Certified Participants PARTICIPANTS (REVISED 8.14.17)

Report Overview A list and count of participants certified at the specified agencies during the specified time periods. The output includes a list of new certifications and recertifications, and a combined list of all certifications. It also provides counts by WIC Type and Race Ethnicity or Cultural Identity. OPTIONAL input controls have been added to allow the user to filter all of the report tabs by WIC Type and/or clinics.

Some Uses Include:

▪ Identity participants certified during a specified time period at a specific clinic or by specific WIC Type.

▪ Obtain a list and count of new participants.

▪ Obtain a count of certifications, new certification and recertifications performed during a specified time period at specified agencies.

Notes ▪ This report provides private information. Please refer to the MN WIC Data Privacy Policy

(Ref: MOM, Section 1.7).

▪ Recerts – existing or returning participants:

▪ Women and Children: Based on having a Prescreen Date that is more than (>) 30 daysfrom the Cert Start Date.

▪ Infants: Based on having a Prescreen Date more than (>) 30 days from the Cert Start Date AND the Cert Start Date is within 14 days of their first birthday.

▪ New certs – participants who have never been on WIC before; brand new participants:

▪ Women and Children: Based on having a Prescreen Date that is within (<=) 30 days of the Cert Start Date.

▪ Infants: Based on having a Prescreen Date within (<=) 30 days of the Cert Start Date OR the Cert Start Date is more than 14 days prior to their first birthday.

▪ High Risk is based on the participant’s high risk status in the certification record. This report does not indicate high risk if the participant was determined high risk by the CPA (MEMBER record). Note: There is currently an issue (TMP-223) whereby the certification record may be incorrectly indicating a participant is high risk.

▪ The greater the time period, the more likely the All Certs and Recerts distinct count and count of all records will NOT match the counts on Tabs 1-All Certs and Tab 3-Recerts. This is due to participants having more than one certification during the time period. Some examples include: participants counted in both New Certs and Recerts, multiple records counted in Recerts but only once in All Certs, etc. The count of New Certs should match the count on Tab 2-New Certs since only one new certification can ever occur regardless of time period.

▪ If an agency collects Cultural Identity information in State Use Code #6, the selected cultural identity will display in the Race/Ethnicity or Cultural Identity column. Otherwise, the race/ethnicity displays, which is consistent with the MDH WIC annual reports.

▪ Asian NH: Participants with race/ethnicity codes of 202 (Non-Hispanic Asian) and 204 (Non-Hispanic Native Hawaiian or Other Pacific Islander);

▪ > 1 Race NH: All Non-Hispanic participants with multiple races;

▪ HISPANIC All Races: All participants with an ethnicity of Hispanic or Latino; and

▪ UNK Race: Participants without a race/ethnicity, as sometimes occurs with VOCs.

▪ This report uses two document Input controls to allow the report user to filter the report output by both WIC Type and Clinic. A brief overview of How to Use Input Controls is provided at the end of this guidance document (pages 15-16).

▪ The default input control is to run the report for all WIC Types and Clinics.

▪ Remove the checkmark from the Select All checkbox and select one or more of the WIC Types and/or Clinics listed to filter the report output.

▪ The Certifier is based on the staff ID recorded at the time the electronic CPA signature was collected. If there isn’t a signature of the certification (CPA failed to sign or VOC cert, which doesn’t require a signature) the Certifier field will be blank.

▪ The Agency and Clinic are based on where the participant was certified. This may not reflect the participant’s current agency/clinic.


▪ The WIC Type is based on the participant’s WIC Type when certified. This may not reflect the participant’s current WIC Type.

▪ Page breaks occur with change of Agency.

▪ Tabs 1-3 and Tab 5 have been formatted to export to an 8.5 x 11 Landscape PDF; Tab 4 is formatted to export to Portrait. They can also be exported to Excel (NOTE: the margins may need to be adjusted and the headers/footers may not display).

After entering PROMPT information and running the report, click the Input Controls icon.

The input control affects all tabs of the report.


Remove the Select All checkmark under WIC Type and select the desired WIC Types.

Remove the Select All checkmark under Clinic ID and select the desired Clinics.
