The Leadership Qualification is recorded on GO as a qualification, with seven different modules (a module 1 for

each section and 2, 3 & 4). The qualification needs adding to the individual before you can select the modules

they are undertaking.

If you are the Leadership Qualification Coordinator:

• Click the ‘Learning’ button at the top followed by ‘My Division/County Learning Roles’. Click the

relevant level from the list on screen.

• Click on the Leadership Qualification tab.

If you are a Commissioner:

• Click the ‘Commissioner’ button at the top followed by ‘My

District/Division/County Roles’. Click the relevant level from the list on screen.

• Click on the ‘Learning’ tab followed by Leadership Qualification from the left

hand side.

If you are an Administrator (e.g. GO Coordinator):

• Click the ‘Level Support’ button at the top followed by ‘My District/Division/County Roles’. Click the

relevant level from the list on screen.

• Click on the ‘Learning’ tab followed by Leadership Qualification from the left

hand side.

Adding the Leadership Qualification to a new starter

Before you can add the qualification, the volunteer needs to hold their main role in your area.

1) Click on ‘Add Qualification’ button.

2) Select the ‘Mentee’ and ‘Mentor’ using the magnifying glass.

NOTE//

The Mentee search will provide you all volunteers holding a role in your level or below, don’t forget to add

their role of Leader in Training or Young Leader. LQ Coordinators are not able to complete this as it’s the

responsibility of the Commissioner to ensure the roles are correct.

Only volunteers with the role of Mentor recorded on GO will show in the search. You will see all volunteers

whose main role is in your level or below. For example, a County Mentor will also show if their main role is

within your District/Division.

Selecting the modules and editing the start date

Now that you’ve added the qualification to the volunteer you can follow these steps to select the specific

modules that they are going to be completing.

1) Click on the actions arrow for the relevant participant (in the first table

on screen).

2) Click on ‘View Qualification’.

3) Use the actions arrow to ‘Mark as Selected’ for each of the modules the

participant has chosen to work on.

4) Enter the start date for the qualification and confirm if the book has

been given to the participant.

5) Click on the actions arrow for the relevant participant.

6) Click ‘Mark as in Progress’.

Adding a module to a volunteer who has already completed the Leadership Qualification

Use these steps for adding and additional module 1 or a module 4 to a Leader.

1) Change the view of the first table to show ‘Completed Leadership Qualifications’

2) Click on the actions arrow for the relevant participant.

3) Click on ‘View Qualification’.

4) Use the actions arrow to ‘Mark as Selected’ for the new module they are going to work on.

Marking a module as complete

As volunteers complete the modules you should use these instructions to mark them as complete.

1) Click on the actions arrow for the relevant module (second table on screen).

2) Click ‘Mark as Complete’ and enter the date completed on.

3) Submit to save the information.

NOTE/ Module 3 cannot be marked as complete without ‘A Safe Space’ course being recorded on GO. The

LQ Coordinator cannot add these courses as it is the responsibility of the County Administrator or

Commissioner.

Marking the Leadership Qualification as complete

1) Click on the actions arrow for the relevant participant (first table on screen).

2) Click ‘Mark as Complete’ and enter the date completed on.

NOTE//

Only once Module 2 and Module 3 (as well as the individual having a valid First

Aid certificate) have been marked as complete will the Leadership Qualification

be able to be marked as complete.

By marking the Qualification as complete at District or Division level this will submit the record to County

for verification.

Verifying the Leadership Qualification

These instructions should be completed at County level to show that the qualification has been verified.

1) Choose ‘submitted Leadership Qualifications’ from the selector for the first

table.

2) Click on the actions arrow for the relevant participant (first table on screen).

3) Click ‘Mark as Complete’ and enter the date completed on.

Marking a module or the Leadership Qualification as ‘Abandoned/Postponed’

This can only be completed at County Level, if you are trying to complete this at District/Division level, please

ask your County to help.

1) Click on the actions arrow for the module or qualification.

2) Click ‘Abandon’ or ‘Postpone’ as required.

3) Click ‘Proceed’ on the ‘Are you sure’ pop-up.

NOTE//

If the individual wants to restart the qualification or module click on the actions arrow next to their name

in the first table and click ‘View Qualification’ to show that they have re-selected a module; click ‘Mark as

In Progress’ if they postponed or abandoned the qualification in full.

Keeping in contact with Participants and Mentors

1) Use the third table on screen, changing the view as required.

2) Click on the actions arrow and ‘Contact Participant’ or click on the individual’s name to send them an

internal message.

3) Click on the download button to export a spreadsheet so that you can send an email to all Mentors or

Participants as required.

