What’s new in ACT! by Pastel 2011 Version 13
The ACT! by Pastel 2011 release is focused on a number of major improvements in ACT! and includes Smart
Tasks, Outlook Contact and Calendar integration and more. This enables you to work more effectively,
becoming more productive and better serve your contacts
New Features and Functionality
Smart Tasks
Smart Tasks allow you to schedule a series of common and connected steps. You can create your own
templates or use pre-setup Smart Task templates provided by Sage E-marketing for ACT!*. You have the
option to run the Smart Tasks manually or schedule them to run automatically.

Outlook Contacts and Calendar Integration
Outlook Integration allows you to synchronise your activities and contacts between ACT! Premium and
Outlook. Setup automated synchronisation as well as determine what information is synchronised.

Quick Database Creations for New Users
After installation or when you open ACT! for the first time, you will have the option to create a New database
or open an Existing database.

Redesigned Welcome Page
The redesigned page has links to Help Topics, Tasks as well as Featured Videos assisting the user to get up
and running quickly.
Back and Forward Buttons
Back and Forward buttons have now been added to the Global Toolbar which enables you to easily navigate
through views. The Back button contains a drop-down list of your recently accessed views
Search and Email Access to Global Toolbar
The Search button contains access to Lookups and search Keywords. The Email button lets you view Email,
Write Email and Setup your Email Preferences
Increased Security for Attachments and Notes/History Editing
New security features were added to increased security control for backing up and saving attachments as
well as notes/history editing.

Backing up Attachments
Only an Administrator can backup attachments with the database
The Manager user will no longer have the “include attachments” option available. This
means a Manager user will be able to backup database but it will not contain any
Attachments
New Admin Tab
A new Admin tab has been added to the Preferences window where Administrator user/s can set
the following available options:
Restrict email from being read by other users who may be viewing a particular user record
Define a preference for all users in a shared database that restricts email from being
attached to the database
Define a preference for all users in a shared database that restricts attaching documents to
the database
Define a preference for all users in a shared database that prevents remote users from
seeing attachments that do not belong to the contacts in their sync set

Sage E-marketing for ACT!*
Sage E-marketing for ACT! is replacing the name for the connected E-marketing service, formally
ACT! E-marketing. There is new icon for the contact toolbar as well.
Sage E-marketing for ACT! is integrated “out of the box” with ACT! Premium 2011 Smart Tasks (3
Smart Task templates require a subscription to Sage E-Marketing for ACT!)
Email templates can now be launched as landing pages (pages hosted by Swiftpage)
The service now has an Advance Template Editor that can be used to edit imported templates
Swiftpage has added support for Microsoft PowerPoint, Microsoft Excel and text files as documents
that can be linked form an email template.
Documents and images can be managed in a library format instead of uploaded individually for each
template. The document library can store up to 100 documents and the image library can store up
to 500 images.

Import Data Changes
Data import into your database has been improved in the following ways:
Easily import data from Excel, Text separated by tabs (.TXT) and text separated by commas (.CSV)
files. Mentioned option/s has been added to the list
Newly added panel was added to the Import Wizard which enables you to do a “Typical” or
“Express” type import or select “Custom” to the full Wizard for mapping fields and selecting other
options
Another new panel was added to let you create database fields on the fly for Excel, text separated
by tabs (.TXT) and text separated by commas (.CSV) files, more fields are mapped by default
Installation
A new option is available for installation that will allow users to install ACT! without installing Microsoft SQL
Server. If a user chooses this option they will not be able to create or upgrade a database
Drilldown to Filter by History Types
You can filter histories by type (emails and correspondence, completed activities, system changes or
attached files) on the history tab.
New categories with associated history types let you drill-down to see the histories you need. Select of clear
the entire history category.

Keyword search: New “All” option
An “All” option has been added to the Keyword Search
This added option is set by default as well as the All Look in areas.

1. Outlook Express is available on Windows XP and Windows Server 2003. 2. On 64-bit versions of Windows, Internet Explorer (32-bit) is recommended. 3. Windows XP Professional limits the number of concurrent network connections to 10 (Home Edition limits concurrent connections to 5).
4. Windows Vista limits the number of concurrent network connections to 10 (Home Basic and Home Premium Editions limit concurrent connections to 5).
5. "Core Server Installation" of Windows Server 2008 is not supported.
6. 64-bit Windows must have IIS configured for 32-bit emulation.
7. 64-bit Windows Server 2003 must have ASP.NET configured to 32-bit mode.
8. 64-bit Windows must have IIS configured for 32-bit emulation.

