Getting Started

Welcome to Online Banking for Business, a powerful suite of web-based treasury management tools to help you manage cash flow easily, effectively and strategically.

A customizable homepage allows you to control and personalize the information that is most important to your business, right up front.

Monitor accounts and transactions in real time. Verify the status of payments and receivables. Search and retrieve cheque images at your convenience. Make electronic payments and transfer funds between accounts in seconds, all via the Internet.

Like turning on the ignition in your car, simply login and you’ll access all of your treasury management services, including Canada, US, UK, Euro services, wholesale lockbox, cheque images, lockbox imaging, electronic funds transfer, and foreign exchange.

This user guide is also available as an online help system. To open the help system

from within Online Banking for Business, click the Help link from any page

or the help icon on any section title bar.

Note about user access: Depending on your job, you may not be able to view all pages, or all functions in a page, or perform all the tasks outlined in this guide.

Wire Payments

Wire payments are the quickest, most secure method of sending funds to virtually anywhere in the world. Wire payments are made directly to the beneficiary’s bank and are generally deposited directly into their account. A wire payment is the only payment vehicle that provides:

Finality of payment

Same-day availability of funds

Irrevocability

Ability to include payment related information within the payment message

The Wire Payment service on Online Banking for Business allows you to take control of your wire payment activities with such features as:

Initiate a wire payment from an established template or free-form with no pre-established instructions

Send a CAD or USD wire payment from your same currency account to virtually anywhere in the world

Future date a wire payment up to 30 days into the future

Automatically import wire payments from a formatted file

Determine the security, control, user limits and accessibility that you desire for each user and wire payment

Determine the data retention period that suits you best

Request amendment, cancellation or investigation of a wire payment

Choose from an extensive array of reports

Audit all activities through specifically designed audit reports

Customize your operational reporting and save the customized formats

Export data in comma separated format

Certain configuration settings are required.

U S I N G A S E C U R I D D E V I C E

When providing a final approval for a wire payment, amendment or cancellation you will be required to authenticate yourself to the system; this is done using a SecurID device. In the event that your transactions require no approvals, you will be challenged upon initiation. This applies equally to the File Import function for initiating wire payments.

In addition to having your SecurID device, you will also need to know your 6-digit PIN that you had previously created for yourself. If it is your first time using your SecurID device, refer to “Registering a New PIN for your SecurID Device” on page 3.

The number displayed on your SecurID Device changes every minute and the time remaining is represented by a series of bars on the left of the display (also referred to as a “thermometer”) that will shrink in size as the minute progresses. If there are fewer than 2 lines remaining, it is recommended that you wait until the number changes.

To respond to a system challenge, follow these steps:

1. In the Passcode field, enter your personal 6-digit PIN followed by the 6- digit SecurID displayed on your SecurID device.

Once this has been complete, please click on Submit.

If you have not previously registered a PIN for your SecurID device, enter just the number displayed on your SecurID device into the Passcode field then click on Submit. You will be presented with a screen on which you will be prompted to register a PIN for your SecurID device.

To register your PIN, follow these steps:

1. On the Register New PIN ID screen, enter the 6-digit number that you wish to use as your PIN in the New PIN field.

2. Re-enter this PIN in the Verify New PIN field.

3. Enter the number currently displayed on your SecurID device into the SecurID Number field.

4. Click OK to complete the registration of your new PIN.

5. You will be prompted for the Passcode. Refer to “Using a SecurID Device” on page 2.

W H Y U S E A W I R E P A Y M E N T ?

Wire payments are reliable, irrevocable payments that provide immediate availability of funds. Proceeds of a wire payment are generally made available to the beneficiary by their bank on the value date specified on the payment.

T Y P E S O F W I R E P A Y M E N T S

There are two basic types of wire payments. Where either the party sending the wire payment (the Ordering Customer) or the ultimate beneficiary of the wire payment (the Beneficiary or Beneficiary Institution) is not a financial institution (a Bank), the transaction is referred to as a Commercial Wire Payment. Where both the Ordering Customer and the Beneficiary Institution are banks, it is considered a Bank-to-Bank wire payment. These message types are also referred to as MT103 and MT202 respectively.

C U T - O F F T I M E S

The settlement of wire payments with central banks must be completed by an established time in order to provide value for the same day. This established time can vary by currency. To permit sufficient time to process wire payments and have them in turn processed by the central bank, cut-off times have been established. After cutoff payments for value that day are not possible and must have a value date of at least the next business day. Cut-off times expressed in this product are in Eastern Time (ET). The cut-off time for free-form wires and wires initiated from customer maintained templates is 16:00. Cut-off times for wires initiated from bank maintained templates will most often be 16:00 but may vary depending on the specific template.

V A L U E D A T E

Each wire payment must contain a date on which the proceeds of the wire payment are to be made available to the beneficiary. This date cannot be in the past, greater than the defined number of calendar days in the future, a non-business day, or a holiday.

A wire payment cannot be value dated to a date that is a bank holiday in either Canada or the country where the currency of the payment is denominated. For example, it is not possible to value date a wire payment in USD on either Canadian or U.S. Thanksgiving day.

A P P R O V A L S

Great flexibility exists within this product to define what types of transactions require approvals and how many approvals are required. A transaction will not be considered completed until the defined number of approvals has been obtained. A user who created or last modified a transaction cannot also approve it. Segregation of duties is maintained by this requirement. Should a transaction be modified during that approval process, all approvals received to that point will be removed and the transaction will revert to the beginning of the approval process once again.

L I M I T S

Your company can set transaction limits for the entire company as well as for individual users. Limits are defined separately for both wire creation and approval, and are defined for a single transaction amount as well as for a total daily cumulative amount. All transactions are evaluated against limit amounts using the limit base currency your company defined at enrolment. Templates also have limits that control the value of payments initiated using these templates.