Mentors contacting their Mentees

Mentors can see their Mentees in the ‘My Mentees’ section in their profile.

1) Click on your name in the top right hand corner.

2) Select ‘My Mentees’ from the list

3) Click on the actions arrow

They can use the actions arrow and ‘Contact Mentee’ option to message them.

What do each of the tables show you?

Table one – Qualifications

This table provides you with a view selector to see the Leadership Qualification

for different volunteers with each status.

Table two – Modules

This table provides you with a view selector to see the different

modules with each status. If a volunteer is completing/has completed

multiple modules they will show multiple times.

Table three - Mentors/Participants

This table provides you with the opportunity to download the participants or

the mentors.

This shows all participants who are currently in progress with at least one

module with their email address so that you can contact them to invite them to relevant trainings.

The Mentors view shows all Mentors in the area with their contact details so that you can use this to email

mentors and contact them as required.

NOTE/ This table only shows those Mentors who are shown on GO as mentoring a volunteer through the

qualification.

The Going Away With… Qualification is recorded on GO as a qualification, with multiple modules (Going Away

With License for the basic one night element, then Catering, 3 x Programme modules, Facilities, Camping and

Travelling Abroad).

The qualification needs to be added to the individual’s record before you can select the modules they are

undertaking.

If you are a Commissioner:

• Click the ‘Commissioner’ button at the top followed by ‘My

District/Division/County Roles’. Click on your level from the list on screen.

• Click on the ‘Learning’ tab followed by ‘Going Away With Scheme’ from the left

hand side.

If you are an Administrator (e.g. GO Coordinator or Division Administrator):

• Click the ‘Level Support’ button at the top followed by ‘My District/Division/County Roles’. Click your

level from the list on screen.

• Click on the ‘Learning’ tab followed by ‘Going Away With Scheme’ from the left

hand side.

Adding the Going Away With… Qualification to a new starter

1) Click on ‘Add Qualification’ button.

2) Select the ‘Mentee’ and ‘Mentor’ using the magnifying glass.

NOTE//

The Mentee search will provide you all volunteers holding their main role in your area or below.

Only volunteers with the role of Mentor recorded on GO will show in the search. You will see all volunteers

whose main role is in your level or below. For example a County Mentor will also show if their main role is within

your District/Division. The role of Going Away With Mentor can only be added at County level.

Selecting the modules and editing the start date

Now that you have added the qualification they will appear on the list of New Going Away with Qualifications in

the first table on the screen. You now need to choose which modules they are going to be working on

1) Click on the actions arrow for the relevant participant

2) Click on ‘View Qualification’.

3) Use the actions arrow to ‘Mark as Selected’ for each of the modules the

participant has chosen to work on. If the start date is before today need to use

the View Module action to amend.

4) Enter the start date for the qualification and confirm if they have the scheme

book

5) Click on Update

6) Click on the actions arrow for the relevant participant and select ‘Mark as in

Progress’.

Adding a module to a volunteer who has already completed the Going Away With… Qualification

Use these steps for adding an additional module (section programme, camping, travelling abroad etc.)

1) Change the view of the first table to show ‘Completed Going Away With… Qualifications’

2) Click on the actions arrow for the relevant participant.

3) Click on ‘View Qualification’.

4) Use the actions arrow to ‘Mark as Selected’ for the new module they are going to work on. You may need to

change the start date for this module.

Marking a module as complete

1) On the In Progress Going Away with Modules list (second table on screen) Click on the actions arrow for the

relevant module

2) Click ‘Mark as Complete’ and enter the date completed on.

3) Submit to save the information.

NOTE/ If marking all modules complete for an individual, it’s quicker to click on ‘View Qualification’ from

the first table on screen and using the action arrow for each of the modules from this pop-up table.

Marking the Going Away With… Qualification as complete

1) On the In Progress Going Away with Qualifications (first table on screen).

Click on the actions arrow for the relevant participant

2) Click ‘Mark as Complete’ and enter the date the qualification was

completed.

NOTE/ Only once a completed Going Away With Licence Module and the volunteer has a completed Leadership

Qualification on their record can the Going Away With… Qualification be marked as complete.

As the Going Away With… qualification does not need to be verified the ‘Submitted Going Away With Qualifications’ list will always be blank.

Marking a module or the Going Away With… Qualification as ‘Abandoned/Postponed’

ask your County to help.

What do each of the tables show you?

Table one – Qualifications

3. Queen’s Guide Award

Use this help file to manage the Queen’s Guide Award for individuals in your area.

The award needs to be added to an individual’s GO record when they start working towards it.

