    What is a resume?

    A resume is a marketing tool, it is your personal advertisement, it used to help you get an interview. It is a one-page(sometimes two-page) documents that briefly highlights your educational background, experience, and skills. It is no biography of everything that you have done. The most effective resumes must be well written, concise, organized anclearly focused on a specific job title and address the employers stated requirements for the position. The more youknow about the duties and skills required for the job and organized your resume around these points the more effethe resume. Keep in mind there is no one correct way to write a resume. It depends on your unique education,

    experiences, and skills.General GuidelinesYour rsum has 20-30 seconds to catch an employers eye and get an interview. Make it count!

    LengthIn general, if you are an undergraduate student or recent graduate with modest experience, you want to try to limit yorsum to one page. An employer takes an average of 30 seconds to review your rsum. The less they have to siftthrough to get to the most relevant information, the better.

    PaperWhen printing your rsum for submission by mail or in-person, use high-quality paper in conservative colors (whiteivory, or very pale gray). Do not use paper with visible flecks in it. Use a laser printer to print your document.

    HeaderUtilize the same header on all documents (rsum and list of references). Include your name and your complete containformation. Be certain your email address sounds professional (e.g., not [email protected]) and msure your voicemail message is professional. Do not use your work email address. Put your name at the top of page twon a two-page resume.

    Font & StylingUse a standard font (e.g., Times New Roman, Arial, Garamond). Avoid casual fonts like Comic Sans. Text size shoul10-11 points. Your name and section headings can and should be a bit larger. Fully utilize styling tools such asbolding, bullets, italics and ALL CAPITALS for ease when skimming.

    OrderReaders lose interest as they read down and across the page. Thus, prioritize information in order of importance, withmost important text up high and to the left where it is most likely to be read.

    Numbers & AbbreviationsSpell out numbers under and including ten; use the numerical form for numbers over and including 11 (as a general runless they are the first words in a sentence. Spell out abbreviations unless they are unquestionably obvious.

    Format

    Formulate bulleted statements rather than using paragraphs of text:

    Use as much white space between sections of writing as possible. Keep sentences as short and direct as possible. Maintain uniformity, such as either using periods or not using them after all bulleted statements. Start each bulleted statement with an action verb. Use present tense verbs for jobs you are still doing, and pasttense verbs for tasks you have completed or are no longer doing. Avoid use of the first person (e.g., I, me, my, mine). For example, Organized filing system instead oorganized the filing system.

    AccuracyProofread for spelling and grammar very carefully! Make sure all information is accurate and truthful. Watch your vetense: If the accomplishment is completed, it should be past tense. If the task is still underway, it should be present te

    Information to AvoidDo not include personal information such as age, height, weight, health status, marital status, number of children, miclassification, photographs, etc. unless it is required for the specific position.

    Templates and Sample RsumsTemplates and sample rsums will give you an idea of what the format of your rsum should look like. However, this no one right way to write your rsum. You can use a template as a guide, but customize it to fit your needs.

    Parts of a ResumeObjectiveAn objective is optional. You may find that an objective is good for one version of your resume and not needed for another purpose of an objective statement is to let the employer know what position or type of job you are applying for, and yourqualifications for that position in a short concise statement. Focus on what you have to offer rather than on what the job caoffer you. Employers are not so much interested in what you hope to get out of a job with them so much as they want to knwhether you fit their needs. In this section, you want to assert yourself as the best person for the job.

    Summary of QualificationsThis section is also optional. In the interest of space, it is best to include an Objectiveor Summary of Qualifications not bothA Summary consists of 3-5 concise statements that focus the readers attention on the most important qualities, achievemeand abilities you have to offer. The rest of your rsum will need to include information which supports your summarystatements. In this section, you want to assert yourself as the best person for the job.

