SE Document is a Document Management Software System to help you meet all document control requirements of SQF, ISO 22000 or any GFSI Scheme.

We are going to show you some screenshots to show you how it works. They show the system pre-loaded with our SQF Templates.

SE Document allows users to create a structure with all types of documents and records to be

managed.

SE Document keeps all required / applicable data such as •ID numbers, •Title, •Author (Controller), •Revision numbers, •Revision Date, •Validity, •Document / Record Summary related to all documents & records.All these data fields may be used as search criteria when looking for documents and records registered into the system.

This screenshot shows the data of the document (Food Safety Plan) that is registered

under the category of Procedures.

SE Document allows users to associate parent/child documents to any existing document or record registered into the system. It also shows some other system controls such as: •revision (see next slide)• keywords•printed copies,• requests; that may be associated to any document or record registered into the system.

Easily see which users are authorized to view the document (Food Safety Plan).

These users will receive email notifications of acknowledgement and training every time a new revision (version) of the document is released. This screenshot shows that the user (Edson) had read (open to view) this document on May 23, 2012 and that both users (Edson and Joe) were trained on this document on May 5, 2012.

This screenshot shows details of the security settings that may be applied to documents.

SE Document allows users to manage and control all revisions associated with this document. In this case, the system shows that the document (Food Safety Plan) is under revision. It also shows that revision “0” is the current revision and that revision “1” is on draft.

You can see when the revision started and who is responsible for each step of the revision process (draft, review, approval and release).

You’ll also see the deadlines (in days from the revision starting date) for each step of the process.

SE Document allows users to search for documents using various search criteria such as: •ID#•title•content•status•category•who has access•and a lot more.When listing all documents that meet the user’s search criteria, SE Document indicates the status of each document by an icon as shown in this screenshot.

SE Document allows authorized users to access (view) documents and records of various formats including word, excel, pdf, pictures, CAD drawings and etc.To view a selected document (Document Change Request Form) or record the only thing authorized users have to do is to click the view button. The system will then open the document file automatically on a “view mode” as shown in this screenshot. If the user has no permission to view the document or record, a message will pop out to indicate no access is permitted.