Editing the start date and marking as in progress

Queen’s Guide Award Qualifications in the first table on the screen. You now

need to mark the qualification as In progress and amend the start date if

required.

1) Click on the actions arrow for the relevant participant

2) Click on ‘View Qualification’.

3) Enter the start date for the qualification and confirm if they have the

scheme book

5) Click on Update

6) Click on the actions arrow for the relevant participant and select ‘Mark as in Progress’.

Marking the Queen’s Guide Award as complete

Once the book has been sent to Girlguiding HQ and verified the Queen’s Guide Award will be marked as

complete.

The Duke of Edinburgh Award is recorded on GO as a single entity with no individual modules to complete. For

young people completing the service element with Girlguiding should only be recorded on GO as a ‘young

external volunteer’. You do not need to record the qualification on their record.

Adding the Duke of Edinburgh Award to a new starter

6) Click on the actions arrow for the relevant participant and select ‘Mark

as in Progress’.

Marking the Duke of Edinburgh Award as complete

Once a Bronze or Silver award has been completed you can mark these as

completed using the steps below. For Gold Awards these are marked as

complete at Girlguiding HQ.

1) Click on the actions arrow for the relevant participant

2) Select ‘Mark as Complete’

3) Enter the date of completion in the pop-up.

Keeping in contact with Assessors, Supervisors, Participants and Mentors

1) Use the second table on screen Duke of Edinburgh Award Mentors/Participants, changing the view as

required.

2) Click on the actions arrow and ‘Contact Participant’ or click on the individual’s name to send them an

internal message.

5. First Aid Use these instructions to update First Aid courses for volunteers in your area.

level from the list on screen.

• Click on the ‘Learning’ tab followed by ‘All Courses’ from the left-hand side.

Adding one of these courses to a volunteer

1) Click on ‘Add Course’ button.

2) Complete the fields on the pop-up screen to show who is completing the course and when they started it.

3) Click submit to save the information

4) When they have completed the

course, use the action to ‘mark as

complete’, by entering their ‘completed

on’ date.

This will automatically update the ‘valid

to’ field to show when they need to ‘renew’ the course.

Adding a renewal of a course

Whenever a volunteer ‘renews’ a course, it is added again to show that the course has been completed for

another time. Therefore, you will start to see a list of all courses completed by a volunteer in the table, showing

a full history of the courses they have attended/completed.

Tracking volunteers who need to ‘renew’ their First Aid

If you are a Commissioner:

• Click the ‘Commissioner’ button at the top followed by ‘My

District/Division/County Roles’. Click on your level from the list on screen.

• Click on the ‘Learning’ tab followed by ‘First Aid Report’ from the left-hand side.

If you are an Administrator (e.g. GO Coordinator or Division Administrator):

• Click the ‘Level Support’ button at the top followed by ‘My

District/Division/County Roles’. Click your level from the list on screen.

• Click on the ‘Learning’ tab followed by ‘First Aid Report’ from the left-hand side.

Units are required to ensure that they have at least one volunteer with a valid first aid certificate. You can track

that units have a valid certificate using this page.

On the First Aid Report page you have two different tables to look at.

The top table (Units with no first aid certificate) is related to the units and checks that at least one leader

(Leader, Assistant Leader or Leader in Training) has a valid first aid

certificate. You can look at the units who have no leader with a

certificate and therefore need one of the leaders to complete a course.

The other option is to look at those units who need to complete a

certificate in the next six months and will need to complete a first aid course.

You can contact these units using the main contact’s email address in the table. To ensure they are booked on

to a course as soon as possible.

The other table is about volunteers in the area and shows you either the

valid to date or those due to expire in the next six months so that you can

plan ahead for the volume of courses needed.

6. A Safe Space

Use this help file to update First Aid and A Safe Space courses for volunteers in your area.

This option for prior learning, along with the e-

learning make up the full level 3 course. The e-

learning must be completed prior to adding this.

A Safe Space Level 3 Part 2 of 2 -

Training County 36 months

This training, along with the e-learning make up

the full level 3 course. The e-learning must be

completed prior to attending the training.

A Safe Space Level 4 Training County 60 months

The E-learnings are recorded as courses and will be shown in the All Courses tab. These are added at a national

level within two weeks of the individual completing the online course. If it has not been recorded, please

email [email protected].

If you are a Commissioner:

Whenever a volunteer ‘renews’ a course, it is added again to show that the course has been completed for

another time. Therefore, you will start to see a list of all courses completed by a volunteer in the table, showing

Tracking A Safe Space Levels

Work is currently underway to develop the reporting and tracking functions for A Safe Space and the various

levels. This help file will be updated in line with these developments when they launch.