10. Recommendations are based on in-house performance and scalability tests wherein, using simulated user loads, product performance was within 20% or 2 seconds

based on actual database size, hardware variations, network traffic, and product usage.

Upgrading to ACT! by Pastel Version 13
Important Notice
For ACT! 2005 (V7), 2006 (V8), 2007 (V9), 2008 (V10), 2009 (V11) and 2010 (V12) users
It is critical that you create a backups of your email and all your contact databases before you upgrade to the
latest version. The latest version of ACT! uses a different Microsoft SQL Server version than used in ACT!
2005 (version 7) and ACT! 2006 (version 8)
Once you have installed and updated the database/s you CANNOT roll back to a previous version, unless
you have proper ACT! backups
You current database/s will be overwritten as soon as you update the them to the latest version.
For ACT! 2004 (v6) or earlier users
If you are using ACT! 2005 (v7), 2006 (v8), 2007 (v9) or 2008 (10) but still have ACT! 2004 (v6) or earlier with
Internet Mail setup, installed on the same machine, then this Internet Mail will be converted during the
installations of the new version of ACT!
It is strongly recommended that you rename your Email folder to ACT6_Email
The default location – C:\Documents and Setting\<user name>\My Documents\ACT\
For Multi – Users
If you are sharing a database with other users, all users must upgrade to the latest version of ACT! in order to
continue sharing the same database.
Prior to upgrading it is recommended that all users log out of the database. Users will be unable to log into
the newly updated database until their version of ACT! has been updated.
For Synchronisation Users
If you have been setup as a synchronisation user, your remote database will also have to be updated for you
to continue synchronising with the master database.
Best practice would be to have all sync user synchronise their databases with the master database prior to
upgrading to the latest version.
On Network / Internet Sync service
These sync services will need to be uninstalled and reinstalled from the new version install disc in order to
continue monitoring incoming syncs.
Special not for Handheld Link Users: Link for Palm OS & Pocket PC
Please note: There is no synchronisation with Hand Held devices on ACT! Premium 2011 (V13)
Preparing your computer for the Upgrade Process
The following will help ensure a successful install
Prepare to install
1. Ensure computer/s meets the minimum recommended system requirements for your purchased
product and supported operating systems. Also verify you meet the concurrent user limits and
licenses.
IMPORTANT: Microsoft SQL Server 2008 R2 Express is installed along with the previous version of Microsoft
Desktop Edition (MSDE) or SQL Server Express 2005. You must have available space to install SQL Server
2008 R2 Express.

2. Ensure all computers are up to date with Microsoft critical and recommended updates.
3. Sign on to all computers as a Microsoft Windows Administrator. If you do not installation may fail
4. If you use a software based firewall, you need to temporarily disable it to install ACT!
5. During installation, you can select Custom to install ACT! and/or Mircrosoft SQL Server Express to a
non-default location. To do this, ensure the following:
For ACT!: You have created a non-default location (directory) and enabled folder sharing
rights for it. The default location is \Program Files\ACT\.
For SQL Server Express: Installation folders are unique to this instance of the SQL Server.
None of the directories should be shared with directories for the other instances of SQL
Server. The default location is \Program Files\Microsoft SQL Server. For more information
refer to Microsoft documentation
IMPORTANT: Installing the software to a non-default location may break the integration with 3rd
party programs. You may have to reinstall these programs.
6. For users upgrading from ACT! Premium 2006 -2010 (V8 – V11) who synchronised database it is
essential to sync all remote database to the master database hosted on the server. Best practice
then would be to create new remote databases after the upgrade.
7. Perform database maintenance (Tools...Database Maintenance) on your database before the
installation removes the previous version
Upgrading your database
Once you have installed ACT! you will have to upgrade your database/s. Each database will upgrade
automatically upon opening. Upgrade process takes approximately 3 – 5 min
Outlook Users
Outlook Cache Mode:
If you are using ACT! e-mail with Outlook 2003 and Outlook is set to cache mode, several issues
can occur, including, but not limited to the following:
When closing/exiting ACT! e-mail, an error occurs
When deleting messages from the Drafts folder, the wrong e-mail is deleted
When deleting messages in the messages list, the focus jumps to the top message (rather than
the previous or next)
When you delete the top message in the messages list, the preview remains
Sent messages remain in the Outlook until you perform a Send/Receive from Outlook
The Find Messages feature in ACT! email finds only one message, but duplicates that message
in the list of found messages
It is not recommended that you use this mode. Please refer to Outlook 2003 documentation for
information on disabling cache mode
Address Book:
If you use Outlook Integration, you will have to reselect the ACT! Address Book after upgrading your
database
