PARKING

Complimentary self-parking is available on-site.

GUEST COUNT

Your final guarantee of attendance is due 72 business hours

prior to the event. At that point, it is possible to increase

the guest count number but not reduce the number

below your final guaranteed count. If guests exceed the

guarantee, appropriate charges will be incurred.

SERVICE CHARGE AND SALES TAX

A 23% taxable service charge and applicable state sales tax will be

added to all food and beverage charges as well as any audiovisual

equipment charges and function room set-up/rental fees.

MENU TASTING

Once a contract is signed, we will be delighted to

set a time for a menu tasting. Please consult your

RENAISSANCE SIGNATURE DETAILS


FOOD & BEVERAGE POLICIES All food must be purchased and served by the hotel. The hotel prohibits any food product to be brought onto or removed from the premises. In accordance with North Carolina Liquor Laws, no alcoholic beverages may be brought onto the hotel property by patrons or their guests. A 23% taxable service charge and applicable sales tax, currently 8.25%, will be added to all food & beverage, rental and audio visual charges. Prices are subject to change with market fluctuations and may be confirmed 90 days prior to your function. DEPOSITS & GUARANTEED ATTENDANCE A non‐refundable deposit is required to reserve our function rooms. This deposit is based on 25% of the estimated balance. The amount of the deposit will be determined by the nature of your event, function date and space required. The remaining deposits will be outlined in the contract. The guaranteed attendance of your function must be communicated to your Wedding Planner no later than 11:00AM, three (3) business days prior to the event. Otherwise, your original number expected or actual number of attendees, whichever is greater, will be used for billing. Buffets are designed to remain open for one and a half hours.

FUNCTION SPACE ALLOTMENT The hotel reserves the right to reassign the room should any change in attendance or type of function occur prior to the time of your event. The hotel may assign suitable charges for any extraordinary room setups, electrical requirements and/or substantial room set changes from the original signed Banquet Event Order within 24 hours of the function. Masking tape is the only permissible method of attaching signage to function room walls or public space areas. Other methods such as pins, tacks, and/or adhesive materials, may not be used. Any signs, decorations or other items displayed must be of professional quality and have prior approval of your Wedding Planner. The hotel may assess charges for decorations, banners, dance floor, risers, or other equipment not contained within the equipment inventory. Additional charges will be assessed if greater than reasonable cleanup is required after your function. LOSS PREVENTION The hotel is not responsible for any items left in any meeting rooms before, during or after any function. BILLING Your wedding coordinator will provide you an estimate of charges (7) business days prior to your special day minus your deposits. This estimate will need to be paid in full 7 business days prior. PARKING Complimentary Self-Parking is available BANQUET CHECKS The function sponsor or authorized representative agrees that by signing the guest check for services rendered at the end of the event, there is no dispute over such services and the sponsor is solely responsible for the payment of the total amount due. LABOR CHARGES A $100.00 bartender fee will be applicable for each bar and will cover four hours of service. For cash and hosted bars, if bars do not exceed $300.00, an additional charge of $30.00 per hour will apply. Carvers or station attendants are available at a $100.00 fee, (2 Hour Minimum).

SECURITY The hotel may require security officers for certain events. Only hotel approved security firms may be used. List available upon request. DECORATIONS All decorations must meet with the approval of the Charlotte Fire Department, i.e. smoke machine, candles, etc. All tapered candles must be covered by hurricane glasses. The hotel will not permit the affixing of any items to the walls or ceiling of rooms unless written approval is given by the Catering Department. ELECTRICAL CHARGES Electrical needs exceeding existing 120 volt/20amp wall plug service must be arranged in advance and will be charged accordingly. Additionally, installing/labor charges and rental of necessary equipment will be accessed. All equipment must have UL listing. Information outlining power capabilities as well as appropriate engineering charges is available through your catering contact. All bands and DJ’s require electrical charges for power. All power requirements will be ordered and priced through your event manager. SIGNAGE In order to maintain the ambiance of the hotel, all signs must be professionally printed; no handwritten signs are allowed. AUDIO VISUAL A complete line of audio visual aids are available through our inhouse audio visual. Your catering manager can arrange equipment suited to your needs. All audio visual has a 23% service charge and 8.25% tax. BELLSTAND DELIVERIES A $3.00 per room charge will be applied for deliveries. (subject to change) GUEST PACKAGES The Hotel will not accept packages more than three days prior to your function date and notification of deliveries must be in writing. Shipments must include: group name, your representatives name, return address and date of function. The Hotel will not assume any responsibility for the damage or loss of merchandise sent to the Hotel for storage. Handling charges will be accessed based on volume. HOTEL SHUTTLE Complimentary hotel shuttle to/from hotel to Charlotte Douglas International Airport is available 6am to 12am, every half hour. Guests must call 704-357-1414 and ask for pick up. Pick up is outside of Baggage Claim, Zone D.
