Superintendent Report (Terry Brandon) A. Update on the movie Homecoming filmed at RGS this summer

a. Riverdale parent Christi Sperry co-wrote the filmb. Low budget filmc. Director offered an acting workshop for children and a film symposium for adults

for use of the schoolB. Local option tax levy on ballot for the Nov. 3 special election

a. Measure 26-169i. Leslie Goss heading committee campaign for the levy

b. 5 year local option tax levyi. Estimated tax rate $1.37 per $1,000 of assessed valueii. If passed levy would go into effect in 2016 and run through 2021iii. Will generate approximately $100,000 a yeariv. If the levy were to fail it would result in the loss of 7-8 school staff

membersc. Levy needed to cover the steady decline in tuition students

i. only 112 tuition students down from 150ii. 40% of out of district students pay tuition, 60% are transfer studentsiii. Tuition students pay $11,950 if they become a transfer student school

district receives $7,0851. A loss of $4,865 per transfer student

Thank you to our PTC for hosting parent and psychologist Donny Wright at the December PTC meeting, and to our Site Council for informing the topic. Donny guided a discussion with the overarching topic of “striving for accuracy, not perfection.” The conversation was lively and engaging.

Donny shared a delightful story about his own parental challenge when faced with his son talking about an assessment in his early primary years. He emphasized, through great use of humor, the importance of supporting a child’s effort rather than the standard of perfection. Donny shared with us his belief that families benefit from grounding conversations and redirection to a suggestion of three core values. An example of a core value may be “we heal, we don’t hurt” or “you do your best.”

Donny suggested the following questions when discussing assessments with children: ● How did it go for you?● Do you want to do it/anything differently next time?● What would you do differently?

At school we talk about being safe, respectful and responsible, along with the Habits of Mind. These suggestions surely align with our Habits of Mind work and the language we are using at school!

Donny also encouraged the importance of expanding a child’s emotional vocabulary. Rather than rescuing a child from a challenging experience (within our own belief systems), he encourages helping children identify their feelings and put words to them. For example, being sad may also include being disappointed, hurt and so on. I appreciated the discussion and it’s connection to the Habits of Mind, and I look forward to more conversations! Additionally, Donny recommends the resource “The Confident Child” by Terri Apter. I’ll be adding this to my winter reading list. Thank you Donny!

Meeting called to order at 8:45

Minutes: Based on review of minutes, an attendee’s name was corrected and the principal’s blog information about Donny Wright’s presentation will be added. Jody Duncan moved to approve the December 9, 2015 RGS PTC General Meeting Minutes with these two changes, all approved, motion passed.

Riverdale School Foundation President, Lance Steinberg, shared that 2016-17 school year fundraising goals were exceeded. Over $1M has been donated or pledged. Foundation administrative overhead is about 3% of donations. The Foundation is seeking a new treasurer and board positions over the next two years.

Site Council member, Jill Corvelli, provided an overview of Site Council’s work supporting Habit of Mind, creating a parent survey and collaborating with PTC to identify informative speakers for PTC general meetings.

A group discussion around “What's on your mind?” brought forth in the following suggestions: ● Provide kudos and spotlight volunteers.● Create in-person connections.● Introduce yourself to other families.● Ask initially about children instead of where a new family lives.

An update on “A Night in Havana”, PTC’s Fundraising Fiesta was provided by Shelly Morris. Planning for a fun night of Cuban inspired music and food is almost complete.

Leslie Goss shared the history behind "The Hundred Year book" Riverdale School 1888-1988. The book provides an inspiring history of Riverdale’s treasured traditions - Carnival, Field Day, Party Packs and Drama. Amy Coulter expressed interest in looking into how we might help create an eBook of the book with the permission of the author.

Minutes RGS PTC March General Meeting Minutes were approved.

Lunch

Jody Duncan and Amy Coulter gave an overview of the current lunch program’s 3 major roles which the PTC manages: Caterer relationships, Ordering and labels, and parent volunteer coordination for serving. In an effort to seek a more turnkey option for the 2016-2017, the PTC is recommending outsourcing lunch to www.my-lunchbox.net

Issues/Concerns: Pizza Monday would go away

o Regular one day a week or none would be preferred as to occasional pizza offeringswhich would cause confusion

o Opportunity for lunch fundraiserso Could Pizza be outsourced to a third party vendor as well?

