How to plan an excursion to run during your class time or for a whole day.
Lead time required minimum 3 weeks Refer to calendar to ensure no clashes
with items (N.B at times management will be aware of
events that are not on the calendar that may affect you.)

If using school bus / pick up keys and info book. Fill in appropriate details
end of day / school bus// fill up the petrol and sweep the bus, putting all
rubbish in the bin. Must keep permission slips for up to five years on file!!

If possible choose a day when you have the least amount of extras because you will have to collect, mark and chase up when you get back.
Make sure you have left work for those teachers taking your classes.
Give your list to YLC’s (Year Level Coordinators to check if there are any kids not eligible to go due to discipline issues or get a heads up about any students who could need extra supervision.
Keep kids busy with appropriate activities, keep them focus with some structure
Roll calls Head counts
Assign small groups to certain staff to check in with two or three times a day
Designated meeting places Synchronise watches with kids/mobil phones Collect mobile numbers Must be in groups when moving around
unsupervised and have the ability to contact the teacher when, where and how.
Ensuring supervision at all times when necessary Have a leader and a whip (some one on the front
and someone on the back) People strategically placed
Give kids physical boundaries marked on maps Student contracts as part of the standard package All activities supervised and unsupervised must be
itemised and listed on any excursion forms. Wear distinguishing clothing/uniform for safety and
recognition in crowds. School contact and student information numbers as

Education goals do it in the class before. Factor in toilet stops, breaks and snacks
stops Make sure all equipment is numbered and
allocated and recorded to a student so it can be traced if lost or damaged.
Be familiar with kids with special needs or medical issues.

ASSUME KIDS ARE UNFAMILIAR WITH THE ENVIRONMENT
Do not give children medication especially if its Panadol or bandaids (could be allergic).
Stranger danger, tell kids to beware of people they don’t know. Things don’t always go to plan, be flexible and have a back up
plan. Be prepared. Roads ARE dangerous tell kids to use crossing Stay with your class
Make sure you know if kids are in the toilets Make sure you are familiar with the environment and
protocols for each activity Bus access and parking Do a dry run for timing for the excursion Remember where you put the bus! No outsiders are welcome to join up with the group! Warn kids if no toilets or places to purchase food.
Kids to dress for the weather Avoid dismissing kids from any where else but school or ONE
set location. Carry a first aid kit. Carry a charged phone with credit and leave it on. Make sure someone at school has your contact/mobile number. Know where your are going and be prepared for things to go
wrong. You should know where emergencies services are located and
how to contact them. Where is the nearest hospital.
Bring a bucket on the bus for kids who get car sick, or put them in a front seat the stairwell is always a good place of last resort.
Staff bring a bottle of water, snacks, a couple of panadols (for you to take only at the end of the day), hat, sunscreen and wet weather jacket.
Kids cant smoke and neither can you. No alcohol for anyone at anytime, you are on duty
until the last child is safely home.
