1. Employee reports vacation quota not deducted properly

Subject: Employee has reported incorrect deduction of Vacation quotaIssue: Employee record their times through CATS tool available in BPPeople Portal.

However, these booked (and approved) vacation times were not corectly de-ducted from the Vacation quota as reflected in the employee’s portal

Solution: Execute the report which transfers data from the CATS database to the SAP in-fotypes

Problem Description:

Employees 88216041 and 88225077 had recorded hours against a vacation absence code(0100) through CATS tool available in their (ESS) Portal. These absence hours were also approved by their managers as on 08.07.2011. However, these hours have not got deducted from the Vacation quota in IT2006.

Analysis :

Employees had recorded their hours through the CATS tool in their portal and were also approved by their managers on 08.07.2011. The absence hours were as follows :

1) Employee : 88216041 - absence type 0100

2) Employee : 88225077 - absence type 0100 and absence type 0195

These absence hours were reflecting in the CATS display report available in SAP (accessed through CATS_DA transaction code) but not reflecting in IT2001 and consequently IT2006 was also not show-ing the relevant quota hours deducted.

The only possibility could have been the failure of the daily BATCH JOB which is scheduled to run at 2:30 AM UK time and transfers data from the CATS database table to the SAP infotypes.

This issue was raised in April 2012 and the batch job archive logs are available only till 1 week and hence we were unable to analyze as to why the batch job transfer was unsuccessful for such a back date i.e. 08.07.2011.

Upon checking other employees who had submitted hours on 08.07.2011, it was found that their data was also not transferred to SAP tables. The other affected employees (and data) were:

4) Employee : 88201870 - absence type 0100 and absence type 02105) Employee : 88795711 - absence type 0100 and absence type 0200

Solution :

To correct the data inconsistency, the data in CATS_DA report and IT2001 had to be the same. In or-der to bring CATS_DA and IT 2001 in sync, there are two options available :

1) Employee can login to CATS (through Portal), delete the absence (Paid Vacation) entries which are not reflecting in IT 2001 and reenters and resubmits the same entries once again. Once the manager approves, the data should get updated in IT 2001 after the daily datatransfer batch job is completed.

2) Manually resend the absence data from CATS to IT 2001 through report RPTEXTPT (transaction CAT6).

Option 2 was preferred since there would have been no probability of any inconsistencies again and also, it reduced the workload on the client. Business approval was sought on the same.

Now to manually transfer data from the CATS database to IT 2001, we decided to execute the pro-gram : RPTEXTPT. A variant was created in the Production system for running this report :NO_CAT08072011 (pls refer to the screenshot attached). This variant was executed with BATCH_GLB id in the Production system. After this, CATS_DA and IT2001 were reflecting the same data. Conse-quently, IT2006 was also updated.