B A N K S E A R C H

This product contains a comprehensive listing of banks available and is updated on a regular basis. To use the search function, the Bank ID Type must be entered as well as either a Bank ID or any part of the name and address fields. Available Bank ID Types for search are provided in a drop-down listing and include; SWIFT, FED, CHIPS, and CC Code. It is not possible to search on Bank ID type ‘Other’. When searching on a Bank ID, the ID must be entered in its entirety. When searching on other fields, any part of any field may be used as the search criteria. To narrow the results of the search it is best to enter as much information as possible.

R O U T I N G I N F O R M A T I O N

To get a wire payment to the beneficiary’s bank, it is often necessary to route the wire payment through another bank. Based upon the bank selected as the Beneficiary Bank, it is possible that additional routing instructions will pre-fill. In this case, the default routing information cannot be changed and will remain with the wire payment.

If specific routing is required for a wire payment, the beneficiary would normally advise you of the information to be entered. Up to three banks can be specified in the routing of a wire payment. In order, they are: Receivers Correspondent, Intermediary Institution, and Beneficiary’s Bank.

The Ordering Customer on a wire payment is the entity that has ordered the funds to be paid. On a Commercial Payment, this information will automatically default to the name and address that is on file for the account from which the funding for the wire payment will come. In the event that the actual Ordering Customer is different from the name of the account, it is possible to elect to change it on the actual wire payment. In the case of a Bank-to-Bank wire payment, the Ordering Institution will default from the Customer name and address on file and cannot be amended.

W I R E P A Y M E N T I N I T I A T I O N

You can intiate a Wire Payment online in several ways. Each provides the control and security that you have established. You can initiate a wire payment using:

Pre-defined templates that were created by you or by Bank of Montreal on your behalf

Quick Entry to a pre-established template

Group Quick Entry when you have more than one wire payment to be initiated using a pre-established template

Free-form Entry, with no pre-established routing instructions

Payment Import when you have the wire payment data in a file that has been pre-defined

To use the first three initiation methods, you must have existing templates. Refer to ‘Templates’ later in this document.

I N I T I A T I N G A C O M M E R C I A L W I R E P A Y M E N T F R O M A T E M P L A T E

1. From your Home page, click Payments & Receivables. Then Wire Payment, Wire Creation and From Template Wire on the subsequent menus.

2. On the Create Wire From Template – Search Criteria screen, enter the template ID to be used or search for the correct template by selecting the Funding Account. You can also click Next to view a list of all your templates and select the one you wish to use.

3. All templates that match the entered criteria are displayed on the Create Wire From Template – Search Results screen. If the desired template is not displayed, you can perform the search again by entering new criteria then clicking on the Search again button.

4. Click on the specific Template ID that you wish to use and the Create Wire From Template - <Template ID> screen will be displayed.

5. The Value Date field content will default to be the first available value date for this wire.

6. To manually change the Value Date to a date in the future, type in the desired Value Date. To use the calendar, click on the calendar icon to the right of the field, and then click on the desired date.

7. Enter the amount of the wire payment.

8. If the template permits, you may enter up to 4 lines of text for the beneficiary providing information about this wire payment in the Payment Details section.

There are three possible values that will display to the right of the payment Details. These are: May Modify, Append To, and Cannot Change.

9. Click Next. The Create Wire From Template - Verify screen is displayed.

10. Review your wire payment and then click Submit to complete the initiation. The Create Wire From Template – Results screen is displayed.

11. On the Create Wire From Template – Results screen, you may Print the screen or click OK to return to the Create Wire From Template – Search Criteria screen.

It is not necessary to enter commas. If decimals are not entered, they are assumed to be zero and all numbers entered will be whole numbers.

4. The Value Date field content will default to be the first available value date for this wire.

5. To manually change the Value Date to a date in the future, type in the desired Value Date. To use the calendar, click on the calendar icon to the right of the field, and then click on the desired date.

6. If the template permits, you may enter up to 4 lines of text for the beneficiary providing information about this wire payment in the Payment Details section by clicking the Reference hyperlink.

7. If you have selected to enter Payment Details, click on the OK button when you have completed entering your information to return to the Create Wire – Quick Entry screen.

8. You may continue entering Quick Entry wires on separate lines until all available lines have been used.

9. When all required wire payments have been entered, click Next to proceed to the Create Wire - Quick Entry Verify screen.

10. A list of all of the wire payments entered on the previous screen will be displayed on the Create Wire – Quick Entry Verify screen.

11. To view the full details of a wire, click on the Details hyperlink on the left of the row containing the wire payment to be viewed.

12. If you have chosen to view the details of a particular wire payment, click OK to return to the Create Wire – Quick Entry Verify screen.

13. When you have finished verifying the wire payments, click Submit to complete the Initiation process and display the Create Wire – Quick Entry Results screen.

14. The Create Wire – Quick Entry Results screen has two sections. The first is the Summary section followed by the Confirmation Detail section.

15. The Summary section of the Create Wire – Quick Entry Results screen displays the summary information of the wire payments that were displayed on the Create Wire – Quick Entry Results screen.

16. The Confirmation Detail section provides information on each individual wire payment that appeared on the Create Wire – Quick Entry Results screen as well as a hyperlink in the Status column in the event that there is an Error or Warning on a particular wire payment.

17. To view a particular Error or Warning message, click on the hyperlink field in the Status column.

An Error will have the word Error in the Status column, while a Warning will have a normal status such as Pending ) of 1, but will appear as a hyperlink.

18. Click OK to return to the Create Wire – Quick Entry screen.

1. From your Home page, click Payments & Receivables. Then Wire Payment, Wire Creation and Group Quick Entry Wire on the subsequent menus.

3. Click Next to proceed to the Create Wire – Group Quick Entry screen.

4. The Create Wire – Group Quick Entry screen presents you with a list of all template groups that are available for you to use.

