The Web-based School Trip Booking & Payment System is a specially designed online system to help school management plan and run school trips and educational visits. It is designed to guide the users such as students and parents through a step by step process that facilitates the effective management of school trips by asking for a sequence of fields to be completed. These fields are designed to ensure that the trip is organized effectively without any necessary information being left out. This gives the organizers, school management and parents the confidence that trips are being planned correctly and the significant risks identified and minimized. The system is quick and easy to use, eliminates the need to duplicate inputs, guides users through the process, is accessible anywhere in the world providing students and parents access to the internet and allows scanning stored information such as payment methods etc. A web-based School Trip Booking & payment System applications optimized and dedicated for school field trips and its payment methods that is supposed to carry out by the students and parents. It includes School Trip reporting facility i.e. Governor Reports on meeting educational visits learning outcomes. The application allows school managements to keep track of their students and parents requests and provides a multitude of reports related to field trip activity. 1. In this question you are asked to read about:
an existing system; for School Trip Booking & Payment System of a school; this is manual and paper based;
the proposed replacement; this is to be a web-based school trip booking & payment system.
You are given a description of both the existing and the proposed new computerized system.
Description of the existing system
Parents and students contact with the management of the school through visits or phone for the field trip booking. When a parent or a student wants to book a school field trip they have to contact with school office, the office-assistant provides field trip and payment details along with field trip permission slip to the parents. The field trip permission slip is filled up by the parents and given back to the office-assistant along with field trip charges.

The field trip permission slips are kept in the folders by the office-assistant. The school has plenty of field trip facilities in different categories and charges. Each type of field trip cost different from each other according to location and facilities. The booking can only be made on day before the field trip day. When a booking is made, the following details are always required:

These details are added to the booking register and the cost of the trip is added to the account of the parents/ guardian. The ticket is given to the students or parents on the completion of the booking. Student has to report to the school office 1 hour before the School bus is departed. The name of the student is crossed off the list by the field trip supervisor as soon as student reports to the School office.

Description of the proposed computer-based system The proposal is to replace all the paperwork. A web-based school trip booking & payment system will be used. It will contain all the information described above. It will allow parents & students to book a field trip through a web site using internet connection. They will do so using their personal computers from remote locations and get a print out of the field trip permission slip through printer. Bookings must be made at least one day before the departure date and vacant seat on the bus should be available. For every booking the cost is added to the parents account automatically, which is supposed to be paid by cash or cheque by person or paid by the credit/ debit card through online secured payment method and receive receipts and other paperwork via email attachments. Details of the booking are collected on the central computer of the school office that confirms the booking with the school sending details electronically. The school can display or print a list of students for any of that trip’s booking details. A systems analyst is to be employed to review the existing manual method. The analyst will be responsible for drawing up an action plan for the new computer-based system. This will then be designed, built, tested and implemented. Technical and user documentation will be produced. Six months after the introduction of the new system, a full evaluation of its performance will be made.

It is a type of fact finding methods in which system analyst asks questions to the
employees of the School in person through face to face meeting. It will allow a system analyst to

asked.
