Document Conventions and Symbols

This administrator guide conforms to the following conventions:

In step-by-step procedures, the following are in bold type: buttons, icons, tabs, words that you click, and keys that you press. For example: On the Document tab, click Delete Page.

In step-by-step procedures, a selection in a drop-down list that you should choose is in bold type, but when you have more than one equally valid choice in a drop-down list, those selections are in italic type.

In step-by-step procedures, words, letters, numerals, or symbols that you type into a text box or field are in both bold and italic type. For example: Type GO RJSIMAGE on a command line.

The document version, shown on the first page of this guide, denotes both the RJS Imaging Scan Workstation software version this guide represents and the document draft for the release. Document version is in the format of X.Y.ZZ.N, where X.Y.ZZ represents the RJS Imaging Scan Workstation software version and N represents the document draft number. For example: If the document version is 2.0.1.1, then the information in this guide is current as of RJS Imaging Scan Workstation version 2.0.1, and this guide is the first release of the guide for that version.

Typically with RJS Imaging Scan Workstation, as with most software applications, there are several ways to accomplish the same thing. This guide shows one simple way to perform an action, usually by clicking.

RJS Software Systems is referred to as RJS Software in every section of this guide except the introduction and index.

The folder paths in this guide assume that the name of the Program Files folder is Program Files (x86). Depending on whether you are running a 32-bit or 64-bit operating system, your Program Files folder may not include (x86).

About RJS Imaging Scan Workstation

RJS Imaging Scan Workstation is a tool that lets you scan documents, enter index-key information manually or extract it automatically using OCR, and check in documents to WebDocs and Enterprise Workflow.

You can also use RJS Imaging Scan Workstation to open documents you have already scanned and check them in to WebDocs and Enterprise Workflow.

With RJS Imaging Scan Workstation, you can scan:

Individual documents.

A batch of documents.

Offline when access to the iSeries system or Windows server is not available.

RJS Imaging Scan Workstation highlights include:

The ability to capture documents from any TWAIN scanner or from a network folder when scanning from a network scanner.

The ability to assign up to 10 WebDocs - iSeries defined index-key values and 30 WebDocs - Windows defined index-key values for each document.

The support of optical character recognition (OCR) so that important information in documents, such as invoice numbers, can be captured from an image, converted to text, and stored in pre-defined index keys.

The support of a wide variety of one-dimensional barcode formats so that barcode symbols can be translated to text and then stored in pre-defined index keys.

The ability to check in scanned documents directly to WebDocs and Enterprise Workflow.

Opening RJS Imaging Scan Workstation

If you installed RJS Imaging Scan Workstation in the default location on your computer, open RJS Imaging Scan Workstation by clicking: Start > All Programs > RJS Software > RJS Imaging Scan

Workstation > RJS Imaging Scan Workstation.

Note: If you are using Windows Vista or 7, you need to run RJS Imaging Scan Workstation as the administrator the first time you open it. To run RJS Imaging Scan Workstation as the administrator, right-

click RJS Imaging Scan Workstation and choose Run as administrator. The next time you open RJS Imaging Scan Workstation, you can open it directly.

You use RJS Imaging Scan Workstation by working in three areas.

Configuring RJS Imaging Scan Workstation

RJS Imaging Scan Workstation's configuration settings determine how users view, scan, check in, and otherwise work with documents. This section shows you where to find the configuration settings and how to set them.

Creating the Master INI File

In RJS Imaging Scan Workstation, individual users each have a separate INI file that stores their configuration settings. If you have many users and you do not want to have to set up the configuration settings for each user, create the master INI file. This master INI file provides the initial configuration settings for each new user.

To create the master INI file:

1. Under File, click Settings.

The Settings dialog box displays with the General tab showing.

2. To create a master INI file with the current settings, click Create/Update Master INI File at the bottom left of the Settings dialog box. A message displays telling you that the master INI file has been created successfully.

Note: The Create/Update Master INI File button is available at the bottom left of all the settings tabs for convenience.

3. Every time you make changes to the configuration settings, click Create/Update Master INI File again to update the master INI file. A dialog box displays asking if you want to overwrite the master INI file.

Note: Clicking OK updates the individual user's INI file but not the master INI file.

