job Automation Control (JAC), that’s a dreamcome true. JAC software identifies each print jobautomatically and appends a small print-job recipe, knownas a Job Ticket, that contains the information needed forprocessing.

Océ’s JAC makes the printer completely host- andapplication-independent. All printer features, including alladded-value software applications, can be addressed withoutmodification to the host application software, standard PDLsor line datastreams.

Among other things, JAC allows:• Automatic merging of print-job data with electronic formsor stamps• Duplex printing and automated finishing• Individual job processing, controlled by unique JobTickets, once a print job has been submitted to the printer• The addition of flag sheets to jobs for efficient labeling anddistribution• Fully automated multiple-ups from line-printer data• Application of covers to automatically finish documents

Variety of demands complicates today’s office printingPersonal desktop printers are quickly becoming yesterday’sexpensive, inefficient printing solution. Instead more andmore networked users have begun sharing printers. Sensible.Economical. The question is how to maintain productivity,speed and ease-of-use when many people–with manyneeds–share a printer configuration?

JAC controls input and output needsOcé’s Power Print Controller, with Job Automation Control (JAC), effortlessly manages the flow of documentsthroughout the printing process. Its large spooling capacitymeans users don’t have to wait to queue their documentswhile the printer processes other requests. User-friendlyprinter controls allow users to interactively control printeroptions from their workstations. Océ supplies printer driversfor Windows 3.1x, Windows for Workgroups 3.1x, Windows 95, Windows NT, Apple Macintosh, UNIX, VMS and AS/400 environments.

Moreover, JAC controls all paper trays, and finishing optionsso documents can be delivered ready for distribution.Individual mailboxes make it easy for every user to find hisor her printed document–no matter how many people sharethe printer.

Example: Julie finds 15 copies of her report intime for her meetingJulie needs to have 15 copies of her report on ad effectiveness in hersales territory for a 10 a.m. meeting with her staff. At 9:30 A.M.,she makes the last corrections, indicates on her Océ printer driverthat she needs 15 copies and goes to the printer. The last thing sheneeds is to dig through the printer output generated by her 18 officemates. With the Océ Power Print Controller, she doesn’t have to.When she sent her data to the printer, information about her andher computer (such as user ID, job name and job number) wasautomatically added to the file. In the printer, JAC first identifiedthe job based on these attributes, then added a Job Ticket, whichdirected the printed job to bin 17, the bin assigned to Julie.

Based on the Job Ticket, the printer then printed 15 copies of thereport, as indicated in the Océ printer driver, and sent them to bin17. When Julie reaches her bin, she finds 15 neatly printed andfinished documents. No digging through a pile of documents to get the ones she wants.

Digitization allows on-demand printingDigitization is changing the way information is produced in-house in the CRD. Users in this environment can now printwhat they want, when and how they want it. Print-on-demand. That’s important because user information orproduct documentation changes rapidly. And organizationsexpect the CRD to produce the latest version of sometimesbig and complex manuals as soon as possible. Often withpictures or other graphical elements that require high-resolution printing. The printer can also automatically gatherinformation about a job for accounting.

Fast processing speeds customized productionThe Océ Power Print Controller’s fast PDL processing givescompanies high-performance rastering of complex documentswith no loss of production speed. And every document hasthe same high quality as the original.

JAC’s multiple-job processingJAC lets you personalize documents based on the same dataas many times as you want, without resending the data. ThisJAC feature, known as multiple-job processing, allows you to:• Create customized and personalized documents based onthe same file• Print a specific job several times, each time using a differentelectronic form• Print a specific job several times, each time using a differentoutput feature

Example: George makes price lists for differentdealers without resending dataA distribution company has three main dealers who need anupdated price list every month. George in the CRD has to produce50 copies of this tool price list for Jeff ’s Toolshop, 100 copies of thelist for Tools4Us and 30 copies for Selfmade Tools.

The marketing manager sends the data over the network to George.George then has to customize each list with the right companyname and logo. He could, of course, send the runs separately.Instead, he sends the data once with instructions to print 50 copieswith the logo for Jeff ’s Toolshop, 100 copies with the logo forTools4Us and 30 copies with the logo for Selfmade Tools. The logosare contained on electronic forms on the printer’s hard drive. JACmerges the data with the applicable forms and prints out therequired number of copies for each company.

The printer also automatically adds print-job information to theCRD’s residential accounting file. This will allow George toaccurately invoice the marketing manager responsible for thesedealers.

Increased print quality for the EDPFor many years, people in the EDP had to settle for lineprinters. With low-resolution line-printer quality. And form-feed paper that had to be separated by hand. These days,however, more and more EDPs have laser printers with high-quality resolution and plain-paper capabilities.

Downsizing means more changes for the EDPAt the same time, the downsizing in the EDP of hostapplications to client server platforms, means the support ofmultiple datastreams, such as IPDS, PCL 5e and line-printerdata, is becoming increasingly important. Organizations thathave or are in the process of downsizing expect printerproducts to support this kind of migration. The printershould act as a bridge between these two computingenvironments.

JAC simplifies the switchWith all these changes, EDP managers have frequently hadto make complex adjustments to existing applications. ThePower Print Controller with JAC automatically removes thiscomplexity. JAC merges the datastreams with electronic formoverlays. It can even use multiple-page and multiple-jobprocessing to provide internal and customer copies of a printjob without resending data. Job segmentation allowsseparation of jobs into sections intended for differentrecipients by applying different resources.

