Appendix AJoint Report of the District Presidents

Dear Brothers & Sisters,

First, we would like to thank each member of the Southwest District for an outstanding biennium. This district has amazing chapters and outstanding bands, and we have been truly blessed to be your leaders.

At the end of the last biennium, Dusty Brown and Chris Foster talked about forging bonds between the two organizations and the importance of this bond to our bands. We would like to reiterate their words and encourage you to continue improving these two joint organizations through service to college bands.

This summer is our next National Convention in Orlando. Every two years, the active members of the Fraternity and Sorority have the unique opportunity to meet and decide the future of their organizations. The goal is to have one member from EVERY chapter in the Southwest District at national convention. We need to show the rest of the nation the strength of our district. After all, we are the home of Kappa Kappa Psi and Tau Beta Sigma.

As joint organization we are committed to each other and come together to promote and support our bands. We charge each of you to go out over the next year and continue improving the effectiveness of your chapters. Use your alumni as a resource for ideas. Recruit quality members that will increase your productivity, not stifle it. There is no greater force than Kappa Kappa Psi and Tau Beta Sigma.

Appendix CStanding Rules

1. All business sessions shall begin promptly at the place and hour specified on the convention agenda.

2. All reports shall be typed, double-spaced, on standard sized paper (8-1/2” X 11”).

3. Members desiring the floor shall rise, clearly state their name and chapter. Any Tau Beta Sigma member attending may speak to or discuss the question on the floor, but only delegates and proxies are entitled to vote on the motion.

4. Reports of committees, which would change the Constitution or affect the district budget, must be reported to the Jurisdiction & Finance Committee chair for review before presentation to the floor.

5. Motions amending the Constitution from the floor should be submitted in writing, signed by the mover and seconder.

6. No member shall speak more than twice during the same session to the same question and no longer than 3 minutes at one time without the permission of the delegation. The question of granting permission shall be decided by a two-thirds vote without debate.

7. Suspension of any standing rule would require a two-thirds vote without debate.

Appendix D

Report of the District Secretary-Treasurer

Sisters and Brothers of the Southwest District,

Serving as your Secretary/Treasurer for the last year has truly been an honor, a privilege, and a humbling challenge. First I’ll talk about the “boring” stuff that I almost forgot to put in my report last year! The minutes were finished, not so much in a timely manner, but they were finished and placed on the district webpage along with our updated constitution. The internet is a beautiful place and I believe we should utilize it more for publications of this sort, much like the wonderful example set by this year’s New Alto Publishers, Xi and Alpha Psi at West Texas A&M. In addition to convention minutes, the secretary aspect of the job also requires minutes from the meetings of the council- I learned that someone who doesn’t like to take notes shouldn’t be a secretary =D

Then came workshops and driving and people. These are the things that bless you as an individual on the council. My first task of the year was the Chapter Leadership Conference at the end of June. I stressed and freaked out a little because I had to put together a workshop. It came together and I gave a well written up workshop over being a treasurer. However, I didn’t know I was going to be talking about the secretary side of chapter leadership, so I flew by the seat of my pants and discussed alumni and corresponding secretary business for quite a while. This is for every chapter- get a copy of your roster from National Headquarters and start contacting your alumni that you have information for. We are nothing without the people who have come before us; we should do our best to stay in contact with them!

The next event on the district officer hit parade was the District Leadership Conference in July in Stillwater. It was a wonderful experience to get to brag on our district to the other officers from across the nation… no, I didn’t brag too much, but yes, we are a pretty awesome district!

Throughout the fall semester most of the contact made was via email and facebook. This district has some of the craziest facebook pictures and I will leave it at that… I got to know a lot of you through emails and IMs and it’s been nice to get to put some faces with the names.

I traveled to the North Texas, Oklahoma, New Mexico, and Louisiana area workshops this year. I met interesting individuals, answered hard questions, had some great laughs, and smiled so much I thought my face was going to freeze. I hope that everyone who attended an area workshop took with them a feeling of what it’s like on the district level.

