1 Squirrel Reports

The Squirrel POS system offers a selection of Sales and Productivity reports to help you keep track of your business costs and revenue. System Setup reports outline configuration information such as Employee and Menu Entry lists. Custom Reports, created by our Consulting Services professionals, are specialized reports that were written for a specific purpose but can be beneficial to everyone.

TO ACCESS SQUIRREL REPORTS:

1. Open the Squirrel Browser.

2. Select Reports

3. Select a Report Heading from the left hand column to view its reports

4. Select a report

Click the Report Descriptions button to see a description of each report (this button is a toggle that turns the descriptions on and off)

1.1 Report Conventions

There are several report conventions common to most Squirrel reports.

Date Ranges: when you enter a Start Date the End Date will automatically match. If you would like to see a range of dates enter the End Date manually.

To use the Squirrel Calendar click on the blue Squirrel icon. Select the date and click OK or click the Go to Custom Dates button – select the Custom Date and click OK.

Gross vs Net Reports: in Squirrel reports Net refers to the exclusion of Promos and QSAs – it does not refer to Tax. Gross reports include Promo and QSA detail.

All reports are displayed on the screen and can be printed and/or exported.

The Print icon allows you to enter printing parameters.

The Export icon offers a selection of Formats including PDF, Excel and comma-separated values as well as various Destinations.

Click the Explorer Window Icon to exit a report

2 Daily Reports

Daily Reports is the default screen for the Reports page of the browser. The Daily Reports page is a collection of the most commonly accessed reports from the other report pages. All of the Daily Reports are also included in Cashout & Revenue, Sales Reports or Online Reports. Please refer to those sections for details regarding these reports.

3 Cashout and Revenue Reports

TO ACCESS CASHOUT AND REVENUE REPORTS:

1. Open the Squirrel Browser.

2. Select Reports

3. In the Reports window, select Cashout and Revenue Reports.

3.1 Check Reports

3.1.1 Checks The Checks report contains complete, detailed check information available for original or adjusted checks.

1. Select Checks from the Cashout and Revenue Reports screen. The Parameters – Checks Report box displays.

2. Select the following parameters:

Check # (0=All)

Cashout Reference Number (0=All)

Table Number/Name (0=All)

Member Number (0=All)

Start Time

End Time

Adjusted shows checks before any adjustments (unchecked) or in their adjusted state (checked)

3. Click OK to display the report.

The report displays the checks in their original form if the Adjusted flag is unselected (N).

The report displays the checks after adjustments if the Adjusted flag is selected (Y).

The Check Header section contains the parameter information:

The report includes:

Seat: the number of the seat the menu entry was ordered on

Description: the name of the menu entry or payment/tax

Factor: the quantity of the menu entry ordered; or, if in a payment line, the amount of the tip

Amount: the price of the menu entry or the amount of the tax or payment

Department: the POS department the menu entry was ordered in

Special Price: N=regular price; Y=Special Price

Extra Tax: N=no Extra tax; Y=Extra Tax is applied

Promo Description: the name of the promo or QSA applied to the menu entry

Discount By: the name of the employee that applied the promo/QSA

NOTE: credit card number, authorization number and expiry date is displayed in the Promo Description/Discount By columns for credit card payments

3.1.2 Check Activity Report The Check Activity Report is new to V6.0. It provides slightly different detail to the Check Report i.e. payment time and number of duplicates of the check. TO ACCESS THE CHECK ACTIVITY REPORT:

1. Select Check Activity Report from the Cashout and Revenue Reports screen. The Parameters – Check Activity Report box displays.

2. Select the following parameters:

Check # - enter a check number or enter 0 to see all checks

Server

Start Date

End Date

3. Click OK to display the report.

The report displays one check at a time. Item details is listed first followed by payment detail.

Each check has separate check header information.

The report includes:

Item: the name of the menu entry or payment/tax

Qty: the quantity of the menu entry ordered; or, if in a payment line, the amount of the tip

Price: the price of the menu entry or the amount of the tax or payment

Total: the total amount of the menu entry sold (item x quantity)

Department: the POS department the menu entry was ordered in

Sale Time: the time the menu entry or payment was entered at POS

Server: the name of the employee who entered the menu entry or payment

Manager: the name of the manager if the menu entry was promo’d or QSA’d

Promo: the name of the the promo that was applied to the menu entry

QSA: the name of the the QSA that was applied to the menu entry

NOTE: this report also indicates how many duplicates of this check were printed.

