The Doubletree by Hilton Kansas City-Overland Park will help you create the wonderful

wedding of your dreams.

We pride ourselves in providing exquisite food, superb service and the precision

planning that will make your wedding celebration a memorable event.


Outside Catering Source

As a special consideration, due to your requirement to provide authentic ethnic cuisine for your guests, we allow you

to bring in the food for your event from an outside (approved) caterer. Your caterer must carry a minimum of

$2,000,000 in liability insurance.

The celebration package facilities fee is $27.50 per person, exclusive of service charge and Kansas State Tax. Please

note that the service charge on facilities fee is subject to state tax, and excise tax applies on liquor in the state of

Kansas.

Celebration package facilities fee includes:

Ballroom space required to accommodate the number of guests expected and setup requirements Setup time limited to 3 hours prior to event; additional setup time is based on availability and must be discussed with

event coordinator. If the room needs to be set prior to the actual time for meal service, additional charges will apply. Room setup to include tables & chairs, buffet tables, stage, dance floor, head table, as needed White Table linens with white napkins White chair cover with choice of color satin sash China Dinner plates, silverware and glassware Chafers for buffets, and hot boxes to store catered food Salt, pepper, cream and sugar for each table Ice Water, Coffee and regular tea service* Wait staff to serve beverages and clear tables (1 server for every 3 tables) Standard hotel centerpieces (vase with battery operated candle, mirrored tile, & 3 votive candles, should you wish to

utilize them Serving utensils, limited to what we have in house. Should items be needed which we do not have, client or caterer

will provide Complimentary cake cutting and plating for self-service (1) Complimentary guest room for Bride and Groom on the evening of the reception.

POLICIES AND PROCEDURES

Celebration Banquet Arrangements


Use of Hotel Kitchen: Due to liability, the caterer will not have access to the Hotel kitchen. If absolutely necessary

for last minute heating or preparation, the Hotel will be happy to handle that for you. A $50.00/hour (1 hour

minimum) labor fee will apply.

Labor Fees: Should you require service personnel or wait staff to do anything other than setting the room, serving

beverages or clearing dishware from the dinner tables, an additional labor fee will apply. This would include

providing additional personnel to serve snacks and beverages during the wedding ceremony. The charge will

depend on your specific requirements.

Staging: We will be happy to provide a riser of up to no larger than 16’x30’’at no charge. Should you require a

larger stage, a rental fee will apply. Our stages are carpeted in black. Your decorator is welcome to provide other

colored linen to cover the stage, should you prefer it.

Setup Time: We will reserve your function room 3 hours prior to the event start time for your vendors to set up.

Should you require additional setup time; an additional per hour charge will apply, depending on the size of room

being utilized.

Beverage Service: The hotel will serve coffee and (regular) hot tea during the meal. Hotel can also provide a “bar”, for alcoholic or non-alcoholic beverages, with personnel to serve. A charge of $85.00 per “bartender/server” will apply. Pricing is subject to tax.

If your Caterer is providing soft drinks, the hotel will provide glassware, ice and a cooler, at a cost of $.75 per person,

based on your final guarantee. Should you wish for the hotel to provide soft drinks, we will be happy to reduce the

published price of $3.00 each to $2.00 each, subject to tax and service charge. If you prefer to offer a non-alcoholic

beverage package, to include soft drinks, bottled waters and/or iced tea, the following prices will apply. You will be

charged per person, based on your final guarantee.

Reception Space

Our elegant 9,000 square foot ballroom accommodates events of all sizes. We also have a

beautiful outdoor courtyard that makes a perfect setting for a wedding ceremony, cocktail

reception or outdoor photos.

Food and Beverage

Room rental fees are waived based upon your selection of a menu and beverage package at

published prices that are in effect on the day of your event.

Minimum food and beverage requirements are exclusive of 23% service charge and 8.85%

Kansas State Tax. Please note that the service charge on food is subject to state tax, and that

a 10% excise tax applies to liquor in the state of Kansas.

With the exception of the wedding cake, food and beverage from outside sources is not

permissible. We will be happy to cut and serve the cake at no additional charge

Prices are subject to change and will be guaranteed six months before your event

Block of Rooms

We would be happy to set aside a block of rooms (minimum of ten) for your guests requiring

overnight accommodations, and to offer you a special rate, based upon occupancy. If at all

possible, we highly recommend that you address this at the time of booking, to ensure

availability.

Deposit

An initial deposit of $1,500.00 is required to confirm your ballroom space as definite. This

deposit is non-refundable and is applied to your final balance. A credit card is required to be

on file in case of additional fees occurring the evening of the event. A payment plan can be

arranged prior to your event to bring your account current to the final payment. The final

payment is due five business days prior to your event and is payable by cashier’s check or

credit card. Personal checks are not accepted for final payment. Refer to your Catering

Agreement for specifics regarding the final payment.

Information…


Final Guarantee

As your wedding day approaches, we will schedule an appointment to discuss the details of

your event. Once finalized, we will create a Banquet Event Order (BEO) which will outline

everything in detail, from times, menu selection, special requirements and all applicable

pricing information. Before signing and returning, it is important that you review this

information carefully as this is the document our staff will use to execute all arrangements for

your reception.

Approximately one week in advance of your reception date, we will contact you to confirm

your final guarantee and will calculate the total estimated bill at that time. When you come in

to make final payment, you may also drop off any items which you would like for us to take

care of on the evening of your event, i.e. seating cards, champagne flutes, engraved napkins,

centerpieces, favors, cameras, etc.