5. Enter the amount of the wire payment in the row containing the template that you wish to use.

9. If you have selected to enter Payment Details, click on the OK button when you have completed entering your information to return to the Create Wire – Quick Group Entry screen.

It is not necessary to use all templates in a Quick Entry Group. A template is selected for use by entering an amount into it.

10. Once all desired templates have been completed, click Next to proceed to the Create Wire – Group Quick Entry Verify screen.

11. The Create Wire – Group Quick Entry Verify screen will display a summary of each wire payment that is about to be initiated from the previous screen.

12. To verify the detail of a particular wire, click the hyperlink Details field on the desired row.

13. To return to the Create Wire – Group Quick Entry Verify screen, click OK.

14. Once all wire payments have been verified, click Submit to initiate the wire payments and view the Create Wire – Group Quick Entry <group name> screen.

15. The Create Wire – Group Quick Entry - <group name> screen is divided into a Summary and a Confirmation Detail section.

16. The Summary section of the Create Wire – Group Quick Entry <group name> screen displays the summary information of the wire payments that were displayed on the Create Wire – Group Quick Entry - Results screen.

17. The Confirmation Detail section provides information on each individual wire payment that appeared on the Create Wire – Quick Entry Results screen as well as a hyperlink in the Status column in the event that there is an Error or Warning on a particular wire payment.

18. To view a particular Error or Warning message, click on the hyperlink filed in the Status column.

An Error will have the word Error in the Status column, while a Warning will have a normal status such as Pending ) of 1, but will appear as a hyperlink.

19. Click OK to return to the Create Wire – Select Quick Group screen.

I N I T I A T I N G A F R E E - F O R M C O M M E R C I A L W I R E P A Y M E N T

1. From your Home page, click Payments & Receivables. Then Wire Payment, Wire Creation and Freeform Commercial Wire on the subsequent menus.

2. Select the Funding Account from the drop-down list of accounts to which you have been given access. The Payment Currency will default to be the same currency as that of the Funding Account.

3. The Value Date field content will default to be the first available value date for this wire.

4. To manually change the Value Date to a date in the future, type in the desired Value Date. To use the calendar, click on the calendar icon to the right of the field, and then click on the desired date.

5. Enter the Amount of the wire payment.

6. Enter the Beneficiary Information, including name and address. Select the country by clicking on the Select button then choosing the country from the drop-down list provided.

7. Select the type of address that the Beneficiary Bank uses from the drop-down list for Bank ID type.

If the Beneficiary Bank ID Type is not contained on the list, or if you are unable to determine it, select ‘Other’. While this will permit you to continue, it will delay the payment processing as Bank of Montreal staff will process the wire payment manually.

8. Enter a Bank ID or all or part of the Beneficiary Bank name and address information, then click search to look it up in the extensive directory of banks. If Bank ID type of Other is used, then enter all relevant details manually, as a search is not allowed.

When searching for a bank, all fields in the relative section are used in the search. The more specific the data entered, the fewer the results that will be returned in the Bank Search Results screen. If you enter a Bank ID, you must enter the full ID.

9. If you have searched for the bank information, select the desired bank by clicking the Bank Name on the list provided in the Bank Search Results screen.

10. Enter any Payment Details that you wish to appear on wire payment.

11. If this wire payment is being sent on behalf of someone else, click the Modify Ordering Customer Information box, then enter the full name and address of the actual Ordering Customer.

13. If the Beneficiary or the Beneficiary Bank has instructed you to include the correspondent bank information, then the Receiver’s Correspondent field should be completed. (See example at the end of this section).

14. Click Next to display the Create Wire – Free-form Commercial – Verify screen.

15. Once all details have been verified on the Create Wire – Free-form Commercial – Verify screen, click Submit to begin the initiation process.

You will be presented with a User Authentication screen if this wire requires no approvals. Once you supply the correct Authentication information, the wire will immediately receive final approval.

16. The Create Wire – Free-form Commercial Results screen will be presented confirming that the wire payment has been successfully initiated.

17. Click OK to return to the Create Wire – Free-form Commercial screen.

Let’s suppose that you need to pay U.S. dollars to Some Company and they maintain their USD account at the branch of Canada Wide Bank at the corner of Main and Second streets in Winnipeg, Manitoba. Canada Wide Bank maintains their USD account at the U.S. Wide Bank in New York and this information is provided to you.

To effect this payment you would:

Enter the information for Some Company in the Beneficiary section.

Select the Canadian Clearing (CC) code from the drop-down list in the Beneficiary’s Bank field. The Intermediary Institution field will automatically fill-in with the location of Canada Wide Bank’s Wire Payment processing Centre.

Access to this wire type is restricted and will not be available to all customers.

1. From your Home page, click Payments & Receivables. Then Wire Payment, Wire Creation and Freeform Bank to Bank Wire on the subsequent menus.

2. Select the Funding Account from the drop-down list of accounts to which you have been given access. The Payment Currency will default to be the same currency as that of the Funding Account.

3. The Value Date field content will default to be the first available value date for this wire.

4. To manually change the Value Date to a date in the future, type in the desired Value Date. To use the calendar, click on the calendar icon to the right of the field, and then click on the desired date.

5. Enter the Amount of the wire payment.

It is not necessary to enter commas. If decimals are not entered, they are assumed to be zero and all numbers entered will be whole numbers.

6. Enter the Beneficiary Institution Information, selecting the country from the drop-down list provided.

7. Select the type of address that Beneficiary Institution uses from the drop-down list for Bank ID type.

If the Beneficiary Bank ID Type is not contained on the list, or if you are unable to determine it, select ‘Other’. While this will permit you to continue, it will delay the payment processing as Bank of Montreal staff will process the wire payment manually.