3.1.3 Check Adjustments The Check Adjustments report includes detailed or summarized information regarding adjustments made to checks.

TO ACCESS THE CHECKS ADJUSTMENT REPORT:

1. Select Checks from the Cashout and Revenue Reports screen. The Parameters – Check Adjustment Report box displays.

2. Select the following parameters:

Start Date

End Date

Department

Show: this parameter offers Detailed, Summary, or Audit Trail

Cashout Reference #: type a specific number or leave at 0 to see all Cashouts

Check Last Status: select Adjusted to see checks that were adjusted in the back office or at POS; Reopened to see checks that were Reopened at POS after they had been settled; or Both to see both Adjusted and Reopened checks.

Cashout #: the number of the cashout to which the adjustment occured

Check: the number of the check where the adjustment occured

+/-: indicates whether an addition or subtraction was made on the check

Seat: the number of the seat that was adjusted

Description: the menu entry that was adjusted

Qty: the number of adjusted items

AMT: the price of the adjusted entry

Dept: the POS department the menu entry was ordered in

Ex Tax: whether Extra Tax was applied to the menu entry or not

Promo Name: the name of the promo applied (or QSA)

Promo Employee: the name of the person who applied the promo

Tax: the amount of tax applied to the menu entry

Payment: the name of the payment

AMT: the amount of the payment

3.1.4 Duplicate Checks The Duplicate Checks report includes a detailed or summarized list of checks printed more than once (with no adjustments)

1. Select Duplicate Checks from the Cashout and Revenue Reports screen. The Parameters – Duplicate Check Report box displays.

Employee Name: the name of the employee applied to the check

Employee #: the number of the employee

Check #: the number of the check that was printed more than once

Amount: the amount of the check when it was printed

Open Date: the date the check was printed

Time: the time the check was printed

Duplicate Date: the date the check was printed again

Time: the time when the check was printed again

Elapsed: the amount of time between the first time the check was printed and the time of the duplicate check

3.2 Credit Card Reports

3.2.1 Credit Card Detail Report The Credit Card Detail report displays credit card information summarized by card showing posting status.

1. Select Credit Card Detail from the Cashout and Revenue Reports screen. The Parameters – Credit Card Detail Report box displays.

Payment: the name of the credit card

Credit Card #: the credit card number (only the last 4 numbers display if encrypted)

Exp Date: the expiry date of the credit card

Auth Amount: the amount that was authorized

Tender: the amount of the check

Tip: the amount of the tip that was entered

Grand Total: the total of the tender and tip

Auth Code: the authorization code provided by the processor

Check #: the number of the check the payment was applied to

3.3 Employee Reports

3.3.1 Cashouts Cashouts is an employee end-of-shift sales and payment report that is used to balance the monies received from employees. It is often used to prepare the daily bank deposit.

NOTE: if Cashiers in a Cashier System enter and settle their own orders, as well as settle checks for other employees, then their tip amounts will reflect both their tips and those of the other employees. To see tips for the Cashier only, you must use the Employee Tip Distribution Report.

TO ACCESS THE CASHOUTS REPORT:

1. Select Cashouts from the Cashout and Revenue Reports screen. The Parameters – Cashout Report box displays.

Cashout Ref # - Every time an employee cashes out at POS that cashout is given a Cashout Reference #. This report lists the Cashouts in order of these numbers.

Employee Name and Number – this report uses the Employee Name and Employee number – NOT the badge name and number

Payment Info – includes the Type (Payment name) and Qty (the number of times the payment was used)

Payments includes three columns:

o Computer: the payments recorded at POS

o Variance: the difference between the Actual and Computer columns

o Actual: the payments entered in the Adjust Cashout screen in Transactions on the Squirrel Browser

Less Tips includes two columns:

o Computer: the amount of Cash when the Tips are subtracted – these figures are

taken directly from POS before any adjustments are made

o Actual: is the amount of Cash when the Tips are subtracted – after adjustments

are made in the Adjust Cashout screen in Transactions on the Squirrel Browser

3.3.2 Employee Contest Comparison The Employee Contest Comparison report offers a one day or whole week look at employee contest totals – also available by Time Period.

