Quality Management SystemsAt Arco we continually strive to deliver excellence in both our product and customer service. To demonstrate this we have invested heavily and we are the first safety distributor to have our own, in house, independently accredited Product Assurance Laboratory. To achieve this we operate a Quality Management System that is measured to the BS EN ISO 9001 Standard. All locations have successfully attained BS EN ISO9001:2008. Head Office Group Departments, plus the National Distribution Centre, and Hull Branch are now registered to BS OHSAS18001:2007 and together with the Arco Clothing Centre all have registered to BS EN ISO14001:2004

Safety StandardsAny product which conforms to an EN standard is tested through the relevant certification process. In addition, on a yearly basis all Arco own brand products are put through due diligence testing to ensure continued conformity. As we are members of the BSIF Registered Safety Supplier Scheme you can be confident that we will supply safety equipment which is genuine and compliant with the relevant standards and regulations. The BSIF monitor and regulate members of the scheme by conducting regular standards audits.

Independent Accreditation Our Product Assurance laboratory aims to provide our customers with a level of confidence which is second to none in our industry. It is important to us to demonstrate expertise and independence and therefore we have had our laboratory independently accredited by SATRA, the world’s leading authority on international legislation and testing.

SATRA is responsible for the standards of testing of a wide range of products including footwear, leather, clothing, textiles, safety products, PPE and workwear. Many of its test methods become industry standards and its production efficiency and accreditation systems are unrivalled. As members of SATRA we have professional support in ensuring quality, efficiency and fitness for purpose of our products. We also have access to scientists, technologists and manufacturing experts.

To drive standards even further we are currently working towards ISO 17025 UKAS Certification. ISO 17025 General requirements for the competence of testing and calibration laboratories is an internationally recognised standard.

To achieve accreditation, laboratories undergo a rigorous auditing process, based on an ability to test to particular test methods and standards.

Our mission is to influence industry standards and to develop, source and supply the highest quality products.

Our customers tell us that product quality is one of the most important factors of our service to them. They want to feel totally assured that the products we supply them will keep their people safe. With our core purpose to keep people safe at work we are committed to delivering high quality, safe and reliable products which meet or exceed our customers’ expectations.

To demonstrate this we have invested heavily and are now the first safety distributor to have our own, in house, independently accredited Product Assurance Laboratory.

Having our own laboratory will offer us a far greater opportunity to test during product development and beyond. This will compliment the certification and due diligence testing regime which is already well established.

We aim to drive improvements in quality standards across the industry. We will test products to recognised standards, and beyond. Where we think that accepted practices and standards can be improved, we will challenge them and influence change.

Arco Quality and Product Assurance

State of the Art Facility The Arco Product Assurance Laboratory

After researching existing laboratories throughout the UK we have designed and invested in our own facility which we are confident will enable us to deliver exceptional quality and product assurance to our customers.

The laboratory has been built to meet the conditioning requirements relevant for a product testing laboratory whilst minimising the impact on the environment. All test equipment has been purchased from leading European manufacturers to ensure that all products can be tested to the relevant standards.

Testing: hi-vis clothingThe new Arco Product Assurance laboratory can undertake testing of hi-vis clothing to EN ISO 20471:2013 – ‘High visibility warning clothing for professional use’. All high-visibility clothing products have to incorporate both fluorescent and retro-reflective materials.

Performance specifications are given for chromaticity and luminance and also for retro-reflection as well as for the minimum areas and for the placement of the materials.

Testing: safety footwearThe new Arco Product Assurance laboratory contains a complete set of test equipment to allow tests to be carried out to the clauses of EN 20345. This specifies basic requirements for safety footwear used for general purpose. Additional optional requirements may also be tested. The standard includes tests against mechanical risks, slip resistance, thermal risks and ergonomic behaviour. Testing is carried out in accordance with ISO 20344, the standard specifying methods for testing footwear designed as PPE.