Really I can’t tell you too much more because everything else came in the individual conversations with chapter members who were excited about projects, upset with presidents, and membership candidates overjoyed about the process. If you need someone to vent to, sometimes it’s best to call someone NOT in your own chapter. I’ve been an ear and sometimes a voice to Sisters AND Brothers across our district (a couple of times outside of our district)- it’s a privilege to get to do that for my family.4. When everything else fails, you can find SOMEONE in this huge Sisterhood that will pick you up and walk with you.

The thank you’s: Melanie- You’ve been a constant encourager since I have met you. I can’t tell you how many times you have put a smile on my face at the exact moment I needed it! Cynthia- There have been a lot of unspoken things between us this year and the simple fact that you can forgive me for being as human as I have been is amazing to me. You have been a person I can be proud to call my sister and one that I can brag that you are my little! Randy- In the past three years you have been someone who constantly helped me define myself. I’m not sure I would have survived this year if you hadn’t been the president of this crazy little council. To have a friend as close as you on here with me has shown me a lot of things and I appreciate you being you. Thank you for showing me how to be honest with myself! Beth- You are constantly smiling, so much so that I can hear it in your voice when you call me. It cracks me up to spend any amount of time on the phone with you- of course I always lose track of time, but it’s time well spent! Thanks for being someone who always checks back about things, someone who has always let me know you’re thinking about me when I’m having a rough week. Happy Birthday week by the way! Mom- I can’t express to you how much I cherish the pearls of wisdom you always humbly drop on the council and on me personally. It doesn’t matter how chaotic and unsolvable a problem seems, it becomes as easy as the Bb scale when I talk to you about it. Thank you for being you and thank you for being my friend as well as my sister. To the Two Ladies who deal with me the most- you have both listened to every aspect of my doubts, my fears, my hopes, my dreams, and you have stuck with me. I hope you both truly know that I would not be standing here today had it not been for you. Knowing that you two will support me no matter what I do or what happens or doesn’t happen in my life keeps me going. I pray everyday that I can be at least half as much of a sister to each of you as you have been to me- there aren’t words to truly express my appreciation that God placed you both in my life. Dear Sisters:It has been a wonderful, exciting, and busy year since leaving convention last April. It is hard to believe that it has already been a year. I am happy to say that I accomplished my number one goal, having a district scrapbook. I have learned that scrapbooking is a lot harder and more time consuming than it looks, especially for a quite large scrapbook.

Council has been full of many exciting trips beginning with the Chapter Leadership Conference and District Day in June. Writing a historian workshop for Chapter Leadership Conference was challenging as I haven’t done much in this area before, but with a little help and wisdom from others, anything can be accomplished.

Planning ahead/ time management is a critical component to success in life, and one I have learned even more this semester as the spring has been quite busy with 5 straight weekends of traveling to North Texas, Oklahoma, West Texas/ New Mexico, Arkansas, and Louisiana Workshops. I am entirely grateful for this experience. Our district truly has an enormous amount of wonderful chapters and people. I am so thankful and touched by the people I have met.

And now for some thank yous’:To my Delta Dolls- It is amazing to think how much our chapter has grown over the last four years, yet alone the amazing things that we have accomplished. Thank you all for your hard work on area workshop and convention. I definitely could not have done it without all of you. You are all truly amazing and wonderful ladies. I wish each of you individually and as a chapter the best in the future. I know you all will do incredible things.

Brian Porter- Thanks for being the best Big Bro. Everyone else should be jealous! I greatly enjoyed working with you on workshop and convention. Huge thanks to you and Kevin Wolfe for inviting me to area workshops and getting me involved on the district level. I am definitely standing here today partially because of the two of you, and for that I am forever grateful. Thanks for being amazing brothers!

Lindsey, Karla, and Erin- You are all amazing and wonderful sisters and friends. There is no way that I could have made it without you. You have always been there when I needed a shoulder to lean on or someone to talk to. Never give up… you all have amazing ideas and I know you all will continue to do great things. I have enjoyed all our fun, crazy times and I know there will be more to come. Oh, and…hooray for the family wreath!

Appendix HReport of the Committee on Colonization and Membership

Dear Sisters and Brothers,The Committee on Colonization and Membership met on April 13th and 14th, 2007 to

discuss issues regarding membership and colonization.. We began by reviewing the 2006 Colonization and Membership Committee report and from there, went on to discuss issues contained in the charges from the 2006 committee.