Charged tips (tips entered at the Payment screen at POS) can be dispersed among employees i.e. if more than one employee worked on a large table the employee that settles the check is attributed with the tip. For tax purposes, that tip should be

Actual: the combined amount of charged tips and tips from service charges each employee has after any necessary tip distribution.

Totals:

The Total listed under Retained refers to the combined total of all employees’ charged tips and tips from service charges.

The Total listed under Distributed refers to the combined total of all employees’ charged tips and tips from service charges that were handed in to a department.

The Total listed under Actual refers to the combined total of all employees charged tips and tips from service charges after any necessary tip distribution.

NOTE: ‘Charged tips’ are any tips entered at POS for payment types with a Prompt for Tip at Settlement, for example: credit card, account and room payment types.

3.4 Payment and Management Reports

3.4.1 Cashout Adjustments The Cashout Adjustment report reflects the activity performed in the Adjust Cashout screen.

Cashout Ref(erence) #: Every time an employee cashes out at POS that cashout is given a Cashout Reference #. This is the main sorting criteria of this report.

Employee Name and Number: this report displays the Employee Name rather than the Badge Name as well as the Employee Number.

Payment Information includes 4 columns:

Acct #: the GL Account number for Account, Room or City payments

Description: payment Name

Sub: the GL Sub Account number

Adjusted Amt: the amount by which the payment was changed

The report lists the adjustments by cashout and then totals all of the adjustments. A Summary of Adjustments that includes just the payment and Adjusted Amount appears at the end of the report.

3.4.2 Payment Cash Back The Payment Cash Back report displays the checks that were over tendered with Cash given back as a result. This may simply be change due, or it could be as a result of a void or promo on a check that was settled by mistake.

3.5 Transaction Reports

3.5.1 Daily Sales Report The Daily Sales Report (DSR) is an all-in-one report that includes everything: sales, payments, taxes and discounts. The first page is a snapshot of everything. The subsequent pages offer detailed promo and void information.

TO ACCESS THE DAILY SALES REPORT:

The sections of the Daily Sales report are as follows:

The top section is the Revenue section showing the Total Sales breakdown on the left, Voids and Declared Tips information in the middle and Tax information on the left.

The next section (in bold) is a Departmental breakdown showing Gross Sales, Guests (Covers), Average by Guest, Checks (# of), and Average Check; each of these columns is followed by a % of Total column for each department. The last two columns are Average (Sales) by Table followed by the Turn Time (average) for table in each department.

The next section includes 3 boxes for Categories, Promos and Payments.

The Categories lists the Global sales categories with the QTY of items sold, the total sales and the % of the total sales.

The Promo box lists the Promos, the QTY of each promo and its Total sales.

The Payments box lists the Payments, the QTY of each, Tip Amt, Total, and a Less Cash (Paid Tip) column to deduct tips from Cash followed by a Net column for Cash.

The last section is for sites using Squirrel’s Labor program. Labor Categories are listed with columns for Regular Hours, and OT (Overtime) Hours, followed by Total Hours and then Regular Total, OT Total and Total. The last column displays the Labor Cost (%Labor/Sales) for each Labor Category. All of the columns present Totals at the bottom.

The next page(s) of the report outline Detailed Promo information broken down by Department, Time Period and Employee. The Promos are totaled by Employee and then by Time Period and finally by Department.

Totals are by Check and then by Employee and then by Manager with a Day Total at the end (and a Grand Total if the report was run for a date range).

3.5.2 Reconciliation The Reconciliation report is a Cashout report for sites using Rollover (it combines cashouts that span the rollover). In a 24-hour operation, the cash out received by an employee that has worked through the rollover time reflects the total sales generated on their shift, not just sales generated since the rollover. Instead of having 2 cashouts they will only have 1 cashout which can be adjusted as a whole but in day 2 only. This affects the totals on the Adjust Cashout screen. This feature was designed to help a bookkeeper more easily reconcile the cash bags when they are handed in. The flag Combine Rollover Cashouts in Advanced Setup>Cashout & Tips Setup must be selected.

