Getting Started

Introduction These instructions are intended to be used by assessors who use Surpass in the awarding process. The Assessment Processing team manage the awarding process and will set up your ‘awarding user’ account in Surpass before the remote awarding meeting takes place. This account is distinct from the account that you use when marking tests in Surpass. Therefore you should be sure to use the correct account when logging into Surpass to view the marked candidate scripts in the Moderate screen during the awarding process. This section provides information on the essentials of Surpass, including some of the basic functionality that you will need to know in order to use the system to award marked candidate scripts on-screen.

Login

When you are first invited to a remote awarding meeting we will set up your account and provide you with the details (username/password) you will use to login to Surpass at the address https://ocr.surpass.com. You can bookmark this address in your preferred browser’s favourites so that you can easily access it when you need to.

It is worth noting that Surpass works better with the Firefox, Chrome and Edge browsers than it does with Internet Explorer. From the Surpass login screen enter your username and password then click the Login button. You will be logged into Surpass and will land on the Home screen.

As an ‘awarding user’ you have links to Home and Test Administration on the main menu. You will have a link to the Moderate screen from the Test Administration sub-menu.

In the Moderate screen you will have a read only view of the marked candidate scripts at all of the centres you have been allocated for awarding.

Log out

When you are logged into the system your username will be displayed to the right of the main menu.

When you have completed your activities you should logout of Surpass rather than simply closing the browser. Logging out ends your session correctly and also ensures that no one else can use the system without proper authorisation should your computer be left unattended. Click the down arrow next to your username to display the sub-menu. Then click the Logout link to logout. You will be logged out and returned to the login screen.

Inactivity security lock

After a period of inactivity your session will be locked for security reasons. When this happens the Session Expired pop up will be displayed.

To log back in, simply re-enter your password and click the Log in button. This will return you to screen that you were in before your session timed out. To logout completely click the Cancel button. You will be logged out and returned to the login screen.

Recover password

If you forget the password for your ‘awarding user’ account ask for it to be reset by contacting the Assessment Processing team by sending an email to [email protected]. They will reset your password and let you know the new one to use. Please do not use the Can’t access your account? link on the Surpass login screen to recover the password for your ‘awarding user’ account.

Moderate Screen

All of the marked candidate scripts, for a particular session, reside in the Moderate screen in Surpass. To navigate to the Moderate screen click on Test Administration on the main menu and then Moderate on the sub-menu.

Once in the Moderate screen you will see a table with the marked candidate scripts.

Each marked candidate script in the table is described with data for the following fields.

Field Description

Subject The name of the qualification.

Test Name The name of the unit.

Test Form Reference A reference specific to the variant.

First name The candidate’s forename.

Last name The candidate’s surname.

Candidate ref. The candidate’s unique reference which could be their OCR candidate number.

ULN The candidate’s unique learner number.

Duration The duration of the candidate’s test which may include extra time if eligible.

Original Result The result calculated against the boundaries entered for the test form. Note that nominal boundaries may have been used meaning that the original result will be updated when the final boundaries are entered.

Adjusted Result The result calculated against the final boundaries entered for the test form. Where the original result remains unchanged after the final boundaries are added no data is included in this field.

Percent The percentage calculated from the mark scored and the max marks available.

Mark The mark scored by the candidate.

Centre Name The name of the centre.

Centre Code The unique centre number (NCN).

Field Description

Completed The date the test was completed.

Override Auto-Mark An indicator of whether the override auto-mark option has been enabled to allow a mark to be assigned to an auto-marked question.

To locate the marked candidate scripts you want to view, to help with your awarding decisions, you can use the search and filter options available.

Use the search filters to locate one or more tests You can use the filter options to filter the marked candidate scripts in the table as follows.

Date range filters

You can filter on the Completed field for the date when the tests were taken or date range between which the tests were taken. To access the filter click the small down arrow on the right of the Completed field header.

By default the ‘from’ and ‘until’ dates will be one month in the past and future to limit the number of completed scripts returned to the table. To change the ‘from’ and ‘until’ dates click on the respective calendar symbol and select the dates required. The selected date will be returned to the ‘from’ and ‘until’ fields in the filter and are inclusive.

