Your canopies and space must be tastefully displayed and presentable in accordance with the approval of the County of Los Angeles Department of Parks and Recreation and Kalakeke Pacific Island Dance Company. All Vendor Equipment & Items must be removed from the park by 6:00pm on Sunday, May 6, 2018. Purpose of SCV Pacific Islander Festival

Please use good judgment in the things you choose to sell and display in your booth. SCV Pacific Islander Festival is a family-oriented event. Hours of Operation

2018 SCV Pacific Islander Festival will be open to the public from 10:00 a.m. to 6:00 p.m. on Saturday (5/5/18) and 10:00 a.m. to 4:00 p.m. on Sunday (5/6/18).

Set Up / Take Down & Cleanup

Applications and payments made to any other location may not be accepted and may be returned without processing and review.

Permits & Licenses Including Temporary Seller’s Permit & Health Department Permits

All pertinent fire codes, laws, ordinances and regulations pertaining to health, fire prevention and public safety shall be strictly observed. ALL vendors must provide their valid Seller’s Permit # or Temporary Seller’s Permit # on their application. To apply for a Temporary Seller’s Permit, you may download the Board of Equalization’s form from their website at http://www.cdtfa.ca.gov/formspubs/cdtfa410d.pdf or call them directly at 800/400-7115 and request Form # BOE-400-MT. There is no charge to acquire this permit Food vendors and merchandise vendors selling pre-packaged food items (i.e. Bread, jelly, coffee, etc.) will be required to apply and pay for a Food Permit from the County of Los Angeles Department of Health. (Temporary Food Permits for Food Vendors cost approximately $160.00. Professionally Pre-Packaged Food Permits cost approximately $71.00.) The permit fee will be waived by the Health Department, but you must provide proof of your organization’s non-profit 501(c)(3) status. If you would like 2018 SCV Pacific Islander Festival to submit your Temporary Food Facility Application. You must provide the following: A completed Health Department application and a check payable to “County of Los Angeles Department of Public Health” for the applicable fee and must be turned in at the same time as your 2018 SCV Pacific Islander Festival Vendor application (no later than April 1, 2018). Applications: http://www.publichealth.lacounty.gov/eh/docs/Events/FoodFacilityApp.pdf ALL vendors as required by state law must have at least one fire extinguisher at their booth. All vendors are responsible for their own tax keeping records.

Approved Merchandise & Food

Only items listed on the application and approved may be sold at the 2018 SCV Pacific Islander Festival. Non-food items are not to be sold at food booths. Food items may not be sold at Merchandise or Game Booths unless factory sealed and approved prior to the event. Vendors approved to sell factory sealed food from their merchandise booths will be required to apply and pay for a permit from the County of Los Angeles Department of Health. Please see Permit Section above for further information.

Merchandise Specific Booth Information

The merchandise booth fee covers a space 10’ wide by 10’ deep and an assembled 10’x10’ canopy. NO running water will be brought to merchandise booths. Electricity hook-up is available for a few designated booths and a request for electricity hook-up must be noted on the vendor application. Space assignments will be made at the sole discretion of the Event. If you have a particular area request, please state this in your application. We will take all requests into consideration. Many of our spaces allow you to extend 10’ behind if you bring your own 10’x10’ canopy. Please be sure to state your desire to extend your booth in your application. All sales area(s) and stock storage must stay within your booth space. This will be strictly enforced.

Food Specific Booth Information

The food booth fee covers a space 10’ wide by 20’ deep and an assembled 10’x10’ canopy covered on three sides and flame retardant per Health Department Regulations. Food booths that extend out towards the back must be covered, if used for food preparation, Vendors must adhere to the following: ! Provide cold storage for perishable cold food. ! Store all food and/or supplies up off the ground of the booth by using pallets and tables and protect

same against insects and other contaminants ! Maintain hot food at 145E C or higher ! Maintain cold food at 45E C or lower

Food Specific Booth Information (cont’d)

! Floors must cover the entire area of the stand, wall to wall and constructed of cleanable, non-absorbent material (i.e. plywood, rubber matting, linoleum, tarp (must be secured to the ground)

! Propane tanks must be strapped down ! Cooking is prohibited under canopies or other unapproved indoor structure ! Provide all food items, condiments, and tools necessary for the sale of your product, including soap

for washing all equipment, rubber gloves and hairnets. ! Provide sanitary operation of booth. Food handlers MUST use hairnets and plastic/rubber gloves in

food area. Food handlers may not handle money at the same time as handling food. ! Each temporary food facility is responsible for having a self- contained portable sink with 5 gallons

of warm water (100˚F), liquid soap, single use towels, and a trash container available. For events of three days or less a gravity-fed container (with a catch basin) that can provide a continuous stream of warm water (100˚F) may be used in place of a portable sink.