Example: Hillary prints order information forshipping, accounting and invoicingHillary is the manager of the EDP for ITL International, amedium-sized mail order firm that sells computer software. Duringthe day, sales representatives have received 100 software orders. As customer information for each sale comes in, sales administratorsenter it onto a computer system.

That night, the host processes the day’s orders, creates a print fileand sends it to the printer. In the printer, JAC takes over. It printsthe order number, product description, delivery date and customer’sname and address for each order on a warehouse form. Based onthe same data, JAC then prints a customer invoice and an invoicecopy for accounting. Each kind of form is delivered to a dedicatedoutput tray ready for distribution to the appropriate departments inthe morning.

Example: Phil receives reports for Sales Region 1, Sales Region 2 and Sales Region 3Every month Phil automatically receives 10 duplexed, two-upreports for Sales Region 1, Sales Region 2 and Sales Region 3. The host generates a single data file containing all the sales figuresfor the month. JAC scans the file information and identifies theregional data breaks. The data for Region 1 and for Region 3 bothend on the left half of the back side of a page, while the data forRegion 2 ends on the left half of the front side of a page. So JACtells the printer to skip to a new page before beginning each newreport. Electronic forms headed Region 1, Region 2 and Region 3,which have previously been installed on the printer’s hard drive, are automatically added to the appropriate data. The printer makes 10 copies of the Region 1 data, 10 copies of the Region 2 data and10 copies of the Region 3 data. The finished reports are ready to bedistributed to sales reps for each region.

Why electronic forms?The advantages of electronic forms are:• Cost-effective processing• Straightforward form management• No pre-printed stock• Elimination of outdated forms• Simplified–or eliminated–post-processing• Low maintenance costs• Easy-to-create and easy-to-change forms

Océ’s approach to electronic formsThe Océ Power Print Series accepts electronic forms createdin PostScript Level 2, PCL 5e or FOL, Océ’s unique Formand Overlay Language. You can use your standard desktoppublishing package to create a PostScript or PCL 5e formand download it onto the printer’s hard drive. This can bedone over the network or via floppy. FOL even lets youposition data on your page in precisely the manner youwant. And what you see on your screen is what you get from your printer.

Once a standard document has been created containing any elements usually found on a pre-printed form (logos,background shading, etc.), it is stored on the printer’s hard drive.

Customized forms are easy with JACWhen a datastream enters the Océ Power Print Controller, itis identified and merged with the correct electronic form,which has been automatically selected from the printer’s harddrive. The Océ Power Print Controller allows this processwithout loss of production speed, even with multiple andcomplex electronic forms. Print Controller. High-speed processing and high-capacityspooling free up the workstation quickly and allow the userto get back to work.

Example: Sharon prints bulk sales results andindividual letters, no problemSales manager Sharon wants to print her sales results every month.But she also needs to print high-quality offer letters for use by hersales reps.

Sharon approves the letters from her workstation. They need to beprinted on the company letterhead in PCL 5e at 600 dpi. Thebulk sales statistics, traditionally produced in an EDPenvironment, are still generated on the company’s host system. Thedata comes in as line data and is printed on a pre-definedelectronic form at 300 dpi.

JAC gets both sets of data. Then automatically chooses PCL 5eand 600 dpi for the letter data, which is merged with a letterheadform that has been previously stored on the printer. Then switchesto line data and 300 dpi for the sales data, which is merged withthe correct sales form. JAC sends the letters to sorter bins 1–20,the bins assigned to the sales reps on Sharon’s team. Then sends thesales data to Bulk Output Tray assigned to EDP output.

The Océ Power Print Controller in the EDP and Office EnvironmentsMaximum power for mixed environments

Automatic switching in mixed EDP/Officeenvironment printingThe power in the Océ Power Print Controller is optimizedin mixed-printing environments. By combining the Officeand the EDP, for example, companies can maximizeresources, maintain flexibility and decentralize production of EDP output. The Océ Power Print Controller allowsmultiple active PDLs to process jobs simultaneously,automatically switching between PDLs depending on the requirements of the job. Resolutions are switchable per job as well.

But the user doesn’t have to worry about applicationor resolution. JAC takes care of it all based on the pre-programmed settings. In fact, to the user there’s verylittle difference between printing to a personal printer andprinting to a shared printer that contains the Océ Power

Automatic finishing in the EDP and CRDAdvanced on-line finishing is often needed in the combinedCRD and EDP environments. Océ recently combinedefforts with third-party finishing partners to enhance thedocument-finishing process. This co-operation allows on-line finishing with post-processing systems and full errorrecovery. It addresses the growing and increasingly importantprint-on-demand market by further automating thedocument-production process, from printing to mailing. So it makes the EDP and CRD more productive.

The Océ Power Print Controller optimizescommunicationOcé and its third-party finishing partners do more thancombine existing machines. They integrate their systems sothey work perfectly together. The Power Print Controller isthe bridge that allows the printer and third-party finishingsystems to act as an integrated system.

Example: Emily prints 500 personalized mailersCRD manager Emily needs to produce 500 personalized marketingmailers. Marketing sends the mailing address list over the network.The mailer itself is a PostScript form stored on the printer’s harddrive. JAC merges the address information with the form topersonalize each mailer’s cover letter.

JAC also generates optical marks on each set to guide finishingoptions, including insertion into the envelope. Among other things,JAC determines:• Whether to add a pre-printed brochure to the output• When a document set is complete so it can be inserted into anenvelope• Where the finished mailing is to be sent (sorted by postal code)

Based on this information, the inserter completes the process anddelivers envelopes ready for mailing. The bi-directionalcommunication between the printer and the inserter ensures fulljob recovery until sheets are delivered on the collection unit of theinserter.
