Purchasing and maintaining sotware is a costly activity.
The expense is not only wrapped up in licensing; but in-
cludes the time that goes into keeping sotware up to date,
installing it on new workstations, and maintaining the servers
needed to provide email and other business applications.
Microsots Oce 365, the successor to the current Busi-
ness Productivity Online Services, shits a number o traditional
products and services rom the server room to the Cloud. In-
cluded in Microsots upcoming release o Oce 365 are Micro-
sot Exchange 2010, SharePoint 2010, Lync Online, and the Oce
Web Apps with (optional) licenses or the ul l Oce ProessionalPlus, plus a SharePoint-based public website. For an enterprise,
it promises convenience. For a small business, it is less expensive
and simpler than buying and managing a server.
Bundled Applications
As stated, Oce 365 comes packaged with Exchange Onli ne
2010, SharePoint 2010, Lync Online, and the Oce Web Apps.
Some o these applications are amiliar, such as Exchange and
Sharepoint, but others may not be as recognized. Lync Online is
the next generation o Oce Communications Server Micro-
sots internal instant messaging application and Oce Live
Meeting. They have combined these products into one ull-ea-

tool. The Oce Web Apps are also new.
As the name suggests, these are web-
based versions o the popular Microsot
Oce tools Word, Excel, PowerPoint,
and OneNote. These tools are accessible
rom any web browser and allow seam-
less sharing o documents with other
users. With the addition o these tools,
Oce 365 is truly a unied system or
communications and oce automation.
Management Tools
Administrators will certainly ben-
et rom going down the Oce 365 path.
Setting up Exchange, Lync Online and
SharePoint servers can be a prohibitive-
ly expensive and complicated process.
These products installed on premise
require ongoing management. Sign-
ing up or Oce 365 is simple and takes
you straight to an online management
console. This covers the settings or the
service, subscription management or ac-
counts, and Oce client licenses which
can be allocated individually or via Ac-
tive Directory roles or policies. It also
displays service health with warnings
or any scheduled maintenance. All this
makes moving to Oce 365 a clear and
manageable process.
The vast majority o server eatures
needed are presented in an easy-to-man-
age manner rom laying out SharePoint
sites to sophisticated options or auditing.
There is also the ability to c reate a central
metadata store to normalize key business
and technical terms in SharePoint librar-
ies to improve index and search.
The tools or managing mobile de-
vices are particularly useul allowing the
user to set policies such as orced encryp-
tion, block devices that do not accept
policies, and remotely wipe lost devices
including iPads. The rumor is it will also
include ree support o BlackBerr y.
A ew more changes include theability to delegate a vanity domain. This
allows internal Oce 365 resources to

com and migrates existing email do-
mains to Oce 365. Finally, Active Di-
rectory ederation services can be used
or true single sign-on which means the
same password can be used to sign into
client PCs, Oce 365, email, SharePoint,
and Lync.
Whats missing?
Oce 365 lacks the Business Data Catalog because Microsot is working on
to guarantee data privacy. Another hole is the lack o ull integration with voice
allows voice and video conversations through the desktop client, but does not yet
one number that routes to the desktop, mobile, or desk phone as one moves aro
There is no Exchange voice mail search and no mobile Lync client or a ny platorm

are expected to arrive in about a year. Finally, the lack o ederation with publ
services such as AOL, Yahoo, and Google may cause a ew complaints. Import
remember we are only in Beta today.
Assuming Oce 365 has the same level o reliability as Business Productivit
ce Suite (BPOS) at this price, it could be hard to make a case or on-premise
servers unless the business is regulated. The inclusion o Lync Online and Share
are the icing on the cake. Oce 365 urther extends Microsots credibility with
ness cloud services. Contact your account manager today or more inormation

Dynamics ERP, including Microsot Dynamics GP, into a sophisticated pricing
and product conguration system with native Microsot-certied integration.
For manuacturing applications, Experlogix congures Microsot Dynamics GP sales

the need or large libraries o pre-built BOMS and routi ngs. Experlogix expertly guides
Microsot Dynamics CRM on-premise and online users through every aspect o an op-

Here are a couple o examples o how Experlogix is helping businesses today. The

industrial equipment to sectors that include construction, mining and utilities in Mi-

Global Technology Resources, Inc.(GTRI) specializes in helping clients align IT
investments with business strategy or a diversied client base which includes every
branch o the armed services, multiple civilian government agencies and a spectrum o
commercial enterprises. The companys end-to-end consulting solutions address busi-

