Requirement Background
• Most organizations have department wise EmployeeBudgets, where Departments are allocated funds atthe beginning of the year (calculated from theprevious years budget) to take care of new recruitsand existing employee promotions. In case theyexceed the budget then they won’t be allowed to doany more promotions or new recruitment until theytake a special management approval to increasetheir department Budget.
• Oracle HRMS does not have any standardmechanism to put this control in place.
Solution
• Evosys Budget Control Solution is a customized solution on topof the standard Oracle Core HR application, where in theBudget for each department’s budget is calculatedautomatically from the previous year’s budget.
• Every time an employee is added to the department or anemployee is promoted, the budget is automatically reduced.
• If the Budget is exceeded then a validation on the AssignmentForm of the employee will stop the transaction saying that theBudget for the department is exceeded. A separate form’saccess is given to only selected decision makers to facilitatethe increase in the Department Budget.
• Once the Department Budget is increased, the employeetransaction (promotion or hiring) can be completed.
Customized Department wise Employee Budget Solution
The above form is the Budget Allocation form where each Department is allocated the number of step increases (salary changes), it can give in a year. The “Difference” column indicates the amount of Step increases remaining from the allocated budget for each department.
The above Note is the warning message given to the HR User when he overshoots a Department Budget while doing an employee promotion. The Note can be configured as an Error message as well. To increase the Budget, “Total Allocation of Steps” field in the Budget Allocation form has to be increased.

Requirement Background• Very complex leave (absence) policy with
number of validations and scenarios:
– Example 1: 20 Leave types with 100+business policy validations
– Example 2: 16 Leave types with 70+ businesspolicy validations
• High volume of transactions
– Example 1: Daily 300 new leave request
– Example 2: Daily 250 new leave request
• Current process is totally manual, paper based withlot of delay and heavy maintenance – Here, clientwas eagerly looking for online, automatic andintegrated system.
• Non-standard approval flows, having multiplehierarchy for different group / categories ofemployee.
• Leave system should be integrated with Payroll andTime and Attendance system

• Implemented online leave self service with mirror of business policy:
– Option 1: Oracle Standard Leave Self Service
– Option 2: Customized Solution using SIT / EIT
• Business policy validations are developed using User Hooks, the solution isflexible enough to easily incorporate future business policy changes.
• Very complex leave balance carry over and forfeit scenarios are configured.
• Leave request paper forms were completely eliminated, employee’s directcontact to HR for leave related queries has reduced to the greater extent.Which has resulted only 5 % (as compare to earlier) of effort and time fromHR department in employee’s leave management.
• Leave self service is integrated with payroll for various payments anddeductions purposes.
• Developed customized OAF pages and reports to track employee’s leaverequest status.
• Facility where employee’s leave can be entered by employee himself, hissecretary and his manager.
• Currently in total 40,000+ employees across various Evosys’ clients areusing leave self service.