Setting Up the Input

With RJS Imaging Scan Workstation, you can digitize paper documents. To set up RJS Imaging Scan Workstation to scan documents:

1. Under File, click Settings.

The Settings dialog box displays with the General tab showing. The settings for the input are on the left side of the General tab.

2. Configure the input settings based on the following descriptions:

Input Directory

Click Browse and choose the folder to store scanned documents in. By default, RJS Imaging Scan Workstation stores documents in C:\Program Files (x86)\RJS Software\RJSIMGSCAN\SCANTO.

Note: If you are using a network scanner, set the Input Directory to the network folder that the network scanner is outputting to. The network folder must be mapped on the PC for RJS Imaging Scan Workstation to access it.

Setting Description

Check-in Directory

RJS Imaging Scan Workstation can use direct check-in or indirect check-in to check in a document. With direct check-in, each document is sent to WebDocs as the user checks in the document. With indirect check-in, documents are stored in a temporary folder when the user checks in each document. Then later, the user sends all the documents stored in the temporary folder to WebDocs at once. Indirect check-in is useful when:

The scanning station doesn't have access to the WebDocs server temporarily.

The scanning station accesses the WebDocs server over a network, and the user does not want to wait between checking in each document for the document to be transmitted over the network.

If you're using indirect check-in, click Browse and choose the temporary folder to store documents in before sending them to WebDocs. By default, RJS Imaging Scan Workstation stores documents in C:\Program Files (x86)\RJS Software\RJSIMGSCAN\CHECKIN.

Select Scanner Driver

If you are using a local scanner, select your scanner:

1. Click Select Scanner Driver.

The Select Source dialog box displays.

2. Choose your scanner.

3. Click Select.

Display Scanner Dialog

Check for the user to choose scan settings. When the user scans a document, the scanner dialog box displays and allows the user to choose resolution, format, and other scan settings. The options the user chooses in the scanner dialog box override Resolution and Image Format.

Uncheck to use the RJS Imaging Scan Workstation scan settings. Then set Resolution and Image Format. When the user scans a document, RJS Imaging Scan Workstation uses these settings automatically and no dialog box displays.

Setting Description

Resolution

If you do not display the scanner dialog box, choose the resolution for scanned documents.

Note: RJS Software recommends scanning documents at 300 dots per inch (DPI) to maximize accuracy and minimize file size.

Image Format

If you do not display the scanner dialog box, choose the color format for scanned documents.

3. Click OK.

Configuring the OCR Settings

OCR masks allow RJS Imaging Scan Workstation to extract information from a document and use that information to automatically fill index keys during check-in.

To use OCR masks:

Configure RJS Imaging Scan Workstation to use OCR masks.

Create the OCR masks for each type of document a user will check in.

To configure RJS Imaging Scan Workstation to use OCR masks:

1. Under File > Settings, choose the OCR tab. The OCR settings display.

2. Configure the OCR settings based on the following descriptions:

Setting Description

Enable Zone OCR

Check to use OCR recognition.

You need to restart RJS Imaging Scan Workstation before OCR is enabled.

Default Mask Directory

By default, RJS Imaging Scan Workstation searches for OCR masks in C:\Program Files (x86)\RJS Software\RJSIMGSCAN\ICRMASK. To save

OCR masks to another folder, click Browse and choose the folder.

Barcode Separator Page

If you have many documents to scan and check in, you may want users to scan a barcode separator page between documents to better automate the check-in process.

Click Browse and choose the OCR mask of the barcode separator page. You can use the barcode separator OCR mask included with RJS Imaging Scan Workstation in C:\Program Files (x86)\RJS Software\RJSIMGSCAN\ICRMASK\BarcodeSeparatorPage.nxp or create your own.

Note: Two barcode separator pages are included with RJS Imaging Scan Workstation in C:\Program Files (x86)\RJS Software\RJSIMGSCAN\ICRMASK with the file names BarcodeSeparatorPage1.pdf and BarcodeSeparatorPage2.pdf.

OCR Zone Designer

Click Browse and choose the OCR zone designer application to open from RJS Imaging Scan Workstation.

If you installed RJS Imaging Scan Workstation and the RJS OCR Zone Designer in the default location on your computer, choose C:\Program Files (x86)\RJS Software\RJS OCR Zone Designer 15\rjszonedesign15.exe.

