Log In at RxStation

There are two methods of RxStation Log-In for medication dispensing access.

A. User’s fingerprint has been registered at an Imprivata- Fingerprint Registration laptop

B. User has not registered fingerprint, but has PowerChart account:

1. Click Cancel on the two pop-up screens for the main RxStation screen to be viewable.

1. User will place registered finger on scanner, once scanner has read finger. The user will be logged into RxStation.

2. Enter PowerChart username and Password.

3. Click Log In

Choosing Patient List

Patient Search

1) Search for patient by clicking the magnifying glass.

2) Search by FIN will be most reliable. The FIN can be typed in or a patient label can be scanned if the curser is in the FIN field.

3) Click Search

Available Patient List from PowerChart will be available in RxStation.

Serviceable Location is the physical location the RxStation is located. The Location patient list will appear. The Location list will default open for

specific units.

1. Click the list title you want to view.

Multiple lists can be combined to view

in one patient list. 2. Click Done when one or

more patient list are selected.

Override Medication

All clinic, OR, pre-operative, and PACU RxStation workstations are set for automatic override. This automatic override allows the user

to pull any medication or supply from the RxStation without a verified order in PowerChart. When a patient name is selected from a

patient list or patient search the override medication profile will display.

3. The Quantity will default as one. Adjust as needed.

4. Reason for Override will default as Other

5. Click Remove Or Add to List if additional medications are needed from Override.

1. Medications that are available, for your position and location, to override are displayed on the screen. Select Show All or the first letter of the medication name to display list of medications available.

If a different action is needed (Return or Waste) after selecting the patient, click the Home icon to return to Available Actions.

The patient information is displayed at the top of your screen. Click on the down arrow on the patient demographics bar to review specific patient’s clinical results.

Cancel Medication Dispense

If medication is no longer needed or wrong medication was selected and the error is caught prior to closing the medication bin. The

medication pull/dispense transaction can be canceled, as long as the medication drawer is open.

First of all DO NOT close the drawer; you need to cancel the medication pull so the computer does not think the medication was

dispensed! This cancelation will only work if you are cancelling the medication displaying on the screen.

Controlled substances will prompt for a blind count before you remove the medication. Enter the number found in compartment and press OK to continue medication dispense.

Non-controlled medications will not require this step.

Retry Dispense

What if a medication is missed to be pulled? RxStation registered that it was pulled but the medication was not physically pulled out

of the station. Before the dispensing session is completed or the user clicks ‘Done’ any dispense can be retried.

1) Select Retry Dispense

2) Select medication for dispense retry.

3) Click OK

Documenting Waste Remotely

In addition to wasting a medication at the RxStation machine you can waste at the bedside within PowerChart, FirstNet, or SurgiNet. A

witness will be required for controlled substances.

2. To waste a medication, click Wasteable Transactions to view all medications available to waste

4. Enter in the dosage given. The dosage wasted will automatically subtract the dose

given from the total dose.

5. Select the appropriate reason for wasting the medication

Documenting Waste at RxStation Cabinet

1. Select the patient name from the list or patient search.

3. Document a medication waste at RxStation click on the Waste button

on the Available Action home screen.

2. Click the Home icon to view Available Actions.

Waste documentation is also available at the completion of a medication dispense.

4. Click on the medication

you would like to waste.

5. A witness is required when wasting a controlled substance. The witness must scan their finger OR enter in their username, password, and then click OK

6. Enter the amount wasted by strength, volume, OR dose

quantity.

7. Select the Reason for waste.

8. Click Done

Returning a Medication

1. Select the patient name from a list or patient search.

3. Select Return from the Available

Actions Home screen.

4. Select the dispensed product(s) you would like to return and then click Return. Multiple products for the selected patient can be

returned in one transaction.

5. Confirm the dose returned.

6. Select the Reason the medication was not administered.

*Note: This selection default, no reason to change

the selected location.

Return: opens the locked return box (ie. returning

controlled meds).

Stock: returns the medication/item to the item’s bin in

the station.

7. Select Done. Again, the Return

and Stock will default based on the

product you are returning.