Fast, Easy to Use Congurator that Integrates with
Microsot Dynamics CRM and Microsot Dynamics GP
To drive expansion, GTRI added more services or its
clients which drove a need to replace their Excel-based quot-
ing system to support the daily production o dozens o time-
critical proposals. Quoting with Excel is cumbersome and
did not allow or robust product conguration. We needed
a congurator that was ast, easy to use and integrated with
Microsot Dynamics CRM as well as Microsot Dynamics
GP, says Jeremy Johnson, GTRI Sr. Solutions Analyst. The
congurator would also need to interace with web services
rom vendors to allow or continual product and price up-
dates.
The seamless integration o Experlogix with
Microsot Dynamics CRM eliminates the
requirement or redundant data entry
Focus on Clients and Leave the Quoting to ExperlogixFlexibility was the biggest requirement in choosing a
new quoting application to meet our needs. Our vendor se-
lection process included looking at all the quoting and con-
guration applications available across multiple platorms,
continues Johnson. GTRI narrowed their search to a con-
gurator with integration with Microsot Dynamics CRM to
ensure accurate opportunity orecasting as well as a seam-
less quoting experience or their sales team. From the ini-
tial product demonstration through our go-live day, we
believed Experlogix was committed to making our project
successul and they delivered. They even tailored a ew ap-

With more than 600 employees pro-

any supplier pricing structure changes

Canada. We were looking or a power-

reduce the risk o pricing errors and we
wanted to enhance pipeline visibility or
everyone in the sales chain, says Anna

at Strongco. Our customer quotes need-

Insight - It is one on the main reason organizations purchase business applications. While m
organizations purchase applications such as Microsot Dynamics GP or Microsot Dyna
CRM to help acilitate day to day operations, they also purchase and use them to prov
perspective into the pulse o the business.
So how is that pulse taken? Typically this is done through reporting but is a repo
best way to gain insight? Insight into a business and the importance placed on that inorm
is truly relative to the consumer o that inormat ion. The insight a salesperson needs on a
basis is not the same as that o a marketing proessional, sales manager, or a customer s
representative. While commonalities exist between the characters mentioned above anddesire to evaluate the pulse o the business enabling them to make a ster and more accura
cisions, there are also many aspects which are totally unrelated which only a particular job
or person will care to analyze. Microsot Dynamics CR M 2011 brings a robust and easy

decision makers that need it.

As the IT environment expands rom ser vers and the desktop to the cloud and mo-
bile devices, data integration is essential to maintain competitive advantage and
achieve success. Microsots cloud strategy aims to deliver the best experience,
the greatest choice, and the most opportunities to customers, and integration has to
be center stage or a truly seamless user experience across al l devices. Companies that
eectively integrate on-premise and cloud applications and everything in between
have more ecient and streamlined business processes with real-time access to the
inormation to eectively service their customers and partners. The Microsot Technology Stack
By any name inrastructure, IT environment, or ecosystem Microsots tech-
nology stack still dominates the IT landscape and continues to be as attractive to cus-
tomers as it is challenging to competitors. An integrated stack is a great selling point:
Windows, SQL Server, SharePoint, Microsot Dynamics, and Oce are all Microsot,
all compatible. Great! But do they really integrate together right out o the box? As
Dynamics customers well know, these products did not all originate in house and they
still need some glue (aka integration) to truly play well together. Now, add products
rom other vendors Microsot ISVs and/or non-Microsot ISVs into the mix, and
integration becomes essential to realizing the ull value o all application investments.
Business productivity using Microsot products continues to improve with continued
process enhancements and advanced
unctionality ocused on collaboration
and visualization, but data integration
remains a challenge.
Innovation and great eatures
dont mean much i the
integration vendor has
not established a base o
reerenceable customers
The temptation or Microsot cus-
tomers and partners to write a quick
little integration is high, especially
when your IT department or consul-
tants include expert sotware engineers.
Buyer beware: coding integrations is not
only inecient, but also costly, time con-
suming, and very dicult to maintain
over time. That quick little integration
program that seemed so easy to do last
year becomes a time sink as a developer
is diverted to x or change the program
again and again. This developer is not
working on other projects that bring in-
creased value to the business, and i the
organization is a systems integrator, this
developer is not servicing new custom-
ers or working on new projects. Equally
rustrating is an integration tool that is
not exible, isnt scalable, and requires
coding (!) to actually make it work or
the particular integration needs. Even
worse, are multiple integration tools
that perorm very specic, point-to-point
integrations that have been cobbled to-
gether to integrate the business. Just
as custom code can be time consuming
and inecient, maintaining two or more
integration tools or utilities is equally
inecient, time consuming, and expen-
sive. Avoid wherever possible a pastiche
o custom code, scripts, and various in-tegration tools and utilities. A good in-
tegration platorm should allow or all o
the ex and customization needed with
the Microsot stack and everything else.
Traits o the Ideal IntegrationPlatorm and Provider
An ideal integration platorm should
include unctionality that drives down
the complexity and maintenance o in-
tegrations such as an intuitive graphi-
cal user interace, unied management
console, open connectivity, and reusable
components. Building integrations in
a UI versus writing code makes it pos-
sible or partners and IT to reduce time,
complexity, and costs when building and
maintaining those integrations, as well
as opening integration to a wider skill
set than sotware engineers. Ideally, a
business or data analyst who has strong
knowledge o the source and target sys-
tems and is amiliar with database con-
cepts such as tables and views should
be able to use an integration platorm.
Open connectivity allows not only ront-
and back-end integration between CRM
and ERP, but also gives the customer
reedom to integrate to a wide v
o applications, data stores, and n
sources such as mobile applications
services, and eeds. Templates, wi
or pre-built solutions provided by t
tegration vendor should be extensi
that customers may congure the
unique integration needs. Lastly, w
ever integration platorm is chos