Click the Apply button to filter the completed scripts in the table.

Text filters

You can filter by Test Name, Test Form Reference, First name, Last name, Candidate ref, ULN, Centre Name and Centre Code by entering text into the search box. To access the search box click the small down arrow on the right of these field headers.

Enter the text into the search box and click the magnifying button. The marked candidate scripts will be filtered by the text in the search box and a small funnel symbol will be displayed on the field header to indicate a filter has been applied. To remove the filter from the field click the small down arrow to open the search box and click the Clear button.

The small funnel symbol will be removed to indicate the filter is no longer applied.

You can search by Subject, Original Result and Adjusted Result by ticking a checkbox in the filter. To access the filter click the small down arrow on the right of these field headers.

Click the checkbox next to the Subject, Original Result or Adjusted Result you want to filter by and click the Apply button. The marked candidate scripts will be filtered by the Subject, Original Result or Adjusted Result selected. If more than one Subject, Original Result or Adjusted Result is visible in the filter a small funnel symbol will be displayed on the field header to indicate a filter has been applied. To remove the filter from the field click the small down arrow to open the filter and click the Clear button.

Adjust the table

Re-sizing

You can adjust the width of the table columns to display the data you need to see. Do this by hovering over the column dividing lines to change the pointer to a double headed arrow. Then left click the mouse and drag left or right to re-size the width of the column.

Sorting

You can sort the data for each field in the table. Do this by clicking on the field header for the data you want to sort by. The data will be sorted alphabetically or numerically (depending on the content) in either ascending or descending order. The sort order will be indicated by small arrow on the field header (up arrow ascending, down arrow descending).

Viewing marked candidate scripts As part of the awarding process you may want to view particular marked candidate scripts to help make your awarding decisions. You may want to:

Sort the marked candidate scripts by Mark to view them in rank order (ascending or descending). You can then view the marked candidate scripts on or close to the proposed boundaries.

Filter by Test Name or Test form reference to only see marked candidate scripts for a particular test form.

o Use ‘1C’ in Test form reference for unit 1 (level 2 Cambridge Technicals) o Use ‘1C_A’ in Test form reference for unit 1 variant A (level 2 Cambridge

Technicals) o Use ‘2C’ in Test form reference for unit 2 (level 2 Cambridge Technicals)

Note that the Original Result may show as Fail for all candidates as the result has been calculated against nominal boundaries

Note that up to fifty marked candidate scripts are displayed per page and that there may be more than one page to view.

To view a particular marked candidate script highlight the script in the table and click the View Responses button in the bottom right corner. The marked candidate script will open in the View responses Script screen.

You can view the candidate’s responses, mark awarded, marking annotations, comments and marking history for all questions attempted. You can select a question in two ways.

The first way is to select the section from the section drop down list and then a question from question drop down list. Depending on how the test was set up you may see information pages and questions in the question drop down list as shown below.

Alternatively where a question was set up with parts you may see the part questions in the drop down list as shown below.

Any question that required human marking will have either (marked) or (not attempted) next to their question number.

(marked) indicates that the question has been marked

(not attempted) indicates that the candidate did not attempt the question Where questions have been auto-marked you will not see anything next to their question number.

The second way is to use the navigation arrows to move forwards and backwards through the questions and sections in the marked candidate script.

Candidate attachments

Where a question has required a candidate to upload one or more files as their response, click the button used by the candidate to upload their file/s.

This will open the Download Manager screen and this will list the files that the candidate uploaded.

Click the download symbol to access the file/s and then open them in an application on your computer.

Once you have finished click the Close button to close the Download Manager screen.

Click the View Marking History button to view a history of marks or comments made by examiners while marking each question.

Click the Close button to close the Marking History popup.

Close a completed script

To close a marked candidate script at any time click the Close button in the top right corner of the View responses Script screen. There is no limit on how many times a script can be viewed.

Record awarding judgements You are not able to record your awarding judgements in Surpass and will be advised how to do this separately.