Develop a plan for extra lunches so that students don’t go without food. Additional microwaves would be needed. Would long wait times be created? Future need for volunteers: distributing lunch bags, microwaving and recycling.

Communications Need for newer parents to understand PTC roles and volunteer opportunities “Riverdale 101 Night” with opportunity for both education and parent social Important to include incoming families Reduce redundant emails that Room Parents are asked to send (e.g. Party Packs)

Teacher Appreciation Dimati McPherson gave an update on changes for Teacher Appreciation Week. In an effort to

simplify and reduce the need for parent volunteers, Teacher Appreciation is being condensed toone day with a Breakfast, Banner (by 7-8th Leadership) and Spirit Wear (self-selected orders).

Carnival Dimati McPherson presented an opportunity to have Riverdale High School Students volunteer to

run the carnival in return for profit-sharing which could benefit the RHS Booster Club.

Notice of Discussion Items Regarding PTC Incorporation to be Voted on at RGS PTC General Membership Meeting

May 25, 9am in RGS Commons The RGS PTC Executive Board is providing this Notice that:

• The General Meeting will include discussion of, and a proposal to support, the RGS and RHS PTC Executive Boards' recommendation to incorporate the Riverdale PTC as a new non-profit entity, to be called "Riverdale Schools Parent Teacher Club." The goal is to create a new incorporated entity and obtain non-profit status prior to FY 2017 - 2018, which begins July 1, 2017. Assets of the current Riverdale PTC would be transferred to the new entity around the start of FY 2017 - 2018.

• RGS and RHS PTC members will be asked to authorize $7,500 for FY 2016 - 2017 in the

Joint PTC Budget, for legal fees, filing fees, and asset transfer support to incorporate a new PTC and obtain non-profit status; expenditures shall not exceed a total of $10,000 over the course of both FY 2015 - 2016 and FY 2016 - 2017. Note: RGS PTC and RHS PTC each provide 50% of the Joint PTC Budget.

• The RGS and RHS General Membership will be asked to provide a vote of confidence in

support of the RGS and RHS PTC Executive Boards' development of Articles of Incorporation, new By-Laws, and new Policies and Procedures for Riverdale Schools Parent Teacher Club, Inc., to be filed with appropriate bodies during the Summer of 2016.

RGS PTC General Meeting Minutes May 25, 2016 9:05-10:40am

PENDING SEPT 2016 APPROVAL Present: Virginia Mulligan, Tiana Dixon, Heather Bogaty, Amy Coulter, Jessica Green, Kristin Bride, Terry Brandon, Joanna Tobin, Dimati McPherson, Jody Duncan, Naomi Hand, Mary Brazell, Vesna Kostur, Ajyna Pai, Beth Johnston, Paige Witte, Shelby Quintos, Anita Scarlett, Leslie Goss The meeting was called to order at 9:05 1. Administration Update

a. Oregon Rising Initiative: Terry Brandon updated the group on a public outreach effort for Oregonians to provide feedback on their schools. A 5-7 minute survey to provide your suggestions (ideas, hopes and dreams) for Oregon schools can be accessed through www.oregon-rising.com. The initiative is sponsored by Oregon school administrators, teachers and school boards in an effort to inform legislators. Terry encouraged everyone to participate.

b. New Gym Fountains and Water Bottle Refiller: Terry Brandon announced that the gym

now has 2 new water fountains and a water bottle re-filler. Joanna noted that the 7/8 grade wing will also have a water bottle re-filler installed on June 4th which is the 2016 RGS Graduating Class Gift back to the school.

