The FDCC’s capstone events of the year, the Winter and Annual meetings, gather at least 250 domestic and international members plus their families to each of these multiple-day programs. Platinum sponsors will receive the benefit of exclusivity – we will not allow a competitor to market in your selected category at the event. The CCS is a two-day conference for In-house and Outside Counsel providing value-added services to their clients. The CCS is celebrated as the preeminent conference for corporate counsel and outside defense counsel in the United States but has also included attendees from Europe and Asia. FDCC outside counsel members are encouraged to attend and invite their corporate counsel clients who are responsible for law department or litigation management, as well as executives involved in compliance, risk management, document management, and human resources.

Attendance in 2019 at this event was 186. We anticipate larger numbers in 2020. The program begins Sunday afternoon and concludes at noon on Tuesday.

Regional Programs will be hosted by members at their law firms. In 2019, a successful regional conference drew over 70 attendees in Chicago. Others are also contemplated across the country. The half-day program provides free continuing legal education (as all other events do as well) and are focused on corporate counsel and defense counsel members. Panels develop hour-long presentations on a variety of topic areas most relevant to those attendees in the region.

1. Indemnity & Limitation of LiabilityNeither the FDCC nor the host Hotel/convention facility (hereinafter also referred to as the “Exhibit Building”), nor any of their respective officers, agents, employees or other representatives shall be held liable for and are hereby forever released from liability for any damage, loss, harm or injury to the person or property of the Exhibitor or any of its visitors, officers, agents, employees or other representatives, resulting from theft, fire, water or accident or any other cause. The Exhibitor shall indemnify, defend and protect the FDCC and the Exhibit Building and save FDCC and the Exhibit Building harmless from any and all claims, demands, suits, liability, damages, losses, costs, attorney’s fees and expenses of any kind which might result from or arise in any action or failure to act on the part of the Exhibitor or its officers, agents, employees or other representatives. It is the responsibility of the Exhibitor to maintain proper insurance coverage for its property and liability.

2. Assignment of Exhibit SpaceFDCC shall assign the Exhibit Space to the Exhibitor for the period of time of the Exhibit (provided the Exhibit Building is made available to FDCC) in priority order based on sponsorship level and then based upon receipt of the fully completed contract including payment. Such assignment is made for the period of each Exhibit only and does not imply that the same or similar space will be held or offered for future exhibits. Every effort will be made to respect the Exhibitor’s space choices whenever possible, but FDCC’s decision will be final. The Federation reserves the right to transfer assignments when such action is deemed to be in the best interest of the total exhibition and event. FDCC further reserves the right to withdraw its acceptance of this Application/Contract if it determines in its sole discretion that the Exhibitor is not eligible to participate or the Exhibitor’s product or services are not eligible to be displayed in this Exhibit.

3. Use of Exhibit SpaceAn Exhibitor shall not assign to a third-party its right hereunder to the Exhibit Space or any portion thereof without the prior written consent of the FDCC, which may withhold it at its sole discretion. If such consent is given, the Exhibitor shall assume full responsibility for the conduct of the assignee and all its representatives; and the Exhibitor shall not charge its assignee in a more than the proportionate share of the exhibit fee based upon the amount of Exhibit Space assigned.

4. Displays & DecorationsMerchandise, signs, decorations or display fixtures shall not be pasted, taped, nailed or tacked to walls in the Exhibit Space. No exhibit, merchandise or equipment shall be left in any aisle, but shall be confined to the Exhibit Space that has been assigned to the Exhibitor. No signs or advertising devices shall be displayed outside the Exhibit Space or projecting beyond the site line limits of the Exhibit Space so as to interfere with any neighboring Exhibit.

5. Observance of LawsThe Exhibitor shall abide by and observe all laws, rules, regulations and ordinances of any applicable governmental authority and all rules of the Exhibit Building.

6. Exhibitor ConductThe prior written consent of the FDCC is required for the employment or use of any live model, demonstrator, solicitor or device for the reproduction of sound. Such employment or use shall be confined to the Exhibit Space. The FDCC, in its sole and absolute discretion, may withdraw its consent at any time, in which event the Exhibitor shall terminate such activity immediately. Exhibitors are prohibited from bringing alcoholic beverages into the Exhibit Area, without the prior written consent of the FDCC. The Exhibitor shall refrain from any action that will distract attendees from attendance at the exhibit area during open hours. The Exhibitor shall not lead attendees from one Exhibit Space to another or to elevators or escalators. Exhibitors or any of its representatives shall not conduct themselves in a manner offensive to the standards of decency, integrity or good taste.