Omit Barcoded Cover Page

Check for RJS Imaging Scan Workstation to physically remove barcode separator pages from the document during check-in.

Use Barcode Page Only as Separator Page

Check to omit the barcode from the barcode separator page in the index keys.

3. Click OK.

Setting Up the Output

After you scan documents, RJS Imaging Scan Workstation allows you to set up the output format of the documents and then check them in to WebDocs document-management software, Enterprise Workflow business-process-management software, or both.

There are two steps to setting up the output: setting up the output format and setting up where to check in scanned documents. This topic tells you how to set up the output format.

To set up the output format:

1. Under File, click Settings.

The Settings dialog box displays with the General tab showing. The settings for the output format are on the bottom right of the General tab.

2. Configure the general output settings based on the following descriptions:

Setting Description

Omit Blank Pages That Are __% White

(Optional) Check to remove pages that are mostly blank from the final document and choose the percentage of white space that determines if a page is omitted.

Warning: Before you use this setting, test that it is not omitting pages you want to include.

Output

Choose the file format for the outputted document. RJS Imaging Scan Workstation can output documents in GIF, JPG, TIF, or PDF format.

Note: RJS Software strongly recommends that you use TIF or PDF format.

3. Click OK.

4. Continue to the next step: Set up where to check in scanned documents. You only need to configure the output settings for the software you are using:

WebDocs - iSeries Edition

WebDocs - Windows Edition

Enterprise Workflow

For WebDocs - iSeries Edition

These configuration instructions tell you how to set up RJS Imaging Scan Workstation to check in documents to WebDocs - iSeries Edition. You only need to configure these settings if you are using WebDocs - iSeries Edition.

1. If you have not done so already, set up the output format.

2. Under File > Settings, choose the WebDocs iSeries tab.

3. Configure the WebDocs - iSeries Edition settings based on the following descriptions:

Setting Description

Check-in to WebDocs iSeries

Check to enable WebDocs - iSeries Edition as the output destination.

A dialog box displays that instructs you to restart RJS Imaging Scan Workstation before the configuration changes will take effect.

iSeries Host Name/IP Address

Type the host name or IP address of the iSeries.

iSeries User Type a user name for the iSeries.

iSeries Password Type the password for iSeries User.

Setting Description

WebDocs User Type a WebDocs user ID that has access to all the folders and Document Types in which you will store documents.

WebDocs iSeries URL (Optional) If you are also using Enterprise Workflow, type the WebDocs base URL for the log-in page, for use in Enterprise Workflow routing.

Direct Check-In

RJS Imaging Scan Workstation can use direct check-in or indirect check-in to check in a document. With direct check-in, each document is sent to WebDocs as the user checks in the document. You can set up RJS Imaging Scan Workstation to open with specific default values already entered in the index keys. Customizing RJS Imaging Scan Workstation in this way streamlines the scanning process and helps to eliminate user errors.

There are three different ways you can set up the default values in RJS Imaging Scan Workstation. You can:

Setting Values for a Shortcut

To set the values for a shortcut:

The 10 index-key values.

For example: If you type Sample Key 1 in Parameter 6 and Sample Key 2 in Parameter 7, and so on, up to Sample Key 10 in Parameter 15, RJS Imaging Scan Workstation opens with Sample Key 1 in Search Key 1 and Sample Key 2 in Search Key 2, and so on, up to Sample Key 10 in Search Key 10, in the Check-In Area.

Parameter 16

The folder that scanned documents are stored in.

For example: If you type C:\Program Files (x86)\RJS Software\RJSIMGSCAN\SCANTO in this parameter, the SCANTO folder is set as Input Directory under File > Settings > General.

Note: Unlike the other parameters, this parameter changes RJS Imaging Scan Workstation's configuration settings in the user's INI file. As a result, setting this parameter resets the input directory for all instances of RJS Imaging Scan Workstation in that user's account. If you want different shortcuts to scan to different directories, set this parameter for all shortcuts.