Testing: glovesThe new Arco Product Assurance laboratory contains a set of test equipment to allow tests to be carried out for the mechanical testing of gloves to the requirements of EN 388:2003, Protective gloves against mechanical risks. Tests can be conducted to measure a glove’s resistance to abrasion, blade cuts, tear and puncture. Where necessary it is possible to measure cut resistance beyond cut level 5 to International ISO Standard ISO 13997.

Arco in the CommunityAt Arco we are dedicated to our Corporate Social Responsibility programme and continually demonstrate this by supporting local communities and charities donating in excess of 1% of pre-tax profits annually.

We formed the Arco Group Charity Committee in 2003 to lend a formal structure to our socially responsible initiatives. We support employees who are involved with their local charities or community groups, matching individual funds raised.

We take an immense amount of pride in how active our people are socially and the positive impact they have for causes within their communities. As a business we support their endeavours – giving every member of staff two days paid time off for volunteering each year.

Supply Chain ManagementWe have put many initiatives and processes in place to ensure that we trade in a way that upholds our core values. We were the first distributor to become members of ETI and have progressed to chair the General Merchandise Caucus Group which helps to shape ETI policies and priorities. We fully subscribe to the ETI Base Code and have incorporated this internationally recognised code of labour practice into our own Ethical Policy.

• Employment is freely chosen• Freedom of association and the right to collective

bargaining are respected• Working conditions are safe and hygienic• Child labour shall not be used• Living wages are paid• Working hours are not excessive• No discrimination is practised• Regular employment is provided• No harsh or inhumane treatment is allowed

In 2010 we became a member of Sedex, the Supplier Ethical Data Exchange, a not for profit membership organisation dedicated to driving improvements in responsible and ethical business practices in global supply chains. Being an ‘AB Member’ allows us to share ethical company information in one place. We can also view our supplier’s data so that we can ensure they meet the high standards we work to.

Fairtrade works to ensure a better deal for Third World Producers. The FAIRTRADE mark ensures small-scale cotton farmers in the developing world receive a better deal. Arco is proud to support this initiative and offers a range of cotton T-shirts and polo shirts within our workwear offer.

Environmental ResponsibilityEnvironmental sustainability is also really important to us and we have a number of ongoing projects to help us achieve our goals. These include initiatives to make product packaging improvements as well as waste and energy management schemes. For example 99% of packaging waste at the NDC is sent for recycling.

Since its opening in 2000, Arco’s National Distribution Centre (NDC) has become one of Hull’s major landmarks, winning awards for its innovative design. Purpose-built, the 200,000 square foot facility is externally supported, which eliminates the need for internal columns and allows maximum utilisation of the space available.

The NDC has over 40,000 stock locations to accommodate our comprehensive product range, with a variety of picking locations and bulk pallet storage types available.

We hold approximately 17,000 products in stock and available for immediate despatch.

For specific customer contracts, we offer an additional service, and by agreement, we are able to stock product extensions to our standard range, enabling us to service their specific needs in conjunction with their standard product deliveries.

State-of-the-art FacilitiesThe NDC operates 24 hours a day, five days a week, processing over 16,000 order lines and despatching over 7,000 parcels and 200 pallets on a daily basis. We have invested heavily in the NDC over recent years to ensure that its service capability increases in line with our business growth.

The operational working of the NDC is directed using a highly sophisticated warehouse management system, with a bespoke configuration to meet our specific needs and optimise operational efficiency.

Both stock and orders flow through the NDC via an extensive network of automated conveyors and a large fleet of manual handling equipment including gondola cranes and very narrow aisle (VNA) trucks. Our state-of-the-art facilities enable the NDC team to move the thousands of stocked products around the building accurately and efficiently each day, and gives us the capacity, resilience and flexibility to provide the high levels of customer service needed to despatch products efficiently and we are proud of our average on time despatch figure of 99.9% and our average accuracy figure of 99.8%.

Expert ServiceThe facilities and equipment at the NDC are only part of our success. The NDC operates efficiently and effectively because of its people. We invest in our staff by offering all employees at the NDC the chance to complete an NVQ Level 2 qualification in warehousing and distribution. Our highly skilled and motivated team is passionate about delivering only the highest standard of service to our customers. It is this dedication that ensures that each and every order that passes through the building is picked, packed and despatched as though it is the most important order of the day.

