Overview “ProjectSolve” is the name given to a collection of Project Collaboration and Management applications hosted by WSP’s Project Information Management (PIM) group and provided to WSP clients on request for the capturing, tracking, administering and utilization of project information.

History ProjectSolve started in 1999 with the creation and deployment of a custom developed solution, supported by a large in-house development team. Each instance of the application was customized to the specific needs of the client that chose to use it.

In 2002, ProjectSolve2 was introduced, and moved the product from a custom programmed solution to a purchased, commercial-off-the-shelf product: “eRoom” by EMC Documentum. eRoom provided a simple set of tools, but allowed projects to become more self-sufficient and less reliant on a staff of programmers in order to create the tools desired for their projects.

In 2014, ProjectSolveSP was introduced taking the product to a new level by moving it to a Microsoft SharePoint 2013 Enterprise platform, keeping most of the features found in eRoom, and supplementing them with an array of new features and functionality provided by Microsoft and its partners.

ProjectSolveSP Like ProjectSolve2 before it, ProjectSolveSP (PSSP) is primarily a web-based collaboration tool that can be used to create and deploy project collaboration and management websites for WSP clients and their projects, allowing them to share, collaborate on and manage information between project team members. The value for building this solution in a Microsoft SharePoint 2013 Enterprise environment, is that the system is now capable of so much more than just simple collaboration.

Because every PSSP site starts off as a blank page, with a series of available tools available for development and deployment, every project site can take on a different appearance and level of functionality, associated with the specific needs of the project that the site is being created for and what the person creating that project site is trying to accomplish.

Approach We recommend the following approach when creating a new Project Management site within PSSP.

Requirements Understanding First, identify the requirements for that project. Things to think about include:

— What activities will they be using the project site for? — What type of tools would they like available? — What business processes will they be following? — Have these processes already been documented or are they still being developed? — What are the document management needs of the project? — Who will make up the users of the site? — Are there logical groupings of these users? — What types of security and access controls will be needed?

Process Flows Once the project requirements are known, identifying the business processes in place and how they flow and interact can ensure that the design and operation of the tools, security groups and workflows are set to match these identified needs.

Site Location Depending on the type of project site, and whether it needs to be a stand-alone project or part of a related series of projects, the location of the physical project site within the SharePoint environment may be at the top-level of a site collection or within a sub-site area under it.

Tools Each PSSP project site is made up of various tools designed to provide a specific set of functionality to meet that project’s identified needs.

Microsoft provides a series of pre-made templated tools that can be quickly deployed to a project site and then configured to the needs of that project.

When no templated tool is available, custom tools can be created and configured to meet project needs as well.

Lastly, Microsoft has partnerships with various organizations that also release SharePoint tie-ins to their products to provide additional functionality without having to create it from scratch.

Workflows Another way to add functionality to tools created for use by a project is through the inclusion of electronic workflows. These can be simple workflows that provide a basic notification functionality, or more complex workflows that put project data through a series of review and approval steps to ensure that the proper data is being captured, collected, approved and provided as needed to manage the project.

Users/Security Groups Each PSSP project site includes identified users, and logical groupings of users, authorized to access that site, any sub-sites and the tools located on those sites. Users must be granted sufficient access to the project site, the tools on the site and the areas of the site, in order to access and work with the data stored there.

Tools SharePoint adds value to a project through the deployment and usage of tools and objects created within that environment.

— Announcements – A specialized list used to make announcements to the members of a project. — Calendar – A standard calendar used to track project-related events; these can be viewed by month, week or day. — Contacts – A list of members for a project site and the contact information for each. — Discussion – An application for identifying project-related discussion points and capturing the comment thread

related to each. — Document Library – A standard library for capturing project-related documentation. — Picture Library – A library tool for capturing and storing project-related photographs and images, with an

automated thumbnail version created for each. — Survey – A tool used to create an electronic survey with various kinds of questions.

Workflows One of the tools that is included with the ProjectSolveSP environment is Nintex Workflow that allows projects to utilize electronic workflows to automate the identified process flows and project tools identified. Nintex is a graphical workflow engine that allows the workflow creator to map out the workflow to be followed using graphical symbols and the application then creates the associated code.

We can add required functionality to tools by creating a mix of workflows that work together to enhance the applications. Below are some examples of this approach from actual projects.

Change Management We created a Change Management system in ProjectSolveSP for a client, and they requested that we break it into two versions of the tool to provide segregated, secured access:

— Change Requests (SharePoint List) – This is an “external” version of the tool where the contractors can enter their requested changes and provide key information about those requests, and then submit those change requests for review.

— Change Review (SharePoint List) – This is the “internal” version of the tool, hidden from the contractor, where the internal team can review the requests and brainstorm the proper response without worry that the contractor will see any comments or discussions until the “official” answer is provided.

It took nine (9) Nintex Workflow electronic workflows to automate this functionality as the client desired, as outlined below:

Change Requests (External List) — CR_Autonumber – This is an electronic workflow that runs automatically each time that a new entry is added to

the “Change Requests” list, and applies a unique, automatically generated ID number.

These workflows were designed based on the required functionality of the specific project.

Request for Information Another ProjectSolveSP tool that can be significantly improved through the addition of workflows is the “Request for Information” (RFI) application. In the example below, we also broke this tool into an “external” and “internal” version to allow us to ensure that the requestor was not exposed to the back and forth of the team providing the response:

— RFI Log (SharePoint List) – This is the version of the tool where the contractor enters their requested for information and key information about those request, and then submits those for review.

— RFI Review (SharePoint List) – This is the review portion of the tool, hidden from the contractor, where the internal GMTO and WSP team can review the requests and brainstorm the proper response.

Additionally, seven (7) Nintex Workflow electronic workflows were created to automate as much of the data movement as possible, as outlined below.