In the following examples, Amanda at Acme Co. is setting up RJS Imaging Scan Workstation for Byron. Byron needs to scan documents for two different departments: AP and HR. AP and HR documents each use a different OCR mask, go into different WebDocs folders, have a different WebDocs Document Type, and use different index keys. Amanda doesn't want Byron to have to enter this information every time. So

To set up the AP shortcut:

Setting Default Values in the Drop-Down Lists

If you do not set values for index-key fields in WebDocs, you can enter values in the index-key drop-down list for a user to choose during check-in. You can also set one of these values as the default value, so that RJS Imaging Scan Workstation opens with that default value pre-selected.

To set values in the drop-down lists:

1. Next to the index key which you are entering values for, right-click the drop-down arrow and choose Edit.

The Edit Select Values dialog box displays.

2. Enter the values for that index key, using the following guidelines:

Press Shift + Enter to insert a new line between values.

RJS Imaging Scan Workstation can use VB scripts you have written.

For more information on how to write scripts, see Scripting.

To configure RJS Imaging Scan Workstation to use scripting:

Select to view TIFF files with the default application for TIFF files when you view an image in full-screen mode.

Deselect to view TIFF files in RJS Imaging Scan Workstation's TIFF viewer when you view an image in full-screen mode.

Note: RJS Imaging Scan Workstation always views non-TIFF files with their default application.

Close after Check-In

Select to close RJS Imaging Scan Workstation automatically after a user has finished checking in all scanned documents. This setting is useful if you are using RJS Imaging Scan Workstation with another application and want to further automate the scanning process by returning to the other application after check-in.

Show Only Defined Index Keys

Select to only show the index keys in the Check-In Area that are defined in the WebDocs Document Type. Showing only defined index keys helps to minimize user errors during check-in.

Clear Index Fields after Check-In

Select to clear the index fields after a user checks in a document.

Deselect if the user is checking in multiple documents with the same index-key values and you do not want the user to have to reenter those values every time.

Select to enable error logging.

Log File Choose the location of the error-log file. By default, the error log saves to C:\Users\USER NAME\AppData\Local\RJS Software\Scan Workstation\RJSIMGSCAN.LOG, where USER NAME is the user name.

Move Image on Error

Select to move documents that generate an error during check-in to the Error Directory.

Error Directory

Choose the location of the Error Directory. By default, if you have checked Move Image on Error, images that generate an error are moved to C:\Program Files (x86)\RJS Software\RJSIMGSCAN\ERRORIMAGES.

Configuring the Text Annotation Settings

Rescan Directory

Choose the destination directory for images when a user clicks Bad

Scan in the Input Queue. By default, bad scans are moved to C:\Program Files (x86)\RJS Software\RJSIMGSCAN\RESCAN.

Temporary File Prefix

All images scanned from RJS Imaging Scan Workstation begin with the prefix IMAGE. If you want to add further distinguishing information to scanned images, type a prefix to insert after IMAGE in the file name of scanned images.

For example: If you have multiple workstations scanning to the same directory and you want to distinguish which images came from which workstation, type STATION1 in this field on the first workstation. The file names of all images scanned from that workstation will begin with IMAGESTATION1. And so on for each workstation.

Sort Local Index Lookup List Alphabetically

If you set default values in the drop-down lists, select to arrange the drop-down options in alphabetical order.

Otherwise, drop-down values are listed in the order you entered them.

Move Original Images to After Processing Dir

Select to move documents from the Input directory to the After Processing Directory after the documents are checked in.

Deselect only during testing.

Enable Signature Capture

You may need additional software to use this setting.

This setting allows you to use the WelchAllyn TT 1500 Signature Capture device to capture signatures as an image in RJS Imaging Scan Workstation.

Before you try to use RJS Imaging Scan Workstation with a signature-capture device, contact RJS Software.

Enable Index Defaults

If you set default values in the drop-down list, select to make the default value you added automatically fill the index keys every time a user checks in another document.

Note: If you select this check box, also select Clear Index Fields after Check-In in the General tab. Otherwise, the index-key values from the last document you checked in override this default.

Enable EZ Scan

You may need additional software to use this setting.

This setting allows you to use RJS EZ Scan Utility to scan documents instead of RJS Imaging Scan Workstation. RJS EZ Scan Utility is useful if you have high volumes of documents to scan.