NOTE: if an employee does a Reconciliation Cashout at the terminal, then it can only balance to the Reconciliation Cashout report in the back of house.

NOTE: the back of house Reconciliation report does not balance to any other cashout and revenue report.

TO ACCESS THE RECONCILIATION REPORT:

Categories – the total sales for each of the Major Sales categories. Note: there are two lines in the report for category sales.

Tax/Sc – total tax is listed for each check is listed followed on the line below by the Service Charge

Payment – the payment name(s) that the check was settled to

Each Cashout receives a total of all of the columns. In addition, the last two lines of totals are Per Cover (with the number of covers for that cashout indicated in brackets [ ]. This provides an Average Check for each category.

NOTE: There are limitations to the Snap PnL report with regards to Super Global categories. The Snap PnL report is designed to work with 3 Super Global categories (one of which is Misc). The report has parameters for 2 Super Global categories and has a line for Misc cost. The Revenue for all Super Global categories will be reported but if there are more than 2 (non-misc) super global categories there will be no place to enter the cost % for those categories in the Expense section of the report. Thus the Total Expense line will not be accurate nor will the final Net Profit/Loss. The recommended Super Global categories are Food, Bar, Misc.

Online reports are back office versions of reports available at the POS terminal. TO ACCESS ONLINE REPORTS:

5.1 Employee Contests

The Employee Contest report is a real-time report that can be used to reward employees for reaching sales or suggestive selling goals. The Employee Contests Report always displays the total number of Covers served, the Sales Total for all menu entries and the Volume Total for all menu entries. The Contest Total and the individual Contest columns are displayed according to a ratio of the selected numerator and denominator.

OSI: the number of times the drawer opened from the OSI department

Total: the total number of times the drawer opened per employee

5.10.2 Use Tax Report Use tax is a tax that is calculated on the cost of promo’d product and paid by the establishment. This tax is used to recoup some of the tax value that is lost by the product that is given away and is primarily a Nevada state tax, although there is some interest from other states.

Additionally, the tax value is not charged on the selling price of the product, but on the cost of the product (entered as the Recipe Cost in Menu Entry Setup). So when something is promo’d 100%, the check is settled with a zero value at POS. On the backend, the system calculates the total value of product that was promo’d to 100%, looks at the cost of the product then applies the Use tax to that value. The property is then responsible to pay that value to the state government. As the promo potentially applies to both food and beverage, which have different cost values, cost percentage fields are entered by Global Sales Category in the Use Tax Setup screen in order to accurately calculate the tax. The Use Tax Report uses these values to define the Use Tax to be paid. Each promo has an ‘Apply Use Tax’ field in indicate whether Use Tax should be applied to menu entries that it promos.

The tax value shows nowhere at point of sale; it is only displayed on the Use Tax report.

Time Period/Sales Category: The report is broken down by Sales category for each time period (if selected) with a Total for each category and a grand Total at the bottom of the report.

8.6 Popup Groups

The Popup Groups Report is broken down into two sections. The first section of the report lists the popup screens that are assigned to each popup group as well as the number of choices that must be made in each screen and whether the screen is inhibited for Bartenders. It also lists, at the end of this section, Non – Associated Popup Windows: the popup screens that have been created in Point of Sale Screen Setup but that are not assigned to a Popup Group. The second section of the report lists all of the popup groups and the items, modifiers or addons to which they are attached. Use the Popup Groups report to verify that all of the popup groups are attached to the proper menu entries and to ensure that there are no unassigned groups.

Turned: the Average time each table sat between the time it was settled and the time it was next Seated or Busy

11 Tips Reports

Tips reports are based on tips entered on checks during payment, automatic service charges (that are included in tips) and those (Cash tips) declared at POS; if the new Tip Out button is used at POS, tips shared between employees are also accounted for.

Indirect Tips: Indirect tips are from employee to employee (ie server to busperson) – this number is entered manually in the parameters box. NOTE: this is for use with the TIPS button; it is not used with the TIPOUT button.