    EducationThis section should be listed first on your rsum as long as you are in school (after your Objective or Summary if you choto include). Begin with your most recent level of education and degree and list in reverse chronological order. Include the n

    and location of schools, expected date of completion (not dates of attendance), major fields of study, and degrees received.not list your high school information unless you are a freshman or sophomore applying for an internship. Your GPA shouldincluded if it is above 3.0. (Most recruiters will assume that it is below 3.0 if they do not see it on your rsum). Honors anawards that are directly related to your academics may also be listed under this section.

    ExperienceThis section can include full-time, part-time, internship, and volunteer experiences both paid and unpaid. Start with your recent employer. Give dates of employment, your job title, name of the company, and the companys city and state. This seshould detail your accomplishments, transferable skills, and important responsibilities. It should not be a listing of your jobduties. Begin each statement using action verbs. See the list of action verbs included in this packet. Avoid Responsible foror Duties Included Use numbers and percentages to provide measurable results when appropriate (e.g., number of peosupervised; number of children in classroom; size of event; budget you oversaw, etc.). Use keywords where possible.

    ActivitiesIt is important to show involvement throughout college in areas other than the classroom. This is an optional section wherecan list campus activities, as well as job-related professional, humanitarian, or other groups. These activities may be worthmentioning, particularly if you were an officer or were active in some other way.

    Honors & AwardsThis section can showcase any special honors and awards you may have received. If the only awards received were in scho put these under the Education section.

    Skills & CertificationsList skills such as knowledge of foreign languages, computers (operating systems, relevant applications), and relevantcertifications. Other skills or special abilities (e.g., quick-learner, people-oriented, dynamic public speaker) should bedemonstrated through your experience section.

    Other SectionsBecause each person has diverse experiences and strengths, there are many different categories that can beincluded in a rsum. Of course, this is not a comprehensive list of all of the sections you might choose to include onyour rsum. Ask yourself what you want the employer to know about you, and then be sure to incorporate that informatiointo yourrsum. You might also choose to include any of the following sections:

    Leadership Experience Project Experience or Class Projects Professional Affiliations & Memberships Relevant Coursework Community Service Volunteer Experience Publications & Research Conferences & Presentations

    ReferencesDo not list references or former supervisors on your rsum. You also do not need to write References Available UponRequest on your rsum it is assumed you would provide them if requested. References should be listed on a separate pfrom your rsum. Try to have a diverse list of 3-5 references that know you in a professional or academic setting (current previous employers, professors, coaches, colleagues). Be sure to ask permission before listing someone as a reference and provide them with an opportunity to refuse. Provide your references with a copy of your resume and a copy of the jobdescription, if available.It provides them with information about you and will help them to talk to an employer about yqualifications. Remember, no reference is better than a negative one.

    Top 10 Resume Mistakes Before finalizing your rsum, make sure you dont commit any of these mistakes:

    1. Failure to customize. Your rsum should be tailored to the targeted opportunity. Be prepared to revise your rsummany times throughout your job search and into your career. Your resume should convey why you are the perfectcandidate for a specific job. If you are applying for several different positions, you should adapt your resume to eone. There is nothing wrong with having several different resumes, each specifically crafted for a different type o position. You may even want to change some parts of your resume for each job you apply for.

    2. Highlighting job duties instead of accomplishments and transferable skills. Employers dont care as much aboutwhat youve done as what youve accomplished in your various activities. Highlight accomplishments andtransferable skills.

    3. Use of personal pronouns. Eliminate any use of personal pronouns such as I, my, we.

    4. A bad objective statement. Give employers something specific and, more importantly, something that focuses on tneeds, not just your own.

    5. Listing references. References should be listed on separate document.

    6. Use of abbreviations. In general, avoid using abbreviations except for two-letter state abbreviations.

    7. Inconsistent or unattractive format. Above all, make sure your rsum looks professional. Your resume should haa simple, clean structure and be very easy to read. Be sure bulleted statements are in line, margins are approxima1 on all sides, spacing between sections is consistent, and headings are easy to find. Use standard fonts, standardx 11 paper, and black ink.

    8. Typos and grammatical errors. Your rsum needs to be perfect from a grammatical standpoint. One typo,misspelled word, or grammatical error could eliminate you from consideration.

