ABOUT THIS DOCUMENT

This document is designed to give you the tools you need to use Memberships to its full potential.

Memberships is a great way to keep your clients coming back for more, by providing them with regular payment options and exclusive benefits. With Memberships, your clients pay a regular fee and receive the benefits over a time frame determined by you. This enables you to establish an income stream you can count on, as revenue is recurring throughout the year.

This document will guide you through all the necessary steps in getting your Membership program up and running.

SETTING UP MEMBERSHIP PROGRAMSCREATING A MEMBERSHIP PROGRAM

ADDING THE PROGRAM DETAILS

1Log into your S.M.A.R.T. system console (https://console.shortcutssoftware.com). Then click on the programs tile.

2Click administration.

3Click program.

4Select your community from the drop-down menu. This is usually your business name.

AYou can edit an existing program by selecting it from the drop-down menu.

6Choose membership.

7Enter the program name.

8Enter a unique program code. It is recommended that you include your business name in the program code to ensure it is unique.

9Optional: Enter a description.

10Choose your preferred number generation method. This determines how you will allocate membership numbers. If you are not allocating membership cards, you may wish to select automatic number generation. If you are allocating cards, you may wish to use only pre-registered numbers, or you can allow both methods.

ADDING A BENEFIT ITEM

Benefit items are the benefits that your clients receive as part of a membership program. When setting up your benefit items, you can specify which items your clients will receive, and how often they will receive them. Benefit items can be either products or services. You can also set up multiple benefit items for the same membership program. For example, you could set up a membership program where clients receive 2 blowdrys per month, as well as 1 hair conditioning treatment per month.

1Click add item to add a membership benefit item.

2Enter the name of the benefit item.

3Choose an item reference for the benefit item. You will use this item reference later when you set up the membership promotion.

4Enter the number of items allowed to be redeemed in the renewal period.

5Enter the benefit value. This does not need to be the same as the sell price of the item. The benefit value is a user defined unit price for each benefit item. The benefit value is used to calculate the current liability value of benefits owed to members.

6Select the renewal period for the benefit item.

7Select the action for items that are not redeemed within the renewal period (reset or accrue).

8Enter a description of the benefit item.

9Click OK.

10You can add multiple benefit items to a single membership program. To add another benefit item, simply repeat steps 1 - 9.

11Tick this box if you want clients to receive benefits even if their membership is unpaid.

ADDING A PAYMENT PLAN

A membership payment plan determines the amount and frequency of your clients’ membership payments. You can create multiple payment plans to provide your clients with different payment options. This allows your clients to choose the payment plan that suits them. For example, you could create a weekly payment plan and a monthly payment plan for the same membership program.

1Click add payment plan.

2Enter the name of the payment plan.

3Select the amount to be paid at each interval.

4Select the payment interval (how often clients will be charged the specified amount).

5Enter the total payment plan duration (in months), or leave this empty to set no expiry.

6Optional: Enter a joining fee.

7Enter a description.

8Click OK.

9If you wish to add another payment plan, repeat steps 1 - 8.

10Click save.

For each membership program you create, you will need to set up 2 sundry items: the ‘membership activation’ and the ‘membership payment’. The ‘membership activation’ is the item that you will process at the Point of Sale when adding a client to a membership.

1Click on the setup menu.

2Click on the configuration icon.

3Click on the sales setup menu.

4Click on the sundry income icon.

5Click new.

6Enter the name of the item.

7Click done.

8Select program activation as the sundry type.

9Select the program that this item belongs to.

SETTING UP THE MEMBERSHIP PAYMENT SUNDRY ITEM

The ‘membership payment’ is the item that you will process at the Point of Sale when taking a member’s payment for their subscription.

1Click on the setup menu.

2Click on the configuration icon.

3Click on the sales setup menu.

4Click on the sundry income icon.

5Click new.

6Enter the name of the item.

7Click done.

8Select program payment as the sundry type.

9Select the program that this item belongs to.

SETTING UP YOUR MEMBERSHIP PROMOTION

The final step in setting up your membership program is creating your membership promotion. The promotion will determine which items clients will receive as membership benefits.

1Click on the setup menu.

2Click on the promotions icon.

3Click on the new button.

4Enter the promotion name.

5Enter a description of the membership program.

6Choose related program.

7Select the related program from the drop-down menu.

8Select the valid dates and times from the drop-down menus.

9Tick the boxes in areas where you want employees to receive credit for benefit items at their value prior to the discount / negative line redemption.

11Select membership from the eligibility drop-down menu.

13Select specified items from the drop-down menu.

14If you chose ‘discount redemption’ as your redemption method in the Program Manager, select the type of benefit given and enter the value.

If you are using ‘negative line redemption’, skip this step.

15Expand the relevant categories to view the items within.

16Click to select the relevant benefit item.

17Click on the relevant cell in the ‘maximum’ column, then enter the maximum quantity allowed per transaction.

18Select the membership item reference. This is the item reference that was set up in the Program Manager when you added your benefit items.

19Click done.