Customers who have had the privilege o using FRx
throughout the years understand the importance o this
piece o sotware in their Business Intelligence (BI) arse-
nal. Producing highly-customized Financial Reports could be
easily handled with FRx.
With Microsot Dynam ics GP 2010, a new star shines on the
BI scene-- Management Reporter. Yes, it has a lot o the same
look and eel to it as FRx, which makes adopting its use a snap
i an organization is upgrading to Microsot Dynamics GP 2010.
There are some new eatures, though, that deserve some addi-
tional spotlight.
Report Groups
In FRx, there was the ability to chain reports together.
This meant that i one report was generated, and several otherreports were chained to each ot her, all o those reports would
run with the click o one button. But they did not all necessarily
run or the same date. This could result in reports that could
potentially be or dierent reporting periods.
Management Reporter introduces the concept o Report
Groups that simplies this chaini ng process. It is as easy as giv-
ing the Report Group a name, and selecting the Management
Reporter reports to add to that Group. This Report Group can
be called up whenever that group o reports needs to be gener-
ated. At the time o generation, choose the date or which to
generate ALL o the reports in that Group and publish them to
the Report Library.

Report Library
Do you need reports, les and working papers in one shared
location so that board members or some other key group has
access without having to print and ship them? Management
Reporter has the ability to publish non-nancial, non-Manage-
ment Reporter reports and les to a Report Library which can
be securely accessed. An organization could potentially publish
a Microsot Word document, Microsot Excel document, PDF,
PowerPoint presentation, etc. to the Report Library within Man-
agement Reporter and secure them with Windows Authentica-
tion so that only those people that should have access to them
do. Subsequently, permissions to View, Edit, Create or Delete
documents can be granted to those individuals. Individual users
can be set up, and then Roles created to urther group individu-
als or easier security deployment. Security is much easier tomanage in Management Reporter as well.
LOGOS!!
Need logos on a report? Yes, Management Reporter can pro-
duce that as well!
The new Management Reporter is not FRx, but it denitely
takes the best eatures rom the reliable product, and adds sim-
plicity, unctionality and overall value to its end-users. I you
would like to learn more about Management Reporter, or dis-
cuss upgrading to Microsot Dynamics GP 2010 to tap into this
great product contact your account mana ger today.
It is important or not-or-prot organizations, including membership, e
tional, and service based groups, to routinely evaluate investments in techn
solutions. Not only can non-prots save money by moving business applic
to the Cloud where there is no expensive server maintenance inrastructur
non-prots can look to solutions such as Microsot Dynamics CRM to me
sociation management, undraising, and volunteer tracking needs. I cur
using iMIS, GitWorks, or The Raisers Edge (to name a ew), consider Micr
Dynamics CRM as an aordable solution that can deliver similar unctionalit
help employees and volunteers get more done with less rustration.
The Bottom Line
One o the top reasons current iMIS users are evaluating their associ
management system is cost. Fiscal responsibility to members requires vi
evaluation o the costs to manage an organization. This is the same when loat GitWorks and The Raisers Edge. With Microsot Dynamics CRM, qu
non-prot organizations receive special pricing. The Non-Prot Solution o
crosot Dynamics CRM includes out-o-the-box CRM unctionality. Our org
tion has worked with numerous non-prot organizations to meet needs such

