PROJECT COLLABORATION SOFTWARE Overview A construction project can have anywhere from 100 to 5,000 associated documents. This can include complex plan sheets, requests for information, shop drawings and emails. These documents require the review and approval of many stakeholders including consultants, contractors, sub-contractors, Federal Highway Administration employees, PennDOT employees and employees in other state and federal organizations. If an important document is delayed in the mail, lost on someone’s desk or hidden on a computer, it can cause delays in the associated construction project. The Project Collaboration Software Project was initiated to help solve issues around the management of roadway construction documents. When this project is complete, the PennDOT construction community will have a Web-based Project Collaboration Documentation System that will enable users within PennDOT and the business partner community to work together, collaborate, and share information more efficiently. Features and Benefits An Internet based automated solution to consolidate project documentation to a central location and enable users within the organization and the business partner community to share information more efficiently and to manage and track the submission/review/approval process. Central storage of all documentation related to a given project. Workflow capability allowing easier and faster tracking of documents leading to reduced turn-around time for document reviews/approvals, reduced cost in mail or courier and fewer lost documents. Search capability making documents easier to locate and retrieve. Secure remote access to documents. Transparency and accountability in document review and approval cycles. Reduced production, reproduction, transportation and storage of paper documents and therefore reduced costs. Reduced email storage requirements.
