PPW Board Meeting Fall 2016

Board Reports President: Heidi Swoboda a) Personal Life – Well – I am a soccer Mom AND a horse Mom. Yikes, that sounds a scary combination! Very busy being a kid taxi. b) Studio Life – I can tell you what’s NOT happening – SLEEP! It is absolutely crazy here. Lots of sports teams, some seniors and some interesting commercial work. Recovering from a mind-boggling series of broken/failed equipment in the last few months. Lost a monitor, printer, cell phone, speedlight and a laptop. Sheesh already! c) District or PPW responsibilities – Well, I spent a ton of time trying to organize a PSA (Photographic Society of America) print exhibition in conjunction with our PPA Western States Print Salon for conference this year. As you may recall, the hope was to be able, both to collaborate with other photographic organizations, and to create an exhibition of prints that was large enough to justify asking for art and lodging tax grants to help us pay for space in the convention center and for some new advertising avenues. Also was hoping to incorporate wineries and build a larger trade show collaboration. Unfortunately, due mainly to the time frame of PPA judging, I had to finally give up on being able to make this idea a reality. I didn’t feel that opening the PSA exhibition on Friday and Saturday but not opening the PPA salon until Sunday night was in PPW/PPAs best interest. And PSA requires at least a 3 day exhibition which we couldn’t otherwise provide. I did research grants that I strongly recommend we apply for in future – most need to be applied for at least a year in advance. I also was very encouraged to work with the wine industry in our state on future event planning. When we collaborate with other organizations outside of photography, we gain access to a much larger advertising base which includes many art supporters that would love to see our salon. I also researched several ways for us to ensure that our print salon doesn’t end up being just a monitor or two and a few prints since the digital entries are climbing and print entries dropping. I hit many dead ends on this front too, but will revisit. My favorite idea is for us to (in collaboration with lab sponsors) print out the digital entries to be hung in the salon. The cost of which will be less than the cost to rent another monitor or 2. PPA will not grant access to the digital entries which makes it impossible for us to do this for the next conference. Darn. We might consider this idea for our next Washington competition. I finished the suggested edits on our PPW promotional video and have it ready for putting onto the new improved website. By the meeting, I will have a sample proof of the print exhibit book and the artist bios that we discussed at the Summer Board meeting along with the pricing information. d) In what area(s) do I need help, mentoring or support? Well, mainly if someone could figure out how to add more hours in a day… Thanks for all you are doing for professional photography. Past President’s Report - Submitted Past Pres: Rich Breshears October 1st, 2016 a) Personal Life - What is going on in my family, personal, health? My heart is full. As a surprise for my 50th birthday, Mary Ann brought all of our kids and grand kids home for a week. I got to meet my youngest grand daughter and take her on long hikes in the hills around our home. I also got to spend time catching up with friends and family who came from all around to hang out with us for the event.

PPW Board Meeting Fall 2016

Board Reports b) Studio Life - What is happening in my studio? Absolutely amazing. We just had the biggest 3rd quarter we’ve ever had. Our September numbers were off a bit from our projections, but far exceeding anything we’ve ever dreampt possible before. c) District or PPW responsibilities - I’m here. Willing to help if anyone needs me. d) In what area(s) do I need help, mentoring, or support? I’m available if you need help. e) What is one goal I have for my district/job for this year? To be a better support to the organization. Vice President’s Report - Submitted Vice Pres: Chris Wooley Personal Life: Life is really good. My big news is that Rachel Hathaway and I are now engaged! Talk about PPW member benefits. Studio life has been great. This has been my busiest season. PPW: We purchased new sound equipment for conferences. It is being stored in the PPW storage in Olympia. It includes everything we need for presenters, presentations, and the Fun Party. This should help reduce equipment rental in the future. Faye and I have been working on the website. We’ve purchased a new domain name, hosting, and wordpress template so we can get PPW more social friendly. Faye has been doing some great improvements to the Wild Apricot site, too. We’ll need content though! So it’d be nice to start getting some guest writers. I visited the Southwest District earlier and did two classes for their district meetings. One on pin-up, and the other on In-Person sales. I had a blast seeing everyone. A special thanks to Kari and the Ikenberries for hosting me! We still need more activity for each district. Please consider a holiday party! It’s a great and fun way to get everyone together.