7. Adding programme courses and e-learning

Use this help file to record a programme course that has been undertaken by a volunteer.

1) Click on the ‘Commissioner/Level Support’ button at the top of the screen and then on ‘My District Roles/My

Division Roles/My County Roles’ from the drop down. Click on the relevant level from the list of your levels on

the screen; you’ve landed on the level’s details page.

2) Click on the ‘Learning’ tab across the top of the screen.

3) Select the ‘all courses’ option from the left-hand menu and click on the ‘Add Qualification/Course’ button

above the list.

4) Complete the fields on the pop-up screen to show who is completing the course and when they have started

this; and click submit to save the information.

5) When they have completed the course use the action to ‘mark as complete’, entering their ‘completed on’

date. This will automatically update the valid to date (i.e. when they need to renew by).

Note// Courses are not renewed but are ‘re-done’. This means you need to use ‘add course’ whenever they complete a course, even if it is a ‘renewal’.

Webinars

Webinars are also recorded as courses and will be shown in the ‘All Courses’ tab. These are added at a national

level. If it has not been recorded within two weeks of completion, please email [email protected]

with your membership number and the date you attended for the webinar.

8. Catering

To add the qualification:

1) Click on the ‘Commissioner/Level Support’ button at the top of the screen and then on ‘My District Roles/My

Division Roles/My County Roles’ from the drop down. Click on the relevant level from the list of your levels on

the screen.

2) Click on the ‘Learning’ tab across the top of the screen.

3) Select the ‘other qualifications’ option from the left-hand side. Click on the ‘Add Qualification/Course’

button above the list.

4) Complete the fields on the pop-up screen to show who is completing the qualification/award/course and

when they have started this.

5) Click submit to save the information.

9. Outdoor Qualifications, including Walking, Archery, Narrowboating,

Climbing Use these instructions to add walking scheme level 1 and see who can add other outdoor qualifications.

To add the qualification:

10. Long Service Awards Use these instructions to add long service awards at County level.

If you are a Commissioner:

• Click the ‘Commissioner’ button at the top followed by ‘My

District/Division/County Roles’. Click on your level from the list on screen.

• Click on the ‘Awards’ tab.

If you are an Administrator (e.g. GO Coordinator or Division Administrator):

• Click the ‘Level Support’ button at the top followed by ‘My District/Division/County Roles’. Click your

level from the list on screen.

• Click on the ‘Awards’ tab.

Please note that although you can see the volunteers who are due awards at District and Division level, all

awards must be added at County level. Long Service awards are given at the discretion of the County

Commissioner.

Length of Service

Use these instructions to see a list of volunteers in your area who are due a long service award in the next 12

months or their current length of service.

1) Click on ‘Length of Service’ from the left-hand side.

2) You now have a table with a view selector.

3) The default is ‘All members due and overdue a long service award’. This

table shows everyone who is due an award over the next 12 months or who

should already have been awarded one. This table can be downloaded as required, but make sure you

delete the file when you have finished using it.

4) The second option is ‘People length of service’ and this

table shows you all volunteers in the area, their membership

status and their ‘Time in Guiding’ and ‘Length of Service’.

To add a Long Service award to a volunteer this can be done at County level using the instructions in the next

section.

NOTE// These calculations are based on the roles held by a volunteer that are recorded on GO for them. All

roles held (including Young Member roles) are included in the ‘Time in Guiding’ calculation. The ‘Length of

Service’ calculation is based on the roles that have a regular commitment. You can check which roles are

included in this calculation from the ‘Access Levels’ documents found at

https://www.girlguiding.org.uk/making-guiding-happen/running-your-unit/membership-administration/how-

to-use-go/access-levels/.

The table below lists the awards that can be added on GO at County level.

11. County Awards Use these instructions to add county awards.

If you are a Commissioner:

• Click the ‘Commissioner’ button at the top followed by ‘My

District/Division/County Roles’. Click on your level from the list on screen.

• Click on the ‘Awards’ tab.

If you are an Administrator (e.g. GO Coordinator or Division Administrator):

• Click the ‘Level Support’ button at the top followed by ‘My District/Division/County Roles’. Click your

level from the list on screen.

• Click on the ‘Awards’ tab.

Adding an award

Awards can only be added at County level.

1) Use the ‘Add Award’ button.

2) On the pop-up select the award, volunteer and date. You can use the Comment box to explain a little more

about why they have received the award.

3) The volunteer will now have an entry in ‘All

Pending Awards’.

4) Once the award has been presented select the

action of ‘Set Award to Awarded’.

The table below lists the awards that can be added on GO at County level.