Printing a Patient Specific Label

The label printer at the RxStation workstation will generate a patient and medication specific label when this function is used. These

labels have a scan-able barcode that can be used when scanning the medication upon administration.

If returning medication to stock you will be prompted to scan the product for the drawer to open. If returning to the locked Return Bin, no

scanning is required.

1. To print a label, select Print Label. Or during dispense select the printer check box during medication dispense.

Managing Discrepancies

2. Select the medication you want to print

under Dispensed Product.

1. When alerted of a discrepancy, click on Options and then select Manage Discrepancies

from the menu.

2. Select the medication that you need to resolve.

4. A witness is required to log in. The witness must scan their finger OR enter in their username, password, and then click OK.

3. The transaction history is now displayed on the Resolve Discrepancies screen. Click Count to count the doses in the

tray and resolve this discrepancy.

5. Enter in the doses in the tray in the Current Count box.

6. Click Resolve to resolve the discrepancy. OR click Investigate to keep the discrepancy open (if there are more questions to answer before resolution can be made.)

Returning to Patient list / Selecting Another Patient

If attempting to complete transaction for multiple patients, to return to the patient list that will allow you to select a different patient

complete the following steps.

the discrepancy and then click Done

1. If in a patient’s profile action (override,

waste, return, etc) select the Home icon

to return to Available Actions. 2. From the patient’s Available Actions

home screen select the Patient Search

icon.

Drawer Functionality

The drawer will light a pathway to identify the correct tower, drawer, and pocket the medication will dispense from.

1) The station tower’s undercarriage light will illuminate.

2) The drawer to pull open will illuminate.

3) The individual locked bins will illuminate a blue light. When medication has been pulled, push shut the bin until it clicks and close the drawer to lock.

3a. Other Drawers: Open matrix will illuminate the side of the section to identify the correct

medication.

3b. To move to next medication or to close the drawer, SWIPE the green light.

3c. Cabinet: The interior light will illuminate to indicate which door to open, blue dot light illuminates for the shelf and the section the medication is located.

3d. The green button will need to be pressed for the door to lock before closing

the door.

Ad Hoc & Reconcile Patients

The Ad Hoc patient process will be used when the patient arrives emergently, requiring medications to be dispensed prior to the

completion of Cerner Quick Registration or IDX registration. After the patient has been registered and emergent care has been

provided, it will be the bedside staff’s responsibility to reconcile the Ad Hoc patient to the registered patient’s medical record. The Ad

Hoc patient is specific to the RxStation machine in which it was generated from; example- an ER nurse creates Ad Hoc patient name at

the ER Main RxStation but the nurse needs to dispense additional medications for that patient while in Radiology, the Ad Hoc patient

name will not be available at the Radiology RxStation.

Creating Ad Hoc patient

1. Click Options drop down menu.

2. Click Manage Ad Hoc Patients.

3. Click Add Ad Hoc patient icon.

4. When creating an Ad Hoc patient a Last and

First Name are required to add a patient to the

RxStation you are logged into.

5. Click Add when Last and First name, and other additional

information, as needed, has been entered. Note: the Add

button will remain grayed out (inactive) until the required

name fields have been completed.

6. Available Actions Home screen

displays for access to medications.

7. The Ad Hoc patients will only be located on

the RxStation location list.

Click Location Selection drop down menu to

select the location census list.

Ad Hoc patients are denoted by the Add Ad Hoc

icon.

Reconcile Ad Hoc Patient

1. Click Options drop down menu.

2. Click Manage Ad Hoc Patients.

3. The list of Ad Hoc patients created at

that station will display. Click the Select

checkbox associated with the name you

are preparing to reconcile.

4. Click Reconcile Selected at the

bottom of screen.

5. Search for the actual patient.

With all patient search function,

searching by FIN is your lowest risk

for error.

All medication functionality can be completed within the Ad Hoc patient: dispense, return, and waste. All three actions will be recorded

within the actions of this Ad Hoc patient, and will be transferred to the patient’s medical record when reconciled.

6. Verify correct patient and click the

patient name of the correct search result.

7. Verify correct medications and patient

information and click the Reconcile of the

correct search result.