Tip Percentage: is the percentage of the gross receipts the government requires employees to report as tip income.

Non-Charge Sale: the amount of sales that do not allow tips to be entered

Cash Tips: tip declaration amount minus charged tips if the TIPS button is used at POS or the amount of CASH entered through the TIPOUT button.

Rate % (2): the expected percentage of cash tips on non-charge sales

Net Sales: the amount of sales entered by each employee

Declared Tips: tips entered through the TIPS button at POS, usually at the end of a shift, which include ALL charged tips AND cash tips. If the TIPOUT button is used, Declared Tips include Charged, Forced, Cash and Tip Ins; Tip Outs are subtracted.

Rate % (3): the percentage of Declared Tips on Net Sales

Undeclared Tips: the shortfall between charged tips and declared tips when using the TIPS button. If you are using the TIPOUT button this field will always be 0.00

Signature: a line for the employee to sign to verify their tip information

11.4 Tip Posting

The Tip Posting Report includes tip declaration information compared to gross receipts.

Tip Declaration: tips entered through the TIPS button at POS, usually at the end of a shift, which include ALL charged tips AND cash tips. If the TIPOUT button is used, Declared Tips include Charged, Forced, Cash and Tip Ins; Tip Outs are shown as deductions in brackets.

11.5 Tip Out Report

The Tip Out report displays the global category sales and tip information for each employee that tipped out or received tips for the selected transaction dates. A detailed view of the report displays which employee distributed and received tips to/from which employees. For a definition of the tip terms used on this report, refer to page 90 above.

If the flag is NOT selected, service charge is NOT included in Tips and the Forced Tips field in the Tip Out (Distribution) screen will be $0.00.

Cash Tips: the total of the tips that have been given to the employee in cash.

11.6 Tip Threshold Report

The Tip Threshold Report lists all the table/check numbers that have had a tip entered by a manager because it exceeds the Tip Warning % Threshold.

NOTE: this report is available in V8.0 and above.

To Print the Tip Threshold Report:

1. Open the Squirrel Browser

2. Touch Reports

3. Touch Tips Reports

4. Touch the Tip Threshold Report.

5. The Parameters - Tip Threshold Report box appears. Enter the parameters for the report:

a. Start and End Date – enter a start and end date for the report or use the Squirrel calendar to select a date

b. Department – select the departments to report on or select All Departments

6. Click OK. The Tip Threshold Report displays.

The report includes:

Settled By is the employee who settled the check. This should NOT be the manager.

Approved By is the manager who entered their override code in order to enter the tip amount.

The 3 percentages on the report are:

a. Config %: this is the percentage amount that you configured in Cashout and Tips Setup’s Tip Percentage Warning Threshold.

b. Approved %: this is the percentage of the tip entered in the Payment tab or Tip Adjust screen using Override.

c. Actual %: this is the final percentage of the tip after any adjustments. This should be the same as the Approved % if no adjustments were made.

NOTE: If the Approved Tip% does not equal the Actual Tip % then you can look at the Check Adjustment Report for more information.

The ‘!!’ beside checks indicates that tips have been altered by re-open or check adjust.

12 40 Column Reports

40 column reports are formatted to fit on the 40 column printers that guest checks, receipts and credit card vouchers print on. 40 column reports viewed or printed from a Squirrel POS terminal are only available for the current transaction day while POS is running. Once the system is shutdown 40 column reports are no longer available. There are two 40 column reports that are available from the Squirrel Professional Browser at any time.

Squirrel provides several reports that have the option to display either Gross or Net Sales figures:

Gross: Includes every sales transaction in the system for that day – excluding voided transactions.

Net: Subtracts sales figures of menu entries that are Voided, Promo’d or QSA’d.

NOTE: BOTH sales figures do NOT include tax.

Squirrel also provides several reports by Detail or by Summary. The difference between these two options is:

Detail breaks down each transaction.

Summary groups transactions by various categories.

12.1 40 Column Reports from the Browser

There are two 40 column reports that are available on the Squirrel Professional Browser: the Category Mix Report and the PMix – Menu Entry Usage Report. These two reports are available at any time and for previous transaction dates.

Note: these reports remain in the 40 column formatting.