    9. Use of graphics or pictures. Unless you are applying for a job in a creative field, graphics should not be used on arsum. And your picture should never go on your rsum. If its necessary, include it as an attachment.

    10. Failure to include a cover letter. A cover letter should always accompany your rsum. Your cover letter is anintroduction to your resume and should clearly articulate why you are the best person for the job. When submittinyour resume via email, your email message will serve as your cover letter. See theCover Letter Guide for tips on

    creating a cover letter.

    Dos & Donts Do:

    Target your rsum to a specific occupation or type of job. Write your rsum as an advertisement. Emphasize your marketable skills and abilities. Order your information with your most important qualifications first. Keep the information on your rsum current. Use solid, round bullets. Start your descriptions with active verbs.

    Use a laser printer on non-colored paper. Have someone proofread your rsum before sending it.

    Dont: Depend on employers to determine the job for which you qualify. Fold or staple your resume and cover letter Expect employers to spend more than 10 seconds reviewing your rsum at first glance. Use complete sentences. Use personal pronouns such as I, me, or mine. Include negative information. Overlook volunteer experience. Include personal information beyond your name and how to contact you. Be afraid to brag. Lie on your rsum. Depend on job titles to convey the functions that you performed. Depend on spell checker. Mail, e-mail or fax a rsum without a cover letter. Forget to have the Career Services staff critique your rsum.

    Resume FormatsChronologicalA chronological rsum starts by listing your work history, with the most recent position listed first. Your jobs are lisin reverse chronological order with your current, or most recent job, first. Employers typically prefer this type of resu because it's easy to see what jobs you have held and when you have worked at them.

    FunctionalA functional rsum focuses on your skills and experience, rather than on your chronological work history. It is used often by people who are changing careers or who have gaps in their employment history.

    CombinationA combination rsum lists your skills and experience first. Your employment history is listed next. With this type ofresume you can highlight the skills you have that are relevant to the job you are applying for, and also provide the

    chronological work history that employers prefer.

    Action VerbsThe following are action-oriented verbs that can be used throughout your rsum and personal presentations to conveenergy, accomplishments, and skills. Too often, job seekers unconsciously adopt a passive approach to describing th past experiences. Typical of this approach is the phrase "Responsibilities include..." which appears regularly on rsuHowever, a prospective employer doesn't want to know what you weresupposed to do; he or she needs to knowhow youdischarged the duties! These words should be the lead words in phrases, which tell you what you really did! These phrases will convey what you are capable of taking on in the future. Incidentally, they are often the words employerswhen they describe their needs in the positions they have to offer. This list is not all-inclusive, so use your own actioverbs when you don't find the right words here.REMEMBER: if you are currently doing the task, keep the action verb present tense. Try not to end the action verb using ing.

    Resume Tips Electronic Submission : Many companies today request that rsums be sent to them electronically. Follow the compainstructions regarding the submission process. If the companys preferences are not stated, submit your cover letter a body of the e-mail and make the rsum document the attachment. Ask the reader to let you know if they are unable open your attachment.

    Scannable Rsums: A substantial number of companies in the United States use scanners to input rsums into adatabase. These rsums will not be read by a person prior to being scanned so keep the following in mind:

    o

    Scanners pay attention to key words, especially industry terminology found in the job description.o Use only white paper.o Make sure your name is at the top of each page.o Scanners cannot read lines, borders, multiple columns, italics, or underlining.o Stick with simple fonts like Times New Roman or Courier, and keep the font size between 10 and 14.

    Other Tips: 10-12 point font; Times New Roman this tends to look the best. Use good quality resume paper (white, off-white, ivory, or a subtle grey).

    Be consistent throughout your resume, make sure your dates are written in the same format and that your sectionfonts are consistent.

    Consider the overall aesthetics of your resume use blank space between sections for easy reading and make sur bullets line up

    If your resume is more than 1 page, make it at least 1 pages so it doesnt leave a virtually empty page. Also, puyour name on the second page along with page 2 and use the bottom have of the 2nd page for your reference list.