We decided as a whole to skip the status report of the district VPCM as well as detailing projects and activities that the next VPCM should complete. This was decided because the current VPCM office was vacated previous to the start of this convention. We then moved on to discussion on ways to increase participation between chapters in the District and the newly installed chapters. While the committee does support the participation of every chapter in the building and maintaining of a colony or a new chapter, there is also the realization of distance in the vast Southwest District. Thus, we hope to encourage the participation of those chapters geographically closer to the chapters in question with activities like bar-b-que’s, movie nights, joint service projects as well as simple FUN.

We also discussed a name change to the office of the Vice President for Colonization and Membership. Colonization is now primarily a national level function before a colony is started. From there, it is a major membership project to create a new chapter from a colony. Thus, we have recommended to the Jurisdiction committee to rename and remove articles containing colonization. Therefore, we recommend the name of the office to be changed to Office of Vice President of Membership (VPM).

Because of this change, we decided not to discuss the charge on advertising and increasing the number of colonies. However, we did mention that colonization could start from and active of “X” University to a friend at “Y” University that does not currently have a TBS chapter. The final charge given by the last committee coincided with the charge on increasing participation with chapters and new chapters and thus decided it…done.

From discussions through out the committee, we have come up with the following charges.

The 2007 Committee on Colonization and Membership charges the following to the district VPCM (soon to be VPM): Utilize online resources for communication among chapters

o VPCM should have at least 2 contacts with every chapter, so as to keep tabs on how the membership is progressing

o The VPCM should push for chapters to use District TBS Facebook groups to publicize events such as degrees and get togethers.

o The VPCM should also encourage the VPM of every chapter to join both the district and national list servs

Create a recruitment handbook to be composed of chapter ideas of recruitment in order to help those chapters that might see lower then expected numbers in their activation of new members

Appendix IReport of the District Counselor

Dear Brothers and Sisters of the Southwest District,

Once again, I stand before you, with thanks in my heart for another wonderful year, and words of wisdom on my lips for those of you who care to listen. This year has been just as exciting as the others, with visits to several of your chapters, late night phone calls, and nightly IM sessions with many of you. I have enjoyed getting to know those of you that I have chatted with over the year, and it’s always exciting to see so many familiar faces at workshops and convention.

We started off the year with an excellent Chapter Leadership Conference, coordinated by LaTasha King and Holly Tretault, and hosted by the chapters at UTA. This event is a must for chapter leaders. It gives you an opportunity to meet other members in the district, and provides great learning opportunities with various workshops and presentations.

The next big event for myself and the council was District Leadership Conference here in Stillwater, sponsored by the National Council and Headquarters. I am so thankful that the National Council of TBS had the forethought to allow all district officers to attend this awesome event. Each officer had the opportunity to meet with other students holding the same office in districts around the nation. Because this event takes place at the beginning of the fall season, it gets officers pumped up for a semester of football games, travel and chapter service events.

The spring “travel” season started with a snowstorm canceling the Winter Council meeting, regularly scheduled for MLK weekend. This event was rescheduled for February, in the middle of workshop season. Oklahoma Area workshop was already scheduled for the weekend that we could meet, so we spent most of the weekend on the road, with a few meetings and workshops in between. This process reminded me of how old I am, and how much sleep I need. Needless to say, I will not be approving this plan again.

Now that I’ve recapped the year, on to the words of wisdom…This year has been a year of change for me. As most of you know, I left my position as a public school administrator in June to try my hand at freelance editing and writing. I decided that since I finished up my Master’s degree in Family and Child Studies, the best thing to do was leave my career that I had been working to build, and try something completely new and different. Well, somewhat new and different…all of those papers I wrote in Grad. School definitely prepared me for quick projects and deadlines. What Grad. School did not prepare me for was the transition from a stable job and regular

paycheck to multiple jobs at one time and a feast or famine pay schedule. Why am I telling you all of this? I’m telling you all of this because this was also a year of enlightenment for me. I’ve learned this past year that life isn’t always what you plan, but what you do with what you’ve been given. I’ve learned that while the work in a job might be rewarding, if the people you work with don’t appreciate you, the emotional pain you suffer may outweigh the rewards. In order to fill in the gaps between projects, I expanded my flute studio. Working with young band students, who are just beginning to discover their love of music strengthens my love for working with college students, some of whom are getting ready to go out and teach a whole new group of beginning band students. Piecing together a new career has allowed me the freedom to review my priorities, and has reaffirmed my love and appreciation for the support of the women and men I know because of my experiences in this organization. IT has also taught me

