Video (Web)

SIMULATIONiQ Enterprise’s web application integrates seamlessly with the SIMULATIONiQ Enterprise AV

Control/Viewer/SIM Client application. The standalone AV application is an audio-video system software and

hardware solution consisting of three parts: AV Control, AV Viewer, and SIM Client (which integrates with AV

Viewer). It is used for capturing simulation and standardized patient (SP) training activities through audio /

video recording. The AV application records the simulation session and provides video playback to facilitate

the evaluation of Learner and SP performances. Recorded video can be viewed by an administrator; any user

who is a participant in the video; and any other user whom the Administrator has given access to. Live video

can be viewed on the web or through the AV Viewer app by the Administrators, SPs and evaluators while it is

recording. Video is also accessible through the Web app, in the Video task module.

The Web Video task module contains the following features:

Internet Protocol (IP) and High Definition (HD) digital audio and video capture.

Live or recorded video viewing.

Immediate playback of video for review.

The ability to Ad-hoc record without a scheduled session.

Video and checklist view on a single screen.

Indexing Ad-hoc videos by associating a recording with a Session and Case / Scenario.

Annotations and video bookmarks on live or recorded video.

Automation of paging announcements for sessions.

Convenient, single-screen management of entire simulation center.

Automated backup process for all video recordings.

Ability to switch camera views.

Pan, Tilt and zoom camera views as well as use of predefined camera presets.

Ability for Administrators to assign viewing and/or downloading access to any user or Learner Group.

Explore Tab

Click Video to expand the arrow to access sub-items in the Explore tree:

The Explore Tab selections are as follows:

Playback – The Search Results page will populate with recorded video according to the date selected in the Date section.

Date – See all video according to date selected. Options are: Today, Last 2 Days, Last 7 Days, Last 14 Days, Last 21 Days, or Last 30 Days. To specify a particular date range, use the Search Tab: o Click the hyperlink to the video under the Date column to access the video (you can also search for

existing video by Date, Room, Session, Case/Scenario, SP, and Learner criteria by entering values

in the text field). Note: In the Date column on the landing page grid, if a video is in progress for a room noted in the Room column, the in-progress recording time will be highlighted in red.

Indexed – Clicking on the Indexed item in the Explore tree will populate the Search Results page with video that has been indexed. (Indexed is a video recording that has been associated with a Case/ Scenario and Session.) Indexing can be done automatically through a scheduled simulation session in Session Calendar; or, manually by selecting the non-indexed video.

Non-Indexed – Video recording that has not been associated with a Case/Scenario and Session.

Rooms – Rooms that are listed in the system (Settings > Rooms) will be listed here. Selecting Rooms will populate the Search Results page with all rooms and recordings. Select a particular room under Room and the Search Results page will populate with recordings that took place only in that room.

Bookmarks – Search for videos that contain bookmarks. Click on the bookmarks listed to search for video that contain that particular bookmark.

Playlist – Use this functionality to construct a play list of videos selected from multiple rooms, cases, scenarios, and/or sessions. If Access Restrictions have been enabled, they can be applied to your play list

Live - Clicking on the Live item in the Explore tree will populate the Search Results page with rooms that have cameras in them. Click on a particular room to view the live video feed from cameras in that room.

Bookmarks o Predefined Bookmark – Click on this link to view search results of bookmarks that have been

added to the system. New bookmarks can also be added by clicking the Add New button. o Bookmark Group – Bookmarks must be a member of a bookmark group in order for them to be

available to be added during video play.

Actions

The following action selections are available from the landing page grid; as with other modules, click the

checkbox for the selected video(s) before performing these functions:

Delete – Click here to delete the video.

Video Access – Click this link to call up the following dialog:

From here, an Administrator can search for videos from the Video List using search criteria based on

the grid column headings. In addition to any users granted access to the video if it is indexed to a

session, additional users can be added by pressing the Add New button from the Additional User

Access grid (Active and Expired dates can be set to allow access for a specified

duration).Organization Unit Access can also be granted for a specified duration along with View and

Download capability.

Using this functionality, a video assigned to individual learners can be unassigned to those learners.

You can also click the checkbox next to a video in the Video List grid to print a report of selected

videos (the report can be saved in Excel format also).

