1 PASSPORT Candidate User Manual 2011-2012 PASSPORT is an electronic file system that allows users to post work for review by others such as faculty and clinical supervisors. In addition, it provides a framework for saving work in a portfolio. During the 2011-2012 academic year, all candidates involved in field and clinical work will have their supervisor evaluation forms filled out via PASSPORT; no more paper. In addition, the elementary/special education program is piloting the use of PASSPORT to evaluate lesson plans in sophomore and junior classes. others such as faculty and clinical supervisors. In addition, it provides a framework for

FIELD and CLINICAL EVALUATIONS:

Each semester you have to set up a “file” in PASSPORT that describes what placement

you are in and who you are working with. By creating this file field you cue PASSPORT

to attach the appropriate field evaluation form to your name and experience. Step-by-step

directions are provided below. Estimated time to set up a field file: 5 minutes.

Step 1: Once you are logged in you will see this screen. Click on the “Artifacts” tab. (The instructions on the page might have changed since our pilot, but the key point is clicking on the Artifact tab at the top as noted by the arrow.)

Step 2: Click on the Field Experience Icon.

Step 3: Initiate NEW Field Experience by clicking on this link.

Step 4: Under “Undergraduate Field Experience” click on the “select” button next to the

phrase Clinical Field Experience Template for Sophomore, Junior, and Senior

Step 5: NAME the Field Experience: For clarity, please type the name of your experience like this “Field Experience I” or “Field Experience III” or “Senior Teaching.”

Step 6: Click the “select” box on the next page and PASSPORT will record the day you set up the experience. Step 7: Choose a course that corresponds to the field experience. Sophomores and juniors would select from: EDST 2500, 2600, 2700 or 2800. Seniors would select from EDST 4001 for elementary/special education and EDST 4500 for secondary education.

Step 8: Select a level for this course—sophomore, junior or senior. This step is important because it tells PASSPORT what evaluation form to associate with your selected course.

Step 9: Choose the site of your field experience. If the site is not in the drop down list, type in the name of your school in the second box. (e.g. Ridge Middle School) IF there are multiple schools with the same name (e.g. Washington Elementary School, then write the name of the school and town in the second box.)

Step 10: Provide the name of your cooperating teacher. Please type your teacher’s name in the second box.

Step 11: Under the section entitled Basic Information, click on the button to the right entitled Edit Basic Info First

The first screen in this section asks you: (i) how many students are in your class and (ii) how many hours you are there this semester. The average sophomore and junior experience is 72 in ESED/DVSL and 60 hours in SCED.

Please remember to click on the SAVE button after you answer these questions.

Step 12: You will return to the “Edit Basic Field Information Screen”—scroll down and select “Primary Subject.” Select the subject that reflects the classroom where you are interning (e.g. elementary/special education or history).

Step 13: Gender Composition. Please click on the edit button and identify the number of boys and girls in your class. The number must match the number of total students you entered previously. Step 14: Grade Levels. Please click on the edit button and identify the grade(s) you are involved with in your current field placement. If you are teaching multiple grade levels, just select one of those you are involved with. Step 15: Exceptionality Composition. Please click on edit and identify the number of children with special needs within your current field placement. (This number does not have to equal the total number of students entered earlier.) Step 16: Primary Language Composition. Please click on the edit button and identify the primary language your students speak (this number must equal the total number of students in the room). You must enter English as one of the languages. If all of your children are bilingual select the languages that they speak that are not English when completing the list. Congratulations—you are done with the first part of your field experience work in PASSPORT! Part II-Submitting your Field File to the Field Office (to get recognition on your transcript for this work): Later in the semester, after you have been evaluated by your supervisor, you are responsible for “delivering” their evaluation to the field office. Instead of hand delivering paper evaluation, you are pushing the completed evaluation form in PASSPORT to the field office. Follow the step below to do this-estimated time to complete: Less than 5 minutes.

Log back into PASSPORT (shu.pass-port.org ) to do the following—

Click on the ARTIFACTS tab at the top of the page Click on the FILES icon Click on the word EVALUATIONS Within this folder you will see the evaluation completed by your supervisor

for the current semester. Click on “submit for review” right below the name of the file Select the “Office of Field Placement” –top of the list—as the site of your

submission. You may attach a narrative, but it is not needed. Click on “FINISH” on the last screen. Congratulations you have submitted

your field evaluation to the field office. CRANFORD Students (Fall, 2011): Your cooperating teachers have agreed to complete their field evaluations through PASSPORT. They are serving as a pilot group. You will need to submit your field evaluation to them. You will need to know your teacher’s email address in order to complete this process. (Estimated time for completion: less than five minutes.) Sign into PASSPORT (shu.pass-port.org)

Click on ARTIFACT at the top of the page. Click on the FIELD icon on the left side of the page. Click on the “edit” link below the name of your current field placement At the bottom of the page you will see a button entitled “EMAIL EVALUATION

FORM” Please lick on that button and select “COOPERATING TEACHER” Type in your cooperating teacher’s email and click submit. They will receive

an email with an embedded link to access your evaluation form. When your teacher notifies you to say he or she has completed the evaluation form, please follow the steps above to submit their evaluation to the field office (just as you did for the supervisor.)

LESSON PLANS or OTHER COURSE ASSESSMENTS: You can submit an assignment to your course professor through PASSPORT and he or she will evaluate it with the associated rubric within that setting. Please follow the directions below to submit your work. (Estimated time for completion: less than five minutes.)

Sign into PASSPORT (shu.pass-port.org) Click on ARTIFACT at the top of the page. Click on the FILE icon On the right side of the screen you will see a button entitled “UPLOAD FILE

HERE” Select the file from your computer that you would like to submit for review Provide a name with meaning to the file in the nickname box (e.g. Reading

Comprehension Lesson, EDST 2004) You may type a note about the assignment (not needed) and click SUBMIT Click on SUBMIT for REVIEW below the attached file. Select the faculty member you would like to submit the work to (drop down

box) You may attach a note, not necessary, click FINISH on the last screen to

submit the work. AFTER the faculty member has evaluated your work, you can sign back into PASSPORT to view the feedback.

Click on ARTIFACT at the top of the page Click on the FILE icon You will see the file you submitted on Evaluations page. Click on “VIEW

REVIEW” to see the results.