This weekend is the culmination of some seriously difficult work for the Alpha chapters. Thanks to Wade and Ruth for taking on this giant thing of a convention. I’m so impressed with your patience, and your ability to rise to the occasion. You have done a phenomenal job!

Thanks also to this year’s workshop hosts. There is no better experience for a chapter than a road trip. Thanks for giving us worthwhile presentations, and a place to crash at the end of the day.

Almost lastly, I would like to thank those folks that I work with most often. National Councils…Danny and David…Andrea…Beth…Randy…

Lastly, I know that some of you may not have gotten anything out of this report, but all of you may have gotten something out of this report. If nothing else, know that there is always a place for you in TBS, as an active member, but also as an alumni. The Spirit and Sisterhood Committee met on April 13th-14th for the following: We reviewed the 2006 Sprit and Sisterhood committee Report We awarded the Spirit and Sisterhood awards. We observed the attending chapters for qualities of spirit and sisterhood. We took a written straw vote at the 2nd separate session. We arranged a short meeting with the Beta Omicron chapter to recommend chapters to

receive Tau.

We award the Beta Turtle sisterhood award to the chapter of 21 or more members and Sigma Turtle to the chapter of 20 or less members based upon the following criteria:

Dear Sisters and Brothers,

The following information has been compiled to portray the History and Traditions of the 2006-2007 Southwest District.

The 2006 Southwest District Convention was successfully held in Lubbock, TX. The convention hosts were the Beta chapter of Tau Beta Sigma and the Alpha Omicron chapter of Kappa Kappa Psi. Wava Banes Henry came to the convention, as well as other past national presidents. The Gamma Nu,chapter of Tau Beta Sigma, and Delta Sigma, chapter of Kappa Kappa Psi at University of Texas at Arlington hosted the Chapter Leadership Conference and District Day on June 30- July 1. Chapters in attendance at District Day were able to participate in softball games, a cookout, attended a Texas Ranger’s Baseball game, and had a blast hanging out with other brothers and sisters from all over the district.

February 8. Delta Upsilon– Howard Payne University celebrated 45 years of service on

April 24This committee was charged with reviewing last year’s History and Traditions committee

report. Upon doing so we began to tackle our several other charges. The first of these was to consult with the VPSP and review all newly implemented projects. Upon doing this, one of the projects was a scrapbook that the VPSP would carry with them to all chapters that were visited. Our committee charges next year’s VPSP and whomever the webmaster may be to make an online scrapbook that is available to all chapters at all times. This will document historical events, awards and projects that have happened over time. Our next charge was to review the district family tree. In doing so, we discovered that the family tree is MIA, therefore we charge the VPCM to begin a new one. We would also like to charge each chapter to compile a brief summary of their chapter’s history and to add their family tree to it and send it to the VPCM, who is charged with compiling this information. The committee would also like to charge each chapter to set aside a day to celebrate sisterhood with chapters of their perspective state.

We, the Jurisdiction and Finance Committee, met during the scheduled committee time. We discussed making changes on the Constitution and on the 2006-2007 budget.

Appendix MReport of the District President

Sisters of the Southwest District,

Six years ago, I sat out in the audience of the Southwest District Convention in Lubbock. To say that I was terrified of every person around me would not do justice to what I was feeling at the time. I was one of TWO guys representing Tau Beta Sigma at that convention. Talk about being intimidated. I stand before you now as your District President, and nothing in the world pleases me more. It has been a long journey to this point, and frankly, I don’t know what to say. It’s a dream come true. However, I have to say something.