The Video List and Additional User Access grids can be expanded and collapsed as needed. Press

Save to retain your data and make additional selections or Save and Close to retain your data and exit

the dialog.

Lock - Click here to allow an Administrator to lock a video, meaning that it cannot be deleted (the

Delete grid functionality is grayed out).

Unlock – Click here to allow an Administrator to unlock a video; it can now be deleted.

Delete File Only – Click here to allow an Administrator to delete a video while saving the meta data

(date and time video was recorded, room, case/scenario, session, etc.). A sample deleted video with

meta data saved appears in red in the following grid:

Enter the From and To date range for your video(s); you can also click the checkboxes for Indexed, Non-

Indexed, Locked, and Unlocked video to include in your search. You can also select video by room from the

Room drop-down list and include keywords also to narrow your search.

Upload Video

Note: This function is only available to Administrators. To upload a video that has been saved to a network share on one of the servers, click the Upload Video Button on the upper right corner of the Search Results Page.

The Upload Video window contains the following:

Name - Indicate a name for the video file.

File Location - From the drop down menu, select the server where the video file is located.

Date Time - Indicate an approximate date and time that the video was recorded. This will help locating the file for accessing it in the future. Click on the Calendar to select a date. Input the hour and minutes of the time of recording and then select whether it is AM or PM from the drop down menu.

Duration – Indicate an approximate length of the recording.

Video – Click the Browse button to locate the video file. Click Upload to upload it here. Then, click Save.

The uploaded video will be listed in the non-indexed list. To index a video, please see the Indexing a Video

topic.

Play Back Video

Select Playback from the Explore tab to access the following grid.

Narrow your search by selecting a date in the Explore tab, or use Search tab’s calendar functionality, as well

as any keywords, and/or whether it is indexed or non-indexed video.

The Search Results page will populate according to your search criteria. If there is no information listed under

the Case /Scenario column, then the video has not been indexed. Click on a link to open the video playback

window for viewing. While in the viewing window, the video can also be indexed, and access to view or

download the video can also be specified. See the Indexing a Video topic for more information. Click the

checkbox and select Print to print the playback video details or Delete to remove the video.

Granting access to a video allows a user to view and/or download the video to assist in evaluating a

learner’s or SP’s performance.

Granting video access to a user can be done in three ways:

From the Video Search Results page (as shown previously in the Actions section)

From the Video’s Activity page (as follows).

From the Playlist activity page in which that video is included (click here for more information).

Narrow your search for a video at the Search tab by checking the Indexed, Non-Indexed, Locked, or

Unlocked checkboxes; you can also select a room from the drop-down list. You can also enter a keyword to

use with your other selections while searching for a video.

Granting Access from the Activity Page

Note: This operates in a similar manner as granting video access from the Search Results page. The only

difference is that access can be granted only for the selected video.

The video pane can be “unpinned” from its stationary position by clicking on the push pin icon on the

upper right of the video window. This is convenient when completing a long assessment so that the video can

move as the evaluator moves through the checklist for constant viewing

The Activity Page sections appear onscreen as follows:

Indexing a Video

What is “Indexing a Video”?

Indexing the video means that you are merging the metadata of the Case/Scenario name, Session name, date

and participants with the video recording, all the camera views including the Vitals monitor, bookmarks, and

simulator events sent from the Simulator application.

Click on a recording to index from the Landing page. That video’s Activity page will open (above). In the

Session field, where <Non Indexed> is indicated, select a session for the drop-down menu. The Date,

Schedule Time, Case / Scenario, and Encounter fields will display. You can also enter any notes that are

applicable for this Case/Scenario. Use the appropriate drop-down menus to specify the information. Press

Save Changes.

The Access section will automatically populate with the users who participated in that session. These

participants can be deleted, new ones added and access can be defined as to the ability to view and / or

download the video on a per user basis. Access to an Organization Unit and Learner Groups can also be

indicated (see the Access topic following this one for more information).

Why Index videos?

To easily recognize and find video according to sessions, cases or scenarios, learners, and evaluators by associating a session’s information with the information of the recording.

To be able to generate Center Utilization Reports (Scores & Reports > Other Reports) that include information of video hours, prep and teardown time, department and room usage.

What are the requirements?