Many business processes can be very lengthy and paper heavy, they can also affect the efficiency of a business because they are very time consuming. Using an online system which doesn’t include any manual processes and is 100% computer based can have multiple benefits including visibility of orders, improved efficiency and increased speed of the order process.

Electronic Data Interchange (EDI)EDI is the computer-to-computer exchange of business documents in a standard electronic format between business partners. By moving from a paper-based exchange of business document to one that is electronic, businesses enjoy major benefits such as reduced cost, increased processing speed, reduced errors and improved relationships with business partners.

A typical manual process looks like this, with lots of paper and people involvement.

Using a EDI process, IT systems speak to each other:

Product SelectionWe offer punchout functionality via cXML or SAP OCI, allowing you to take advantage of the many features of the Arco website and have the products populate your own ordering platform. This allows us to put in place product restrictions, purchasing lists and allows you access to all of the product information available through our award winning website.

Benefits of online procurement • A single user interface - All approved vendors will have

uploaded their product catalogue.

• Improves cost saving - Products can directly be compared against one another, enabling the user to save money where alternatives offer better value.

• Reduces paperwork - All products can then be added to the shopping basket, and ordered at the same time. The site then creates one PO for all items, saving the user time processing invoices.

• Drives compliance - These online procurement sites only allow approved suppliers to upload products.

CPC is one of a number of regional purchasing consortia that exist to generate savings and better value for their members through the collaborative procurement of goods and services. Arco were awarded the CPC framework to supply Footwear, First Aid, Hi Visibility Clothing, Gloves, Personal Protective Equipment, Workwear and Corporate Wear, plus Personalisation of Clothing.

While some framework agreements are tendered exclusively by the individual consortia, for the individual consortia, others are tendered as part of a joint contracting programme. This collaborative approach allows various regional purchasing consortia to share the tendering workload. Ultimately the agreement is awarded by one consortium, in this case CPC, but will be available for other consortia to use.

CPC agreement 2011/875 represents one such joint contracting programme; therefore any member institution of the following consortia can access Arco through their framework:

• NWUPC (North Western Universities Purchasing Consortium)

• NEUPC (North Eastern Universities Purchasing Consortium)

• LUPC (London Universities Purchasing Consortium)

• WFEPC (Welsh Further Education Purchasing Consortium)

• SUPC (Southern Universities Purchasing Consortium)

• TPL (TUCO Purchasing Ltd, previously SNUPI)

• APUC (Advanced Procurement for Universities and Colleges)

• HEPCW (Higher Education Purchasing Consortium, Wales)

With the listed consortia extensively covering the Higher and Further Education sector, Arco are proud to be able to serve the following institutions:

• Universities• Colleges• Sixth form colleges• Academies• Specialist and special needs colleges• Schools with sixth forms• Adult education colleges• Private and independent colleges (FE only)

Members of purchasing consortia can be sure they are receiving the best service because of the competitive nature of the tendering process. Successful suppliers are managed throughout the contract term to ensure they are meeting objectives, delivering the highest quality of customer service and continuing to reduce costs.

“We chose to work with Arco when sourcing products because of its excellent service record and expert knowledge of safety. Over the past few years we have built strong relationship with the Arco team and been delighted with their efforts to understand our priorities and our needs as a business.Nicholas Hunt Environmental Manager Loughborough University ”

Case Study: Loughborough University Targets Safety and Environmental Compliance With an unrivalled sporting reputation and the title of the UK’s largest single site university, Loughborough University is renowned for offering excellence in both research and teaching. Now striving to achieve the ISO 14001 Environmental Management Certification, the university aims to reduce its environmental impact through reducing waste and energy use. A key area of any environmental management programme is spill control and containment and the university is standardising processes across all service and academic departments by partnering with Arco, the UK’s leading safety supplier.

Staff and students were already familiar with Arco’s wide range of personal protective equipment (PPE), as the company had been supplying products for use in a wide range of the university’s working environments.