This has been a crazy year. Chapter Leadership Conference and District Day were the first two events of the term. I thoroughly enjoyed talking with all the chapter presidents in attendance. My memory is bad, so I’m not sure when we had the picnic for the Oklahoma chapters, but it was fun. Next up was District Leadership Conference here in Stillwater. I can’t even begin to explain the fun I had with the other District Presidents. We were able to think of new ideas for convention, one of which is the service project we will be doing tomorrow. And Meaghan, I hope your convention is going well this weekend in Las Vegas. We are all jealous.

The fall semester was fairly dull. I was made an honorary member of the Alpha Chapter of Kappa Kappa Psi. Other than that, not much happened.

In the spring, weather got the best of Winter Council, and we had to postpone it until after the Oklahoma Area Workshop in February. I was able to attend two workshops this year, Oklahoma and Arkansas. The word game at Oklahoma Area was….interesting. The drive to Arkansas with my fellow sisters was…well…interesting as well. So were the random stops…and the drive home with our new pirate gear. These two workshop hosts did an outstanding job, as did the other four I was not able to attend.

Winter Council was short. It involved late night tours of the facilities here at Oklahoma State, and a whirlwind meeting with the convention coordinators the next morning.

I was able to travel to the North Central District Convention in Cincinnati, Ohio, in March, where I served as the advisor for the convention site committee. For me, this was a learning experience in advising students as well as a great way to represent the Southwest District.

I would like to take a second and congratulate the Alpha and Beta chapters for being selected as finalists for the Grace & A. Frank Martin Chapter Leadership Award.

And that brings me to convention. Last night at ritual was one of the greatest experiences of my life. That will probably be my last time to do what I did, and I’m glad I got to do it for all of you.

Make the most out of your time as an active member in Tau Beta Sigma. I encourage you to visit another area workshop. Go to Chapter Leadership Conference and District Day. Attend another district convention. Attend National Convention this summer. It is amazing the amount of friends you can make in just one day or weekend. These people around the district and country have a common bond with you; one that will always be there. If you think being a district officer, hosting convention, or publishing the New Alto is out of your reach, believe me, it can be only a year away for some of you. You will never regret a decision to promote yourself or your chapter in Tau Beta Sigma.

Now for the hard part. When I used to sit out in the audience at convention, I would always hate the thank you part of the officer reports. People cry, it’s awkward, touching, whatever you want to call it. Well, I realize now why people do it, and please, don’t laugh if I tear up.

Mom: You are an amazing person, and the Southwest is lucky to have you. You pushed all of us to keep truckin’ even when things were tough. Thank you.

Beth: I remember when we first talked about the Alpha/Delta council. I can’t believe it happened, and that now we’re almost finished. Thank you for everything, even if you do hate the color orange.

Tasha: I wish we could have interacted more in the time you were on council. However, you have way more important things to take care of now. Congratulations!

To my Brother Council: You are an amazing group of people. I’m glad I got to work with each of you.

Ruth: You have done an amazing job with this convention. Thank you for stepping up and for being the elder that the chapter needs right now.

Chris Foster: Thank you for showing me that guys in TBS are just as important as the girls and that we can do anything.

Dawn: I’m glad we can share the same obsession for such a beautiful human being. Thank you for teaching me that even if the day is yucky, there’s always the ice cream truck.

Lisa: Thank you for being there for me, for giving me advice, and for just being you.

Paul (Dr. Popiel): I can’t say that any of my band directors have had such a great impact in my life as you. Thank you for showing me how to lead. We miss you greatly.

Enough of that. My life is better because of Tau Beta Sigma. My hope is that each of you will get the same experience out of this organization, you will take that experience, and you will make sure that this world is a better place, and that we have the GREATEST bands in the world.

Appendix NReport of the Committee on Nominations

The Committee on Nominations met on April 13th & 14th to discuss and nominate a slate of officers for the 2007-08 year. The committee was charged with the following:

Collect candidate information materials from each person running for District Council and schedule interview times with each one.

Review the report of the 2006 Nominations Committee Review the list of standardized questions and criteria as listed in the 2006 Nominations

Committee report. Add or remove questions that you feel have become relevant or lost their relevance this year.