Before you try to use RJS EZ Scan Utility, contact RJS Software.

Disable Leadtools Dialog Box

If you receive frequent error messages that leadtools are not installed, select to disable these error messages.

Return Control to iSeries Office Integrator on Check-In

If you are using RJS Imaging Scan Workstation with iSeries Office Integrator, select to lock the screen of the iSeries that calls RJS Imaging Scan Workstation until the user scans and checks in a document.

This setting works with the following iSeries Office Integrator commands: RJSSCAN, RJSSCANKEYS, RJSSCANNEW, and RJSSCANNEWBATCH.

Use JPEG TIFF Compression for Color Documents

Select to reduce document file size by compressing color documents.

Make Sure the Document Page Count Matches the Selected Documents' Total Page Count

If you are building documents manually in the Viewing Area, select to have RJS Imaging Scan Workstation display an error message when a user tries to check in a document that omits pages from the documents selected in the Input Queue.

Enabling this setting prevents users from:

Accidentally deleting pages.

Selecting documents and then forgetting to add them to the document they're checking in.

Creating an OCR Mask

This section tells you how to create an OCR mask. OCR masks extract text and barcode data from scanned documents using optical character recognition (OCR) software. That extracted data is then automatically entered into defined index keys. If you need to check in many different documents that are all in the same format, such as invoices, creating an OCR mask for this format will help automate the check-in process.

You create OCR masks for RJS Imaging Scan Workstation using the RJS OCR Zone Designer. The RJS OCR Zone Designer is installed automatically when you install RJS Imaging Scan Workstation but is licensed separately.

To open the RJS OCR Zone Designer:

1. Open RJS Imaging Scan Workstation.

2. (Optional) Open a sample document to create an OCR mask from. The position of the text in this document should be representative of where the text will appear on all the documents of this type that you want to run OCR on.

3. Under Tools, click OCR Zone Designer.

The RJS OCR Zone Designer opens. If you had a document open in RJS Imaging Scan Workstation, the document automatically opens in the RJS OCR Zone Designer.

Creating a Zone to Read Text

An OCR mask is composed of one or more OCR zones. Each zone is a box you draw that surrounds one piece of information to extract. A zone can extract either alphanumeric or barcode information from a scanned document.

To create a zone:

1. Either:

Open the RJS OCR Zone Designer with a sample document to create an OCR mask from.

In the RJS Zone Designer, click Open Image and choose a document.

2. To create a zone, choose Draw Zone from the tool bar at the top of the RJS Zone Designer.

When you move the mouse over the image, the tool to draw a zone displays:

The OCR zone you selected is highlighted and labeled 1, with sizing handles. Note: You may find it useful to zoom in on the image when defining a zone. Zoom in using the zoom controls in the tool bar at the top of the screen:

4. To set the zone to read text, click Omnifront Zone in the tool bar at the top of the RJS Zone Designer.

5. You can create up to 10 zones.

The example below shows four more OCR zones around the following information: customer name, order number, shipping date, and due date. You can also include zones to read barcodes in this list of zones.

OCR Zone Designer displays green arrows that show the sequence in which the OCR zones will be read.

6. After you have selected all the zones you need, in the Map ICR Fields area on the right side of the RJS OCR Zone Designer, assign each zone to a WebDocs index key. For each zone number in the OCR mask, choose which index key in WebDocs you want that zone to correspond to.

Best Practice: If you reorder the index keys, choose No Value for the index keys you are not using.

Creating a Zone to Read a Barcode

An OCR mask is composed of one or more OCR zones. Each zone is a box you draw that surrounds one piece of information that you want to extract. A zone can extract either alphanumeric or barcode information from a scanned document.

Saving a Mask

After you have finished creating all the OCR zones and assigning index keys, save the mask:

1. In the tool bar at the top of RJS OCR Zone Designer, click Save Zone Template .

The Save Zone Overlay dialog box displays.

2. Choose the folder where you want to save the OCR mask and save it with an NXP file extension.

Best Practice: Save the OCR mask in the folder you specified when configuring the OCR settings.

Best Practice: Save the OCR mask with the same file name as the document on which it is based.