A case or scenario scheduled for a Simulation Session

General Information – Video Web

Indexing a video takes place from the General Information section of the web video activity page (as shown):

The following appears in the General Information section:

Start Time – The date and time entered previously appears at this field.

Room – The room number/location entered previously appears at this field.

Session – Select a session if one had not been selected already as part of indexing the video.

Date – Select the session date if video is not indexed; otherwise, session date appears by default.

Schedule Time – Select the time of the encounter for the video if video is not indexed; otherwise, schedule time appears by default.

Case/Scenario – Select the Case/Scenario if video is not indexed; otherwise, Case/Scenario name appears by default.

Encounter – Select the encounter for the video if video is not indexed; otherwise, encounter appears by default.

Notes – Enter any notes associated with the video.

Encounter/Debrief links: Click to toggle between the Debrief room and the Encounter room.

User Access

This grid includes the following (press along with All, Name or User Type to locate users in the User

Access grid):

Name – The first or last name of the user

User Type – The user based on user type

View – Viewing capability for video (if checked)

Download – Download capability for video (if checked)

Active From – The date from which the user can view the video

Expire On – The date that viewing privileges expire for that user

Delete – Press this button to delete viewing privileges for that user

Note: These user settings are defined when the users are assigned – see below for more details.

Press to add a new user. The following dialog appears:

Complete the following screen selections:

User Type – Search for a user based on Learner, SP or Educator type by clicking the applicable checkbox.

Role – Search for a user by any role created within SIMULATIONiQ Enterprise, including the types listed previously plus Super User.

Keyword – Enter a keyword such as student in order to search a user by that role or type.

Search – Search for a user by entering a name in the text box and either the Name, Username, Email, Type or All sorting categories.

Print – Click the checkbox next to the user Name and press Print to generate printed details of that user, including name, user name, Email address and type.

Access Details – Select Active From and Expired On dates to allow the user to access the video within that range. Click the View or Download checkboxes to grant the applicable access.

To grant access to selected user(s), click the View or Download checkboxes as appropriate; select the Active

On and Expired On dates by clicking on the Date buttons next to the respective text fields. Press

to retain all selections at this dialog.

After granting individual user access, complete organizational unit selections as appropriate by clicking the

View or Download checkboxes; as before, select the Active On and Expire On dates by clicking on the Date

buttons next to the respective text fields.

Note: The QA Evaluator and the Instructor have the ability to view the video from the Dashboard when the

video is indexed in order to complete the learner assessment if they are granted access to the video.

Organizational Unit

Grant video access to an organizational unit by selecting that unit from the grid. Enter the name of the unit for

searching within the grid and press . Click the View and/or Download checkboxes and select Active

From and Expire On dates to allow viewing. The grid units can be expanded or collapsed. Press

to retain unit viewing details.

Performing an Evaluation

If the selected video is associated with an evaluation (such as an Ad Hoc evaluation for a Case), an educator /

administrator can view the video and complete the evaluation.

A completed assessment appears on the grid on the Video Web activity page (as shown):

An Evaluator can also be assigned to assess the SP’s performance. The SP Performance associated with the

Case will be the evaluation checklist the assigned evaluator will receive.

Click the SP Assessment button to evaluate the performance of the SP in a case.

Note: Video is required to complete an SP Performance Assessment.

Viewing Options

There are multiple ways to view videos in the AV Web application, including indexed and non-indexed, as well

as viewing by room. Viewing live video is also available; camera controls can be set as needed.

Viewing Indexed Video

As a reminder, an indexed video is a recording that has been associated with a specific simulation session.

When a video is indexed, the Case or Scenario, participants, assessments, bookmarks, and simulator events

(if applicable) data is collected and associated with the video file.

Clicking on the Indexed item in the Explore tab will list videos that have already been associated with a

simulation session. When a session is scheduled through a Simulation Session (see Session Calendar section

of the User Guide), the subsequent recording is automatically indexed. An Ad-hoc session can get indexed

manually by following the Non-indexed Video instructions.

Viewing Non-Indexed Video

Ad-hoc video is when a video is recorded without a scheduled Simulation Session. To index the video

(associate it with a session and all its data), click on the Non-Indexed item on the Explore tab. The Search

Results page will populate with video that was done “on the fly” or Ad-hoc.

Viewing by Room

Selecting Rooms from the Explore tab sorts the Search Results page with recorded video according to room.