PPW Board Meeting Fall 2016

Board Reports Executive Manager’s Report - Submitted Faye Johnson a) Personal Life – Lot’s of changes…New rescue dog adopted 5 weeks ago. He’s a 3 yr old mutt that has a lot of King Charles Cavalier and Papillion with a bit of Beagle since his nose is to the ground most of the time. Scott named him Coach, as in Coach Johnson, cuz he runs the Johnson Game Plan! Another bucket list item that we have decided to do is purchase a 23ft trailer camper. And the maiden voyage is Wenatchee for the meeting. Stop by at the Lincoln Rock Park for a drink. b) Studio Life –Studio is still non-existing due to lack of marketing or energy to put energy into it. c) District or PPW responsibilities –

• Helped Julie with an event “Plan B -See, Capture and Develop your Creativity” with Brian Welsh from OPPA. It didn’t fill the seats, but Brian adjusted his pay so we could have it with only 5 people and not lose money.

• Continued to update the website with the changes to Navigation bar. And added a slide show to front page and rotating imaging manually.

• Sent out a few whole membership email blasts regarding upcoming events. • Met with Barbara regarding more transitions of the treasurership. • Multiple calls and emails with Rachel Ik regarding 2017 conventions • Still working on getting the past 5 years of merited prints online in galleries to view. • Finalized Speaker contracts for 2017 • Helped with getting minutes emailed out and posted on website • Conference call with the Vendor/Tradeshow people, Keith Currie and Sharon Biddinger we’re

starting to ramp up marketing to vendors for the 2017 tradeshow. • Helping Barbara get Quickbooks up and running and get reports ready for board meeting.

d) In what area(s) do I need help, mentoring, or support?I’m doing good right now. e) What is one goal I have for my district/job for this year? To stay focused on all PPW needs. PPA Council:’s Report – Submitted Marie Martineau-Sandberg Nothing to report

PPW Board Meeting Fall 2016

District Representatives Reports

Central -Submitted Central Rep: Dalisa DeChiara I have nothing to report really, except there was a creative group created in Wenatchee that just disbanded, I am going to reach out to all of the photographers I can to try and get them to go to meetings. I've been a little slow to get things going because I'm in the middle of opening a studio! October 15th is the Grand opening, I'm hoping to use my new space as a meeting place, at least once in a while. Northwest -Submitted Northwest Rep: Mark Turner I haven't done anything in my role as District Rep in the last quarter. I've had too much on my plate, both with our business and personally. Olympic - Submitted Olympic Rep: Ernst Urlich-Schafer Portrait class offered to photographers in my area & PPW members. Gallery showing here in PA during Nov. Will be offering a basic camera class during Nov. Photographers gathering at my studio before my show ends. North King - Submitted North King Rep: Jamison Johnson We held a joint North and South King event with Bryan Welsh. While I served as the coordinator, our team did a great job organizing this and putting this on, so it felt seem less from my end. OPPA was kind enough to donate to us lights for print comps. We should send them a sincerely thank you on behalf of the board. It is currently in my basement, but I think maybe they should be stored elsewhere in the long term to keep better if anyone has room, or we have a storage somewhere. The event was pretty close in terms of our target attendance goal, so we worked with Bryan to still do the event despite having a few less attendees at a lesser cost. The event was a success even though we we had a smaller group. We have one person that paid cancel and one not pay and show up, but the content and the small group discussion was well worth the effort of putting it on. Bryan shared a great way to market and work around common issues we face in the photography world. Kudos to Bryan for an excellent program. Also kudos to our interim host Bruce Hudson for opening up his space to put on another program this year. He and Bryan go way back, so they had an opportunity to catch up. Being with everyone busy, we both have not yet discussed any further programs, but may do that soon. Due to Bruce's generosity and busy-ness, I don't want to push it, but I like us having periodic joint group events. We talked about the possibility of somehow using the PPA lists of local people to send out a communication about local events. It is a great idea because we have a lot of local PPA members that would likely love PPW and Super One Day events our members put on, so it is a great way to expand our membership base and make new friends. With new people, getting them to action and showing up is the greatest issue we are facing in this new district area. With the creation of Creative Live and Online groups, I would urge PPW to possibly

Page 16: PPW Board Meeting Website Folders and... · Ikenberry, Larry Ikenberry, Ralph Allen, MaryJo Allen, Jamison Johnson, Chris Wooley, Faye Johnson and Julie Fitzpatrick Proxy Motion:

