Introduction
This report provides an overview of the work carried out in the Operations Room (Room
No. 136 & 149), Applied Sciences Department, Higher College of Technology for the
academic year 2013-2014. The operations room is responsible for providing assistance
and support related to advising, admission, timetabling, registration and OJT.
The accomplishments and challenges faced over this period are detailed, as are the
statistics pertaining to 2012-13 in the following key areas:
Diploma Level Coordination: Deals with new intake students from, assignment
of advisors, orientation and allocation of specialization
Academic Advising: Contributes by supporting in advising process via workshops
and monitoring of advising.
Registration: Supervises registration, maintaining updated and correct records.
Time Tabling: Prepares a time-table based on projections received from advisors,
allotting appropriate venues, etc.
On-the-Job Training: Training for all exiting students is organized in industry by
liaising with industry representatives. Also, the training is monitored and assessed.
NOTE: Raw data for the statistics presented here is retained with the respective
coordinators to save space.

REPORT OF CHECKING OF ACADEMIC ADVISING
AY 2013-2014
Dates: Oct 7, 2013; Feb 25, 2014;
VENUE: Room 136
STAFF INVOLVED: Dr. Sindhu Menon, Ms. Daiji Thomas & Dr. Mohammed Shafiq
SUMMARY
The projections submitted by the academic advisors were viewed against our estimated
TC-3. The advisors concerned were called if major discrepancies were noted in order to
affect the corrections before planning is carried out.
Some general observations common over the semesters were:
Not giving priority to pre-requisite courses: Courses that are pre-requisites
should be advised in time to prevent students from getting delayed.
Not advising courses to repeat: Students can repeat courses with C, C- or D. Often
advisors fail to consider these.
Not considering the progression of advisees over the next few semesters

The Student Academic Appeals Committee
The students make appeals and request for special considerations due to personal or
health reasons. The Student Appeals Committee deals with such appeals from students.
The Committees is highly plays a vital role in offering support to students who are out of
the academic role like those who are dismissed, suspended etc..
Around 2% of the total number of students in the Applied Sciences Department has
submitted appeals to the StAAC. Each and every case is discussed by the StAAC. After
looking at evidences provided, it makes the decision whether an appeal should be
approved or rejected. Some of the student cases are recommended by the committee for
approval. The final decision is taken by the Dean of the college.