8. Enter a Bank ID or all or part of the Beneficiary Institution name and address information then click search to look it up in the extensive directory of banks. If Bank ID type of Other is used, then enter all relevant details manually, as a search is not allowed.

When searching for a bank, all fields in the relative section are used in the search. The more specific the data entered, the fewer the results that will be returned in the Bank Search Results screen. If you enter a Bank ID, you must enter the full ID.

9. If you have searched for the bank information, select the desired bank by clicking the Bank Name on the list provided in the Bank Search Results screen.

10. Complete the Account with Institution Information section if the Beneficiary Institution’s account at a different financial institution is to be paid.

11. Enter any special instructions or information to the Beneficiary Institution in the Sender to Receiver Information SWIFT standard formatting is required when using this field. For example: The first line must begin with a “\” followed by a specific code then closed with another “\”.

12. Your bank’s name and address will automatically default and cannot be changed.

13. Click Next to display the Create Wire – Free-form Bank to Bank – Verify screen.

14. Once all details have been verified on the Create Wire – Free-form Bank to Bank – Verify screen, click Submit to begin the initiation process.

You will be presented with a User Authentication screen if this wire requires no approvals. Once you supply the correct Authentication information, the wire will immediately receive final approval.

15. The Create Wire – Free-form Bank to Bank - Results screen will be presented confirming that the wire payment has been successfully initiated.

16. Click OK to return to the Create Wire – Free-form Bank to Bank screen.

D E L E T I N G A W I R E P A Y M E N T

A wire payment transaction can only be deleted prior to receiving final approval. Once final approval has been received, it can no longer be deleted and must be cancelled or amended. Once a wire payment is deleted, it cannot be undeleted.

1. From your Home page, click Payments & Receivables. Then Wire Payment, Wire Activities and Modify/Delete Wire on the subsequent menus to display the Modify/Delete Wire Search Criteria screen.

2. Enter the search criteria to retrieve the desired wire payments then click Next to display the Modify/Delete Wire Search Results screen.

3. Select the wire payment to be deleted by clicking on the radio button to the left of the appropriate row, then click Next.

2. Enter the search criteria for the wire payment that requires cancellation and click Next to display the Cancel Wire – Search Results screen.

3. Locate the wire to be cancelled from the Cancel Wire – Search Results screen and select it. Click Next to display the Cancel Wire - Verify screen.

4. Click Submit on the Cancel Wire - Verify screen.

5. If the value date of the wire is not in the future, you will be presented with a confirmation box. To continue with the cancellation after reading the message, click OK in the confirmation box to display the Cancel Wire – Results screen.

Canceling a wire payment that has already been issued by the bank may incur charges from the other bank(s) involved in the payment. Respond appropriately to the confirmation box.

6. Click OK to return to the Cancel Wire - Verify screen.

D E L E T I N G A C A N C E L L A T I O N

1. From your Home page, click Payments & Receivables. Then Wire Payment, Wire Activities and Delete Cancellation to display the Delete Cancellation Search Criteria screen.

A P P R O V I N G T R A N S A C T I O N S

If your company has indicated that approvals are required, you will need to approve Wires, Amendments and Cancellations and any modification to them (other than deletion). Approvals are subject to the limit checks described earlier in this document. Only transactions that you can approve and that are funded from accounts you have permission to will be displayed.

In order to approve a transaction, you will require an RSA SecurID®* token device issued by the Bank. Refer to “Using a SecurID Device” on page 2.

1. From your Home page, click Payments & Receivables. Then Wire Payment, Wire Activities and Approve Wire to display the Approve Wire Transactions screen.

2. From the list of transactions requiring approval, select those transactions that you wish to Review or Approve and then click Submit.

3. The Approve Wire Transactions Results screen will be displayed if any transactions were selected as Approve.

Transactions that have errors will be displayed with a hyperlink “Error” that, when clicked, will report the errors for that transaction. Any transaction with an error will not have been approved.

4. Click Next to proceed.

5. The Review Wire Transaction <transaction type> screen will be displayed for each transaction that had been selected for Review.

6. To move forward without approving a specific transaction, click Skip. To approve a transaction and move forward, click Approve.

7. When all transactions selected for Review have been acted upon, the Approve Wire Transaction screen will appear displaying a summary of the wires approved during the Review process.

Transactions that have errors will be displayed with a hyperlink “Error” that, when clicked, will report the errors for that transaction. Any transaction with an error will not have been approved.

T E M P L A T E S

There are two main reasons why wire payment templates are used. First, they provide security and control, since beneficiary and payment routing instructions cannot be changed when a wire payment is initiated. They also allow for faster initiation of a wire payment, as there are far fewer pieces of data required to be entered.

There are two types of wire payment templates:

Customer Maintained Templates can be created, modified and deleted by authorized customer users. Once a customer maintained template receives final approval by an authorized customer user, an authorized bank user must then approve or reject it Bank approval or rejection will be done within 2 business days. This will ensure that the routing instructions contained in the template are correct and that Bank of Montreal can process the resulting wire payments properly.

Bank Maintained Templates can only be created, modified and deleted by an authorized bank user. Once an authorized bank user has approved a bank

maintained template, an authorized customer user must then approve it. This will ensure that the instructions entered into the template are as requested by the customer.

A template of either type will only be available for use when all required approvals have been received.

1. From your Home page, click Payments & Receivables. Then Wire Payment, Wire Templates and Create Commercial to display the Create Commercial Template Name screen.

2. Enter a unique Template ID to be assigned to this template and optionally a Template Name.

3. Where the template that you are creating is similar to a template that already exists, you may select the Template ID of the existing one in the Copy from field to copy it into the new one.

4. Click Next to display the Create Commercial Template screen.

5. If you had Copied from an existing template, make any changes required for the new template and click Next. Go to step 19 of this procedure.

