AMU Roles

Enter your DEC log-in
and password Roles allocated within AMU can provide access rights for school staff to
use functionality within ebs.
AMU roles may not align to existing positions/persons within schools.
For example, an Attendance Manager role does not exist in schools,
however ebs Attendance Manager access rights can be assigned to a
number of individuals in AMU.
Certain fields, icons and tabs visible in this training may differ depending
on user access permissions.
AMU allows authorised users to give or revoke access rights for school
staff.
AMU roles allocate rights within an application.

The Student Management Release is designed to integrate, standardise and improve the
management of student information in schools. The Release is made up of four key
applications including: ebs: central, ebs: ontrack+, SchoolEdge and the Reporting
Cradle.
The system will have a real time flow of information with ERN to ensure all student
details are up to date at all times.

When edits or changes have
been made, the Save button
will be active.
Note: You can add the Save button to the quick access toolbar by right-clicking
on the ebs icon.
The ebs button is a large icon on the top left side of the ebs home screen.
From here, you can:
access common actions such as Open, Save, and Print
move backwards or forwards through recently viewed screens
find a list of recently viewed information
access controls for setting program options
save changes.

Note: All tabs MUST be closed to complete this process.The first time a staff member logs in, they will log into their default school.
If a staff member works across multiple schools they can use the Switch Context
functionality - i.e. view another school’s ebs data that they have been provisioned for.

The Actions screen displays a log of actions that have been assigned to you. Actions
can be defined by users or can be system generated as a result of a transaction. For
example if a student’s status is changed in ERN to Left, an action to, finalise the
student's enrolment, within ebs will be displayed.

You can open a student’s details by double-clicking their name after searching for them.
This will open four tabs next to the Home tab: Student, Enrolments, Documents &
Communications and Student Attendance.

navigating through ebs: central.

Function Tip
Change columns that are viewed. Left click and drag columns.
Modify Quick Access Toolbar. Adjust grid view by right-clicking the column headers. Hide
or show different information as needed. The view is saved
for the next time you visit the system.
Open a record. Double click the record or highlight it, then press the [Enter]
key.
Move between fields. Use the mouse or the [Tab] key.
Open Student Record Use [F9] to open a student record if only one is returned in a
student search.

The Student tab holds most of the core information about a student. The sub-tabs sort
the student information into logical groups, for example, Medical, Finance, and LBOTE.
This module will explain the features of each of these sub-tabs.

Within specific screens, notes are visible. For example, the notes functionality exists on
the Student Details tab as well as the Level systems (behaviour) tab.
If you want to create a pop-up note, you must write the message you want to pop-up
between two exclamation marks: !Please send correspondence to both of the parents!
You can create ‘pop-up’ notes which will appear on a student’s record within ebs: central.
Enter the details of the note that you want to pop-up within
the notes box. Once this note has been created it will
appear when other users navigate to this specific screen.
When you see this image, a note can be created. You can
select the green plus sign to create a new note.

Once a pop-up note has been created on a specific screen, every time a user
navigates to that specific screen a pop-up message will appear. See image below for an example of a pop-up message created

Note: As with individual photos, a bulk upload of student photographs will
update all students photographs in both ebs: ontrack + and Student
Wellbeing.
As well as linking a photo to a student in ebs, you are also able to upload a large number of photos via bulk upload. This is done using the following steps
1) The institution settings need to be changed to
read the Student Registration Numbers (SRN)
attached to the photo files. This is done by clicking
on Institution Settings in the top ribbon.

Conduct a student search using relevant fields in the Student Search
screen, for example, Family Name or Student Reg Number (SRN).
Students matching the search criteria will be displayed in the results
window.

Alternatively, a student search can be conducted by clicking on the
Student Search icon in the Students module of the Start ribbon.
Highlight the required student record from the results panel on the right
hand side. This will enable the View Enrolments option on the top left

Bulk Operations tab (Slide 1 of 6)
The Bulk Operations screens are accessed via the Bulk Operations icon from the
Start ribbon.
The Bulk Operations screens are used to search and perform ebs functions in
bulk.
This includes, but is not limited to:
performing student bulk enrolments, block progressions and roll-forward
recording behaviour incidents and awards for a group of students
viewing fees and payment details for UIO enrolments
reapplying waivers in bulk
exporting ebs information to CSV.

Bulk searches are conducted using the Condition Builder. Add one or more search
criteria to define the search. All search results matching this search criteria will be
displayed in the grid below.
Step 1. Select a ‘condition’
from the drop-down function. In
this example, UI Code is
selected. Note: multiple
conditions can be added before
searching.
Step 2. Once a ‘condition’ has
been entered, the required
criteria can be selected. In this
example Year_11.
HINT: To display a list of all ‘active’ students in a UIO use the following search criteria:
• UI Code
• Cal Occ Code = Current Year
• Progress Code = Active.
Step 3. Once all the required ‘conditions’ have
been added, Click Search. All search results
matching this criteria will be displayed.

The Communications Log contains all communication that is sent to the relevant
contact for a student. This includes emails and correspondences that are generated
for a student. The Communications Log tab
shows a list of all communications.

The visibility of correspondence can be managed for a student on the Communications
Log tab in the Documents & Communications screen. This may be used to hide
correspondence that was incorrectly sent out or generated so it is not displayed where
communications are visible in ebs: central and ebs: ontrack +.
The Manage Visibility check box is located on the Communications Log screen, from
which the visibility of all correspondence for a student can be managed. This check box
is not selected by default, selecting the Manage Visibility check box displays:
• all correspondence for the student (that is: hidden and non-hidden)
• the Hide column in the first column in the grid
• the Hide Reason column in the second column in the grid

To ‘hide’ a correspondence item from displaying:
1. Select the check box in the Hide column for the relevant correspondence to indicate
the correspondence should no longer be displayed.
2. Enter a reason in the Hide Reason column.
3. Click Save
Note: Correspondence items can be made visible again by deselecting the check box in the
Hide column, which will automatically clear the Hide Reason column, and then save the
changes.