7. PhotographsNo photographs or recordings shall be taken in any educational sessions by the Exhibitor without the prior written consent of the FDCC.

8. Agreement to Terms, Conditions and RulesThe Exhibitor agrees to observe and abide by the foregoing Terms, Conditions and Rules and by such additional Terms, Conditions and Rules made by the FDCC from time to time for the efficient and/or safe operation of the Exhibit area including, but not limited to, those contained within this contract. In addition to the FDCC’s right to close an exhibit and withdraw its acceptance of this Application/Contract, the FDCC in its sole judgment may refuse to consider for participation in future Exhibits an Exhibitor who has violated or failed to abide by all such Terms, Conditions and Rules. There is no other agreement or warranty between the Exhibitor and FDCC except as set forth within this document. The rights of the FDCC under this contract shall not be deemed waived except as specifically stated in writing and signed by an authorized representative of the FDCC.

Audience DemographicsAttendees at FDCC meetings include law firm partners, managing partners, associates on the rise of their careers, all of whom are decision makers and engaged in the defense, coverage or regulatory engagements on behalf of their clients; Corporate Counsel, and industry representatives responsible for assigning work on behalf of their corporate entity or insurance company to defense, coverage or regulatory counsel. The Winter and Annual Meetings of the Federation typically attract more than 250 members, not including spouses and other family members. Other meetings typically attract between 50 and 225 members. Sponsors will have access to all meeting attendees and members based upon their selected sponsorship category.

Exhibit ScheduleGenerally speaking, set up for all exhibits will take place on the day prior to or the morning of the first day of the program. Move out is after the last meal, function break or closing of the exhibit space for that particular event.

Booth DescriptionEach standard space includes a table, 2 chairs, one basic electrical power supply and full meeting registration for up to 2 exhibit staff (see meeting description information herein for additional details). The FDCC cannot guarantee that the Exhibit Space will be locked at night or during breaks. Please confirm with FDCC staff prior to making arrangements.

Register Now!Given the limited amount of available booths, acceptance of contracts will be on a first-come, first-served basis. All registrations received prior to the production of the program materials will be included in the program book provided to all attendees for each event.

MarketingExhibitors will receive a list of attendee contact information. The FDCC expects and will appreciate the professional decorum of all Exhibitors and the protection of any contact information provided.

Exclusivity PolicyExclusivity is only available at the Winter and Annual Meetings and only for Table Sponsors and Platinum Sponsors. There is no exclusivity available to Sponsors at any other FDCC meeting or seminar. Exclusivity is limited to a Table Sponsor’s or Platinum Sponsor’s category approved by the FDCC. Exclusivity precludes another Sponsor from marketing in that same category at the given Winter or Annual meeting. It does not preclude a competitor from sponsoring at one of those meetings in a different category. No Sponsor may market at the Winter or Annual meeting in a category other than the approved category for which they are registered with FDCC as a sponsor.

Sponsorship We welcome the opportunity to create additional opportunities for you and your company to become engaged with and to find ways to expand your exposure to FDCC members and attendees. Please do not feel limited by any of the opportunities set forth herein. In the event you should have any additional ideas for sponsorships, we would be delighted to discuss them with you and work out a suitable arrangement mutually beneficial to you and the FDCC.

Housing InformationThe FDCC will secure a limited number of standard rooms at a special group rate plus applicable state and local taxes. You will be responsible for booking your own hotel rooms. These rates will be available for a limited time after registration for an event has opened. For more information, please visit the FDCC website at www.thefederation.org for the most up-to-date information.

Shipping InformationAll boxes shipped to the event hotel must display a label stating the name of the recipient, date of the recipient’s arrival at the hotel, and the address and telephone number of the destination hotel. Any fees for packages and storage by the Sponsors are the responsibility of the Sponsor/shipper. The FDCC can assume and does not accept any responsibility for items that are lost in shipment or those improperly addressed.

Damage & Loss of PropertyThe Company listed on this agreement agrees to be responsible for and to reimburse the host hotel for any damage done to the hotel property by said company, their employees or contractors. The host hotel does not accept responsibility for damage or loss of any merchandise or articles left in the hotel prior to, during, or following any company functions. The FDCC cannot guarantee that the Exhibitor Space will be locked at night or during breaks. Please confirm with FDCC staff prior to making any arrangements and for additional information.

CancellationThis Exhibit Agreement may be canceled up to 4 weeks before the commencement of the event date. A 50% refund will be granted. Contracts canceled within 4 weeks of the event will be charged the full exhibit fee.