6. The Template ID and optional Template Name that you entered on the Create Commercial Template Name screen are pre-filled on the template. Select the Funding Account that is to be used to fund wires using this template.

7. Payment Currency will default to the currency of the funding account.

8. Enter a Template limit to be used to define the maximum single payment amount that this template can be used for when creating a wire payment.

9. Enter a Cumulative limit to be used to monitor the total value of wire payments that this template can be used to Initiate in any one day.

10. Select the Number of approvals that must be obtained for any wire payment initiated using this template.

11. Enter full Beneficiary Information, including name and address. Select the country by clicking on the Select button then choosing the country from the drop-down list provided.

12. Select the type of address that Beneficiary Bank uses from the drop-down list for Bank ID type.

14. If you have searched for the bank information, select the desired bank by clicking the Bank Name on the list provided in the Bank Search Results screen.

15. Select the Details Override to define what a User may do with the Payment Details data when initiating a wire payment using this template.

16. Enter any Payment Details that you wish to appear on wire payments initiated using this template.

17. If wire payments initiated using this template will be sent on behalf of someone else, click the Modify Ordering Customer Information box then enter the full name and address of the actual Ordering Customer.

18. Click Next to display the Create Commercial Template – Verify screen.

19. After verifying the template details, click Submit to display the Create Commercial Template – Results screen.

20. Click OK to return to the Create Commercial Template Name screen.

19. Ordering Institution Information will default and cannot be altered.

20. Click Next to display the Create Bank to Bank Template – Verify screen.

21. After verifying the template details, click Submit to display the Create Bank to Bank Template – Results screen.

22. Click OK to return to the Create Bank to Bank Template Name screen.

D E L E T I N G A T E M P L A T E

You may only delete Customer Maintained Templates. If you wish to delete a Bank Maintained Template, you must send a request to the Bank.

1. From your Home page, click Payments & Receivables. Then Wire Payment, Wire Templates and Modify/Delete to display the Modify/Delete Templates Search Criteria screen.

2. Enter the selection criteria to search for the template to be displayed, and then click Next.

3. Select the desired template from list of templates displayed on the Modify/Delete Template Search Results screen.

Only templates that are funded from accounts to which you have permission will be displayed.

4. After verifying that the correct template has been displayed on the Modify/Delete Template - <template name> screen, click Delete.

Ensure that the correct template is displayed, as it cannot be undeleted afterwards.

5. Respond to the confirmation box by clicking OK or Cancel.

6. The Delete Template – Results screen will provide the details of the deleted template. Click OK to return to the Modify/Delete Template Search Results screen.

M O D I F Y I N G A T E M P L A T E

Customer maintained templates can be freely modified at any time by an authorized customer user. Bank maintained templates can only be modified by the bank, with the exception of the field that identifies the number of approvals that wires created using that template will require. An authorized customer user can modify this field. If the selected template was rejected by the bank, the reason and descriptive text for the rejection will appear at the bottom of the template to facilitate the required modifications. This rejection text will not be stored for future reference.

Templates that have been modified will require the same approval process as if they were newly created.

1. From your Home page, click Payments & Receivables. Then Wire Payment, Wire Templates and Modify/Delete to display the Modify/Delete Templates Search Criteria screen.

2. Enter the selection criteria to search for the template to be displayed, and then click Next.

3. Select the desired template from list of templates displayed on the Modify/Delete Template Search Results screen.

Only templates that are funded from accounts to which you have permission will be displayed.

4. Modify the necessary fields, and then click Next.

When searching for a bank, all fields in the relative section are used in the search. The more specific the data entered, the fewer the results that will be returned in the Bank Search Results screen. If you enter a Bank ID, you must enter the full ID.

5. The Modify Template <template name> - Verify screen will display the new version of the template with modified fields highlighted. Click Submit to record these modifications and continue.

6. The Modify Template <template name> - Results screen will display a confirmation of the changes that were made. Click OK to return to the Modify/Delete Template Search Results screen.

Details of templates selected for Review will be displayed sequentially while details of those selected for Approve will not be displayed.

You may click on either the Review or Approve box in the Title Bar to automatically assign that value to all templates in the list.

4. Click Submit when all selections have been made.

5. If Approve was selected for any templates, the Approve Templates – Confirmation screen is displayed containing a summary of all templates that have been approved. Any errors will be displayed as a hyper-link in the Approvals column.

6. To view any errors, click the hyper-link, then OK to return to the Approve Templates – Confirmation screen.

7. Click Next to proceed.

8. If Review was selected for any templates, the Review Template - <template name> screen is displayed.

9. After reviewing the template, you can either click Skip to proceed without approving the template or Approve to record your approval to the template.

10. Continue this Review process until all selected templates have been reviewed. The Approve Templates – Confirmation screen will be displayed when all selected templates have been reviewed displaying a summary of the approvals. Any errors will be displayed as a hyper-link in the Approvals column.

11. To view any errors, click the hyper-link, and then OK to return to the Approve Templates – Confirmation screen.

12. Click Next to return to the Approve Templates screen.

In the event that the bank identifies a template that requires correction before it can be approved, an authorized bank user will reject the template request and provide a reason for the rejection along with the corrections that are required. In the event that a template is rejected, customer users who are entitled to create, modify or delete this customer maintained template will receive a pop-up advising them that a template has been rejected.

Rejected templates will require modification and if required, approval by an authorized customer user before it can be reviewed again by the bank.

A rejected template can be accessed in 2 ways; by clicking on hyper-link provided in the notification pop-up box, or by navigating using the standard menu. See Modifying a Template earlier in this guide for details of using the standard menu.

Only templates that are funded from accounts to which you have permission will be displayed.

2. Modify the necessary fields, and then click Next.

3. The Modify Template <template name> - Verify screen will display the new version of the template with modified fields highlighted. Click Submit to record these modifications and continue.