    Customize your resume to fit each employer. Look for ways to target your resume to the specific needs of theemployer. This will take some research on your part.

    Always send a cover letter with each resume. Anything you bold, italicize, or put in all CAPS will stand out. Use these sparingly. Dont include anything that you dont feel comfortable explaining in an interview. Always follow-up the sending of your resume by contacting the employer to ensure they have received your mate

    and to ask for an interview. The Chronological format is preferred by employers (start with most recent experience). Only use a Functional fo

    if youre sure a skills-oriented format would be an advantage! Proofread; using a spell checker is not enough. Also, cut out all unnecessary words and phrases then, go throug

    do it again. Make sure every word in your resume (and cover letter) has a purpose and is adding value.

    Cover Letters What is a Cover Letter?A well-written cover letter shouldalways accompany your rsum. The cover letter gives you the opportunity to draw employers attention to specific skills and experience outlined in your rsum, convey your research and knowledge organization, and expand upon information which particularly matches you to the position for which you wish to beconsidered. If you are emailing your rsum to a potential employer, your email message can serve as your cover lettRemember that the cover letter is a reflection of your writing skills, so take time and care to proofread your documen

    Format & ContentCover letters should be one page in length, and three to four paragraphs long. The structure of the cover letter typicaconsists of an introductory paragraph, a middle paragraph identifying your specific strengths matched to the employe

    needs, and a concluding paragraph restating your interest in the position and requesting an interview. They should bewritten in professional business format and printed on the same paper as the rsum. Cover letters arenot form letters.They should be targeted to each position and should address the specific employers qualifications. Cover letters are more effective when addressed to an actual person rather than Dear Sir or Madam or To Whom It May Concern.

    The heading of the letter should include your return address, the date, the person you are sending the letter to,and the business address. That will be followed up by a proper salutation (e.g., Dear Mr. Jones).

    Other LettersProspecting LettersThe purpose of this letter is to inquire about possible vacancies, have someone read your resume, and to generate aninterview.

    Networking LetterThis letter is sent to individuals requesting information about a career or company. Normally, a resume is not attachethis type of letter because the focus is on generating information not generating job offers! It's excellent used as a waask for an informational interview.

    Follow-Up Letter

    A letter requesting the status of your application while noting your continued interest in the position. You should alsooffer to provide any additional information that would assist the employer in making a decision. Due to time sensitivthis letter is often emailed.

    Interview Confirmation LetterOnce an interview appointment has been made between you and a prospective employer over the telephone, it issometimes best to follow-up that conversation with a confirmation letter or email indicating:

    Restatement of the date and time of the interview appointment Other pertinent details discussed on the phone Your appreciation of the employers further consideration of your qualifications

    Post-Interview Thank You Letter

    This is one of the most important yet least used letters in a job search. It is used to show good will and appreciation. Athank-you letter should always be sent with 24 -48 hours after an interview. It can be a handwritten note, business letsent via email. A well written thank you reminds the employer who you are, your background and qualifications, shoyour enthusiasm and continued interest and conveys your sincere appreciation for their time.

    Job Offer Acceptance LetterCongratulations if you've made it to this stage in the job search! This letter is sent to an employer when an offer has bmade. Use it to accept the offer and confirm the terms of employment (start date, salary, medical examinations, etc.).an excellent way to positively reinforce the employer's decision to hire you.

    Job Offer Letter of DeclinationA letter sent to formally decline an offer of employment or to remove yourself from consideration as a candidate.Rejecting an employment offer must be done thoughtfully. Indicate that you have carefully considered the offer but twas not the best job fit for this stage in your career. Do not say that you have obtained a better job. You want to expreyour thanks while keeping the door open for future contact

    Job Offer ClarificationThis letter is used to clarify a details about a job offer which can help you in making a decision. You can requestclarification in two ways: over the phone or formally by letter.