Testing a Mask

After you have created and saved an OCR mask, test the mask to make sure it reads the zones correctly:

1. Open the RJS Zone Designer.

2. In the top tool bar, click Open Image and choose an image you will use to test the OCR mask.

The image displays in the Main Viewing Area of the RJS OCR Zone Designer, and a thumbnail of the image displays to the left of the screen.

3. In the top tool bar, click Open Zone Template and choose the OCR mask you created.

The OCR mask displays over the image in the Main Viewing Area of the RJS OCR Zone Designer.

4. In the top tool bar, click Recognize Zones on Current Page .

The RJS OCR Zone Designer runs OCR recognition on the image and displays the extracted information in the area to the right of the Main Viewing Area.

5. If an OCR zone captures too little or too much data, adjust the size of the zone as needed and test again.

In this example, part of the box around the ship date is inside the zone. This zone needs to be smaller:

Note: If you are using Windows Vista or 7, you need to run the RJS Script Editor as the administrator the first time you open it. To run RJS Script Editor as the administrator:

1. Click: Start > All Programs > RJS Software > RJS Imaging Scan Workstation.

2. Right-click RJS Script Editor.

3. Click Run as administrator.

The RJS Script Editor opens.

The next time you open the RJS Script Editor, you can open it directly by clicking VB Script Editor in RJS Imaging Scan Workstation, as shown above.

About Sax Basic Language

RJS Imaging Scan Workstation's scripting functions are in Sax Basic Language. Sax Basic is compatible with Visual Basic for Applications. For more information on Sax Basic, there are resources available online.

Note: The RJS Script Editor runs at a level similar to that of Visual Basic 3.0.

Transferring the Settings from the Old PC onto the New PC

After you have installed RJS Imaging Scan Workstation on the new PC, transfer all the settings from the old version of RJS Imaging Scan Workstation onto the new PC.

1. On the old PC, copy the files for all the settings you need to transfer. Files you may need to transfer include:

All the INI files you use:

o If you are using the master INI file, you only need to copy this file. By default, the master INI file is in C:\Program Files (x86)\RJS Software\RJSIMGSCAN and has the file name RJSIMSSCAN.INI.

o If you have multiple users with different individual INI files, copy each user's INI file into the user's profile on the new PC. For each user: sign-on as that user, click Start > Run, and enter the path C:\Users\USER NAME\AppData\Local\RJS Software\Scan Workstation, where USER NAME is the user name. The user's INI file is in this folder and has the file name RJSIMGSCAN.INI.

Any desktop shortcuts and shortcut values you have created.

The scripting file, if you are using scripting. By default, the scripting file is in C:\Program Files (x86)\RJS Software\RJSIMGSCAN and has the file name RJSIMSSCAN.bas.

Any images the users have scanned that still need to be processed. By default, these images are in the CHECKIN, CHECKINAFTER, ERRORIMAGES, RESCAN, SCANAFTER, and SCANTO folders in C:\Program Files (x86)\RJS Software\RJSIMGSCAN.

2. On the new PC, paste the files into the same folder where they were stored on the old PC.

When you open RJS Imaging Scan Workstation on the new PC, RJS Imaging Scan Workstation is set up the same way it was on the old PC.

Transferring the License from the Old PC onto the New PC

After you have installed RJS Imaging Scan Workstation on the new PC and transferred the settings, transfer the license for RJS Imaging Scan Workstation from the old PC onto the new PC. Depending on whether you licensed RJS Imaging Scan Workstation on a per workstation basis or with a site license, the way you transfer the license is different.

Note: If you use RJS OCR Zone Designer with this copy of RJS Imaging Scan Workstation, you need to transfer the license for the RJS OCR Zone Designer as well. RJS OCR Zone Designer is always licensed on a per workstation basis. To transfer the RJS OCR Zone Designer license, follow the instructions below on transferring a license on a per workstation basis.

To transfer a site license, move the license file to the new PC:

1. On the old PC, open the folder where the program files for RJS Imaging Scan Workstation are stored. By default, this folder is C:\Program Files (x86)\RJS Software\RJSIMGSCAN.

2. Copy the file RJSIMGSCAN.RJS. This file should be 6k in size.

3. On the new PC, paste this file into the folder where the program files for RJS Imaging Scan Workstation are stored.

RJS Imaging Scan Workstation is now licensed on the new PC.