! Electrical power is limited. Vendors are encouraged to use propane gas appliances, butane stoves, hibachis, etc. Microwave ovens are not allowed. Vendors are required to provide their own 20 amp 3-wire 12 gage electrical cord (at least 50’ length is recommended) and will be provided one outlet.

! Will store flammable liquids, such as gasoline, at least 15’ away from any open flame. ! Provide own fire extinguisher with a minimum of 20BC classification as required by the Los Angeles

Fire Department ! Smoking is prohibited in food preparation area. ! Will need to apply and pay for the Health Department’s standard permit no later than April 20, 2018.

More information will be provided upon your confirmation. If your organization has proof of non-profit 501(c)(3) status, you will need to complete the LAHD application, but no health department fee will be required.

! Provide your own liability insurance for the duration of the event.

Reserved Items

The 2018 SCV Pacific Islander Festival & Kalakeke Pacific Island Dance Company also reserves the right to sale of any bottled water. No vendor is permitted to sell, give away, or include in any sale, any bottled water of any kind. Violation of this rule will result in immediate closure of your booth.

Subletting Absolutely NO subleasing of booth space or surrounding areas. If anyone subleases any portion of his or her space without prior written permission from the Event Chairperson, you will not be allowed to operate the booth and you will forfeit all fees paid.

Garbage and Trash Vendors must keep the inside and outside of their booth space neat and tidy. Trash receptacles will be provided throughout the park. All rubbish should be bagged in heavy-duty plastic trash bags, tied closed and deposited in these collection areas. Any disposal of garbage other than in the trash receptacles provided will result in an additional cleaning charge equal to the time, equipment and materials used. Any dumping of ice, liquids, food waste or grease in gutters, tree wells or other areas is unacceptable.

Park Environment The William S. Hart Park and Museum is the former retirement home of the famed silent film actor and director who produced a series of hit Western movies in the early 1900's. His beautiful Spanish Colonial Revival Style Mansion – now the Museum – exhibits an impressive collection of Western artwork by noted artists Charles M. Russell, Frederic Remington, and Joe de Yong, as well as mementos from early Hollywood, personal furnishings and effects, and artifacts representing multiple Native American cultures. The Park offers a free tour of the Museum (please check website for tour times), A Gift Shop and Barnyard. The park offers a beautiful grass area with numerous trees and various plants. Please do not tie anything to trees or damage any plants.

Security William S. Hart Park is locked and secured at night. There is overnight security, but they cannot watch over specific booths or areas. Any items left overnight at William S. Hart Park are done so at your own risk. Overnight sleeping in booths is permitted under your own discretion. Security personnel will be on site daily to ensure a safe and enjoyable event. 2018 SCV Pacific Islander Festival, Kalakeke Pacific Island Dance Company, Santa Clarita Valley Pacific Culture and Arts Inc., The Friends of Hart Park, The County of Los Angeles Department of Parks and Recreation and the City of Santa Clarita and any other sponsoring organization is not responsible for theft, loss or damage.

No Alcoholic Beverages / Illegal Drugs or Pets Allowed

No alcoholic beverages, illegal drugs, firearms and/or ammunition will be allowed into William S. Hart Park.

Materials and Supplies You are responsible to bring your own tables, chairs and all supplies and materials needed to hang your signs, cover your tables and carry out business.

Publicity Publicity for the 2018 SCV Pacific Islander Festival will be provided through all forms of media. Flyers are available to you for your use.

Cancellation Policy Cancellation Policy (cont’d)

This is a Rain or Shine Event. No refunds will be given in case of inclement weather, acts of nature, forfeiture or by restrictions of government agencies to amend or cancel the event, over which the 2018 SCV Pacific Islander Festival has no control. No refunds for Merchandise Vendors will be given if you cancel after April 10, 2018. Cancellations must be made in writing and postmarked by April 10, 2018. All Merchandise Vendors selling prepackage food will follow the Food Vendor cancellation policy. No refunds for Food Vendors will be given if you cancel after April 10, 2018. Cancellations must be made in writing and postmarked by April 10, 2018.

Liability Involvement in the 2018 SCV Pacific Islander Festival is at your own risk. All vendors will agree to and sign the Hold Harmless Agreement that is made a part of our application. All vendors must provide General Liability Insurance. You can apply for Event Insurance from VendorInsureNow.com

Lost & Found Lost and found items recovered during the event may be claimed at the Hospitality Booth.

Policies & Guidelines The 2018 SCV Pacific Islander Festival reserves the right to approve or deny any booth application and reserves the right to limit the number of applicants for any one type of goods/service thereby protecting all vendors and maintaining diversity for the event.
