Presentation software lets you create slideshows.

These can display words, photos, images and even movies.

When you open slide presentation software, a title slide will be ready for you to complete.

When you start on a new presentation, choose a name for your work and save it as a new document.

You can organise your documents in folders for different jobs or tasks, such as ‘Homework’ or ‘Community project’.

Click on ‘Save’ every few minutes to save your progress.

The main panel is where you create and edit your slides.

To the side, you can see all the slides in your presentation. You can scroll up and down and click on a slide to edit it.

Below is a panel where you can add notes on each slide, to help the presenter.

At the bottom, there are buttons that change how you view your slides.

Edit your slides in ‘Normal’ view.

Drag and drop slides in ‘Slide sorter’ view to rearrange them.

Display your slides in ‘Presentation’ view.

On any slide, click in a text box to type in it.

Click on the edge of a text box to make corner and edge handles appear. Click and drag on these to change its shape and size.

To move the box, click and drag elsewhere on an edge.

‘Formatting’ lets you change how text looks.

Highlight the text you want to format.

Keep your text easy to read!

It’s easy to delete or add text boxes.

Use your toolbar, ribbon or menu to choose ‘Insert text box’. Then click and drag your mouse to create one that is the right shape, size and position.

To delete a text box, click on the edge so the handles show. Then press the ‘backspace’ or ‘delete’ key.

Use ‘Cut’ and ‘Paste’ to move text from one place to another.

Highlight the text you want to move, then hold down keys as follows:

CTRL + X to cut out this text

CTRL + C to copy this text

CTRL + V to paste this text in a new place (click your cursor in the new place first)

You can also choose to insert clip art – ready-made cartoons of people, things, places and actions.

Use your mouse to change the size and shape of a picture.

Click and drag on a corner or edge handle to change it.

Click and drag in the picture to move it.

Check that your presentation ‘flows’ well from slide to slide.

Drag slides in the ‘Slide sorter’ view to rearrange your presentation.

Double-click on a slide to edit it.

To delete a slide, click on it then press the backspace/delete key.

Use presentation view to show your slides to others.

To move forward, press SPACE, ‘N’, the right arrow or click your mouse.

To move back, press ‘P’ or the left arrow.

Press ESC to leave the presentation.

You can print your presentation as slides or handouts.

Choose ‘Slides’ to print each slide on a whole page.

Choose ‘Hand-outs’ to print many slides on a page.

You can also choose which slides you wish to print.

You can create an overall design for your slides using a ‘Master slide’.

Every slide on your presentation will use this design.

The Shapes tool lets you create banners and diagrams for your slides.

These are a great way to bring your ideas to life.

Your presentation software will have a toolbar button or ‘Shape’ menu.

Use this to choose the shape you want.

Click and drag on a corner or edge handle to change its shape and size.

There are lots of ways to format shapes and change how they look.

Right-click on your shape and choose ‘Format shape’.

If you use lots of shapes, some may overlap others in the wrong way.

To organise your shapes in layers, right-click on a shape and then select ‘Arrange’.

This lets you move each shape forward and backwards through the layers.

Join shapes together as a group to move or copy them as one object.

Keeping the Shift key pressed, click on each shape you want to join in a group.

Now right-click on one shape and look for ‘Grouping’ or ‘Group’.

Move and resize your table like a picture, clicking in it and using the handles.

The ‘Tables’ tab or toolbar view will let you format your table.

Highlight text in a cell to format it. You can highlight many cells at once to do this.

Use the handles to resize the video, and click in it to drag it into position.

Remember to connect your computer to some speakers if your video has sound (your screen may include speakers).

You can set up your presentation to play automatically, for example for when people are entering a meeting, or as part of a display.

Most presentation software has a ‘Set up show’ option in the ‘Slideshow’ toolbar or menu.

You can add timings for each slide.

Choose for each slide to advance after a set number of seconds.

You can set this for each slide, or apply the same timing to all slides.

You can rehearse your video and find out how long each slide takes to present.

Once you are happy, you can save your timings. These will show while you present, helping you stick to your allotted time.