Review the materials submitted by each candidate for district council (résumé, letters of recommendation from chapter and sponsor, etc.).

Interview each of the candidates running for district council. Choose pertinent interview questions for each office from the list you have compiled.

Discuss and deliberate who the committee feels are the best-qualified candidates for each office. The committee will slate one person for District President, Vice President of Colonization & Membership, Vice President of Special Projects, and Secretary-Treasurer. The committee should slate candidates in the office that the committee feels the candidate is best qualified to serve, regardless of the office the individual may be seeking. If the committee feels there is not a candidate qualified to hold a particular office, they may recommend a “no-slate” for that office. If an office remains vacant after the election of officers, the incoming district council and District Counselor will accept applications for the vacancy as per the district constitution.

The committee reviewed the charges, discussed the duties of each office, and the qualifications for being a district officer. The committee then discussed and created a list of questions to be asked of the candidates. They are:

1. What is your motivation for running for district council?2. What do you think your officer responsibilities are?3. If the Nominations Committee feels you are better suited for another office, how would

you feel?4. What are your commitments over the next year? How much time are you going to be

able to commit to your officer duties? Give us a list of your priorities.5. Do you consider yourself well-organized and what are some of your methods of

organization?6. If one of the other district officers was unavailable to serve for a certain amount of time,

how would that affect your role?7. How do you feel about speaking in front of large amounts of people?8. How comfortable do you feel about answering questions from district chapters?

and found they had met the qualifications for running for district council. The committee also interviewed:

Jessica Fortune – Zeta Mu, Grambling Stateand found that her candidate materials were incomplete and thus, she didn’t meet qualifications to run for council. The committee, however, would like to commend Jessica for her drive and initiative and we hope that she returns in the future to run again.

The committee felt that there are many qualified and deserving potential candidates out there who could have run for district council. The committee charges the 2007-08 district council to better advertise the qualifications and stipulations involved in running for district office, including officer responsibilities. This can be accomplished by adding information to the district website and in convention-related mailouts.

The nominations committee would like to thank all of those who ran for office. It was a tough decision to make. Appendix OReport of the Joint Action Committee for Music Education

The 2005-2006 Joint Action Committee Music on Education received the following charges:1. Review the 2006 Joint Action Committee Music Education Report2. Review the appendices of the 2005 report and add any new ideas not already listed (clarification

in charge 4 of 2005 report). Provide an updated list for each delegate to take back to their home chapter.

3. Discuss the current situation of the Music Education Fund. If possible, find information about the number of chapters who applied for the grant, which chapter(s) received funds, and for what projects they received them for. Suggest any changes to the application form and charge the district council to make the needed changes if they deem it necessary. Also suggest any ways to help increase district knowledge of the award and increase the number of applicants.

4. Discuss the 2005 Joint Action Committee on Music Education’s Composition Competition proposal and its relevance to the committee. See the original proposal and suggested changes in the appendices. Review the results of any survey taken by the SWD Council pertaining to the competition.

5. Find other ways the Joint Action Committee on Music Education can be of use and continue to charge future committees with raising the bar for our chapters.

After reviewing the charges the committee decided it was appropriate to revamp the purpose and direction of the committee. The following changes are recommended to the delegation:

1. The committee felt that a more permanent standing committee was needed to accomplish our goals. To facilitate this we have developed a committee structure of highly qualified people to realize our goals to their furthest extent.

The Joint Publications Committee met on April 13-14 2007, to discuss issues pertaining to the New ALTO and its publishing chapters.

The 2007 Joint Publications Committee was charged with the following:

1. Collect information from all schools bidding to publish the next year’s New ALTO.

2. Establish criteria and questions for reviewing bids

3. Review all information from bidding chapters and schedule presentations. Each bidding school will have four minutes for presentation and three minutes for question and answer during the second joint session.

4. Discuss and deliberate which university the committee feels is best suited to publish the New ALTO. If the committee feels no school is qualified, they may recommend a “no slate.”

The committee reviewed the constitution and submitted possible changes to the 2007 Jurisdiction committee to be considered.