4. The Modify Template <template name> - Results screen will display a confirmation of the changes that were made. Click OK to return to the Modify/Delete Template Search Results screen.

A D D I N G A T E M P L A T E G R O U P

1. From your Home page, click Payments & Receivables. Then Wire Payment, Wire Templates and Template Group to display the Template Group Maintenance screen.

2. Click Add on the Template Group Maintenance screen.

3. The Template Group Maintenance – Create new template group screen will be displayed listing all templates that you have access to in the Available Templates section.

4. Enter a name for this Template Group in the Template group ID field.

5. Select the template to be included in the group and move it to the Selected templates by clicking on the Move Button.

6. Remove a template from the group by highlighting it and clicking on the Remove button.

Before deleting a Template Group, ensure all users in your company are advised.

3. On the Template Group Maintenance screen, verify that the correct Template Group has been selected and then make the required changes.

4. When all required changes have been made, click Submit to return to the Template Group Maintenance screen.

There are times and reasons when a specific wire payment needs to be investigated. Our Investigation service permits you to:

Create a new investigation using the original wire payment as the base. You will receive a first response to your investigation within 24 hours.

Exchange follow-up information with the bank.

Log and store your own notes relative to the investigation. These notes are not accessible by bank staff, only you will see these notes.

Close an outstanding investigation.

Only wire payments that have received a Bank Confirmation Number can be investigated.

3. A list of wire payments that meet the search criteria entered will be displayed on the Create Investigation – Wire search results screen. Select the wire payment to be investigated, and then click Next.

4. The Create Investigation screen is displayed containing the details of the wire payment.

5. Select the Investigation Reason from the available reasons in the drop-down list. Use Other if the specific reason is not listed.

6. Enter any additional information about the investigation in the Additional Investigation Information box.

7. You can enter Your Notes regarding this investigation.

Information entered in the Your Notes section is for your reference only and will not be sent to the bank.

8. Click Submit to display the Create Investigation – Results screen.

9. Click OK to return to the Create Investigation – Wire search results screen.

1. From your Home page, click Payments & Receivables. Then Wire Payment, Wire Activities, and then Follow-up/Close Investigation to display the Investigation – Search Criteria screen.

2. Enter the search criteria for the investigation that you wish to follow-up on and click Next to proceed to the Investigation – Search results screen.

3. A list of investigations that meet the search criteria entered will be displayed on the Investigation – Search results screen.

4. Select the investigation to be followed-up, and then click Next.

5. The Investigations Detail screen will be displayed containing the details of the original investigation and all follow-up communications between you and the bank.

6. Enter the desired Follow-up Communication and, if desired, Your Notes.

7. Click Submit to display the Investigation Follow-up –Results screen.

8. Click OK to return to the Investigation – Search Criteria screen.

Before getting started with Wire Payment Reporting, there are some features and concepts with which you should be familiar. Wire Payment Reports allow you to work with three basic types of reports:

1. Audit reports - These reports provide details of wire payment activities for the purpose of control. The contents of these reports are pre-defined and only the activity date can be entered.

2. Operational reports – These reports are operational in nature and provide a high degree of filtering capability. These reports can be customized and saved for future use by the user.

3. Management reports – These reports are used to report on the historic activities of a wire payment or a template and to produce a summary report of transactions that can be used for import to another system.

Some reports are available in Comma Separated Value (CSV) format for use with other software programs. Data is retained for 90 days, however arrangements can be made to store data longer for a customer.

Use the Print button on your browser's toolbar to print the report.

R E P O R T D E S C R I P T I O N S

The following are simplified report descriptions for the basic reports for wire payments.

Daily Wire Payment Audit Report: Provides a detailed listing of all wire payment transactions that were created, amended, or deleted on the date selected. This report is designed to audit all wire payment activities on a particular day.

Daily Wire Template Audit Report: Provides a detailed listing of all wire payment templates that were created, amended, or deleted on the date selected. This report is intended to audit all new and changed wire payment templates on a particular day.

Daily Wire Payment Import Control Summary Report: Provides a detailed listing of all wire payment transactions submitted by Import File that were in Complete or Error staus on the date selected. This report is designed to audit all wire payment activities in the Import File on a particular day.

Daily Wire Payment Import Control Details Report: Provides the details of all wire payment transactions in an Import File that are in Process, Complete or in Error staus. This report is intended to audit the status of all Import file wire payments on a particular day.

Wire Payments Inquiry Report: Provides a detailed listing of all wire payment transactions based on the various selection criteria entered. While similar to the Daily Wire Payment Audit Report, this report allows the user to apply selection criteria to the search results. Selection criteria can be entered to customize this report and the customized report can be saved for future use.

Wire Payments Investigation Report: Provides a detailed listing of all wire payment investigations including all correspondence and notes. Selection criteria can be entered to customize this report and the customized report can be saved for future use.

Wire Payments Received Report: Provides details of all incoming wire payments credited to your accounts. Selection criteria can be entered to customize this report and the customized report can be saved for future use.

Wire Template Inquiry Report: Provides a detailed listing of templates as of the date selected on the Select Wire Report screen. Selection criteria can be entered to customize this report and the customized report can be saved for future use.

Wire Template History Report Provides a chronological history of all actions taken on the selected template from creation to the time the report was run.

Wire Payment History Report Provides a chronological history of all actions taken on the selected wire payment from creation to the time the report was run.

Wire Payments Summary Report Provides a summary of all wire payments that had received final approval for the period specified. When generated in Comma Separated Value (CSV), this report can be used to update other systems such as an accounts payable system.

Daily Wire Payment Audit Report 1. From your Home page, click Payments & Receivables. Then Wire Payment, Wire

Reports, Audit, and then Daily Wire Payment Audit to display the Wire Reporting - Daily Wire Payment Audit Report.

2. Enter the Date for which the report is to be produced. To use the calendar, click on the calendar icon to the right of the field, and then click on the desired date.

