Payment Solutions

I. Overview

I work at Senior Activity Center where different activities are offered for members such

as exercise, lunch (which they have to pay for) and free activities such as watching TV, playing

board/card games reading and knitting. When seniors come in for activities such as lunch they

have to sign in with their “kip card” and select lunch. The “kip card” is a small square card with

a barcode on the back which is placed in front of a red laser light that allows them to sign in by

the computer in the hallway. After they select lunch they come over to the office window and

pay three dollars and we check off on paper who paid. When they check in on the computer in

the hallway it also shows who signed in on the computer in the office. Since the center is non-

profit reports are generated and sent over to the state to show that the center is still active and

people are coming to lunch and other activities. However, on Saturdays some members pay

three dollars for lunch (which is the cost) and some pay 5 (because they like to be generous).

On Saturday's when they pay $5.00 and $3.00 we have to mark that down on the paper

and at the end of the day count and add up how much money each person paid and match it to

how many people came that day. Mostly on Saturdays this is a big problem because a lot of

people come and employees at the center forget to write that a person paid $5.00 or $3.00 dollars

or money becomes missing or put elsewhere and then we have to figure out who paid three and

who paid $5.00. I want to come up with a system where every month a member will pay up

front for the whole month for lunch whether its check, credit or cash, in which we would put in

the computer (My Senior Center under their account). This way, when they swipe in on

Saturdays or on weekdays, money will already be deducted from their account. This way at the

end of the day we don’t have to match up with how many people paid $3.00 or $5.00 dollars.

This will be an easy and efficient way to make sure the money is accurate instead of writing in

pencil how much each member paid.

II. Purpose of project

Managing Money

The purpose of this project is to make managing the money an easier way at the senior’s

center. There are a lot of other payments that are processed at the center that are left in the

drawers or envelopes that has a possibility of getting mixed up with daily lunch money. When

money becomes mixed up with other payments employees have to try and figure out which

payment goes to which one and how much money did each previous activity have. Also seniors

sometimes come up to the office window and ask for change. If there isn’t enough change is the

cash draw, change is sometimes made from the lunch and the wrong change is given back

leaving the lunch sales increased or decreased.

Time Consuming

At the end of the day particularly on Saturday’s one of the employees mostly me, have to

count up how many seniors came today and how much each person paid. If the correct amount of

money does not match up to how many people were present I would have to sit and try to figure

this out on my own such as who paid $5.00 and who paid $3.00. This can become troublesome

and time consuming especially when your shift is over and you cannot leave until we find out

why the money is more than it should be or less than what it should be. With Payment Solutions

the money will already be deducted ones a senior signs in and we can check that by logging onto

My Senior Center Software and clicking on the Activity “Lunch”.

III Functional and Non-Functional Requirements

Functional and Non-Functional Requirements

The functional requirement that this system will perform is deducting funds from a senior’s current balance when they sign in with their “kip card”. This prevents seniors from having to wait in line to pay at the front desk and can also avoid breaking large bills that they may have just to pay for a $3.00 or $5.00 meal.

Non-Function Requirements

1.Usability- This feature is available to any member at the Kip Center that uses their Kip Card 2. Reliability- As long as the ‘kip card” is active and functioning. 3. Performance-Fast 4. Security-N/A5. Design constrains – N/A6. Implementation requirements- My Senior Center Software. This software is already installed on the computer at the center. In order for the funds to be deducted from a senior’s current balance, My Senior Center Software has to be functioning.7. Interface requirements- N/A8. Physical requirements-N/A9. Supportability Requirements- My Senior Center Software that is already installed on the computer will support “Payment Solutions”