2. Minute Approval Tiana made a motion to approve the RGS PTC April General Meeting Minutes which Heather Bogaty seconded. 3. 2016-2017 PTC Board Vote Amy Coulter motioned to nominate (Tiana Dixon seconded) the following people into PTC Executive Board positions with voting rights for the upcoming 2016-2017 School Year: Dimati McPherson/Jody Duncan (Co-Presidents) Beth Johnston (President Elect ) Virginia Mulligan (Vice President) Margaret Pedersen Mainzer (Treasurer) Ajnya Pai (Communications) Shannon Janoff (Secretary) 4. PTC Incorporation Vote Jody Duncan and Mary Brazell presented the following 4 points for the RHS & RGS PTC Incorporation as a new non-profit entity effective July 1, 2017, which was unanimously approved by the PTC members:

1. Incorporation of the RHS and RGS PTC Boards 2. Filing the name change to Riverdale Schools Parent Teacher Club Inc. 3. Approve a maximum of $10,000 to cover incorporation legal and filing fees and asset transfer

over the next 2 years from the RHS & RGS Joint Budget Account 4. Vote of confidence in support of the RGS & RHS PTC Executive Boards development of Articles

of Incorporation, new By-Laws, and new Policies and Procedures for Riverdale Schools Parent Teacher Club, Inc.

Incorporation benefits discussed were: Liability protections for officers and volunteers; more checks and balances; consistent policies and procedures; one set of by-laws which addresses fraud, abuse and whistleblowing; management of funds by two treasurers; one large governing oversite PTC Board for

RHS & RGS. Mary Brazell additionally noted that the RHS and RGS Boards will practice operating under these new by-laws over the course of the next year before they are finalized in July 2017 for the new budget cycle. Joanna Tobin emphasized the importance of sharing out the new proposed by-laws with the larger PTC community. 5. RGS Budget & RHS & RGS Joint Budget Approval

a. Heather Bogaty motioned to approve (Jody Duncan seconded) the RGS 2016-2017 Budget pending the following changes:

1. Delete Ladies Stag line item as it is double counted on the Joint Budget. 2. Leave a place holder for Community School until the decision has been finalized. 3. Add $500 per year for the Lunch Pantry (not categorized as financial aid) to provide

snacks for students who have forgotten lunches. 4. Add a Fundraising category which includes: Escrip, Carnival, Other and Drama

b. Tiana Dixon moved to approve the RHS & RGS 2016-2017 Joint Budget (Jody seconded)

and it unanimously passed with the following notations: 1. Jessica Green commented that there are website issues that could be improved upon

from dedicated funds for a technology specialist. Mary Brazell and Heather Bogaty suggested exploring other options first through school technology staff, students and volunteers.

2. Vesna Kostur recommended that a review of the credit card processing fees may yield nonprofit alternatives to lowering this amount ($5,000). Shelby Quintos noted that it is important to remember that these fees are associated with approximately $150k in ecommerce.

6. Volunteerism and Communications Support/Website Heather Bogaty reviewed volunteer data and summarized that there are 3,664 one hour volunteer shifts each school year. If you divide that by the 350 RGS families, it equates to 10 volunteer hours each year per family. Annual leadership opportunity positions include: 55 Committee Chairs, 245 Committee members and 19 Coordinator positions. There is an increasing preference by families for one-time shift positions versus longer term leadership positions, but many parents are waiting to be personally asked versus seeking out positions. Dimati McPherson noted that the personal connection or “word of mouth” communication may be more effective than Parent Pack or email. Heather Bogaty and Ajyna Pai emphasized the opportunity for Grade Connectors and Room Parents to be aware of upcoming events and volunteer needs so that they can communicate with parents (even over the summer). Kristin Bride noted that there are also opportunities to better communicate meetings that parents are able to observe and learn from such as Site Council and Heather Bogaty noted the School Board. Heather Bogaty will be advertising for Website volunteers to help support the ongoing administration of the website through posts, sliders, ecommerce, volunteer sign ups and eblasts. Heather will be supporting fundraising communications on the website and Shelby Quintos is responsible for Community Building related activities. Heather noted that the ultimate goal is to give people a defined volunteer job description so that they can “volunteer with joy”. 7. Additional Comments: Joanna Tobin noted that her “summer reads” for staff and parents will be focused on Habits of Mind in a more focused and strategic way and Lost & Found, Helping Behaviorally Challenging Students by Ross Greene. Naomi Hand noted that Portland Public Schools is doing a great job incorporating a Diversity Trainer into their continuing education program for teachers and students and felt that RGS could benefit from similar training. Joanna Tobin noted that there are also opportunities for joint parent speaker series with both RHS and RGS. The Meeting Adjourned at 10:40am