3. From the Output Format drop-down list select whether you want the report generated as Print version, or CSV download.

4. Click Generate to produce the report.

Daily Wire Template Audit Report 1. From your Home page, click Payments & Receivables. Then Wire Payment, Wire

3. From the Output Format drop-down list select whether you want the report generated as Print version, or CSV download.

4. Click Generate to produce the report.

Daily Wire Payment Import ControlSummary and Details Report: 1. From your Home page, click Payments & Receivables. Then Wire Payment, Wire

Reports, Audit, and then Daily Wires Import Control to display the Wire Reporting – Daily Wires Import Control Report.

2. Enter the Date in the box displayed (DD-MM-YYYY) for which the report is to be produced. To use the calendar, click on the calendar icon to the right of the field, and then click on the desired date. If no date is entered, the default current business day will be used.

3. Click on Next to produce the Daily Wires Import Control Report for all the files imported for the Date.

4. Under File Status “Error” will appear as hyperlinks. Click on the Error hyperlink to view Error Message Details for each wire displayed.

5. Under File Status “In Process “will appear and under Currency “Undefined” will appear if the file has not completed processing.

6. Under File Status “Complete” will appear once all wires submitted in a file have been processed successfully.

7. Under Select click on the radio button for the desired Wire Payment Control File and then click on “Details”. The Daily Wire Payment Import Control Details Report will provide the details and status for each wire in that File Import.

8. In the event that the Daily Wire Payment Import Control Details Report status is “Pending” then the wire is still waiting for approval by the established number of approvals required to release a wire.

Wire Payments Inquiry Report 1. From your Home page, click Payments & Receivables. Then Wire Payment, Wire

Reports, and Operation, to display the Select Wire Report screen.

2. Select Wire Payments Inquiry Report from the list provided.

Wire Payment Imports allow you to import wire payment data from a file that has been created by another software/system. It automates the initiation of wire payments and greatly minimizes the time required to initiate wire payments while providing a high level of security and control at the same time. The detailed specification for the file to be imported is defined in Appendix I of this guide.

Define Rules – This step tells the system four important things:

1. The type of file being imported.

2. The data fields included in the file.

3. The order in which the data is stored in the file.

4. Basic file formatting information.

Data can be imported into either existing templates or as free-form wire transactions.

Import rules can be defined for both Comma Separated Value (CSV) as well as Fixed Length formatted files. Multiple rules can be defined and saved.

Import File – This step specifies the file name and location, as well as identifies the specific rule to be used to execute the import and begins the import process.

C R E A T I N G A N E W I M P O R T R U L E

1. From your Home page, click Payments & Receivables. Then Wire Payment, Wire Activities, and then Define Import Rules.

2. Click ADD on the Wire Import Specification screen.

3. Provide a unique Import Specification Name for this rule and complete remaining information.

4. Click Next to display the Wire Import Specification New - <type> screen.

5. Select the appropriate values for Field Delimiter, Decimal Delimiter, and Date Format on Import File.

If a comma (,) has been selected as the Field Delimiter, it cannot also be used as the Decimal Delimiter.

6. For a delimited rule, enter the position number for each field in the file being imported. For example, the first field in the file should be ‘1’, the second ‘2’, etc. For a fixed position rule, enter the starting and ending position of each field in the file.

Fields indicated with an asterisk (*) are mandatory and must be contained in the file.

7. Click Next to display the Wire Import Specification Verify - <type> screen.

8. After verifying the rule, click Submit.

9. Click OK on the Wire Import Specification Results - <type> to return to the Wire Import Specifications – Selection screen.

2. On the Import Transactions screen enter the path and name of the file to be imported by typing the “Import File Name” or the Browse function to locate the file from the computer.

3. Select the Import Specification Name for the file being imported from the drop-down list, and then click Next.

4. On the Preliminary Review screen the first five records will be displayed if the file can be read. The Preliminary Review screen is also used to ensure that the data entered appears as expected. Click Submit to continue and process the file or cancel if errors are listed.

5. The Wires Import Result screen will be presented providing confirmation message “Submit completed. Please check control report for details later.”

6. Once processing time has elapsed .From the Wires menu, click Reports, Audit, and then Daily Wires Import Control Report.

7. Enter the Date for which the Daily Wires Import Control report is to be produced or click on the calendar icon to select a date from the calendar.and then click Next.

8. Wires with a status of Error will not have been imported and must be handled separately if needed. For errors in any of the payments, click on the hyperlink Error under File Status.

9. Under Select click on the radio button for the desired Wire Payment Control File and then click on Details.The Daily Wire Payment Import Control Details Report will provide the details and status for each wire in that File Import.

10. In the event that the Daily Wire Payment Import Control Details Report status is “Pending” the wire is still waiting for approval by the established number of approvals required to release it.

Wire payment import files are used as a data source for automatically initiating wire payments. These files are created by other software or systems and can be grouped into two formats:

Comma Separated Value (CSV) – Data within this type of file are variable in length, to a maximum of the field size to which it is being imported. Where a particular piece of data is not included, there are simply two commas together without formatting in between; a blank or space is not required between the commas. Although the data must always be in the same order, the defined order is not important and is accommodated in the definition of the import rule.

Fixed Length – Data within this type of file is always the same length and padding is required where no data is present or the data does not completely fill the defined field length. Although the data must always be in the same order, the defined order is not important and is accommodated in the definition of the import rule.

While data import is more common using free-form rules, it is possible to import into existing templates as well. From a data import point-of-view, the only difference between importing free-form wires and importing data into a template is the number of fields required in the import file.

All reports are available in Hypertext Markup Language (HTML) format and these reports can be saved in this format for future reference by clicking on File then Save As. A standard file save box will appear requiring you to select the location to save it. Locate the directory and either accept the default file name or make any required changes then click on Save.