The Rooms grid includes the following:

Date – date of recorded video

Room – the room the recording took place

Case / Scenario – the name of the case or scenario

SP – the name of the SP who participated in the session

Learner – the name of the learner who participated in the session

Delete – click the Delete X to delete the video from the list

Click on a link in the this Search Result page will open that recording’s Activity page where the session can be

indexed, access to users can be specified, assign access privileges to this video and add bookmarks to the

video.

Viewing Live Video

Select a Room in the Search Results page for viewing Live video. To print room details, click the checkbox

next to the room hyperlink and press Print.

You can configure your cameras for dynamic recording, requiring only one DVCS for a group of cameras and

allowing one view per room/camera from a drop-down list to enable smoother recording transitions between

cameras. This functionality is configured for your room in the Settings module, but the room/camera selections

are chosen from a drop-down list in the AV Control and Viewer applications (with these views mirrored in the

Video Web application for the same room selection).

Note: For this configuration, the standard camera link selections for the rooms (e.g., Cam A, Cam B, Vitals) are

replaced by the Dynamic link, as shown above.

View All

View All is applicable when a room has multiple cameras installed. Note View All hyperlink in the upper-right

section of the above screenshot. Please reference the following screenshot of the view all pop-up window.

User will still have access to Bookmarks, Camera Control, and Camera Presets.

Create Live Video

SIMULATIONiQTM Enterprise Video provides the user with a live room view, along with the capability to record

and bookmark video from an SP or simulation session. Select a camera and then use the camera controls to

pan/tilt/zoom the camera view as well as use the customized camera Presets defined in the AV Control

application. Bookmarks can also be grouped in accordance with core study areas for the learner such as

patient history, CPR, and areas for review.

The landing page appears as follows (for Access Security enabled, by Organization Unit in the screen shot

below):

Click a grid hyperlink to access the activity page for your live view.

Note: Access to Live video is available by permission – consult your local administrator.

Note: If Security Access is enabled and a user does not have access to a view based on Room/Organization

Within the web video application, click the link to the predefined camera selection(s) you wish to control for live viewing (as shown above).

Use Camera Controls

1. Use the following camera preset positions (from ). Use the Pan, Tilt and Zoom In/Out controls for camera placement. A maximum of four presets are allowed for each camera.

Press to restore the original screen settings; press to transmit video through a receiver (you can also specify the length of time you wish to display the live view and minimize or maximize the view).

Create or Search for Bookmarks During Video

Bookmarks are notations within a recorded video that can be labeled and assigned for easy location and

viewing at a later time. They allow instructors to quickly move to particular video segments. Standardized

bookmarks allow researchers to search and sort over time, analyze trends, and maximize learning objectives.

The Web AV application provides the ability for staff or faculty members to search for bookmarks assigned to a

video to evaluate learner performance.

Bookmarks must also be a member of a bookmark group in order for them to be available to be added during

video play. For that reason, it is recommended that you create your Bookmark Group first and then add your

new bookmark to that group (see Adding a Bookmark Group for more information).

The following describes bookmark functionality within the Web AV application:

1. To create a bookmark while the recording is taking place, click (or link to any pre-defined

bookmark group contained in the section).

2. Create the bookmark name, add comments, set the permission to view the bookmark to Public or Private,

and then click. .

3. Click to find live bookmarks while recording.

Note: Web AV highlights a video for bookmarking five seconds before the point in the video where the

bookmark is designated.

Adding Predefined Bookmark Detail

Name: Enter the name of the bookmark.

Image: Select an image to associate with the bookmark.

Description: Provide information on the bookmark (e.g., to be associated with video showing proper

operation of a blood pressure cuff and monitor).

Bookmark Group: Select a bookmark group to associate with this bookmark. Click Show All to view

all bookmark groups or Add New to add a bookmark group (see the Adding a Bookmark Group topic

for more information). You can also search for bookmark groups within the grid by Name or Description.

Comments: Select a comment to associate with this bookmark (e.g., whether or not the blood pressure

cuff was applied and pressure taken appropriately or inappropriately). Search for comments within the

grid or click Add New to add an additional comment to the predefined bookmark.

Press from the Predefined Bookmark Detail dialog to retain your information.

Note: Bookmarks can be added for both live and recorded video.

