Why is SSHRC adopting the Common CV and Research Portal?
Common CV: Intended to streamline procedures as the CV data entered once by the
researcher can be used to apply for a variety of funding opportunities (Tri-Council, CFI, & ~20 others)
Facilitate the collection of a common data set required by agencies
Create a public repository, which will showcase Canadian researcher expertise
Research Portal: The Research Portal provides a single point of entry for applicants,
reviewers, committee members, institutions and partners
It is compliant with the Government of Canada’s standards for accessibility, usability, and interoperability

What SSHRC competitions use the Common CV? — Currently only Insight Development Grant, but all
programs will be migrated over in the next 2 years — First implementation was the 2013 IDG competition — Will be used for 2014 IDG competition

How long does it take to complete the Common CV? — Budget at least a full day (may take
longer)
1. Register and log in to the CCV system:
Note: your data will not be transferred from the previous SSHRC Web CV BUT if you already have a CCV, common information will be transferred to the SSHRC CCV.

2. Select the SSHRC CCV template:
TIP: Funding-specific CV versus Generic CV – if you know you are applying for SSHRC, select the SSHRC CCV template.

Green check marks indicate that there are no errors, and that all MANDATORY information has been completed

1. Research Classification system (not needed for SSHRC CCV)
Contains an hierarchical listing of the research classification entries available in the CCV. The following tables are listed: Research Discipline Technological Application Area of Research Field of Application
2. Full dataset
Contains the full list of sections and fields available in the CCV dataset, which represents the Generic CV. Most Funding agencies will ask you to submit only a subset of this information.
3. Section sorting rules
Shows how the records within a section are sorted.

General Tips: — If you have non-academic co-applicants or collaborators,
different fields may be mandatory/optional — For all screens, click “Add” if you want to add a new record. — Click “Done” to save your changes — Click the pencil icon to edit — Entering Organization (auto-compete feature) — Record sorting feature — Asterisks indicate mandatory fields — To maintain data in Common CV, but not include in SSHRC CV,
uncheck the “submit” box — Green checkmark means that all mandatory fields have been
completed — While many sections have been designated as optional, you are
encouraged to indicate all pertinent information

Personal Information (mandatory): — Identification Most will be populated from your Account details Your first name and family name used to create CCV must be
identical to those used to create Research Portal account — Language Skills — Address Indicate a Primary Record – should be your Department
address — Telephone — Email Email address used to create account on Research Portal
must be identical to at least one listed here — Website (optional)

Education : Degrees (mandatory)
— Select Organization (improved Search function) — Only use “Other Organization” if not in search list
Credentials (optional): — A designation earned to assure qualification to perform a
job or task such as a certification, an accreditation, a designation, etc.
— Example: Professional Counsellor (Canadian Professional Counsellors Association)

Recognitions (optional): — Acknowledgments, appreciations and monetary rewards (not
directly related to your research funding) — TIP: Research funding should be entered in the Research
Funding History section – not here.
— Honor: Recognition to show a high mark of respect for your overall contribution or meritorious conduct, usually over a long period of time (e.g. Honorary Citizen, Honorary Degree, etc.)
— Distinction: Recognition for achieving outstanding results or demonstrating high standards in your work or volunteer activities
— Prize/Award: to recognize excellence in a certain field. An award or prize may carry a monetary value.
— Citation: Recognition received as a formal expression of praise

User Profile (mandatory): Research Specialization Key Words
— Minimum of 1 record must be submitted
Temporal periods (optional) — e.g. Applications in history, archaeology, classics
Geographical regions (optional) Countries (optional)
— Relates to your general expertise – not just this project

Employment: Academic work experience (mandatory)
— Employment in an academic environment — Mandatory elements include:
Position title, position status (part-time/full-time), start date, organization, department, tenure status
TIP: For on-going (current) appointments, leave “end-date” blank
Non-academic work experience (optional) — TIP: Only include non-academic work experience that will assist the
committee in assessing your capability (e.g. relevant professional experience, community organization experience, etc)
Leaves of absence and impact (optional) — Describe how the leave of absence or delay affected research activities
and/or dissemination of research results — TIP: Only complete where you need to explain delays in research and
dissemination