Before partnering with Arco, a wide variety of spill containment products were in use across the university, with orders being made by individuals as and when products were needed. This was not only time consuming but costly and ineffective. Unsurprisingly, it often led to incorrect or incompatible products being ordered which placed the health and safety of users at risk. In addition, there was no standardised way of dealing with spills and staff were not trained in spill management.

During the initial procurement phase, Arco worked extensively with the university to understand its requirements across its different departments, looking at cost, reliability and current safety measures in place.

Russell Smith, Account Manager at Arco, said “By assessing the university’s existing contracts we were able to identify opportunities for safety improvements as well cost savings. We standardised the entire product range, removing the need to use different suppliers and the potential for the wrong kit to be ordered.

We also created a simple, straightforward purchasing system that allows procurement to become manageable, as well as cost and time efficient. By setting up a PunchOut system, university staff can now place orders through their internal e-procurement portal which will then transfer direct to Arco purchasing software. Discounts are already set up and customers are assured they are buying the approved products for their needs at the right price.”

Loughborough University was keen to not only provide its staff with the right equipment but also train them in how to use the new products correctly. Experienced in advising on all aspects of health and safety, Arco partnered with supplier Ecospill to develop a specialist training course that was delivered to almost 100 of the university’s employees. The programme covered how to identify potential risk areas, the different products required to control various spills and why it is important to have a clean and de-contaminated workplace. The training sessions were held at times to suit university working patterns so that staff would have the best possible chance to attend.

Nik added, “Arco not only expertly delivered informative training sessions but followed this up with personal visits to the departments where staff are based. Their individual and tailored service was above and beyond our expectations and proved to us that Arco is more than just your average supplier. Because of our partnership with Arco, the university is now buying the right products, staff are trained in how and when to use them and product procurement has never been easier. All of this has increased environmental compliance and created a safer environment for our staff and students.”

Case Study: Arco Provides Excellent Customer Service to the University of Cambridge One of the oldest educational institutions in the country, the University of Cambridge plays a key role in British heritage. With more than 18,000 students, nearly 9,000 staff, 31 colleges and 150 departments, faculties, schools and other institutions, the University of Cambridge is undeniably a world-class university that invests heavily in its facilities and people.

The University of Cambridge holds an Annual Purchasing Exhibition where members of staff can meet with preferred suppliers. Keen to build on their relationships with local businesses and higher education institutions, Arco, the UK’s leading safety supplier, attended the exhibition and met with members of the procurement team. As a provider of personal protective equipment (PPE), workwear and workplace safety products, managed by Crescent Purchasing Consortium (CPC), Arco assured the university that they will meet their objectives, deliver the highest quality of customer service and continue to reduce costs.

Working with the e-procurement team, Arco uploaded over 90% of its product range onto the university’s procurement platform, the “Science Warehouse.” Instead of trawling through a variety of different websites and suppliers, university staff and students can now simply use their internal search facility to access the wide range of Arco products. Orders will be transferred direct to Arco purchasing software, with set discounts already in place. Arco worked with the university to try and make purchasing PPE more manageable and affordable.

To ensure that all of the University of Cambridge’s needs were met, the Arco team also offered product training, workshops and additional customer service support. Matt Steed, Arco Account Manager commented: “We created a dedicated hotline and email address for the university, should any staff or students have any queries. We also trained four members of staff at our Nottingham branch on the university contract and their requirements. The dedicated team of staff are made constantly aware of what is going on within the university, in order to deal with potential queries quickly and efficiently. We felt that this service went above and beyond that offered by a traditional supplier and added a personal touch to the business relationship.”

The HSE do not give a strict list of products that should go into a first aid kit but instead suggest that the kit needs to be “adequate and appropriate in the circumstances”.

Arco supply a range of First Aid kits from a travel kit for one person up to a First Aid dispenser suitable for use in areas where fifty persons are employed. Sundstrom Safety lead the way in improving respiratory safety. They provide reusable powered and supplied air products designed with the wearer in mind.