Customizing Dashboards
Additionally, each o these charts
included in a dashboard allows the user
to drill into more levels o detail rela-
tive to the data in that chart. However,
charts and list o data are not the only
items which can be added to a dashboard.
Other items that can be easily added to a
dashboard include:
Irames (Which could be used to
display other web pages or reports)
Web Resources (Web Page (HTML)
or Silverlight applications)
Lists (These are views or nearly
any entity in the system)
ChartsEssentially, a user can access a partic-
ular dashboard (one that comes out o the
box, a custom dashboard created by an
administrator, or a personal dashboard
created by the user themselves), view, and
interact with Microsot Dynamics CRM
data needed without having to click on
multiple places to get to that inormation.
For example, imagine a salesperson who,
on a typical day in Microsot Dnamics
CRM, spends time managing activities
(ie: Phone Calls and Tasks), sales oppor-
tunities, leads, and checking the status o
support cases tied to accounts they own.
Without dashboards, the user would
need to go to Workplace and Activities,
Sales and Leads, Sales and Oppportuni-
ties, and then Service and Cases (poten-
tially need to create an Advanced Find
query to get the right cases). Through
the use o dashboards, they could create
their own dashboard, set it to their de-
ault dashboard, and save themselves a
lot o ti me everyday.
While there is certainly a lot that
can be discussed with dashboards in
Microsot Dynamics CRM 2011, I hope
that this provides you a small peek into
what they are, what is possible, and how
this could help your organization. I you
have any questions about the dashboard
unctionality or i you are looking to up-
grade to Microsot Dynamics CRM 2011,

Customers, prospects, and the partner community gathered together on April
10-13 or Microsot Convergence 2011. The event had an estimated 9,300 peo-
ple in attendance and was held at the Georgia World Congress Center in At-
lanta or the second consecutive year. The conerence was well received by custom-
ers and partners alike; and, as last year oreshadowed, Cloud services was denitely
being talked about in t he meeting rooms and hall s as it continues to evolve and grow.

applications and integration. The provider should be established,
growing, and reputable. Innovation and great eatures dont
mean much i the integration vendor has not established a base
o reerenceable customers and an ecosystem o consultants or
partners to help you get started. The vendor should have many
active and satised customers who can validate the vendors ex-
pertise, their support and services, training, and the reliability
o their product. Its a red ag i your vendors customers arent
willing to speak with prospective customers. While past peror-
mance is a good indicator o the uture, the vendor should be
able to demonstrate innovation and vision that keeps pace with
emerging markets and technology trends. When adopting new
technologies and applications, does t he integration vendor keep
pace? The type and requency o the vendors oerings should
give a clue as to their ability or willingness to keep current with
the applications and data services you may be adopting in the
uture.
The Value o a Flexible Integration Platorm
A exible integration platorm benets system integrators(SI) through simplied implementation and maintenance o in-
tegration solutions, collaborative user experience, and global
integration support. A true multi-tenant integration rame-
work enables SIs to create and manage multiple solutions and
customers rom one dashboard. A exible integration platorm
oers a choice o pre-congured integration solutions, which
allow customization or individual customers or specic verti-
cals and allow the SI to create unique, individual integra
or customers who have specic needs that are not served
pre-congured integration solution. SIs can create new rev
streams with pre-packaged solutions that allow them to
easily distribute and monetize their IP, and save a tremen
amount o time and eort in not having to re-create the sam
with each customer.
Be Prepared or Integration Opportunities
While the Microsot stack continues to evolve bette
more seamless interoperability, your mileage still may
when it comes to true interoperability and integration i
stack. And the reality is that even the all Microsot, all the
customers likely have integration needs beyond Microso
cic applications and services. Organizations need to ha
integration strategy and platorm that can address Micros
tegration needs as well as all other non-Microsot integr
endpoints. Smart customers and partners adopt an integr
platorm to address all o their integration needs.

Make Work Easy orEmployees and Volunteers
Training employees and volunteers
to use out-dated systems takes valuable
time away rom the work that they could
be doing to urther an organi zations mis-
sion. Microsot Dynamics CRM works
directly through Microsot Outlook or
through the web there is little to no
learning curve. The interace is easy to
navigate with intuitive sel-help buttons
every step o the way. It is easy to con-
gure the system to match an organiza-
tions terminology and business process-
es. Setting up automated workow keeps
balls rom dropping no matter how many
people are involved in the process.
Collaboration and WebIntegration Made Easy
Another reason associations are
making the switch to Microsot Dynam-
ics CRM is the ease o integration with
other systems in use. With many non-
prots, a main goal is to expand services
oered to constituents without big in-
vestments in customizations.
Look to the Cloud
Far too oten, non-prots run their
mission critical application s on older serv-
ers stored in a basement or closet. Many
times these environments are managed
by internal resources ill-equipped to suc-
cessully maintain systems. Cloud based
systems such as Microsot Exchange On-
line or Microsot Dynamics CRM Online
provide the same end-user unctionality
without the headache and cost o servers
not to mention the uptime, disaster re-
covery, and services included with these
cloud based systems.

about saving your organization time,
money, and hassle and want to discuss i
Microsot Dynamics CRM can help meet
that need, contact your account manager

Ask the Expert Spotlight
Budget vs.
Actual Inquiryby Danny Rose MicrosoftDynamics GP Consultant
Alot o companies like to setup budgets withi
crosot Dynamics GP and then use FRx or Ma
ment Reporter to view budget inormation.
ever, many people are not amiliar with this window
into Microsot Dynamics GP that allows a user to qu
compare a budget to what was actual ly spent or a sel
account. (Navigate to: Inquiry > Financial > Budget v
quiry). The window is very simple and quick to use
only three options: Account Number, Budget ID and a
tion to display Net Change or Period Balances. A ter
ing the options, the Actual, Budget, Variance, and VaPercent amounts can quickly be seen. The printer i
the upper-right corner can be used to print these amo
or zoom in to the Detail Inquiry screen or a specic p
to view individual transactions.
Whats That Window
Question: How do I properly void or correct aposted transaction in Microsoft Dynamics GP?
Answer: Voiding or correcting a posted docu-ment within Microsot Dynamics GP can sometimes
conuse users due to the number o techniques avail-
able throughout dierent modules. The key to proper-
ly correcting a transaction is do so through the module
where the document originated rom. For example, i
you want to void a Sales Order Processing invoice, it
must be voided rom that module more on thi s below.
Financial Journal Entry
1 Go into Transaction Entry and select Cor-
rect.
2 A new window will open, Correct Journal
Entry. Cha nge any options i necessary and
select the Original Journal Entry to back
out. Choose OK.
3 The debits and credits rom the original
transaction will be reversed on a new trans-
action. Veriy the data on the new transac-
tion and choose Post.
Receivables Management1 Go into Receivables Posted Transaction Maintenance and enter
the Customer ID, Document Type to void, and the Document
Number.
2 Veriy the Void Date and Posting Date and choose Void.
Sales Order Processing1 Go into Sales Transaction Entry. To correct a posted invoice, skip
to step 3.2 I the document has been print ed but not posted, select the Docu-
ment Number and choose Actions > Void.
3 I the invoice has been posted, create a return by choosing Ret urn
as the Document Type and select the Customer ID. Enter the
header inormation or the return or accept the deault entries.4 Select the item numbers, units o measure, and item quantities
or the return. When entering the item quantities, a window will
open to enter the quantity being returned to each retur n quantity
type.
5 Enter amounts in the Trade Discount, Freight, Miscellaneous,
and Tax elds, i necessary.
6 I you have received payment rom the customer, enter theamount in the Amount Received eld, which is treated as a re-
turn o cash or credit to the customer.7 Choose Post to post the return.**Do not void SOP documents using Receivables Management as this will
only update the general ledger and Receivables Management, but will not
update inventory.
Payables Management1 I the document is in historical status, go into Void Historical
Payable Transactions. I the document is in open status, skip to
step 4.
2 Select the document number(s) in the range eld and change the
Void Date or Posting Date, i necessary.
3 Mark each transac tion that needs to be voided, and choose Void.
4 Go into Void Open Payables Transactions (Transactions > Pur-
chasing > Void Open Transactions) and choose the Vendor ID.
5 Repeat steps 2 and 3 to void open transactions.
Purchase Order Processing1 To correct a posted receipt or invoice. Enter a return in Retu rns
Transactions Entry.
2 Select the appropriate Type or the return. Enter the rest o the
header inormation or accept the deault entr ies.
3 Select the PO number i necessary, item number, receipt number,
unit o measure, quantity returned and veriy other elds to en-sure they are accurate.
4 Once all the required elds are completed, select Post.**Do not void POP documents using Payables Management, as this will
only update the general ledger and Payables Management, and it will not
update inventory.
Just remember voiding or correcting a transaction rom the origi-
nating module is the most important step o this process to ensure all
modules are correct in the end. For more inormation on any o these
processes, open the window and press F1 or select the blue question mark
in the lower right corner or Help, or contact our Support team or as-
sistance.