Research Funding History (mandatory): Maximum of 8 entries (include those most recent
and/or relevant) Includes: Grants, Contracts, Fellowships, Chairs,
Scholarships (to applicant) — Mandatory elements include: Funding title, type, status,
role, start date, funding source (1 record)
Entries will be sorted by status, then by funding end date

Activities (optional): — Only entries with end dates in the last 6 years can be
included (February 2008 on). Teaching Activities
— Program Development Contribution in cases of development of an entire course of
study (date first taught within past 6 years)
Supervisory Activities — Student/Postdoctoral Supervision Contribution to the productivity and progress, usually for
academic credit, of directly supervised students, postdocs or research associates. Only supervisory activities with start dates in last 6 years

Activities cont. (Optional) Administrative activities
— Event administration: Services contributed in the planning, organization,
coordination and staging of a public event (e.g. conference planning) Only events with end dates in last 6 years
— Editorial Activities Contribution in the provision of an opinion statement
regarding a certain topic
Assessment and Review Activities — Journal Review activities Services contributed to examine a journal, formulate a
judgement, and a statement of that judgement

— Event participation: Services contributed in taking part in an event (e.g.
conference, seminar, workshop) Only events with end dates in last 6 years
Community and Volunteer Activities — Services contributed, unpaid, on behalf of one’s locality,
social, religious, occupational, or other group sharing common characteristics or interests, but not directly related to the person's research activities

February 2008 onwards
— To keep older contributions in your generic CCV, just uncheck the “submit” box (not submitted to SSHRC CCV)

— TIP: add any PubMed articles first – data can be retrieved using PubMed ID number: http://www.ncbi.nlm.nih.gov/pubmed
— TIP: You are required to indicate a month for publication – if N/A select January, or a reasonable guess
— TIP: Use an asterisk (*) to indicate students who are co-authors on contributions listed.
— TIP: Indicate funding source of contributions

— The latter are published in proceedings

When your CCV is complete, and error-free : Click “Submit” in the CCV system
— TIP: you can do this more than once – if you update your data, you can submit again
Agree to the “Consent” conditions If you want your name and CCV information to appear in
the Researcher Directory, click Yes. If not, click No. Take note of the “Confirmation number” (copy) Go to the Research Portal and open your IDG application Go to the Upload CCV screen and enter confirmation # Click “upload”
— Name and email address used for Research Portal and CCV must be identical
— IMPORTANT: All co-applicants and collaborators must also complete a CCV – invite them early!!
Uploading your SSHRC CCV
SSHRC is adopting a new Grant Management System, in conjunction with the CCV
This is the same system/interface being adopted by NSERC
1. Sign in to the Research Portal (or register if first time user)
— TIP: your data/account will not be transferred from the old SSHRC online system – you must create a new account
2. Go to “Create Application” tab 3. Select the appropriate application form and click
“Create” 4. The form will now appear under “Applications” and can
be opened for editing

3. Canadian Common CVs
— Will show status of all participant CCVs (Applicant, Co-Applicant/s, Collaborator/s)
— Enter the confirmation # from the CCV system to upload
4. Invitations (do this early!!)
— Co-applicants and collaborators must be invited to participate. Provide the name, email address, and role. An email will be sent to each participant with instructions on how to accept the invitation and upload their CCV

Application screen overview: Click “Edit” to open form and edit content View “Application Status” to check the status of each
module (green checkmark when complete) As you complete each screen, save and validate to
ensure information is completed correctly Use “Show Table to Contents” to navigate quickly
between different sections of the form Click “Export application & attachments to PDF” to
create a PDF version of the entire application NOTE: The CCVs are viewed separately
