Team Manager Guidelines

Thank you for volunteering to help! Here are some basics about what you’ve gotten yourself into. Each team will have a Team Manager. Managers help keep the team organized and be a liasion for the coach, team parents, and the Headwaters Lacrosse Board of Directors. Communication regarding practice changes, game time/location, tournament schedules, travel arrangements, carpooling, hotel accommodations, optional team meals, and other organizational information will be distributed by the Team Managers to parents. As a team manager, you’ll need to touch base with your head and assistant coaches to exchange contact information, confirm practice location and times, and expectations for what you can do to help. Determine the best communication method for you and your coach (for example, email/ phone vs in-person at practice).

A first priority is to collaborate with the head coach about an introductory email to team parents/players. Each coach has their own preferences about which emails they prefer to send. Familiarize yourself with the administrator login on the Bozeman Lacrosse website and SportsEngine app for those communications that your coach would like you to send.

When you’re talking with parents, strongly encourage parents to participate in the SportsEngine app at every opportunity. The app can be used for schedule updates, tracking player attendance, maps to game locations, and sharing photos/videos. It’s the fastest way to communicate last minute changes to the entire team. It works best if everyone uses it.

Pizza parties, team dinners, community service events, etc. are encouraged as part of the lacrosse tradition of creating a community “off the field.” Talk to the head coach and parents about organizing ideas and details.

Fundraising is a relatively new, but crucial, part of our organization. Team managers will be the point person for organizing the fundraising efforts for the season. For example, when we do the beef jerky campaign, each manager will be charged with tracking orders, collecting money and order forms, as well as distributing jerky and prizes at the end of the fundraiser.

In addition to the Sports Engine app features, parents may want a hard copy of the team roster (sorted by uniform number) and a paper copy contact list with phone numbers and emails. If age appropriate, ask the coach if they’d like you to coordinate snacks after games. After the season, an “End of Season” party is always fun. Talk to the coach about what expectations they have. Signup Genius is a great way to organize the volunteers for dates and times. If you’re looking for ideas, please talk with the coaches or experienced team managers.