Adding a Bookmark Group

Bookmarks must be a member of a bookmark group in order for them to be available to be added during video

play.

To add a new bookmark group, click from the Bookmark Group landing page; the following dialog

appears:

Enter the name of the bookmark group and press Save Changes to retain the bookmark group type. You can

also enter a description of the bookmark group and associate it with a new or predefined bookmark. Check the

Is Default checkbox to link bookmark types to this group (you can also change the status from Active to

Retired for existing bookmark groups).

description of the bookmark and associate it with a bookmark group (you can also add a new bookmark group

related to this bookmark, associate them here or enter a new comment to associate with this type.

Searching for Video including Bookmarks

Click the Bookmarks link to see predefined categories of bookmarks or bookmark groups.

You can also search for pre-recorded bookmarks from the Explore tab as shown above (the category of

bookmark appears in the left column while the actual bookmarks for those categories appear in the grid).

Creating a Video Playlist (Activity Page)

SIMULATIONiQ Enterprise provides the functionality to customize room video playlists, combining camera

recordings with downloaded video to associate with SP cases and Scenarios. Review of customized video can

enhance evaluation of learner interactions and improve patient outcomes in clinical settings.

The Clip Life Cycle column displays video status: Recorded, Downloaded and Converted.

The Download column displays whther the whether the video is available for download in the Download

Uploading a Video

Click to add a video to the play list. The following dialog appears:

Name – Enter the name of the video.

File Location – Select a file location for the video.

Date Time – Select a date from the calendar icon; enter a time and select AM or PM to designate when the uploaded clip is to appear on the play list.

Duration – Enter the clip duration.

Video – Press Browse to locate the clip and then press Upload to add it to the play list.

Download and Burn a Video to a DVD (where available)

Creating a Video Playlist (Explore Tab)

Videos recorded in one or more Rooms, Cases/Scenarios or Sessions can be added to a playlist. For example,

a playlist of recordings can be created for a patient treated in a trauma center, then transported to an

observation area, and then transported to another room to receive care, assuming that each area is configured

to record treatment activity.

Click the Playback hyperlink on the Explore tab to view the following:

From here, you can print a listing of playlists, delete a playlist, or change the playlist status from Active to

Retired.

Use the Order drop-down arrows to change the order of the videos on your playlist; click Show Details to

access the activity page for the selected video. After viewing the activity page, click the Video “bread crumb”

link in the upper left corner to return to the Video Web landing page.

Once a video is added to the grid, click the Date link (highlighted above) to preview the video.

User Access

The Access section of the Playlist activity page appears as follows:

Click the checkbox next to the name of the user who will be granted access to the playlist. To assign an

evaluator, click the Assign Evaluator button.

After populating the User Access grid, enter information at the Search text field (including the name of the

Learner, SP or Educator or User Types) or enter Keywords to narrow your search for users listed in the grid.

Organization Unit Access

Set up playlist View and Download privileges for your Organization Unit within Active From and Expire On

date ranges.

Press Save Changes at the User Access and Organizational Access dialog sections to save all playlist data.

Note: A facility and its divisions are known as the Organization Structure. Divisions can be made within this

hierarchical structure. These divisions are referred to as units. SIMULATIONiQ Enterprise contains one parent

Search for an Existing Playlist

To search for a playlist, navigate to the Playlist selection on the Explore tab. Click the selection to view the

search grid on the landing page as shown:

Search for existing playlists by entering information at the Search text field. Select any of the grid column

headings from the drop-down list or select an individual column heading to narrow your selection.

A playlist can be accessed from the dashboard by a user (under My Items) if that individual has been granted

view or download access for a fixed duration at the Access section of the Playlist activity page.

After creating a playlist, it can be viewed within AV Viewer. For more information, please consult your

SIMULATIONiQ Enterprise AV Control/Viewer/SIM Client documentation.

Video Wall

Video Wall enables you to configure and display live camera views in a single screen (in a separate tab in your

browser) with customizable views and audio, pan-tilt zoom camera controls and camera view presets.

IMPORTANT! Video Wall can only be displayed in Internet Explorer 9 or higher.

Step 1: To create a Video Wall display:

1. Click Video > Video Wall > Add New.

To send the camera views to an external display:

1. Click Create Web Link. The Generate Link screen appears.