PPW Board Meeting Fall 2016 consider having online content as a benefit to our paid members. We should all be emphasizing the mentorship, strength in sharing ideas and friendship, and our scholarship programs for both youth and members. I would be curious to hear how are other programs are doing. I am encouraged to see more being offered by PPW and their members for the benefit our profession. We are currently suggesting people take advantage of Super One Days and PPW events on the calendar. I made Richard Varsafski's program/event as an official PPW North King event due to it's being local of nature. I will be having a Christmas Party this December. Other than that, things are a bit quiet because everyone seems busy with their businesses. Prior to conference, I will likely hold a few meetings pointing to our conference gearing folks to sign up and enter in image competition. Nothing else really to report. South King–Not Submitted South King Rep: Interim Bruce Hudson Southeast (SE) - Submitted Southeast Rep: Sonja Yearsley a) Personal Life - What is going on in my family, personal, health? My family is doing well. I’m very busy with the kids’ schedules. Personally, I’m doing okay – I have a few health issues, but it’s temporary (hopefully). b) Studio Life - What is happening in my studio? Much busier than years past, it is only getting busier. Things are picking up, starting to become my ‘busy season.’ I don’t expect things to slow down until after Christmas. c) District or PPW responsibilities - What is happening? We have continued to have our monthly meetings with great success. Our last meeting was to plan for the upcoming Camera/prop swap on the 25th. d) In what area(s) do I need help, mentoring, or support? I can’t think of anything I need help with at the moment. e) What is one goal I have for my district/job for this year? I’d like a 90% retention on old members and to add 5 new members. Southwest (SW) - Submitted Southwest Rep:Larry Ikenberry Southwest District enjoyed much activity during this past quarter. In July, 14 members met for a potluck dinner at Carole Honeyman-Huff's home for a fun get together. In August, 14 members joined Larry & Rachel Ikenberry at their home for a BBQ and sharing summer photographic challenges. September events included Chris Wooley with his presentation " Pin Up Experience" program which was delightful as well as informative. Everyone agreed it was way more than they expected. Eight of us enjoyed continuing the experience over dinner with Chris.

Page 17: PPW Board Meeting Website Folders and... · Ikenberry, Larry Ikenberry, Ralph Allen, MaryJo Allen, Jamison Johnson, Chris Wooley, Faye Johnson and Julie Fitzpatrick Proxy Motion:

PPW Board Meeting Fall 2016 On the same weekend Chris gave another program, "In Person Sales" to a small group at Kari Stuckey's Olympia studio. Spokane–Not Submitted Spokane Reps: Deke Cloyd Yakima - Submitted Yakima Reps: Mindy Siks and Caron Van Orman Nothing to report for this quarter. It is a very busy fall for both of us and difficult to fit any planning time in for meetings.

Committee Reports

2017 Spring Conference -Submitted Conference Chair: Rachel Ikenberry PROGRAMS Our featured speakers are confirmed and working on their program titles but we have yet to finalize contracts with them. With such renowned speakers as Don MacGregor, Bob Coates, and David Trust, Faye is creatively managing the program sequence to maximize their speaking time. They are having fun coordinating their comments to magnify our theme PURSUING YOUR STYLE. In addition, Michael Thresher will be doing an early bird for us on Sunday morning. FINANCES Without the income from print cases we are going to be really tight this year. We need more program registrations and more vendors. Right now we are in the red by $800. One unusual expense is in getting the 8 members of the PPA judging team from SeaTac to Yakima. Since the cost is about $150 higher to fly into Yakima, I have offered PPA $100 per person to do so. It would be easier for them in several ways. And way easier for us. I really don’t want our members missing any of the conference to make runs to SeaTac. Still waiting to see what they decide to do. We need to encourage everyone to support the conference by being there for the programs especially. Keith Currie and Sharon Biddinger, PPW Trade Show team, are hard at work making contacts. Right now we already have 2 new vendors committed to taking booths, so we are hopeful at having the room full (16 vendors vs. 6 last year). CONFERENCE CHAIRS As of now I still need to iron out details for the Salon Logistics team in addition to the timing of the set up and print prep for judging. I have out some requests but have not yet confirmed who will be the Photographer or Hospitality Chairs. Otherwise the rest of positions are filled. PUBLICITY Publicity Chair Mary Jo Allen has prepared variations on Lisa Lamping’s logo design for use in the Journal, PPW Facebook posts, and email. Mary Jo will be calling on each of the Board Members to re-post in other photography online groups to which they belong. We are strategizing to reach college and high school photography students and their instructors as well as other aspiring photographers with programs that shout professionalism. PPW Board Meeting Fall 2016 class. Faye is working on a mailer to the PPA members who live in Washington, using the PPW trifold flyer and an insert about Conference. Hopefully they will want to come for this final Western District judging to be held in Washington and stay for our big gun speakers. REGISTRATION Next on my to-do list is creating the menu to confirm no change in pricing for the meal package. Then Faye and I will be finalizing the registration form, making it live on the PPW website, and putting Dalisa to work! I am thinking through some ways Marie, as Membership Chair, can reach out especially to our newest members to get them excited about renewing their membership and coming to conference. You will make my day if you register before the end of November! My standby advisor Faye comes to the rescue whenever I call on her. Often I just need someone to give me feedback on an idea, and she is always helpful. I recall a question at the last Board meeting as to whether Faye was being more hands on / available to assist in events than our previous Executive Manager. Let me count the Conference ways!! she writes/ updates and manages the contracts for speakers, judges, and trade show vendors. She preps the Trade Show team on use of the Google Drive documents she has created for them to use. She not only dreams up the entire Fun Party but also creates promotional images for it! Last year she managed all the publicity except for the logo plus poster and program design. She updates the Conference Registration form, gets it online, and manages payments and qualifying membership status. Thank you Faye! See you all in January in Ellensburg and then in Yakima! Heidi Swoboda and I had been working on trying to have a PSA competition prior to our PPW conference and putting PSA prints on exhibit at our conference. Due to monitory and time issues, it will not be possible. We have visited with the idea of having an on line judging during February. We need to do more research on this. We have come up with the idea of having the executive board do small traveling classes on their expertise. Chris Wooley has done a short SW District class on Pinups and Business. Heidi has promised in January she will do some sort of a short class on actions/apps. I spoke to Barbara Potter about doing something with low light photography and live shooting. At that time, she did not feel comfortable about doing a class, but I see from her work she posts, I will have to try again Rachel at this time is busy with a new job and future changes, but we must also have her do something. I am planning on talking to the Microsoft Community Connections Partnership – (Free speakers and venue) in the near future. I’ve been watching Oregon Professional photographers, and think we can glean education ideas from them.