If you intend on saving this report multiple times, it would be advisable to include the date of the report in the name to avoid over-writing previous reports.

You may encounter a standard IE Explorer message advising that the page may not be saved correctly. If this occurs, save the report then check the saved version to ensure that it has been properly saved.

With few exceptions, wire payment reports can be downloaded in Comma Separated Value (CSV) format. This is generally done when certain data contained in a particular report will be uploaded into another system such as an Accounts Payable or Accounts Receivable system.

The steps for saving a CSV formatted report are the same for each report. These steps are:

1. Select CSV Download from the Output format list

2. Click Generate

3. Select Save on the File Download dialog box that will appear

4. Enter the directory (folder) and file name to be used to save the file

5. Click on open to view the data or close to complete the function

Field Name Description

Account with institution information This area contains routing information relating to the bank that maintains the account for the Beneficiary Institution in the currency of the payment. Used in Bank-to-Bank transfers

Amount This field contains the amount that will be charged to the funding account and paid to the beneficiary’s bank.

Approving a Template The result of verifying the correctness of a template. For customers this will result in the template becoming available to a bank operator to verify. For a bank user this is the action that will allow the template to be viewed/used by appropriate customer users.

Audit Information One or more fields containing some audit information regarding the wire payment transaction

Bank confirmation number (also known as ICN) A number assigned by the wire payment engine in BMO a value in this field indicates that BMO has successfully received this wire payment request

Bank Search The action of searching the database for all banks that meet the search criteria entered.

Beneficiary bank information This area contains the details of the bank where the beneficiary maintains their account. It displays bank id type (swift, fed chips, cc or other), the bank id, the bank name, and the address of the beneficiary bank. When using other, it is not possible to perform a search, all information must be entered manually and be complete to enable the wire payment to be routed correctly.

Beneficiary information This area contains the details of the beneficiary of the wire payment. It contains the beneficiary name, beneficiary account number, other bank charges (whether they are to be paid by the

Beneficiary Institution ID Type The telecommunication service to which the beneficiary institution id belongs SWIFT, Chips, Fed, CC-code or Other.

Beneficiary institution information This area contains the name and routing information for the bank that is the beneficiary of the payment. Used in Bank-to-Bank transfers

Control number This field will contain the internal system assigned control number that has been assigned (if any) to the wire payment. A control number is assigned once the wire payment has received all required approvals.

Cumulative Limit The maximum aggregate value that is permitted in a single transaction day.

Cut-off time This text field displays the time after which this wire payment cannot be submitted for same day value. This field is pre-populated and cannot be modified.

Details override This field is available only on templates and allows you to select whether someone using this template to create a wire payment may modify, append to, or cannot change information in the payment details fields.

Entry Date The date on which the wire payment was initiated

File Import Rule The logic and format that defines the layout of a data file containing wire payment instructions to be read by the system with the intent to automatically create wire payments.

Freeform Bank to Bank Wire Payment

A wire payment that has been created without the use of a template and both the Ordering Party and the Beneficiary are financial institutions.

Freeform Commercial Wire Payment

A wire payment that has been created without the use of a template and either or both of the Ordering Party or the Beneficiary is not a financial institution.

Funding account This is the account and account currency from which the funds will be taken to effect the wire payment.

Intermediary Institution ID Type The communication network that the intermediary institution id is associated

Intermediary institution information This area contains the details of the bank to be

LVTS number A confirmation number assigned by LVTS (for Canadian dollar payments). A value in this field confirms that the wire payment request has been successfully completed to the beneficiary institution

Message Type Indicates the record to be either a commercial payment or a bank-to-bank payment

Method of Initiation Indicates whether a wire payment request was initiated using a template or in free-form.

Modify ordering customer information

Selecting this field permits you to change the information in the ordering customer information section. This should be a rare occurrence and it is recommended that this field not changed unless required.

Modify Ordering Party Indicator If checked indicates that your name and/or address as the ordering party of the wire payment may have been changed by the user who initiated it

Number of Approvals The number of authorized users that must provide their approval to the transaction before it will be released to the bank.

Number of Records Contains the total number of records including the Header and Trailer rows (including Header and Trailer)

Ordering customer information This area contains information on the customer ordering the wire payment. This will default to the name and address on record for the funding account.

Ordering institution This section will contain the information on file for your bank and cannot be changed.

Other bank charges For most customers this field will contain only paid by beneficiary. This field indicates who will pay the charges of the first bank in the wire payment routing. Some wire payments require routing through multiple banks in order to reach the beneficiary bank and these banks may

Payment currency This field displays the currency of the wire payment. It is automatically filled based on the currency of the funding account that has been selected.

Payment details This section is optional and permits the entry of information to be communicated with the payment. Things such as invoice numbers or other reasons for the wire payment are entered here.

Receivers correspondent information

This area contains the details of the bank with which the beneficiary bank maintains their account in the currency of the wire payment. This area contains bank id type (swift, fed chips, cc or other), the bank id, the bank name, and the address of the receiver’s correspondent bank. When using other, it is not possible to perform a search, all information must be entered manually and be complete to enable the wire payment to be routed correctly.

Rejected Template A template that has received all of the required customer approvals but has subsequently been rejected by a bank operator and must be modified by a customer user to correct errors.

Related reference This field is for quoting a specific reference number or code to the beneficiary institution. In most cases this field will not be completed.

Routing Information The details of all of the banks required to effect the payment to the beneficiary.

Secur ID Device A physical devise that permits the registered user to respond to a numeric security challenge number.

Sender to receiver information In the text fields provided enter any information to be communicated from the sender of the wire payment to the receiver as well as any related reference information.

Sequence number This field displays the system assigned number for the transaction that is generated upon creation.

Status This field displays the current approval status of the wire payment.

Status Group Records are grouped by status as at the time of generating a report.