The Committee received and reviewed the bids of the Theta Phi and Theta Theta chapters at Henderson State University and the Kappa Kappa Psi—Gamma Iota chapter at the University of New Mexico. The committee heard their presentations and has slated the Gamma Iota Chapter to be the publishing chapter for the New ALTO for 2007-2008.

The committee has written a list of charges that will be delivered to the newly elected publishing chapters.

The committee has charged the Joint District chapters with the following:

1. Chapters bidding for the NEW ALTO next year should provide 10 copies of their bids packets to the joint publications committee for review.

The committee has charged the Kappa Kappa Psi Co-Member at Large and the Tau Beta Sigma Vice President for Special Projects with the following:

Dear Bothers and Sisters,

The 2007 Convention Site Committee was charged with the following: Continue to build up a library of old district convention bids for chapters to use as a

guideline to constructing a bid for the Southwest District Convention. Have the 2007 host chapters submit a convention budget proposal on the prescribed

district convention form available online at the national webpage. Have all chapters fill out the same budget form and include it in their bid proposal,

packets, and presentation to the district. Collect information packets from all schools bidding to host the 2008 Southwest

District Convention Review the 2006 Joint Convention Site Committee Report Review the guidelines for bidding/hosting district convention. Have discussions with

the committee advisors and chairs regarding other criteria they have experienced that may not be written in guidelines.

Establish criteria and questions for choosing the slate for the 2008 District Convention hosts.

Review all bid packets from bidding chapters; schedule interviews/presentations with each chapter. Each bidding university that meets the stated requirements will have a presentation and question/answer session during the second joint session.

Discuss and deliberate which university the committee feels is best suited to host the district convention. Use the convention site worksheet to help make your recommendation. If the committee feels that no bid presentation meets the requirements, they may recommend that no chapter be selected and the district council would accept applications for the next convention host over the 30 days allotted time period.

The committee used the following criteria to choose the slate for the 2008 SWD Convention: Location, space, hotels, integrity of chapter Set date, as well as back up date Adequate housing, meeting and banquet space Provision of Display area, meal plan, and computer access for around 20 delegates Copying facilities Budget Support from sponsor as well as university administrators Parking solutions and maps Inclement weather plan, airport and transportation

After reviewing the packets, the Convention chairs from Stephen F. Austin State University and Southwestern Oklahoma State University gave an overview of their presentation to the Convention Site Committee.

For the presentation to the delegation the time limit was as follows:An individual 8-minute presentation from each bidding university followed by a joint 15-minute question and answer session.

All of the bids brought before the committee met the criteria needed for the SWD Convention bids. Therefore, the Gamma Phi Chapter of Kappa Kappa Psi and the Beta Zeta Chapter of Tau Beta Sigma at Stephen F. Austin State University gave a joint presentation followed by a joint presentation by the Epsilon Epsilon Chapter of Kappa Kappa Psi and the Gamma Phi Chapter of Tau Beta Sigma at Southwestern Oklahoma State University. Yeah.

The Convention Site Committee spent a great deal of deliberation on the two bids. The Committee would like to congratulate both schools for being well-prepared and representing smaller schools in the district. The Committee hopes this encourages other small schools to feel confidence when presenting bids in the future.

The Convention Site Committee recommends ____ as a slate for the 2008 SWD Convention.

The committee also added the following guidelines to the current Convention Bid guidelines: Room guarantees from each hotel List of meeting rooms and capacity Banquet space for approximately 900 Convention headquarters Computer room with printers and copy machines Mileage chart Zero balance budget which includes minimum 3% overbudget and JACME fee, and

should include the Budget Proposal Form available on the national website Backup dates Approximate chapter size Support from music department and university administrators

area workshop within the district.

The Convention Site Committee would further like to start a library of convention bids to be collected at each future convention by the SWD CoMember at Large of Kappa Kappa Psi and the SWD Vice President of Special Projects of Tau Beta Sigma. The committee suggests that the bids be placed on-line to help future chapters with bid proposals. The committee chose the bid from the slated chapter to place in the library.

The 2007 Convention Site Committee charges the 2008 Convention Site Committee to : Continue to add convention bids to the bid library (at least one) Set time limits on 2008 bid presentations Review bid guidelines and make changes as necessary.