PPW Board Meeting Fall 2016

Motions Motion A: Computer/Equipment for Judging Motion to the PPW Board

Committee:

Prepared by: Chris Wooley

Date Submitted: 10/4/2016

Motion: I move: to purchase a computer/equipment dedicated to print competition and judging.

Justification:

To: We are currently borrowing members’ computers to do print judging. This provides inconsistent and sometimes incompatible performance. A dedicated system would allow for easier operation and a more consistent way to doing competition. The system is not needed ASAP, but approving a budget now will allow us to purchase one when the price is good (Holiday sale, etc). Early purchase also allows ample time for set-up and training. Can also be used for district level image review, too.

Breakdown of Projected Cost & Labor:

Computer System, Adapters/Cords, software and Peripherals - $800

Additional Info: This is the cost of the “core” system. I highly suggest we approve this motion. There are some other motions for extras that will be helpful to have, but aren’t 100% needed right now. Responsibility/Implementation Assigned to: Effective Date, If Applicable:

PPW Board Meeting Fall 2016

Motions Motion B: Monitor Purchase Motion to the PPW Board

Prepared by: Chris Wooley

Date Submitted: 10/4/2016

Motion: I move: to purchase a Monitor.

Justification:

To: We currently have a great monitor for judging, but a secondary monitor is needed for print handlers to operate the judging program (so the judges only see the images, not lightroom).

Breakdown of Projected Cost & Labor: Additional IPS Monitor - $250

Additional Info: This is a much needed “add-on” to the “core system”. Right now we will have to borrow a monitor from a member. It would be nice for PPW to have a complete system. Responsibility/Implementation Assigned to: Effective Date, If Applicable: If action item requires a change in Bylaws or Policy Manual (OPP): Indicate Section Number:

PPW Board Meeting Fall 2016

Motions Motion C: Purchase Calibration Tool Motion to the PPW Board

Prepared by: Chris Wooley

Date Submitted: 10/4/2016

Motion:

I move: to purchase a Calibration Tool.

Justification:

To: A calibration tool (such as the X-Rite) will allow us to have accurate colors and tones for print judging. It can also be used to calibrate the projector so it shows more accurate colors and tones during Club 79 and Presentations.

Breakdown of Projected Cost & Labor: Calibration Tool - $250

Additional Info: This is an add-on to the “core” system. We can currently borrow from members, but it would be nice to have – especially with the need for accurate colors and tones. Responsibility/Implementation Assigned to: Effective Date, If Applicable: If action item requires a change in Bylaws or Policy Manual (OPP): Indicate Section Number:

PPW Board Meeting Fall 2016

Motions Motion D: Purchase Large Screen TV Motion to the PPW Board

Prepared by: Chris Wooley

Date Submitted: 10/4/2016

Motion: I move: to purchase a Large Screen TV.

Justification:

To: A Large Screen TV can be used to display images during the print exhibit. More and more images are being submitted digitally. Showcasing them is a growing issue. Having a large TV would allow a looping of the images for easy viewing.

Breakdown of Projected Cost & Labor: Large Screen TV - $400

Additional Info: This is a lower priority purchase, but is still needed. We will use the computer and monitor to display images for “on-demand” inspection, but this would serve to rotate through images. Approving now would allow for special holiday pricing (like Black Friday, etc). Responsibility/Implementation Assigned to: Effective Date, If Applicable: If action item requires a change in Bylaws or Policy Manual (OPP): Indicate Section Number:
