SECTION I. FINDING/REVIEWING LAST YEAR’S EVALUATION

FOR YOUR EMPLOYEE

1. Log in to https://www.fairmontstatejobs.com/hr as “Supervisor/Hiring Manager.”

**NOTE: If you have more than one user type, look at the top of the screen to see which user type is active. If

it doesn’t say Supervisor/Hiring Manager, follow these steps to change your user type.

a) Under the Admin heading, click on the “Change User Type” link

b) Choose “Supervisor/Hiring Manager”

c) Then click on “Change Group”

2. Under the Evaluations heading, click on the “Historical Evaluations” link.

3. Click on “View Summary” beneath the position title for the employee.

4. This will open last year’s evaluation in a new window.

5. You keep this window open while you complete your employee’s evaluation. You can also copy and

paste from this window into this year’s evaluation.

SECTION II. COMPLETING YOUR EMPLOYEE’S EVALUATION

1. Log in to https://www.fairmontstatejobs.com/hr as “Supervisor/Hiring Manager.”

**NOTE: If you have more than one user type, look at the top of the screen to see which user type is active. If

it doesn’t say Supervisor/Hiring Manager, follow these steps to change your user type.

d) Under the Admin heading, click on the “Change User Type” link

e) Choose “Supervisor/Hiring Manager”

f) Then click on “Change Group”

2. Under the Evaluations heading, click on the “Active Evaluations” link.

3. This will show all evaluations that are waiting for your review. Click on the “View” link beneath the

Title.

4. The first screen that you will see is the “View Performance Evaluation Summary” page.

5. Click on the blue “Edit” link above the Evaluation Status bar.

6. The first tab that you will need to complete is the “Evaluation Details.”

a) Review the “Type of Position” to make sure it is correct.

b) Enter the “Evaluation Cycle Begin Date.”

c) Enter the “Evaluation Cycle End Date.”

d) Review to make sure your name is selected as the Supervisor/HM

e) Review the Sr. Level HM field

f) Review the Employee field to see if it is populated with the employee’s name.

7. When finished, click on “Continue to Next Page.”

8. The next tab that you will need to complete is “Employee Development Goals.”

9. You will see the goals that were entered by the employee.

10. To enter your comments, click on the blue “edit” link beneath the goal.

11. (a) Please enter your comments concerning the goal/achievement in the text box.

(b) Then click on the “Save Changes” button at the bottom.

12. Repeat this process for each goal that the employee entered.

13. Once you have completed this tab, click on “Continue to Next Page.”

14. The next tab that you will need to complete is “Set Future Employee Development Goals.”

31. If you want to add a goal to your employee’s current list, click on the “Add New Entry” button.

32. (a) Please enter your goals/comments concerning the goal/achievement in the text box.

(b) Then click on the “Add Entry” button at the bottom.

33. Once you have completed this tab, click on “Continue to Next Page.”

34. The next tab is called “Job Factors”.

**NOTE: The first twelve (12) factors (Job Knowledge –Employee Goal Achievement) are for ALL

employees.

35. Under each heading is an explanation of each job factor.

36. Choose the rating beneath each job factor.

For any job factor this is not applicable for your employee, select “N/A” for the rating.

NOTE: Supervisors should enter comments for each factor!!

37. The last six (6) factors (Creativity – Resource Management) are for those employees who are

Supervisors/Managers/and Directors only.

If your employee only supervises Student Employees, do not rate these last six factors.

38. After you have rated all of the necessary factors for your employee, click on the calculate button.

39. The system will now automatically calculate the score based on the ratings that you entered!

NO MORE MANUAL CALCULATIONS!!

NOTE: The warning will stay there if there are job factors that are not rated.

40. The next tab, “Performance Improvement Objectives (Supervisor Only)” is to be used for any factor

that you rate the employee as “Needs Improvement” or “Unsatisfactory.”

41. To complete this tab, click on the “Add New Entry” button.

42. a) Enter the job factor that you rated as “Needs Improvement” or “Unsatisfactory.”

b) Enter the action plan to improve performance in this area.

c) Enter the Projected Completion Date for this improvement to be completed.

d) Enter the Follow Up Evaluation Date. (This is the date when you will complete the follow up

evaluation for this employee).

e) When complete, click on the “Add Entry” button.

43. Repeat this process for each factor that was rated as “Needs Improvement” or “Unsatisfactory.”

44. When finished, click on “Continue to Next Page.”

45. The next tab, “Rating for Organizational Goals Achievement” is used for Non-Classified and FEAP

Employees Only!

If your employee is Classified Staff, skip this tab and click on “Continue to Next Page.”

46. a) Select the rating for your employee’s overall organizational goal achievement.

47. After you have selected the rating and entered any comments you wish to make, click on the

“Calculate” button.

48. The system will now automatically calculate the score based on the rating that you entered! This will

also automatically be calculated in the overall rating score!! NO MORE MANUAL CALCULATIONS!!

49. The next tab is called “Overall” and is where you see the overall evaluation score!

50. The overall rating score key is at the top of the page.

51. If your employee is CLASSIFIED, the overall score will appear as below.

52. If your employee is NON-CLASSIFIED or FEAP, the overall score will appear as below.

NOTE: The rating for Organization Goal Achievement is 25% of the overall score.

53. The next tab is called “Notes/History” and shows you the history of this evaluation and any notes that

have been entered.

54. Click on “Continue to Next Page.”

a) If you need to make corrections: click on the blue “Edit” link above the Action Status bar.

b) If you do not need to make corrections: click “Conference Pending (Edits Allowed)” and then

click on “Continue” and then “Confirm.”

SECTION III. CONFERENCE PENDING (EDITS ALLOWED)

You and your employee will discuss their evaluation for this current evaluation period.

If both you and your employee need to make changes based on your discussions, please log on one at a

time to make these changes or the system will lock you out.

Your employee should contact you when they have completed their necessary changes.

AFTER THE CONFERENCE:

1. Log in to https://www.fairmontstatejobs.com/hr as “Supervisor/Hiring Manager.”

5. Navigate through each tab (making changes where necessary) by clicking on “Continue to Next Page.

6. When you reach the “View Evaluation Summary” screen, please review the evaluation carefully!!

NOTE: Changes cannot be made beyond this point.

7. Click on “Employee Certification (No Edits Allowed) and then click on “Continue” and then “Confirm.”

Once the employee completes their final review, they will send it to you for your certification. (See next

section).

7. Stop when you come to the “Certification” tab.

8. You will need to enter the following information:

a) Was the Conference was held? Yes/No

b) Conference Date:

c) Immediate Supervisor Comments:

9. When finished, click on “Continue to Next Page.”

10. When you come to the “View Summary” screen, click on “Submit to HR.” Then click on “Continue”

and then “Confirm.”