Executable Upgrade

An executable upgrade uses an executable patch. With this type of upgrade, you download a ZIP file, extract an EXE file, and run the EXE file. Before you run an executable upgrade, do the following:

Back up the old RJS Imaging Scan Workstation EXE file.

If you installed RJS Imaging Scan Workstation to a location different from the default location in the installer, save the EXE file for the executable upgrade to the same location where you installed RJS Imaging Scan Workstation.

Full Upgrade

A full upgrade requires you to reinstall RJS Imaging Scan Workstation. Before you reinstall RJS Imaging Scan Workstation, do the following:

Back up the RJS Imaging Scan Workstation program folder. By default, this folder is C:\Program Files (x86)\RJS Software\RJSIMGSCAN.

If you are using Scripting, there may be compatibility issues with the new version. Contact RJS Software to discuss the upgrade with RJS Software technical support before you upgrade.

This topic tells you how to troubleshoot difficulties you might encounter when using RJS Imaging Scan Workstation's scripting functions. Before you begin, be aware of the following:

RJS Software strongly advises that you include your own error handling in scripts, so that users won’t encounter problems if one of your scripts breaks.

Your RJS Software maintenance contract covers problems with the RJS Scripting Editor itself but not problems with your own custom scripts.

If you are encountering problems with custom scripts, one challenge is that the debug menu in the RJS Scripting Editor can't debug issues that are dependent on RJS Imaging Scan Workstation states. The best solution is to include message boxes in your scripts:

1. Insert message boxes to break up scripts.

2. Test the script in RJS Imaging Scan Workstation to see if the script works up until the message box displays.

3. Go back to the script editor and edit the script, as necessary.

Troubleshooting the .NET API

This topic provides you with troubleshooting tips if RJS Imaging Scan Workstation is having difficulty signing in or checking in to WebDocs - iSeries Edition. For sign-in and check-in issues:

Use Telnet or iSeries Client Access to check that the iSeries connection is working.

If the connection works, there is a problem with the .NET API. To find debugging information, check the job log on the iSeries. See the RJS Software support article: http://support.rjssoftware.com/content/dotnet-api-joblog.

If no error messages display, check the event log in the Windows administrative tools on both the client system and the server system.

Troubleshooting OCR Issues

This topic provides you with troubleshooting tips if you are encountering problems when you run OCR on an image. OCR issues can occur on two levels:

The OCR extraction doesn't run.

The OCR extraction runs but doesn't find any data.

OCR Extraction Doesn't Run

If an error message displays when you try to extract OCR information, the most likely cause is that the RJS OCR Zone Designer isn't licensed. The RJS OCR Zone Designer has a separate license from the RJS Imaging Scan Workstation license.

To check if the RJS OCR Zone Designer is licensed, click: Start > All Programs > RJS Software > RJS

Imaging Scan Workstation > Licensing > RJS Scansoft OCR 15 License. The Unlock ScanSoft OCR dialog box displays and informs you if the license has expired.

To license the RJS OCR Zone Designer:

1. Record the Code Entry Number and Computer ID from the Unlock ScanSoft OCR dialog box you opened above.

2. Either call RJS Software technical support or send RJS Software an email with the Code Entry Number and Computer ID.

3. RJS Software technical support will issue you a license-authorization code.

OCR Extraction Runs but Doesn't Find Data

If the OCR extraction runs but doesn't find any data, the OCR mask may no longer be working. Often, if you change the way you scan documents (for example: changing the scanning resolution from 300 DPI to 400 DPI), the position of the OCR zones in the OCR mask may no longer match the scanned documents. To troubleshoot OCR mask issues, open the RJS OCR Zone Designer and check that the OCR mask is correct:

1. In the RJS OCR Zone Designer, open the image you are having problems extracting data from and the OCR mask you are using.

2. Test the mask.

3. Check the following:

Do all the OCR zones correctly surround the data?

Are the zones assigned to the correct index keys?

Are the OCR zones set to read the right type of data (such as text or barcode)?

4. Test the OCR mask again to see if it works.

5. After the OCR mask works when you test it in the RJS OCR Zone Designer, save it and try to extract the OCR data in RJS Imaging Scan Workstation again.
